This document will guide the user through adding and removing user User IDs. The following topics will be discussed: Setting up a new User ID Adding companies to a new User ID Deleting a User ID Changing A User ID s Password User ID s in Visual Streamline are separate from the User ID s on the server. For assistance on setting up, changing user passwords, and removing a user from the network, please see your Technical Support. This document refers to Streamline User ID s only. Request that your Administrator or Implementation Specialist set up a User Profile which you will use to access the system. This profile should have enough authority to create and modify user profiles. Setting up a new USER ID 1. Open Visual Streamline Access the Streamline software by double-clicking the STREAMLINE ICON on your desktop. 2. Log into Streamline This will open the logon screen Use the user profile and password given to you by your Administrator or Implementation Specialist. This will open the Streamline Main Menu Screen. 3. Once the Main Streamline menu has been opened, use the CLOSE APPLICATION icon. In addition to clicking on the Icon, the application can also be closed by selecting File >Close Application. This will close the Streamline Application while keeping the Magic Toolbar open and allowing access to the User ID and User Group Icons located in the security file. 4. Click on the User ID icon as demonstrated below. This takes you into the Security File. Click here to access USER ID s. 5. To Create a new user select F4 to insert a line into the USER ID field. Enter the user s name and password and tab to the Groups and zoom (F5) to select from a list of User groups. See documentation on How to Maintain User Rights for more info in this area. 6. To modify groups assigned to a user, use the zoom (F5) key to open the User Groups list and add or delete groups for each user. 7. The rights field should be discussed with your Administrator or Implementer for special rights assignments. 8. Once the User rights and/or groups have been assigned to the new user, click on the Password field, and hit F5. The system will prompt you to enter a password for this new USER. Once you have typed in the password, Press enter, and you will be prompted to enter the password a second time for verification purposes. 9. The next step, once all the relevant information has been entered, is to click OK, this will automatically save the entry. Page 3 of 9
10. Return to the Streamline User Menu To return to the Visual Streamline Menu select >File >Open Application and select the Visual Streamline from the application List. 11. The next step is for you (the administrator) to log in as the user once. Logging in as the user, will enroll them into the Company Setup > User Maintenance. It is within the User Maintenance program where you can setup additional information pertaining to the new user ID. Once you have logged in as the new user once, press the main menu icon to activate all new rights that were added to the USER ID. At this point in time, you can exit the user s profile. 12. Log back into Streamline as yourself (administrator USER ID or equivalent) Access the following menu options: Company Setup > User Maintenance. Page 4 of 9
Adding the Company: Within the User Maintenance screen you need to determine the company that the new user will have access to. Find the new user in the list of users, and then click on the USER ID and then select USER COMPS button located on the right hand side. Click on Modify, then park in the Company field, and press F5 to get a list of all companies, and select the one(s) that you want the new user to have access to. Once you are done, click on Exit, and it will change the changes Page 5 of 9
Modify Additional Details: click on the Modify Button to access the User Details screen above. This screen allows you to setup the user as a sales rep, setup the default warehouse, as well as optional filters for the user. Once you have finished, click on SAVE. The user ID is now ready to be used. However, please note, this document covers the creation of a USER ID only. The user will still require a network ID that needs to be setup by your Technical support. Furthermore, the User will need to have a Streamline Icon setup on their desktop to be able to access Streamline software. Please refer to the FAQ: How do I set up either a New User with a Streamline icon on their desktop or an existing user with a secondary icon for instructions. Page 6 of 9
Deleting a User ID If a user ID needs to be deleted, you can do so through the security file. This is the same place where you setup the User ID. Park in the User ID field, once you have located the user that needs to be deleted, and use the F3 key to delete the record. This will not remove the user from the User maintenance program, so the next step is to go to: Company Setup > User Maintenance, find the user, and click on Modify. Located at the top of the screen is a flag Delete User click on this flag to flag the user as Deleted. Once User ID has been flagged as a Deleted User, they will not show up in the list of Active Users in the User Maintenance screen any longer. There is a toggle on the main User Maintenance screen that allows you to switch between Active, and Deleted users, in the event that you need to see Deleted users ID s. Page 7 of 9
Change a User s Password If a user ID needs needs a password changed, you can do so through the security file. You will not see the password in the security file, only asterisk are shown, but you as administrator will have access to modify the password. The security file is the same place where you setup the User ID initially. Park in the Password field, and press F5, the system will prompt you to enter a Password, and then press ENTER. You will be prompted to enter the password a second time for validation purposes. Page 8 of 9
Basic Navigation Tools Use the following list of keys as a tool for BASIC NAVIGATION throughout the system. F2 F3 F4 F5 ESC TAB SHIFT + TAB Down Arrow Up Arrow Cancel or Undo Delete a Line Create a Line Zoom (User can also click on Zoom whenever it appears at the bottom of the screen.) This feature allows the operator to move to a Master File table to locate records or view details of documents. This is a drill down capability that is available throughout the software and serves as a powerful tool in accessing information at many different levels. Exit Next Field Previous Field Prompts a new line for detail entry in Quote or Order Entry. Can also be used to move from one record to another in Master Files Move from one record to another in Master Files Page Up/Down Use to move up or down a page in Master Files Page 9 of 9
