If you participated in either of the previous home computing/technology benefits, you may still participate, however the limits below are combined across all schemes. All staff on permanent contracts of employment are eligible to take part in the benefit with a maximum salary sacrifice limit of up to a 100. All temporary staff who are on a fixed term contract of employment are also eligible to take part in the benefit, however there will be a reduced salary sacrifice limit of up to 50. Order by 15th November 2014 3 4 5 6 7 Sign your electronic Employee Hire Agreement by 22nd November 2014 Once you have completed your order you will be emailed an Agreement detailing the packages and options you have selected. This Agreement will confirm the monthly gross salary reduction, which you must sign in order to participate in the benefit. PLEASE NOTE Your order may be cancelled if your electronic Agreement form is not signed by this date. Your employer will carry out eligibility criteria checks This is to ensure that all employees meet the eligibility set out to allow participation in the benefit, (see How the benefit works and Frequently asked questions sections of the brochure for more information). Delivery will be arranged for between 22nd November 3rd December 2014 All deliveries are subject to approval and stock availability, and arrangements to deliver your chosen package will only be confirmed once your Hire Agreement has been signed. If Let s Connect are unable to schedule a delivery date with you for this window, then your order may be cancelled. The equipment is delivered to your home on the agreed date Delivery will be arranged with you for a weekday that s convenient and is subject to stock availability. For security reasons, the equipment needs to be delivered to your home, or similar residential address i.e. family, friends. Your salary reduction is due to begin on your salary pay date in January 2015 This will continue on each following monthly pay date during the 36 month period. What s included with each package? Throughout the period of hire, your employer must ensure that the equipment is adequately protected, and therefore each package includes a series of useful extras which are bundled with it. This helps give you peace-of-mind as the salary sacrifice arrangement is fixed for 36 months, and continues even if the equipment no longer works or is lost, stolen or damaged. Up to Warranty The warranty covers the hardware of your equipment and during the limited warranty period, the manufacturer will at its discretion, repair or replace any defective component. Parts and labour will be covered. Windows and Apple Mac computers have 36 months manufacturers' warranty. Please note that ipad products have 12 months warranty. Samsung tablet packages include 24 months warranty. Smart TV packages include 36 month warranty. INSURANCE 36 MONTHS Tablet worldwide accidental damage and theft insurance with no excess As the hire agreement is for 36 months, and the tablet packages are such portable devices, likely to be taken away from the home, it makes sense to protect them for the full length of the agreement. Please note that the other main packages in the benefit need to be covered under your home insurance for accidental damage and theft. Protective case (tablets only) This clean, protective case increases the functionality of the tablet, without losing access to any buttons, jacks, camera, or the light sensor. Corners protect against drops and bumps, and the case doubles as a cool stand - perfect when watching videos. It's bundled with the tablets to help protect them for the duration of the benefit. Internet security The internet security software has updates for 36 months and includes anti-virus, anti-spyware, anti-spam, and firewall. This software is designed to keep your computer safe online for the duration of the benefit. The internet security software included will be specific to the Windows or Apple OS X operating system of the machine that you choose. Internet security is not included with tablet packages or Smart TVs. Backup My PC software The backup software helps you backup your personal data such as photos and music in the unlikely event of a fault with your computer. It is your responsibility to ensure your data is backed up correctly. Backup My PC supports Blu-Ray, CD, DVD and dual-layer DVD recordable and re-writable devices, network shares or an external USB hard drive. Please note that this software is bundled only with machines with Windows operating systems. Not included with tablet packages, Apple Macs or Smart TVs. WipeDrive software Wipedrive System Saver from WhiteCanyon is a software package which ensures the personal data on the hard disk or flash memory (solid state memory) of your computer can be securely cleaned at the end of the benefit. If data is not securely removed from the system, it can remain accessible after the computer has been disposed of which could lead to personal identity theft and/or fraudulent use of your data. Let's Connect supplies Wipedrive software with the package because it has the highest level of security certifications for this type of data cleaning software on the market, and is the only disk wiping software approved by the US Government and Armed Forces. How do the savings work? As the cost of this benefit is recovered from your gross salary via a salary sacrifice arrangement, you will make savings in tax, national insurance and pension contribution. On the benefit 1. How long is the hire period? The hire period is for 36 months. Your salary reduction will begin on your salary pay date in the month detailed on page 3, or, in the event of any unforeseen delay in delivery, on the next available salary pay date following delivery, and will be made on each following monthly pay date during the 36 month period. 