Update Release Notes for Amicus Attorney Premium Edition 2011 Service Pack 1 August 2011 Use these instructions to update the release version of Premium Edition 2011 (Build 11.0.0.2). If you participated in the Beta program and wish to update Builds 11.5.0.1, 11.5.0.2, or 11.5.0.3, do not proceed with these instructions please contact Technical Support at 800-472-2289. If upgrading from any other version, see the appropriate Install Guide. This Service Pack 1 (SP1) provides the latest updates and changes to Amicus Attorney Premium Edition 2011, including the new features and resolved issues detailed below. CONTENTS: Update Instructions New Features Resolved Issues UPDATE INSTRUCTIONS UPDATING THE AMICUS SERVER 1. Ensure that there is sufficient free disk space (6 GB minimum) available on the Amicus Application Server. 2. We recommend that you back up your Amicus database. 3. Go to your Amicus Application Server and, in the Windows Start menu, choose Amicus > Amicus Attorney Premium Tools > Check For Updates. This connects you to the InstallShield Update Service website. (If there appears to be no available updates, your IE security settings might be blocking the Service. See the Important Notes And Tips section below.) 4. Download the updater file (AA11504.exe) from the website. Do not choose the option to install it from the Update Service. (If you cannot download it, contact Technical Support at 800-472-2289 for assistance.) 5. Double-click the file to extract its contents to a temporary location on the Amicus Application Server. 6. Ensure that you are logged on at the Server as a user with Windows Administrator rights. The Workstation on the Server will be updated automatically at the same time as the Server is updated. 7. Ensure that all users are ONLINE and have logged out of all Amicus applications, including Amicus Mobile and Amicus Small Firm Accounting. 8. Shut down all running programs. 9. Update Amicus Attorney Server by running the extracted Setup.exe file, selecting Install Amicus Attorney, and following the onscreen instructions. Wait for the update process to complete. 10. Login to Amicus. A prompt appears, asking you update the Database. Click OK. This will take several minutes. Wait for the update process to complete. 11. If Amicus Mobile Server was previously installed, update it by running the extracted Setup.exe file, selecting Install Amicus Mobile, and following the onscreen instructions. Wait for the update process to complete. 12. If the Offline feature is used at the firm, initialize it again from Firm Settings > Maintenance - Offline. 13. If SQL Reporting Services was previously configured, configure it again and publish the reports from Firm Settings > General - Reporting Services. IMPORTANT NOTES AND TIPS: Internet Explorer Security Settings If the InstallShield Update Service is blocked by your IE security settings, the Service might report that there are no updates available. To ensure a correct response, we recommend that you launch IE and go to Internet Options > Security > Trusted Sites. Click Sites and add http://updates.installshield.com. Close IE and Check For Updates again. Update Logs If the Updater encounters a problem that prevents it from completing, examine the relevant Update log for error messages. Go to the Windows Start menu and choose Amicus > Amicus Attorney Premium Tools > User Logs. The log file is named AmicusServerUpdateLog_date.log. Accounting Links If the PCLaw, QuickBooks, or Timeslips Links are used, remember that whenever the Amicus Server is restarted, someone might need to log in to Windows at the Server before Amicus may communicate with the accounting application. This is not necessary if your system has been configured to handle Server restarts (see the Link Guide for details). UPDATING WORKSTATIONS This procedure is NOT necessary at the Amicus Server. At a shared computer or in a terminal server environment, login does not need to be repeated for each user. 1. Ensure that you are logged on at the Workstation as a user with Windows Administrator or Power User rights. It is not necessary to be physically at the Workstation the updates can be performed via a remote connection. 2. Shut down all running programs. 3. Log in to Amicus Attorney. A prompt appears, asking you whether to apply the Workstation update now. Click OK. Wait for the update process to complete. 4. If you have Offline Components installed at the Workstation, you must initialize that feature again from Preferences > My Application - Offline, click Initialize. IMPORTANT NOTES AND TIPS: Server has moved If the Amicus Application Server has been moved to a different computer since the Workstation was last installed or upgraded, do not click OK to the prompt to apply the Update. Instead, click Cancel, type the following address in Windows Explorer: \\AmicusServerName\Install\Workstation (where AmicusServerName represents the computer name of your Server), and then double-click UPDATE.EXE. Problem message on Workstation Update If an Amicus Attorney has encountered a problem and needs to close message appears during a Workstation update, simply click Don t Send and then click Next to continue. Update Logs If the Updater encounters a problem that prevents it from completing, examine the relevant Update log for error messages. Go to the Windows Start menu and choose Amicus > Amicus Attorney Premium Tools > User Logs. The log file for a Workstation without Offline is named AmicusWSUpdateLog_date.log. The log file for the Workstation with Offline is named AmicusServerUpdateLog_date.log. Build Number After a successful upgrade, the About Box will display the Build Number as 11.5.0.4. Billing Category and Rate enhancements New business logic for Billing Categories and Rates provides better time tracking of matters that are nonbillable, or are based on a fixed fee or contingency fee arrangement. The new Fixed Fee Billing Category lets you set not only the fee amount on the File, but also the hourly rate for tracking time spent. Similarly, you can set the hourly rate for tracking time spent on Contingency and Non-Billable matters. This will allow you to more accurately assess the value of your time on these Files. In Time Entries, new smart labels eliminate confusion, enforce File settings, and yet still provide