3 Ad Hoc Reporting Introduction Ad hoc (Operational) Reporting is intended to provide increased visibility into the data being exchanged between trading partners. Use this tool to view the status of all documents sent and received through the SPS Commerce data center. You may access the tool through the SPS Commerce Portal using your web browser. There are three report tabs to utilize: Business Documents, EDI Documents, and File Integration Documents. Business Documents The Business Documents tab shows all documents that have been received and processed by SPS Commerce. The Business Documents display shows all data related to the final document in the SPS Commerce data center format. You may view related EDI or FI data from this screen. EDI Documents The EDI Data tab shows the raw EDI data for the selected document from your trading partners. File Integration Documents The FI Data tab shows the FI data sent or received by your company. Getting Started The Business Documents tab is the default tab when accessing the reporting tool from Portal. Click the desired report tab to view data related to that data type. Each tab offers different search criteria and consequently different data.

4 Sorting You may sort your report by column ascending or descending. For example, using the Business Documents column: 1. Move the mouse cursor to the Sendername column header. An up and down arrow will appear in the column header. 2. Move the mouse cursor to the up arrow and it will turn blue and a dialog box will appear that says Sort Ascending. Click the blue arrow to sort the column Ascending. 3. Move the mouse cursor to the down arrow and it will turn blue and a dialog box will appear that says Sort Descending. Click the blue arrow to sort the column Descending. 4. Once you have clicked the arrow the sort will execute and a gray arrow will indicate the type of sort utilized.

5 Business Documents Business documents are within the SPS Commerce data center. 1. Select the desired search parameters and click the Search Button. Search criteria include: SPS Serial # This is a SPS assigned number used within the SPS Commerce data center. Trading Partner This is the name of the trading partner to use in the search. Doctype This is the EDI document type (PO, INV, ASN, etc.) to use in the search. Use the dropdown menu to select the document type to use for the search. Document Identifier This is an appkey used in the data center. This corresponds to the appkey on all SPS reporting documents.

6 Data Filters: Date the date range is limited to a 30 days at a time. Manually enter the date range, or use the calendar button to view a calendar and click on the desired dates. Show Use the drop-down menu to filter the report by All Documents, Successful Documents Only, Errors Only, or In Process. NOTE: The date range is limited to 30 days at a time. An error will appear if the date range exceeds 30 days. 2. The search results will appear once the query is complete. 3. There are several available options to view data related to your search: a. You may sort the columns. b. Click the View Business Document Button to view a readable version of the selected document. c. Click the View Visual Dataflow Button to see the progress of the document through the data center. d. Click the View Related Documents Button to see documents related to the selected document.

7 e. If the document has any errors associated with it, you may click View Errors to view errors associated to the document. 8 EDI Documents EDI documents have been received in EDI from your trading partners or have been converted into EDI for you in the SPS Commerce data center. 1. Select the desired search parameters and click the Search Button. Search criteria include: SPS Serial # This is a SPS assigned number used within the SPS Commerce data center. Trading Partner This is the name of the trading partner to use in the search. EDI Doc Type This is the EDI document type ((PO(850), INV (810), POA (855), ASN (856) POC (860), etc.) to use in the search. Use the drop-down menu to select the document type to use for the search.

9 ENV CTL # This is the EDI envelope control number. GRP CTL # This is the EDI group control number. TRN CTL # This is the EDI transaction control number. Ack Status This is acknowledgement status. Use the drop-down menu to select the acknowledgement status for the report. Overall Status This is the overall status of the document. The search results will appear once the query is complete.

11 View EDI Documents The View EDI Document button opens a human-readable rendition of the selected document in EDI. To close this view and return to the EDI Document tab, click the close button corner of the window. in the upper-right hand

12 File Integration Documents File Integration (FI) Documents have been sent or received via FTP and integrate to your back-end system. 1. Select the desired search parameters and click the Search Button. Search criteria include: SPS Serial # This is a SPS assigned number used within the SPS Commerce data center. Trading Partner This is the name of the trading partner to use in the search. Doctype This is the EDI document type (PO(850), INV (810), POA (855), ASN (856) POC (860), etc.) to use in the search. Use the drop-down menu to select the document number. File Name This is the name of the file that integrates into your back-end system.

15 View Errors When a document errors an email is generated by the data center. This email, along with information related to the errored document is saved to view in the reporting tool.

16 View Visual Dataflow The Visual Dataflow window is a visual representation of the document as it processes through the SPS Commerce data center.

17 View Related Documents The Related Documents window shows documents that related to the selected document. For example, an invoice will typically be related to a purchase order as well as an advance ship notice. The example below shows the documents related to a specific advance ship notice. From this screen you may: Return to the search results by clicking the close View the document by clicking the View Document button in the upper-right hand corner of the window. Button.
