Lead@UVa Super User Online Training Click here (http://www.hr.virginia.edu/uploads/documents/media/leadsutrainguide.pdf) to access a full training guide of this module. Lead@UVa is the online tool used to support performance management at the University of Virginia. The system is web based and is used to capture data related to performance evaluations, development activities, and compensation actions connected to the annual evaluation cycle. Certain individuals across the University are designated as "super users" of Lead@UVa. Super user designation must be approved by the VP/Dean (or authorized designee) of each unit. As a super user you will provide local support for University units and employees as they interact with the online tool during the performance management cycle. If you have any questions about your organization's super users please contact your local HR professional of HRCS consultant. 3 s for super user training completion 1. The information within this module serves as a reference for completing super user actions in the system. Upon completion of the Lead@UVa Super User learning path (http://www.hr.virginia.edu/uploads/documents/forms/learning_path_instructions. pdf) and steps 2 and 3 below, you will be able to: o Access super user functionality and customize your dashboard o Manage tasks o Update reviewers o Perform delegated tasks o Run reports 2. In addition, you are responsible for reviewing all resources on both your Lead@UVa home page and the University's Performance Management website (http://hr.virginia.edu/other-hr-services/hr-consulting-services/performancemanagement/). 3. When you have successfully completed the learning path, return the signed access agreement (http://www.hr.virginia.edu/uploads/documents/forms/lead_at_access_agreement. pdf) as indicated at the bottom of the form. To access the learning module: Highlighting a module, section, and topic in the course displays important information in the right concept pane. After expanding the outline and reading the informational text, highlight a topic. Click "Try It" in the upper right-hand corner to interact with the simulation. You may also click "Print It" to download a job aid to your computer. Page 1

NetBadge may also be used with your blue.unix cluster or your Health System email account information. You can also log in with one click using your UVa Digital Certificate, if you have one. Once you log into the system, the Home page displays. Here you ll see general performance management information, breaking news, and access to important resources such as training and web links. Navigation to the functionality you need is organized primarily by a top menu, which remains visible at all times. If you haven't set your browser to clear cache every time you exit, please consult with your LSP or contact the ITS help desk (4-HELP) if you are experiencing any system issues. Procedure In this exercise you will log into your Lead@UVa site and navigate through the Home page, your dashboard, and a performance evaluation form. Page 2

1. Access is through the HR website (www.hr.virginia.edu). Click the Lead@UVa link. Page 3

2. The NetBadge Web Login page displays. Log in through one of two ways: (1) Using your UVa Digital Certificate. (2) Using your UVa computing ID with either your Eservices or Central Mail System (CMS) account password. In this simulation, example login information has been entered for you. Click the Log In button. 3. Your Lead@UVa Home page displays. Here you ll see general performance management information, breaking news, and access to important resources such as training and web links. 4. Note that department designated super users see extra tabs for additional functionality: Admin: for accessing administrative functions HRMS: Displayed (but not used) for reviewer change functionality In addition, super users who are also compensation administrators will see the Compensation tab during certain time periods. 5. My Tasks will display the number of tasks currently in your To Do list, if any. In this example, Jamie has one pending task. Click the My Tasks link. 6. The list of your pending tasks display (they also display automatically when you log in). Clicking Go on any task in the list opens the evaluation form for that task. Click the Close button. 7. Click My Profile to access your evaluations. You can also access your past evaluations from the My Past Reviews reportlet on your dashboard. Click Org Chart to display a hierarchical view of your organization. Click Notes to access your private notes area. See topic Managing Notes and Attachments for more information. 8. Navigation is primarily through this top menu. The menu remains visible at all times. In addition to the Home tab which always brings you back to this page, you have a Performance tab that takes you to your customized dashboard. Note that this is a "hover" menu and not a "click" menu. Point to the Performance tab. 9. Here you would choose Dashboard. 10. Use the My Position tab to access your job description. Point to the My Position tab. 11. Click the My Position link. 12. Your job description displays. 13. Managers and super users access reports through the Reporting tab. 14. Now let's access Jamie's dashboard. Point to the Performance tab. 15. Click the Dashboard link. Page 5

