Setting up Enterprise Reporting in PowerSchool 10.0 Document prepared by: Dean B. Zaharis Cape Elizabeth School Department dzaharis@capeelizabethschools.org The following was hashed out at the August workshop meeting of the Maine PowerSchool Users Group. Special thanks to Brynne Rosenberry and Waynn Welton. I am sure there are other ways to accomplish this, but we know this way works. The major tasks to complete are: 1 Define New Roles (or update previous Roles) 2 Add Roles to Users 3 Grant access to APEX to uses that have the Enterprise Reporting Administrator role. Define New Roles: In this section we will create an Enterprise Reporting User role and an Enterprise Reporting Administrator role. 1 Go to System in the main PowerSchool menu. 2 Select the Roles Administration link in the Security section. 3 Select the User Access link.
4 Create a role for Enterprise Reporting User. Click the New button. 5 On the Definition Tab fill-in the Name and Description fields. I used Enterprise Reporting User. Be sure to check Enabled and then click the Submit button.
6 Switch to the Enterprise Reporting tab and select the categories that can be used by users who will be assigned to this role. I have selected all categories. Click the Save button. 7 Create a role for Enterprise Reporting Administrator. Return to the User Access Roles page. Click the New button.
8 On the Definition Tab fill-in the Name and Description fields. I used Enterprise Reporting Administrator. Be sure to check Enabled and then click the Submit button. 9 Switch to the Enterprise Reporting tab and select Manage Enterprise Reports. Click the Save button.
10 Note: Although I created new roles of Enterprise Reporting User and Enterprise Reporting Administrator here, you could add the Enterprise Reporting parameters to another role that already exists. Add Roles to Users PowerSchool does not include this step in their directions. I think they assume you will add the Enterprise Reporting parameters to a role already assigned to the user. But that is not clear. 11 Click on the Staff on the main Start Page. 12 Locate the staff member you wish to give access. 13 Select the Security Settings link. 14 Select the Admin Access and Roles tab.
15 Scroll down to the Roles and Schools section. I will only show the directions for one school but you will need to repeat these steps for each school that the user has access to. Click on the Edit pencil button. 16 Select the Use All Roles radio button 17 Select the appropriate Enterprise Reporting role for that staff member. 18 Click on the Use Default Group radio button. Note that the Enterprise Reporting role that you added should still be there.
19 Click the OK button. 20 Click the Submit button. Grant access to APEX For uses that have the Enterprise Reporting Administrator role. 21 Switch to the staff Information page. 22 Be sure that the Email Address is filled in. If it is not, the user will not be able to reset their APEX password if it is forgotten.
23 Select the Security Settings link. 24 Click on the Applications tab on the user s Security Settings page. 25 Check Oracle Application Express Account (APEX) 26 Enter a temporary password. The user will be prompted to create their own password on the first logon. Confirm the temporary password. Note: Oracle password complexity requirements apply. The password must contain the following at a minimum 1 or more Numbers 1 or more Lowercase Letters 1 or more Uppercase Letters 1 or more of the following Special Characters +, -, _, #, % and no others 8 total characters or more
27 Click the Submit button. To run an Enterprise Report 28 Go to System Reports on the main PowerSchool menu. 29 Select the Enterprise Reporting tab. 30 You should see a screen that looks like this.
31 If you receive this message then you most likely missed a step above. It is very unlikely that you have no Enterprise Reports as they come with PowerSchool 10.0. Remember, you must do the setup for each school that the user has access to. To access the APEX Developer site. 32 First of all the following port must be open on your PowerSchool server: 8443 33 To access the site, go to the following url: https://[your powerschool server address]:8443/ords The ords must be lowercase. So that I don t need to remember the UEL, I added a link to the wildcard for the main menu (admin_nav_menu_left_css.txt). 34 You will be presented the APEX login screen. The workspace is always PS. Then enter the password from step 26 or the one you created during your first logon. 35 Click on the Application Builder icon.
36 You are now ready to create new reports
