Getting started with MindView 5 1) Click on Start 2) Move up to All Programs 3) Click on MatchWare MindView 5 MindView will now open and you will be introduced with the MindView starter screen. Here you have the option to create a new document, create a new document from a template or open an existing document. Map Types MindView has 6 different interchangeable views, depending on the type of project you wish to tackle. 2

Exercise 1) Open MindView 5 and select New Document. 2) Choose Mind Map as the view, then click Open. 3) Double click the centred icon and rename it to Root. The centre idea is called the Root. It is called the Root because that is where all the branches are going to be attached. 4) To begin building your map, have root selected and click on the Branch button under Home on the Ribbon. If you continue to left click Branch you will create new Ideas in a clockwise manner. 5) Now, to create a Sub-Branch click on Sub-Branch next to the Branch icon. 3

6) If you now select the branch icon, it will duplicate that level. Instead of clicking on the icons, try using the shortcut keys: Enter Adds another branch Insert Adds another subbranch 7) Add some more branches and sub-branches to the Mind Map. You can also use conventional Microsoft Office controls such as: Left-click and drag to select multiple branches Ctrl+c to copy Ctrl+v to paste 8) Try dragging and dropping Sub Branches and Branches to different areas of the map. Sub-branches can be changed to main branches and main branches can be changed to sub-branches. Zooming MindView 5 allows you to zoom in and out of the Mind Map by using the zoom feature in the bottom right hand corner of the screen. Zoom out Zoom in Simplyfying the ribbon The ribbon at the top of the screen can be simplified; simplifying the toolbar will remove some tools and leave you with the most commonly used tools. To simplify the ribbon simply click on the View tab and then click on Simple Interface. 4

You should be left with this: Note: The exercises used in this guide all use the regular interface Templates MindView 5 comes with a range of free templates, giving you a good starting point for creating a Mind Map. To open a template: 1) Go to File 2) New 3) Then click on New From Template Now you will see the template dialog. This allows you to select one of the various templates pre-loaded into MindView separated into folders. Exercise 1) Open up the Agenda template under Business Company Management. 2) Now click on the View tab on the ribbon and then click on the Map View dropdown. Select Mind Map. 5

3) Now in the Home tab on the Ribbon, click on Numbering Scheme and select the second option. The Branch hierarchy shows the order of branches going clockwise around the map (this is very important if you choose to export this to MSOffice). 4) Let s now add supporting documentation to one of the branches. To do so click on the branch (or sub-branch) you want to add the documentation to. 5) Add a Text Note by selecting Text Note from the Insert tab on the Ribbon. Click New. 6) Now add the supporting text for the specified branch. Notice how the Edit ribbon looks familiar to MS Word. Once you click off the Text Editor, notice that a paperclip icon has been attached to the selected branch 6

MindView also allows you to attach files to branches. 1) Simply left click the branch and click on Attachment. 2) Now browse the file you would like to attach in the browser window. 3) Click Open and the file will now be attached to the branch. Customizing the Mind Map Adding Pictures Pictures are a great way to help reinforce topics and help remember different parts of your map. Pictures are stored in the Multimedia Catalogue, which is a tab found on the right hand side of the screen. 1) Click on the Multimedia Catalogue tab. 2) In the search box, search for the word meeting. 3) Now drag and drop the picture you like on to the branch you want associated with it. 7

Adding colour to Branches You may want to change the look and feel of your Mind Map by changing the colour and style of the branches. The majority of the detail can be changed under the Design tab; the design tab will affect the map as a whole. You can select different layouts for your map You could choose different styles for the map You can also change the colour and style of the branches Try making some changes to your map. This is the same MindMap. The layout has been changed and also the branch colour and shape. If you would like to change a specific branch rather than a group of branches simply highlight the branch you want to change and click on the Format tab on the ribbon. From here you can edit the individual branch. 8

Exporting to MS Word Once you are happy with your MindMap you can export it to Microsoft Word. 1) Click on File. 2) Move down to Export. 3) Choose Microsoft Word 4) Now click on Quick Word Export. 5) Choose where you would like to save the file and name it. 6) Click Save. MindView has converted the MindMap into a linear Microsoft Word document Mind Mapping is a great way to help you organize your thoughts and produce a wellstructured essay/document. 9

Adding Dates and Times In Mindview 5, date and time management is done through the Task/Timeline tab on the right hand side of the screen. Task/Timeline Exercise 1) First, click on the Task/Timeline tab. 2) Now change the Document Type to Timeline. 3) Keep the Document Timescale as Standard. 4) Select the branch Opening Remarks. 5) Now in the Taks/Timeline click on the browse button under Start Time. This brings up the calendar picker. 6) Pick the appropriate date and start time, once done click ok. 7) Do the same for the end time. 8) To show the times on the actual MindMap, right click the branch, move down to Show Branch Data Start/End Time. 10

Showing the Start/End time can be beneficial when reviewing the information Viewing in Different Formats Looking at the same information in different views can be extremely useful. Try clicking on Outline under the View tab on the ribbon to look at a traditional outline view. When exporting to Microsoft Word you can also choose to export the Date and Times Project Management MindView allows you to start off with an idea and turn it into a full project simply by utilizing the tools in MindView to manage the project. The Project Management feature would come in handy when working on a large project, e.g. your Final Year project. It will allow you to plan how you will complete the project, what tasks and stages are going to be involved and help you create a Gantt chart. 11

Exercise 1) Open the template Website-Generic from the Product Development folder. This is the typical brainstorming process 2) To convert this into a Work Breakdown Structure, choose the View tab on the ribbon, go to the view section and under MapView choose Top Down. Converting from a MindMap into a Top Down hierarchical structure allows you to visualize the Work Breakdown Structure. 3) The scheduling process takes place in the Task/Timeline tab on the right hand side of the screen. Click this tab. 4) Now let s isolate an individual branch or stage. Right click the branch Purchase and click Apply Branch Focus. Branch Focus minimizes what s displayed on the screen. This focuses your attention on the desired topic. 5) In the Task/Timeline, make sure Project Management is the Document Type. 12

The branch Purchase is a summary stage (deliverable).think of it as a container; this container holds sub topics/tasks. No scheduling is applied to the Branch Purchase but it is the sun topics/tasks inside the container which get scheduled. 6) Left click the topic Telephone Orders. 7) In the Task/Timeline select the duration to indicate how long it will take to complete this part of the project. Make sure the Start Date for this topic is correct at this stage as well. Select the priority level, 0 being a low priority and 1000 being a high priority. 8) Let s add some Project Information. Click on Project Information, from here select the start date of the project. The start date would help to plan towards a deadline. If you know the end date of the project you could work backwards from there. 9) The Project Calendar which is located just below Project Information allows you to indicate how much time should be spent on the project per day, week and month. 13

10) Click on Clear Branch Focus on the ribbon to go back to the original Top Down View. 11) Complete the scheduling process for your project by filling in all the details for each topic on the MindMap. 12) Now, switch to the Gantt chart view by clicking on the View tab on the ribbon and select Gantt. From here you can edit individual properties of the Gantt chart Now you have created a workflow you can work towards the deadline. Follow the Gantt chart you created to complete your project. Remember to update the information on the chart such as % completed and priority levels. 14