16. The Performance Dashboard displays. In addition to the default sections seen, you can customize your dashboard to include various other sections (called reportlets: see Customizing Your Dashboard topic this section). 17. If your evaluation form is pending action by you it displays in your My To Do List. Click the Go link. 18. The evaluation form displays. Scroll to work individually with your performance goals, competencies, and development plan (see topics). 19. Use the button icons (do not use Email Form) to perform actions, including the following: Send Forward to move your form through the steps to completion. Send Back if you need to return a form to a previous step. Print Preview to view/print the form. 20. Note that the Overview section contains a link to UVa's Performance Management website, where you can find additional useful resources. The General Information section contains information about you, your supervisor, and reviewer. 21. To return to your dashboard, point to the Performance tab. 22. Click the Dashboard link. 23. When your current form is not in your dashboard you can view it by clicking on the bar graph in the My Performance Reviews reportlet. Click the bar link. Page 6

24. The Details page displays a summary of activity. You can view and print details of your active form. Click the View Form button. Page 7

25. Here you can view your form in non-editable format. You can also print and export to PDF. Click the Return button. Page 8

26. To view the lowest level details of a line item, click the list. 27. Click the Information list item. 28. The lowest level of task detail displays. 29. Signing Out / Clearing Cache Note that the signout feature does not truly sign you out because you are using NetBadge. To successfully sign out, close all browser windows to clear your NetBadge session. 30. Congratulations, you have completed the simulation for logging into and navigating Lead@UVa. End of Procedure. Managing Notes and Attachments Attachments can be added to your evaluation. For example, you may wish to attach the certificate for a course you completed as part of your development plan. Your manager, the reviewer, and departmental super users can also view and attach documents to your evaluation. Attachments can be added until the signature steps of the workflow. Page 9

Note on attachment size: Attachments have a file size limit of 1 MB (Megabyte). Any files larger than 1MB will be rejected with an error message. There s no limit to the actual number of attachments you can have. The total size of all attachments can be larger than 1 MB. Since attachments are viewable by others, you may want to use the Notes feature to keep private notes within your Lead@UVa site. Those are viewable only by you, though they can be seen by your super user if you have delegated access to that person. Also, in the event of an appeal or grievance process your notes may be requested. Procedure In this exercise you will add both a private note within your Lead@UVa site and an attachment to your evaluation. 1. How to work with your private notebook: Click the Notes button in the site header. 2. Your Notebook page displays all your current notes. Here you can add and manage your private notes. Since they exist outside evaluation forms but within your Lead@UVa site they are viewable only by you (or a super user for whom you have delegated access to your site). Page 10

3. To add a note, click the New button. 4. Add data in the Note Details fields. Example data has been entered for you here. Date of Entry defaults to today's date and may be changed as needed. Subject is a required field. Text you type here is displayed in the Subject column on the Notebook page. Managers can use the Name field to populate notes for specific members of their team. A free text Notes field is provided. 5. The Note page also gives you Print, Return (without saving) and Spell Check options. When you have finished adding your note, click the Save button. 6. Your new note displays in your Notebook. To manage your notes, click the list. Here you can choose to view, edit, or delete the note. Page 11

7. Managers only: When creating notes, you can populate the Name area by selecting an employee's name (choose My Team). Clicking Notes while within that employee's evaluation will display them. 8. How to work with attachments: All participants in your evaluation (you, your supervisor, and the reviewer) may add attachments until the signature steps of the workflow. 9. Access to Attachment(s) section is at the bottom of your form. Here you can view all attachments and manage the attachments you own. Attachments have a file size limit of 1 MB (Megabyte). To add an attachment: browse to and upload the file, then click the Add button. 11. To view an attachment, click its link. To delete an attachment that you own, select s > Delete. 12. Congratulations, you have completed the simulation for managing notes and attachments. End of Procedure. Customizing Your Dashboard Primary for use by managers and super users You can customize your dashboard to more easily access information you need to view on a regular basis. The information displayed is a type of report in Lead@UVa known as a reportlet. Super users will want to view reports noted with an (Administrator) suffix. One useful reportlet is Performance: Process Compliance 201x (Administrator), which shows the number of users in each step in a graph format. Clicking on the bars populates a detail report with a list of all of the individual employees. If you are a manager, adding reportlets contain information about your team can provide great time savings. Some reportlets of particular interest include: Team Past Reviews: lists previous completed reviews for members of "My Team" Team Performance Reviews: lists current performance reviews for members of "My Team" Procedure In this exercise you as manager Morgan Lee will customize your dashboard to display your team's performance reviews. 1. To begin, click the Customize button on your dashboard. Page 13