2. Will this offer be repeated? Your employer may run other benefits in the future, however this is not guaranteed. 3. Am I eligible for the benefit? What happens if I go on unpaid leave? You will be contacted by your employer regarding the options pertinent to your particular circumstances. 6. What happens if I leave my employer? If you leave your employer for any reason including dismissal on any grounds or you decide to voluntarily take unpaid leave of more than six months before the end of the 36 month hire period, you will be required to pay a termination fee to compensate your employer for the non-completion of your hire agreement. The termination fee you will have to pay will be calculated by multiplying your agreed monthly reduction in gross pay by the number of months remaining to be paid at the time you leave your employer. This amount will be taken from your final net salary or any other monies owed to you by your employer. If there is a shortfall, you will receive written notification from your employer that you must pay by cheque within 28 days of receipt. If you are aware that your employment is likely to end before the 36 month life of the hire agreement you should consider very carefully whether you wish to participate in the benefit. Further information can be found on the Employee Hire Agreement. 7. I will be retiring before the end of the 36 month hire period, can I still participate? Yes, however, when you leave you will be required to settle the balance in the same way as referred to in Question 6. 8. How does the scheme affect the benefits in my contract of employment? Where an employee s proposed selection would result in their salary falling below the national minimum wage, the application will not be supported and the employee will be advised accordingly. The employee will retain the right to select an alternative less expensive package. In most cases, the scheme offers substantial tax benefits to employees. However, you should be aware that if you agree to participate in the scheme, you agree to give up some of your salary for 36 months in return for use of the equipment. As basic pay is sacrificed, eligibility for state benefits may be affected, and also sick pay, maternity pay and redundancy pay could be reduced. A salary check is made to ensure that staff do not drop below the minimum wage, and if staff leave before the 36 months are up, they will receive an invoice to pay the gross amount outstanding. You should consult HR/Personnel and/or an independent financial adviser if you are in any doubt about the financial implications for you. 9. What about my pension arrangements? In the NHS pension scheme, pensionable salary is reduced if salary sacrifice is used to provide benefits to employees. Under the existing NHS pension scheme, when salary sacrifice ceases, pensionable salary returns to its pre-sacrifice level, and due to the way in which pension benefits are calculated, if salary sacrifice ceases a few years prior to retirement, there is no impact on the level of final pension benefits. The NHS pension scheme is currently a final salary scheme, however, from 1 April 2015 most members of the NHS pension scheme will transfer to the new career average scheme, pension being calculated on the level of salary each year rather than the level at retirement. As a result, any salary sacrifice during a year will reduce the level of pension earned in that year. Individuals should therefore consider their position and the potential impact entering into a salary sacrifice arrangement may have upon their final NHS pension entitlement. For members who are within 10 years of their Normal Pension Age at 1 April 2012 there is transitional protection in place and they will remain in their existing section. Members with between 10 years and 13 years and 5 months of their Normal Pension Age at 1 April 2012 may remain in their existing section for a period of time before joining the new section. Further information may be found on the NHS Pensions website at http://www.nhsbsa.nhs.uk/pensions The Government have also produced a factsheet for employees, which contains more detailed information: https://www.gov.uk/government/uploads/system/uploads/attachment_data/file/216776/pensions-factsheet.pdf Where an employee leaves the NHS pension scheme and freezes their pension entitlement, the value of the frozen pension may be affected if an employee participates in the salary sacrifice arrangement in the 3 years prior to leaving the pension scheme. The only other circumstances where a salary sacrifice may impact on the ongoing pension entitlement is where a staff member becomes seriously ill and is required to take medical retirement or dies in service. In such circumstances, the pension entitlement is determined by the income level in the preceding 3 years (using the best of the last 3 years Pensionable pay) and therefore will be impacted if a salary sacrifice is in place. It is advisable to seek independent pension advice for further information. 10. How much will it cost me? Please refer to the tables shown at the bottom of the package specification pages, however the cost to you depends on which package you choose and your own personal tax situation. You should ensure that you can afford the salary reductions for the full 36 month period and have read and agree to the terms and conditions before you order. 