Polycom Soundpoint IP 300 User Guide Introduction Polycom s range of SIP phones are proving to be one of the most popular independent offerings on the market thanks to their high quality design and wide choice of models. The Polycom IP range of handsets should be considered by those specifically looking to deploy SIP devices, or an IP dial tone solution where they don t need to offer the extended functionality provided by SpliceCom s PCS 100 and PCS 400 IP Phones. We have carried out our testing using the Polycom IP 300 phone, however, it appears that the other phones from this manufacturer run common software and should therefore operate in a similar manner. This User Guide has been designed to help you get the most out of your Polycom Soundpoint IP 300 when used with maximser based telephone systems. Making A Call Pick up the handset or press NewCall Dial a number e.g. 02081234567 Press Send To end the call replace the handset or press EndCall Receiving A Call When receiving an incoming call the display will reflect the caller s details, e.g;
o JOHN SMITH 02081234567 The first line in the caller display is the caller s name, the second line is the number that they are calling from commonly called the CLI (Calling Line Identity). The system administrator must enter the names into the maximiser system for them to show on the display. Placing A Call On Hold Whilst on an active call press the blue Hold button to place that call on hold. To retrieve the call, press the blue Hold button again. Note: Whilst the caller is on hold they will not hear music-on-hold. This is because SIP puts the call on hold at the end-point (phone) rather than on the maximiser system. Transferring A Call When you receive a call on the Polycom Soundpoint IP 300 and then answer it, you may transfer the call either internally or externally in one of two ways; an Assisted transfer or a Blind transfer. Assisted Transfer Once you have answered a call on the IP 300 press More. Then press Trnsfr. Enter the number of the extension or external number - you wish to transfer the call to. Press Send. Once the call has been answered and you have announced the caller you wish to transfer, press More. Press Trnsfr. The Transfer has now been completed. Blind Transfer Once you have answered a call on the IP 300 press More.
Press Trnsfr. Press Blind. Using the telephone keypad enter the number of the extension or external number - you wish to transfer the call to. Press Send. Note: This will send the call to the transferred party, however the display on the IP 300 on which the transfer is being actioned shows the call details until the user who the call is being transferred to has picked up the call. Call Park & Pickup In order to Park and Pickup calls you will have to create two Dial Plan entries as follows; Number Match: callpark Action: Park Translate to: 1 Number Match: pickup Action: Pickup Translate to: 1 This will then allow the IP 300 to park and pickup calls. Once you have an active call you can Park it using the following steps; Press More twice. Press Park. Enter 1 via the IP 300 keypad. Press Park. Press EndCall to clear the call details from the display. To Pickup the call: Pickup the handset, or press NewCall. Press More. Press Pickup.
Enter 1 via the IP 300 keypad. Press Retrieve. Press EndCall. The Parked call will be presented to your phone making it ring. Pickup the handset to answer. Note: At present only Park Slot 1 can be utilised. Call Pickup via Dial Plan Entry Picking up Departmental calls via a Dial Plan entry can be achieved via the IP 300 providing they have been configured. Enter the relevant dial plan code to pick a call up via the IP 301 keypad. You will hear an engaged tone. Press EndCall. The call to be picked up will be presented to your phone making it ring. Pickup the handset to answer. Conference Calls Once a call has been established the IP 300 allows a 3-way conference call to be setup using the following steps: Press More. Press Conf. Enter the number of the person you wish to add to the conference. Press Send. Once the 2 nd call is answered press More. Press Conf to create a 3-way conference. If you wish to split the calls in the conference once it is finished; Press the Split button. The 1 st call will be put on hold allowing you to talk to the 2 nd caller. To join the two calls back into a 3-way conference again;
Press More twice Press Join A Meet Me Conference, hosted by the maximiser Voice Processing application, can also be accessed via the IP 300 using standard Dial Plan entries. Using the default Dial Plan you can dial *44 to create a conference and *45 to join it. Call Waiting Call Waiting Dial Plan entries will work with the IP 300. If you are on a call and a 2 nd call is presented you will need to do the following to answer the call: Once you hear a beep or see the caller information on the first line of the display, press the Down Arrow on the IP 300. This will give you more caller information and will give you the option to Answer or Reject the call. Pressing Reject will divert the call to Voicemail, if enabled. If you press Answer you will answer the 2 nd call and automatically put the 1 st call on hold. Once you have finished with 2 nd call press EndCall and you will then be presented with an option to Resume the 1 st call. Do Not Disturb DND Dial Plan entries will work with the IP 300. Using this method allows the User/Extension to be shown in the DND state in the PCS 50 & PCS Operators Console User lists. If the IP 300 DND button is used any calls that are presented will be sent to voicemail (provided a valid licence has been used) and a message lamp will indicate that a message has been left. Note: If the IP 300 DND button is used the function is a local one only, so you will not see a blue DND icon next to the user if you are looking at the User list on the PCS 50 or PCS Operators Console. DTMF DTMF tones are generated as normal on the Polycom Soundpoint. IP 300, allowing it to be used to access voicemail, auto attendant and Interactive Voice Response (IVR) systems.
Voicemail When a message is left on an IP300 the message lamp will flash and an envelope will be shown on the display. If you do not listen to your message the IP 300 will beep every couple of minutes just to remind you. Voicemail Management Dial 1571 to enter your voicemail box (providing this has been configured). You can navigate your way through voicemail messages, if required, by pressing the keys of the IP 300 keypad. It is probably easier to remember them by referring to the chart blow: 1 Play help 4 Play previous message << 7 Save this message * Configuration options 2 Skip forward 2 seconds > 5 Forward this message 8 Skip back 2 seconds < 0 Return this call 3 Delete this message 6 Play next message >> 9 This caller s number # 5 - Forwarding options: 1. Copy to another voicemail user with a message from you. 2. Copy to another mailbox. 3. Copy to your email address. * - Configuration options: 1. Play help. 2. Record a daily greeting. 1 Options. 2 Record a new greeting. 3 Delete any new recording or restore default greeting. 7 Save new greeting (hanging up will do the same). 0 Abandon

Set forwarding. 1 - Options. 2 Cancel forwarding. 3 Forward personal/direct calls to home number. 4 Forward personal/direct calls to mobile number. 5 Forward personal/direct calls to spare1 number. 6 Forward personal/direct calls to spare2 number. 7 Forward personal/direct calls to your current number. 0 Abandon. 4. Add a voice tag/name to number (which will then be played before messages). 1 Options 2 Record new tag 3 Delete tag 7 Save tag. 0 Abandon. PCS 50 Phone Partner The Polycom Soundpoint IP 300 (or any other 3 rd party SIP or H.323 phone) cannot be used in conjunction with the PCS 50 Phone Partner application. TAPI The Polycom Soundpoint IP 300 (or any other 3 rd party SIP or H.323 phone) cannot be used in conjunction with maximiser s TAPI interface. Software Version: 1.0.1 Build 2