2. A list of your current dashboard reportlets displays. Here you can add, edit, and remove reportlets. To add a reportlet, click the New button. 3. Add and customize the look of the new reportlet. Click the Reportlet menu. Page 14

4. Choose from the list of options. Not all reportlets return information for UVa. Those marked as (Manager) will specifically return that manager's data, while those marked as (Administrator) are for super users. Super users: note that the Performance: Process Compliance 20xx reportlets can be very useful. Click the Team Performance Reviews list item. Page 15

5. Click the Column menu. Page 16

6. Choose on which side of the dashboard to display the report. 1 is the left column and 2 is the right. In this exercise, select 1. 7. Click the Visibility menu. Page 17

8. Choose the default display as an expanded or collapsed format. In this example, select Expanded. Page 18

9. Click the Save button. 10. Your list now displays the new reportlet. Manage your reportlets using the menu selections. 11. When you have finished customizing your dashboard reportlets, click Save. 12. The new reportlet displays on your dashboard. 13. Reportlet header functions Page 19

Locating Users for Performing Admin Functions Lead@UVa provides two methods for locating users in order to perform administrative tasks: 1. Use the Employee Search field in the top navigation menu for accessing an employee's Employee Profile menu. From here you can view all evaluations in Lead@UVa for that employee and update the name of an employee's reviewer. In addition, use the Employee Search field to access delegated emulation modes. 2. The User Search menu within the Admin tab also gives you access to the Employee Profile menu. In addition, use this search method when you need to view an employee's job description. Procedure In this exercise you will locate employee information accessed through the Employee Search field and via the Search Users administrative menu option. Page 20

1. Employee Search: Use this search method to access delegated emulation mode and the Employee Profile menu. Click in the Employee Search field. 2. You can search for employees by First Name Last Name or by Last Name (no comma). Enter the desired information into the Employee Search field. Enter "alves". 3. Results display based on the search. If a user has delegated access to you, an Emulate button displays for your use (see topic). Otherwise, click on the desired employee's name. Click the Jamie Alves list item. Page 21

4. The Employee Profile menu displays. From here you can update an employee's reviewer (see topic) and view the employee's evaluations. Click the Evaluations link. 5. Click the Performance Evaluations link. 6. The employee's list of evaluations in the system display. Page 22

7. User Search: Access the user search via the Admin tab. Point to the Admin link. 8. Click the User Management link. 9. Click the Users link. 10. Click the Search Users link. 11. Use any known search criteria to locate the employee. In this exercise, we have entered an employee's first and last name for you. Click the Search link. Page 23

12. Click the list. 13. Select Position Profile to view the employee's job description. Select Task History to access the employee's evaluations. Select View Workspace to access the Employee Profile menu, where (as with Employee Search) you can view evaluations and update reviewers. 14. Congratulations, you have completed the exercise for viewing users. End of Procedure. Managing Tasks In the Lead@UVa system, functions assigned to an employee to complete are known as tasks. Tasks include entering goals and completing performance evaluations. Upon completion of this section, you will be able to: Transfer tasks Route tasks Perform group routing Close tasks Transferring a Task The Transfer Task function is used to re-assign an evaluation form from one person to another when necessary. A typical scenario is when an employee s manager is out of the office and the evaluation needs to be completed by another manager in the employee s area. Procedure In this simulation you will use the Transfer Task function to reassign a task. Page 24

1. On your Home page: Point to the Admin menu. 2. Click the User Management list item. 3. Your User Management Workspace displays. Click the Task Management menu. 4. Click the Transfer Task list item. Page 25

5. The Transfer Task Wizard displays. Search for the employee from whom the task is being transferred. Click the Search button. Page 26

6. Click in the Search field. 7. You can search using any combination of last name and/or first name. Enter "Lee, Morgan". 8. Press [Enter]. 9. Choose from the list of results. Click the Morgan Lee row. 10. Search for the employee to whom the task is being transferred. Click the Search button. 11. Click in the Search field. 12. Enter "Smith, Taylor". 13. Press [Enter]. 14. Choose from the list of results. Click the Taylor Smith row. 15. Click Next. 16. The list of tasks displays for selection. Click the 2014 ( 4) Complete an interim review with, Jamie Alves option. 17. Click Finish. 18. The task has been transferred. Routing a Task Congratulations, you have completed the simulation for transferring a task. End of Procedure. In Lead@UVa it may be necessary for you to route a task from one step in the workflow to another. A typical scenario is one in which someone accidently sends the form forward and the next person in the workflow is not available to send it back. You may have additional business practices for routing tasks in your area. Routing tasks is different than transferring tasks in that: routing takes the task from one step in the workflow to another step. transferring takes the task and assigns it to another person. Procedure In this simulation you will route an evaluation form back to the employee. Page 28