11. When do my payments start? Your salary reduction will begin on your salary pay date in the month detailed on page 3, or, in the event of any unforeseen delay in delivery, on the next available salary pay date following delivery, and will be made on each following monthly pay date during the 36 month period. 12. Can I elect to make a higher salary sacrifice and shorten the term? No, the period is fixed at 36 months. 13. Where does my salary sacrifice go? Your salary sacrifice is collected by your employer, who has arranged for the supply of the equipment on your behalf. Order and delivery process 14. By what date do I need to apply? For key benefit dates including order deadline, please refer to page 3. 15. What happens once I have placed my order? Once you have ordered online you will need to sign an electronic Employee Hire Agreement immediately. Arrangements to deliver your chosen package will only be confirmed once your signed Hire Agreement is received. We advise you to contact the Let s Connect Helpline on 08444 821 860 to check that your signed form has been received. 16. When can I expect delivery? For delivery dates, please refer to page 3. All deliveries are subject to stock availability. To help the delivery process, you should place your order as early as possible during the order window and sign your electronic Employee Hire Agreement promptly. Delivery of Smart TVs will be organised separately to other items due to the special handling requirements. 17. Can I change my mind once I have signed my Employee Hire Agreement? You have a right to cancel the Hire Agreement within 14 days, beginning the day after you receive the package. At this point, your salary sacrifice and Benefit-in-kind arrangements may have commenced. If this is the case, these will be addressed through the next payroll. If you intend to cancel the agreement within this 14 day period you should not use the equipment and you should keep it: (a) in an as new condition; (b) in its complete state including any software and accessories and the instructions; (c) with the packaging in which it was originally delivered to you; and the seal should not be broken on any DVD, CD or software, except where it has been used for the installation. The equipment and any accessories will be collected from you at a charge to you of approximately 39. If you wish, however, you may return it yourself to the address that we give you. 18. Can I have the equipment delivered to my workplace? For security reasons, your employer does not accept personal deliveries at workplaces, so the equipment needs to be delivered to your home, or similar residential address i.e. family, friends. 19. What happens to the equipment at the end of the benefit? At the end of the 36 month hire period, Let s Connect will contact you to ask whether you would like them to collect the equipment for disposal according to European guidelines for Waste Electronic and Electrical Equipment (WEEE), or whether you will undertake to handle the environmentally-friendly disposal yourself. Computer and tablet packages 20. Can I change the specifications of the packages on offer? No, the specification for each package is fixed and you cannot change any of the specifications across the packages. 21. What s included in the package? Computer packages include the computer, delivery, 36 months warranty support, and 36 months internet security with free updates. Packages with Microsoft Windows operating systems also include additional backup software. Your employer must ensure that its property is adequately protected during the period of hire. To do this each package comes with a software bundle designed to help protect your computer from data loss and the threats posed by the internet. The backup software helps you backup your personal data such as photos and music in the unlikely event of a fault with your computer. The internet security software has updates for 36 months and includes anti-virus, anti-spyware, anti-spam, and firewall. It is your responsibility to ensure your data is backed up and your software is updated when prompted to do so. Damage that has been caused by not having adequate anti-virus protection will not be covered by the warranty. WipeDrive software is included should you need to completely eliminate hard drive data on your computer to protect yourself from identity theft, which you may wish to do at the end of the 36 month period. ipad packages include 12 months warranty, 36 months worldwide accidental damage and theft insurance, a protective case and delivery. 23. Can I load my own software? You can load any software onto the equipment subject to the licensing terms of that software. You are not allowed to use the equipment for any purpose which is offensive, obscene, defamatory, fraudulent or illegal. 24. Can I upgrade my computer package? You can add any new hardware or software to the equipment, subject to licensing agreements, throughout the hire period. 25. What if I damage it? You must insure the equipment against fire, theft or accidental damage so that it can be replaced if it no longer works. If the equipment goes missing or is damaged, salary sacrifice and Benefit-in-kind taxation arrangements will continue for the 36 months. Main tablet packages are covered by worldwide accidental damage and theft insurance for the duration of the benefit. 