Setting your First Time Login: 1. The first time you log in to your voice mailbox, you will be prompted to change the password. This password must be a minimum of 6 and a maximum of 16 digits. It should not be obvious (e.g. 123456). 2. Record your Greeting - Press 82. 3. Record your Personal Verification - Press 82 and 9. Record your name, department and telephone extension. This Personal Verification is the identifying information that precedes your message when you leave a message. Message Management Delete Messages - You are advised to delete your messages once you have listened to them by pressing 76. Message Retention - Messages you have listened to will be stored for eight days and then they are automatically deleted. Getting Notification Sent to Email Faculty and staff with a voicemail account have an option to include a voicemail notification alert that will be delivered to their email every time there is a voice message. This FREE service will speed up the message retrieval and call back times. The Notification to Email service will send an email to recipient's Ryerson email address, mentioning caller's name and phone/extension (if available). To request Notification to Email service please complete the online form. Page 2

Using Call Pilot Mail Commands Log in 1. Press # sign or Message button on your phone. 2. Enter your mailbox number and current password. Greetings 1. Log into. 2. Press 82. (Listen to prompts, which will give you step-by-step instructions.) 3. To record: a. External greeting, press 1. b. Internal greeting, press 2. c. Temporary greeting, press 3. NOTE: If you choose to record only one greeting, press 1 to record the external greeting - all callers will hear this greeting. 4. Press 5 to record. Press # key to stop recording. 5. To listen to what you have recorded, press 2. 6. To delete and re-record your greeting, press 76, then repeat the previous two steps. 7. To return to start of your mailbox, press 4. 8. Press 83 to logoff. Page 3

Change Password 1. Log into. 2. Press 84. 3. Enter your old password followed by # sign. 4. Enter your new password followed by # sign. 5. Enter your new password again followed by # sign. (At this stage your password has been changed) 6. Press 83 to logoff. NOTE: After 3 consecutive unsuccessful password attempts you will be locked out of your mailbox. Email or call extension 6806 to reset your password. Personal Verification The personal verification is a recording of your name used by the system in place of your mailbox number. Note: This is not the greeting played to your callers. 1. Login to. 2. Press 82 (Listen to prompts, which will give you step-by-step instructions). 3. Press 9 to setup your personal verification. 4. Press 5 to record. Say your name. 5. Press #. The system will play the name back to you. 6. Press 83 to logoff. Page 4

Create and Send Messages To leave messages for someone without calling their extension number, follow these steps. 1. Login to. 2. Press 75 to compose a message. 3. Enter mailbox number or distribution list followed by pressing # sign twice (##). 4. Press 5 to record. (Wait for tone to speak.) 5. Press # to stop recording. Press 2 to review your message. 6. Press 79 to send your message. 7. Press 83 to logoff. Play Messages 1. Log into. 2. Press 2 to play messages. Page 5

Once the message starts playing the following commands are available: # - Pause during playback 6 - Go to the next message 4 - Go to the previous message 2 - Continue 1 - Skip backward 5 seconds 3 - Go forward 5 seconds 76 - Delete message 72 - Get envelope information (more information about the message). Reply to a Message 1. Log into. 2. Press 2 to play messages 3. Press 71 to reply. 4. Press 5 wait for tone to speak. 5. Press # when finished recording. 6. To listen to what you have recorded, press 2. 7. To delete and re-record your message, press 76, then repeat the previous three steps. 8. Press 79 to send message. 9. Press 83 to logoff. Page 6

Forward a Message 1. Log into. 2. Press 2 to play messages. 3. Press 73 to forward a message. 4. Enter mailbox number or distribution list followed by pressing # sign twice (##). 5. Press 5 to record additional information prior to sending followed by #. 6. Press 79 to send message. 7. Press 2 to return to listening to your message. 8. Press 83 to logoff. Delete Messages Press 76 to delete message. Log off Press 83 to logoff. Page 7