1. On your Home page: Point to the Admin menu. 2. Click the User Management list item. 3. Your User Management Workspace displays. Click the Task Management menu. 4. Click the Route User Task list item. 5. The Route User Task Wizard displays. Search for the employee whose task is being rerouted. Click the Search button. 6. Click in the Search field. Page 29

7. You can search using any combination of last name and/or first name. Enter "jamie alves". 8. Press [Enter]. 9. Choose from the list of results. Click the Jamie Alves row. 10. Click Next. 11. The list of active performance evaluations displays for selection. Click the 2014 Performance Evaluation Jamie Alves option. 12. Click Next. 13. An asterisk displays where the task currently resides. In this example, the task is at step 4. Click the dropdown list. 14. Select the task to route the process to. In this exercise, route the task back to the employee. Click the 2014 ( 3) Complete a self-evaluation for your interim review list item. Page 30

15. Click Finish. 16. Congratulations, you have completed the simulation for routing a task. End of Procedure. Performing a Group Route Some circumstances may require that several employees who are at the same step all be routed to a new step in the process. Instead of routing the employees' forms one by one you can use the Group Route Task wizard. Click here (http://hr.virginia.edu/uploads/documents/media/group_route.pdf) for instructions on inserting your.csv file of employee numbers for the process. Procedure In this exercise you will perform a group route. Page 31

1. On your Home page: Point to the Admin menu. 2. Click the User Management list item. 3. Your User Management Workspace displays. Click the Task Management menu. 4. Click the Route Group Task list item. 5. The Route Group Task Wizard displays. Select the performance form. Click the Task dropdown list. Page 32

6. Choose from the list of options. Click the 2014 Performance Evaluation list item. 7. Click Next. 8. Select the step that you are routing from. Click the 3 option. 9. Click Next. 10. Select the step that you are routing to. Click the 5 option. 11. Click Next. 12. Your routing selections display for verification. 13. In the Employee List field, enter the Employee Numbers of those to include in the group route. If using the.csv file, copy and paste the formatted information. Otherwise, enter the numbers as shown here: separated by commas but with no spaces between numbers. In this exercise, numbers have been entered for you. 14. Before routing, review your selections. Click the Test button. Page 33

15. The list of employee names associated with the numbers you entered displays for your verification. Click Close. Page 34

16. If the list of employees was not correct, edit the numbers in the Employee List field and test again. When the list of employees is correct, click Next. 17. As needed, you can use the Ignore box next to exclude employees' names before proceeding. Click Finish. 18. Verify the system confirmation message. 19. Congratulations, you have completed the simulation for a group route. End of Procedure. Closing a Task In rare circumstances--and in accordance with your department's business process practice--you may need to close a task. Note that there are two options when closing a task: Cancel and Complete. You can cancel an evaluation when the form was not used or completed to step 6. A typical scenario would be when an A&P faculty member is not participating in the evaluation process. You can complete an evaluation under specific circumstances, such as when an employee is on leave during the annual phase and the manager is able to complete the annual evaluation (step 6) and provide a rating for the evaluation phase. As needed, please review the options with your HR consultant/partner to determine the best course of action. Procedure In this simulation you will close the form of an A&P faculty member. Page 35

1. On your Home page: Point to the Admin menu. 2. Click the User Management list item. 3. Your User Management Workspace displays. Click the Task Management menu. 4. Click the Close Task list item. 5. Select the employee. Click the Search button. 6. Click in the Search field. 7. You can search using any combination of last name and/or first name. Enter "shafer". Page 36