flexibility. Additional Billing Categories Billing Categories are a means of classifying how a File and its Time Entries are billed. Two new special Categories are now available: Fixed Fee Use this Category in Files for which a fixed Fee Amount will be charged to the client. This fee amount can be specified for the File (in the Admin > Accounting view of File Details). Contingency Use this Category in Files for which an amount based on the judgment/settlement will be charged to the client. Note that Contingency Billing Rate is no longer available for assignment in Files. In Fixed Fee and Contingency Files, as in Non-Billable Files, you can assign a Rate for tracking the amount of time spent. Time Entry improvements Time Entry Details also reflects the improvements to Billing Categories and Rates. The File Category is the Billing Category inherited from the underlying File assigned to the Time Entry, and cannot be changed in the Time Entry. The Rates available continue to be directly related to the Category. However, depending on the Rate selected from the list, the Rate Label now reflects whether this is a Time Tracking Rate or a Billing Amicus Attorney Premium Edition 2011 SP1 2011 Gavel & Gown Software Inc. 8

Rate. This gives you a clear indication whether your time for this entry is for tracking purposes only or billing purposes. For example, in a Time Entry with a Non-Billable Category you will see a Time Tracking Rate label. Contingency can no longer be assigned in Time Entries as a Billing Rate, but instead appears as a Billing Category. For Fixed Fee and Contingency Files, although you are not billing the File based on time spent, you can nevertheless create Time Entries in order to track the work done. When you are ready to bill the agreed fee, you post a Time Entry with the Billing Rate set to File Fee. The Fee Amount from the File will be specified. You might also bill supplemental fees at a Flat Rate with a Fee Amount specified. For Time Entries on a Billable File, you can assign the Non-Billable Billing Rate in order to track work done that is not being charged to the client. Selecting a Rate that is not based on time spent, such as File Fee or Flat Rate, causes the Timer control and Duration to be hidden. Upgrading from an earlier version of Amicus Billing Category and Rate enhancements are incorporated into your data automatically upon upgrading from an earlier version of Premium Edition (including an update from 2011 to 2011 SP1) or converting from Small Firm Edition. Firm Settings Fixed Fee and Contingency Billing Categories are added as new system values, each with the Billable attribute set. These values cannot be deleted. File Fee Billing Rate is added as a new system value that cannot be deleted. RESOLVED ISSUES Files 26027: In the Select People dialog that opens from the Primary Client icon in File Details or the New File dialog, the QuickFind button is disabled (and so you might not be able to find and select a Contact that you are not already assigned to). Files & Events 24506/24507: When closing or deleting a File, if you choose to remove the File from future Events, Amicus deletes all Events associated with that File, including those associated with multiple Files (rather than just removing the particular File assignment in that case). People 22736: Performing Change Assignment on a large number of Contacts might take a long time to complete, or time-out on a large number of records. 23483: The Find Duplicate Contacts function might lock Company Contact records or remove Individual Contacts from a Company Contact. Time 24357: In the Monthly view of Time Sheets, the Post and Unpost commands are available on the Actions menu regardless of whether the highlighted Time Entry is posted or unposted, respectively. 25062: In a Time Entry, if you use the All Activity Codes selector to assign an Activity Code that is included in your My Activity Codes dropdown list, the Activity Code name is automatically added twice to the Activity Description field. Communications 24755: Phone Messages forwarded by a recipient to another Firm Member are not received. Document Assembly 24581: When you attempt to generate a document from the Files Index or People Index for either zero or a very large number of Files or People selected, a warning message does not first appear. NOTE: Generating documents for large numbers of Files or Contacts is not recommended if the Document Template is not optimized for Template Specific Output, or otherwise exports many fields for each individual record. This can cause Amicus Server performance issues that will affect all users. 25113: Generated documents that include Custom Field variables might not show the data for some Custom Fields. Reports 24614: Some Times might be rounded up incorrectly in Advanced Reports: the My Time - Date Range Firm Member Report and the Time - Date Range - Selected Timekeepers Firm Report. 24689: If SQL Server Reporting Services is not installed to the default folder, it cannot be successfully configured for use with Amicus. 24691: If the Amicus Database Server is in a Windows Workgroup and the Administrator user account does not have a login password, Amicus Report configuration for SQL Server Reporting Services will fail. Miscellaneous 22574: If you opened another Firm Member s Office and then exited Amicus without first returning to your own Office, an invalid session error might prevent you from logging back in to Amicus. 24516: From the Office module, choosing Actions > Open Tutorial Office has no effect. 24679: A Team Member who is not an Amicus Administrator can edit their own Administration Profile. Outlook Link 25332/25479: If an Adjourned Appointment is edited in Outlook, the Amicus PE Service might become unresponsive and need to be restarted. 25816: If users have the Outlook Link enabled and remain logged into Amicus overnight, Amicus might terminate unexpectedly overnight, and users will be unable to log back in until Amicus PE Service is restarted. PCLaw Link 22577: The processing of multiple Time Entries posted together to PCLaw might be slow or unstable. Administration 25229: Conversion from Small Firm Edition: After conversion, Documents on Files are no longer assigned to specific Document Groups and appear only under the All Documents brad view.
