Version: 7.6.2.22 QUICK REFERENCE ADMIN/RADIOLOGIST PACS QUICK REFERENCE GUIDE Critical Findings The purpose of this document is to instruct Radiologists how to mark images with any critical finding or value that the facility finds necessary to report. The Critical Findings selection on the Reports tab in the Admin Console displays details regarding notification of referring physicians concerning Critical Findings and has a link to the exam report. Critical Findings Critical Findings allows for a quick and easy way for radiologists to mark images, series, and studies with any critical finding or value that might be necessary to report on. Critical findings can include up to ten diagnoses. After determining what conditions need to be tracked and reported on, the user is then provided with an easy method to contact the patients referring physicians to alert them of the importance of follow up with these patients. To access Critical Findings: With an image, series, or study open in the Image Viewer, select the Critical Findings feature from the Image menu. A submenu will appear giving two options: Add Critical Findings and Record Findings. Note: Critical Findings can also be easily accessed by clicking on the alert icon located at the top/center of any image in a study. Once selected, the alert icon will become highlighted and launch the Add Critical Findings sub-menu. CRITICAL FINDINGS 2

Adding Critical Findings To add critical findings, select Add Critical Findings from the Critical Findings sub-menu. The Add Critical Findings box opens. 1. In the Finding field, select one or more checkboxes from the findings listed. Or Select Add a New Critical Finding value, and complete the Lexicon Value field in the Add New Critical Finding screen. Note: The ability to add a Lexicon Value will depend on the permissions given by the system administrator and the rights given to an individual s role. Select OK. The new Critical Value is added to the Finding field. Select one or more of the checkboxes listed. 2. (Conditional) Select the Add image to Key Image Series. CRITICAL FINDINGS 3

3. Select Record Findings. Select Add in the Findings Record Editor. 4. The name of the referring physician will automatically be included in the Physician Notification field if your facility is also using NovaRIS, or the referring physician field was provided on the DICOM study they are marking with a critical finding. Select Add in the Findings Record Editor box. The Physician Notification Editor box opens. 4A If the Physician field is blank, you will need to locate the physician s name and information. In the Physician Notification Editor, select from among the physicians listed in the Physician drop-down menu. Or Select the Search icon. The Physician Search screen opens. Select Search, and the Physicians field will be populated with physicians included in the database. CRITICAL FINDINGS 4

4B Highlight the name of the physician in the Physicians field by clicking it with the mouse. Select OK. You ll find the physician s contact information included in the Physician Notification Editor. 5. Personally contact the referring physician or another compliant referrer, and select the appropriate checkbox to indicate the notification made. Note: You must select the Personal Contact checkbox if you have talked directly to the referring physician or another compliant referrer. Otherwise all other options will register and the notification will be recorded as Unable to Contact and will require further personal contact to be fully compliant. 6. (Conditional) Complete the Comment field. 7. Select Add. On the Findings Record Editor, the critical findings are listed and the notifications that were made to the physician are recorded. 8. Select Store. A Warning box will appear to alert you that the critical findings and the physician notifications will become a permanent record. 9. Select Yes. CRITICAL FINDINGS 5

Revising Physician Notification Information To revise physician notification information before selecting Store and permanently recording the information: 1. On the Findings Record Editor screen, select the name of the physician in the Physicians Notifications field by highlighting it with the mouse. Select Edit. 2. The Physicians Notification Editor screen opens. Make the appropriate changes. Select Add. 3. Select Store. A Warning box will appear to alert you that the critical findings and the physician notifications will become a permanent record. 4. Select Yes. Removing Physician Notification Information To delete the physician notification information before selecting Store and permanently recording the information: 1. On the Findings Record Editor screen, select the name of the physician in the Physicians Notifications field by highlighting it with the mouse. Select Remove. The name of the physician in the Physicians Notification field is deleted. 2. Select Store. A Warning box will appear to alert you that the critical findings and the physician notifications will become a permanent record. 3. Select Yes. Adding Physician Notification Information If a patient s critical findings have been recorded before physician notification has been made, the information may be added by using the Record Findings sub-menu. To add the physician notification information after critical findings have been recorded: 1. Select Record Findings from the sub-menu that opens after the Critical Findings option is selected on the Study Browser s Image menu. The Findings Record Editor box opens. 2. Follow Steps 4 through 9 in the previous section titled Adding Critical Findings. CRITICAL FINDINGS 6

Critical Findings and the Administration Console Adding Critical Findings on the Lexicon page Note: The ability to add Critical Findings in the Admin Console will depend on the permissions given by the system administrator and the rights given to an individual s role. Adding a global list of pre-canned or frequently used Critical Findings is available on the Critical Findings tab of the Lexicon page. Once a Critical Finding is added, it is included in the list that radiologists will have available to mark exams with. Note: Be sure to list all of the Critical Findings that your facility has determined necessary to track. CRITICAL FINDINGS 7

Critical Findings Reports The Reports tab allows the administrator to monitor the critical findings made by radiologists and to ensure that referring physicians are notified of the diagnoses. 1. To narrow the listing of Reports, use the Date Filter drop-down menu. The date ranges available are: Last 24 Hours, Last 7 Days, Last 30 Days, Last 12 Months, All, and Custom Range. 2. Select Search and the listing of Reports will be narrowed to match the date and time ranges requested. The Reports heading includes eight headings: Patient, Study, Modality, Findings, User, Stored, Attempted, and Confirmed. Each of these headings can be sorted by selecting the heading with your mouse. 3. To view the details of a patients Critical Findings report, select a patient s study by clicking it with your mouse, and then select View Details The Findings Notification Detail dialog opens: CRITICAL FINDINGS 8

To view the Exam Report associated with the Critical Finding, highlight the Critical Finding and click on View Exam Report Exporting Critical Findings Reports Critical Findings can also be exported as a report. To do this, click on Console and select Export Data Select the desired Report format - tab-separated file (*.txt) or xml file (*.xml) and location to save. CRITICAL FINDINGS 9