8. Choose from the list of results. Click the Mary Shafer row. 9. Click Next. 10. Choose one of the status options: You can cancel an evaluation when the form was not used or completed to step 6. When you cancel, a rating is not interfaced with the integrated system. You can complete an evaluation under specific circumstances, such as when an employee is on leave during the annual phase and the manager is able to complete the annual evaluation (step 6) and provide a rating for the evaluation phase. As needed, please review the options with your HR consultant/partner to determine the best course of action. 11. Choose the form to be closed. Congratulations, you have completed the simulation for closing a task. End of Procedure. Delegating Tasks Lead@UVa gives super users the ability to emulate another user. This means that you can log in as any user who has delegated their access to you and perform all actions on their behalf. Using the Delegation function is a two-step process: 1. First the person you need to emulate must establish you as their delegate (this topic). 2. Once this delegation has occurred you can use Employee Search to emulate that employee until the expiration date of the delegation. Upon completion of this section, you will be able to: Follow the steps involved in establishing a delegate As the delegate, emulate a user in order to perform tasks from within their Lead@UVa site Establishing a Delegate Please note that this topic is contained only within the super user training outline. If someone needs to establish you as a delegate you can download and share the job aid with them via the Print It function. Procedure Important Note: Using this feature means that whoever is given delegation access is able to complete actions as if they were you. Therefore please use this emulation feature with caution. In this exercise you will establish your super user as a delegate for performing actions on your behalf. Page 38

Any delegates you have assigned currently or in the past is displays, with the option of editing the settings. In this example you are establishing a delegate for the first time. Click New. 5. Updating Reviewers Employee information is fed nightly from the Integrated System (the system of record), so super users don't typically perform user management within Lead@UVa. However, there may be occasions when you need to change the reviewer's name. Upon completion of this section, you will be able to: Change a reviewer's name in Lead@UVa Page 43

Updating a Reviewer In Lead@UVa, the Manager 1 field contains the manager s name. The Manager 2 field contains the name of the manager s manager. When an employee s manager changes in the Integrated System, that information is passed to Lead@UVa in a nightly feed and the Manager 1 field is automatically updated. There are some situations where the Manager 2 field is not automatically updated to the correct value. This means that: you must monitor and update the Manager 2 field in Lead@UVa for all employees in your area you won't change the manager s name in the Manager 1 field (since the nightly Integrated System feed will overwrite your changes) Note: The HRMS tab that displays on your Home page allows access to the Manager 2 field, although you perform the actual updates in an employee's Position Detail page. Procedure In this simulation you will change an employee's reviewer. 1. On your Home page: Point to the Admin menu. Page 44

2. Click the User Management list item. 3. Click the Users menu. 4. Click the Search Users list item. 5. Search criteria display. Enter known values in the field(s). Running Reports Reports are often limited by "group access rights." This means that most super users will have the results of their report requests limited to only those employees in the areas to which they have been granted access. A few reports may be available to run Universitywide. In these cases the report results can be limited by selecting only the desired areas from the search criteria. Page 47

Managers typically see report data only for the employees they supervise, whereas employees cannot receive any data from reports. If you foresee reporting needs where a report is not currently available please contact your Human Resource Consultant. University Human Resources will consider reasonable reporting requests and design reports as the application specifications and time allow. Upon completion of this section, you will be able to: Run reports Copy data from reports into Excel Running a Report The list of reports available to you (restricted by role and by area) display when you access the Reports page. Some are vendor reports that are not useful to you. Useful reports include the following: PM: Performance Rating Distribution (Admin) - Shows the distribution of performance ratings for the manager's direct and/or indirect reports PM: Performance Rating Distribution (Manager) - Shows the distribution of performance ratings for the selected manager. Workflow Report - Provides a report by hierarchical level of the status on an employee in the Performance Management process. Also see the two custom workflow step reports. Workflow Roll Up Report (Admin) - Shows step status for the selected evaluation year for all managers that report to the manager selected. Workflow Roll Up Report (Manager) - Shows step status for the selected evaluation year for all managers that report to the manager running the report PM: Performance Employee Rating Report - Provides the distribution of manager overall PM ratings for all managers in the company organized by business hierarchy. Allows managers to drill down to see the details of the direct reports, showing actual ratings instead of a percentage. Access limited by either direct report or group relationships. Team Completion Report - Gives a manager the status of his/her direct reports in the PM process. It lists the manager s name, the employee name, and places an X in the step the employee is in the workflow. The number of columns is dictated by the number of steps in the workflow. There is also a total row which totals the number of Xs for each step. Procedure In this exercise you will run a report. Page 48