26. Do I have to use a recommended Internet Service Provider (ISP)? No, if you already have an ISP, you can continue to use them. However you may need to contact your existing ISP to tell them that you are installing a new computer and they should advise you on how to set up the Internet connection. 27. Can I order Microsoft Office software? Microsoft Office software is available as an accessory through this benefit, but does not come as standard on any of the packages. You can add it as an accessory to any of the packages. Please note that Microsoft Office cannot be installed on tablets. 28. What are the differences between Microsoft Windows and Microsoft Office? Microsoft Windows is an operating system a basic collection of programs and drivers pre-installed to provide the user with an interface, and allowing the computer to run. Microsoft Office is a separate suite of software, with Word, Excel and PowerPoint being the most well-known and widely-used elements of the program. Office can be added as an accessory to your chosen computer package, but is not included as standard. 29. What do I do if the computer is damaged or parts are missing when I receive it? You should notify the Let s Connect Helpline on 08444 821 860 within seven days of receipt of any damaged equipment or to advise them of any missing items. 30. What if the equipment doesn t work? If the equipment fails to work within the first 28 days for HP and Samsung products, or first 14 days for Apple products, please call the Let s Connect Helpline on 08444 821 860 who will log the call and provide first line support. If the product is deemed to be faulty, you will be advised to contact the manufacturer directly to obtain an official returns reference number. This will then authorise Let s Connect to replace the equipment. If a fault develops outside of this time and within the warranty period, call the manufacturer s warranty line as detailed in your documentation. If the main package cannot be repaired remotely, the repair will be undertaken through a collect and return service. This service is free of charge throughout the warranty term, but is restricted to the hardware only. 31. What does the warranty include? The warranty provided by the manufacturer covers the hardware of your computer and during the limited warranty period, the manufacturer will at its discretion, repair or replace any defective component. Yes, and updates will be free for 36 months from the date of installation. 36. Why are the tablet packages provided with additional 36 months insurance? What is Wipedrive System Saver software? Wipedrive System Saver from WhiteCanyon is a software package which ensures the personal data on the hard disk or flash memory (solid state memory) of your computer can be securely cleaned at the end of the benefit. If data is not securely removed from the system, it can remain accessible after the computer has been disposed of which could lead to personal identity theft and/or fraudulent use of your data. Let s Connect supply Wipedrive software with the package because it has the highest level of security certifications for this type of data cleaning software on the market, and is the only disk wiping software approved by the US Government and Armed Forces. Smart TV packages 38. Can I change the specifications of the packages on offer? No, the specification for each package is fixed and you cannot change any of the specifications across the packages. 39. What s included in the package? Each Smart TV package includes 36 months warranty and delivery to your home. 40. What if I damage it? You must insure the TV against fire, theft or accidental damage so that it can be replaced if it no longer works. If the TV goes missing or is damaged, salary sacrifice and Benefit-in-kind taxation arrangements will continue for the 36 months. 41. What do I do if the TV is damaged or parts are missing when I receive it? You should notify the Let s Connect Helpline on 08444 821 860 within seven days of receipt of any damaged equipment or to advise them of any missing items. 42. What if the TV stops working? The Smart TV is covered by a 36 month warranty. The first 12 months warranty is administered by Samsung, who can be contacted on 0330 726 7864. The second and third year warranty is administered by Summit Insurance on behalf of Let s Connect, and can be contacted on 0844 376 8500. The warranty period applies from the date of delivery. The warranty service is free of charge throughout the hire period, but is restricted to the hardware only. 43. What does the extended warranty include? The extended warranty provided covers the hardware of your TV and during the limited warranty period. Defective components will be repaired or replaced at the discretion of the warranty provider. TV warranty year one 32-inch Smart TVs are covered in the first year with a carry-in warranty. 40-inch to 55-inch Smart TVs are covered in the first year with an in-home warranty. The warranty covers manufacturing defects only. Please note that this does not include consumables items such as batteries unless listed under general information on the Samsung website. The liability of Samsung Electronics (or its appointed maintenance agent) is limited to the cost of repair and/or replacement of the product under warranty. The warranty is invalidated if the defect is caused (howsoever) by misuse, neglect, and tampering or incorrect adjustment. It is invalidated if unauthorized persons carry out any alterations and/or repairs.
