DATABASE CONVERSION INSTRUCTIONS AutoBid Mechanical SOFTWARE CONVERTING DATA FROM THE AUTOBID MECHANICAL 2014V3 FORMAT The latest version of the Trimble AutoBid Mechanical software uses a new database format (Microsoft SQL Server ). To take advantage of the new database format, use the AutoBid Mechanical Conversion utility to convert your data from the 2014v3 data structure to the new data structure. This document covers the conversion procedures to the new format. This document does not apply when updating AutoBid Mechanical 2016v1 or later. Depending on the size of the database and computer speed, the data conversion may take several hours to complete. Trimble recommends that you choose a non-busy time or after hours to minimize disruptions in your company s daily workflow. To prevent interruption of your data conversion, Trimble strongly recommends that you disable any Windows updates that may cause your computer to restart during the conversion process. To ensure correct operation of the AutoBid Mechanical software, you will need to perform the installation according to the procedures outlined in the Update Installation Instructions section of the Release Notes. The instructions in this document assume you have both release 2014v3 and the latest version of the AutoBid Mechanical software installed on the same computer. To perform the conversion, you must have release 2014v3 installed. If you are using an earlier version, you must upgrade to this version before proceeding. C CAUTION It is imperative that you closely follow all instructions outlined in this document to ensure correct operation of AutoBid Mechanical software. TRANSFORMING THE WAY THE WORLD WORKS
IMPORTANT CONVERSION INFORMATION All Release 2014v3 drawings that are checked out must be checked back into the database prior to running the conversion. When you check the drawing back in, the project is updated in release 2014v3 prior to the conversion. C CAUTION Drawings that are not checked back in before the conversion will not retain any work completed on the drawing while checked out. Anything that is on the OSV Clipboard at the time of conversion will not be retained. Any customizations you may have done to the Piping Items Analysis or Library Items Analysis reports cannot be retained. Please make note of any changes/modifications you may have performed so you can recreate them in release 2016v1 or later. All master tables in release 2014v3 automatically convert to the new format. The conversion process automatically selects up to 60 release 2014v3 projects for conversion as follows: Default or Standard is included in the project description. Projects most recently accessed (within the last three years) Note Trimble strongly recommends only converting the projects that are immediately needed. Other projects may be converted after the initial conversion is complete. Installing the latest version of AutoBid Mechanical does not affect your current 2014v3 database. The two releases can run on the same computer. This allows you to finish jobs you may be close to completing in the current software, as well as having access to the older projects should you need to convert them later. STEP 1: INSTALL THE LATEST VERSION OF AUTOBID MECHANICAL Install AutoBid Mechanical according to the instructions included in the Release Notes. This document is available from the main Trimble AutoBid Mechanical installation screen under Software Documentation. 2
STEP 2: OPEN THE AUTOBID MECHANICAL SOFTWARE Click on the AutoBid Mechanical Desktop icon. Tip Make sure you are opening the latest version of the software. Release 2014v3 will also be present on your computer. STEP 3: DATABASE CONNECTION If you have the database of the latest version of AutoBid Mechanical installed on a network, you will need the server name to complete these steps. If you are unsure, please contact your IT Professional for information. 1. If this is the first time you have opened the latest version of AutoBid Mechanical, the Add Database Connection dialog appears. This procedure connects you to the main AutoBid Mechanical database (either on your hard drive or network location). You must be connected to a database in order to use the software. Information about this database was provided during database installation. 2. In the Add Database Connection dialog, review/ select the following: Name Enter a name for this connection. Server If the server is detected on the computer where you are working, it will display in the field. If the field is empty, click on the drop-down arrow to select the appropriate server from the list. If your server is on a network, you must know the name to make the connection. Login You may either log in using your Windows login, or use SQL Authentication. This provides enhanced security for your database. The login information pertains to the Trimble installed instance of the Microsoft SQL Server. If you are using another installed server, your login will be different. Contact your IT Professional if you have any questions. SQL Server Version This field defaults to <Auto Detect>. Do not change this value unless directed to do so by Trimble MEP support. Database Click the drop-down arrow to locate the database for the AutoBid Mechanical software. 3. Click OK. 4. You will then be asked if you would like to convert your database now. Click Yes. 3
STEP 4: DATABASE CONVERSION PROCEDURE In order to use the latest version of AutoBid Mechanical, you must convert your current (2014v3) database to the new database format. If your 2014v3 AutoBid Mechanical software is installed both stand-alone and network, use the most recently accessed database for conversion. C CAUTION Depending on the size of your database and the number of projects you choose to initially convert, the conversion process may take several hours. Please consider processing the conversion during a non-busy time or overnight. Doing so will provide the least interruption in your company s daily workflow. 1. In the conversion message dialog, click Yes to begin the conversion process. 2. Thoroughly review the information presented in the AutoBid Mechanical Data Conversion screen. Tip Due to conversion time requirements, Trimble recommends that you select only the projects you immediately need for conversion. You can select specific projects that you need after the initial conversion is complete. 3. Select or clear the following checkboxes: Lock users out of AutoBid Mechanical 2014v3 during conversion This checkbox is selected by default. Trimble recommends leaving this checkbox selected during the conversion. Any changes that are made in the 2014v3 database while the conversion is processing may not import to the new database. Locking users out prevents changes in the 2014v3 data while the conversion is running. Skip last Price Service Update Log Trimble recommends that you select this checkbox prior to the conversion. Price update conversions may considerably slow down the conversion process. After your conversion is complete, you can run the most recent price update in the new database. This process takes far less time than converting the data. Clean up invalid connect/reconnect data Selecting this checkbox cleans up any broken connection data resulting from the user s manual modification of OSV automatic connections. When you select this checkbox, the calculations with the new version are updated to produce more accurate material and labor costs. 4. Additional options: Show list of connected users This option will provide useful information if others are connected to your 2014v3 database. Advanced Project Selection You can click this option to select or deselect projects for inclusion in the conversion. Depending on the size of your database, selecting additional projects may slow the conversion process considerably. Tip Due to conversion time requirements, Trimble recommends that you select only the projects that are needed immediately. You can import specific projects as needed after the initial conversion is complete. 5. When you are ready to start the conversion, click Convert. Click Yes on the confirmation message. Refer to the Final Steps topic in this document to complete the conversion process. 4
STEP 5: FINAL STEPS Conversion messages When the conversion is complete, the message Conversion complete will appear. Click the Close button on the Convert AutoBid Mechanical Data to SQL window. The AutoBid Mechanical software is now ready to use. Price Update Log If you chose to skip importing the latest Price Service Update log during the conversion process, the initial Price Service log will be empty. Your log will be recreated after your next Price Service update. Converting additional projects To convert additional 2014v3 projects to the latest database format: 1. Open the AutoBid Mechanical software. 2. Go to File / Import AutoBid Mechanical 2014v3 projects. 3. Log into the AutoBid Mechanical 2014v3 database. 4. Click Import AutoBid Mechanical 2014v3 projects and then choose the projects you want to import. 5. Click Import and then OK.
