ImageNow DataCapture overview ImageNow DataCapture is part of a custom solution that automates data entry from post-secondary transcripts. It uses OCR, ICR, and OMR technologies to identify a transcript and extract data such as the transferring institution, student social security number, name, birth date, major, and GPA. After DataCapture processes a transcript, it stores the transcript in ImageNow where it becomes a document and is easily shared and viewed throughout your institution. The data extracted from a transcript is stored in ImageNow and is available to share with your student information system. All DataCapture transcript processing solutions include at least one DataCapture Processing Server and one DataCapture Verification Station. Your solution might also include tools from the Forms Designer Station. DataCapture Processing Server. Performs recognition and extracts data from captured transcripts. It identifies a transcript by matching it to a pre-defined template specified in the capture profile. DataCapture Verification Station. Assists your users through the character repair and validation of extracted transcript data with three verification modes: group digit verification, context verification of text field contents, and validation rule checking. Not all processes require the use of Verification Station or all three of its modes. DataCapture Forms Designer Station. Enables you to create and modify custom forms and templates. DataCapture uses templates to extract data from transcripts. Your Perceptive Software implementation team offers ready-to-use templates for most college and university transcripts. However, you can modify the provided templates or create new templates using the following, optional DataCapture Forms Designer Station tools: Form Designer. Allows an administrator to design custom input forms, such as questionnaires, that your institution can use instead of standard or commercial forms. DataCapture can process pages generated by Form Designer easily because it already knows the field locations and types from the file. Template Designer. Provides the primary tool for an administrator to prepare templates that DataCapture Processing Server uses to extract data from transcripts. Using Template Designer, an administrator establishes reference points on a transcript and the configuration of other information required by DataCapture Processing Server to pinpoint the locations of data that your institution wants to capture. Layout Designer. Provides features, such as flexible positioning of data fields, that are not available in Template Designer. Only more complex templates require the use of Layout Designer. When scanning transcripts, we recommend using a scanner set to automatically correct alignment, brightness, contrast, and clarity, such as a Kofax device with Kofax VRS software. We also recommend that you configure the solution to scan transcripts at 300 dpi. This document explains the installation and configuration steps that you, along with your Perceptive Software implementation team, take to implement the DataCapture transcript processing solution. After you complete the installation and configuration steps in this document, refer to the DataCapture Transcript Processing Getting Started Guide for steps to process transcripts. The getting started guide, and any other Product Documentation referenced in this document, is available on the Product Documentation tab of the Customer Portal at www.perceptivesoftware.com. Configure the DataCapture service This section details the steps required to configure the DataCapture service, which you do in the inserverdc.ini file. If you installed the DataCapture Processing Server on a different computer than ImageNow Server, you must also configure a setting in the inow.ini file. About defining key mapping groups The inserverdc.ini file contains groups of settings called key mappings. DataCapture uses the settings in a key mapping group to process a transcript based on the template it matches. The general [Key Mapping] group applies to transcripts processed with the Generic template. DataCapture uses the Generic template to process a transcript when it does not match a custom template. Each custom template requires a separate [Key Mapping^TemplateName] group. For a key mapping group to correspond with a custom template, the template name you list in the [Key Mapping^Template_Name] group heading must match the name of the template batch folder stored in the [drive:]\inserver6\datacapture\templates\transcript Files directory. Configure the inserverdc.ini file To configure the inserverdc.ini file, in the [drive:]\inserver6\etc folder, perform the following procedures, in order: Map keys for the Generic template Map keys for custom templates Specify the workflow queues Configure the DataCapture Processing Server to run remotely (optional) Start the DataCapture service DataCapture Transcript Processing Installation and Setup Guide Page 10 of 29

Map keys for the Generic template DataCapture uses the Generic template to process a transcript that does not match any specific custom template. To define key mapping settings for the Generic template, complete the following steps. 1. In inserverdc.ini, under [Key Mapping], assign the following parameters to automatically assign document property values. Configure the following settings: Drawer =Default Field1 =DC Failed Field2 =<<uniqueid>> Field3 =<<date/time>> doc.type=default 2. Optional. For worksheet.name, type Transcript Form. Note You load the Transcript Form into ImageNow Server in the Load the Transcript Form section. Map keys for custom templates To define key mapping settings for a custom template, use the following steps to create a copy of the [Key Mapping^Template Name] group in the inserverdc.ini. Repeat this procedure for each custom template. 1. Copy the [Key Mapping^TemplateName] group from the end of the inserverdc.ini file and paste the copied text below the [Key Mapping] group. 2. Replace Template Name with the name of the custom template. 3. To specify how DataCapture assigns the Drawer value to a transcript, perform one of the following actions: Enter the name of an ImageNow drawer. Example Drawer=Admissions Enter <<index provided>> to assign a drawer value with in a capture profile. Example Drawer=<<index provided>> 4. To specify how ImageNow assigns the Field1, Field2, Field3, Field4, or Field5 value to a transcript, enter one of the following options: Assign a literal string of text up to 39 characters. Assign a value defined in the DataCapture template. When you enclose a value in curly brackets {}, DataCapture searches the template for a corresponding field and then populates the document property with data found in the recognition results. For example: {SchoolName}, {StudentName}, {LastName}, {FirstName}, {SSN}, {DateOfBirth}, {DegreeEarned}, {GraduationDate}, or {Major}. <<index provided>> to assign the value defined in a capture profile. <<uniqueid>> to assign the unique ID that ImageNow generates for each document. <<date/time>> to assign the date and time that ImageNow stores the document. <<BatchID>> to assign the batch ID that ImageNow Server generates. DataCapture Transcript Processing Installation and Setup Guide Page 11 of 29

<<BatchSequence>> to assign the batch sequence that ImageNow Server generates. <<undefined>> to not assign a value to the field. 5. To specify the document type value assigned to a transcript, for doc.type, perform one of the following actions: Enter the name of an ImageNow document type. Example doc.type=transcript Enter <<index provided>> to assign a document type with a capture profile. Example doc.type =<<index provided>> 6. For export.file.format, do not change the default value of XML. 7. To specify a workflow queue to route transcripts successfully processed with the custom template, for template.to.queue, enter the name of a queue. Otherwise, ImageNow routes successfully processed transcripts to the queue specified for the complete.to.queue setting in the [Queue] group, or in the capture profile. 8. For worksheet.name, type Transcript Form. The name you enter must match an ImageNow form name shown in the Management Console. Also, the ImageNow form data definition must contain nodes and elements that match the XML instance saved in the DataCapture Results. 1. To specify how to separate transcript pages based on header values, for multipage.separator, specify a value or a string of values found in the template batch. Most transcript processes do not use the multipage.separator setting. 2. Set pages.to.read to all. 3. To have DataCapture bypass Verification Station, set bypass.verification to TRUE. When you bypass Verification Station, your users perform verification in Transcript Form. Specify the workflow queues To specify the workflow queues where you want to route transcripts after DataCapture processes them, complete the following steps. 1. Configure capture profiles The following sections explain the purpose of capture profiles in the DataCapture transcript processing solution and how to define them. About capture profiles for transcript processing You must define a capture profile for each template batch that has a key mapping group ([Key Mapping^Template Name]) in the inserverdc.ini file. In the capture profile, you define the method ImageNow uses to capture a transcript and the template DataCapture uses to process the transcript. Also, if you specified <<index provided>> for the Field1 Field5 properties in the inserverdc.ini file, you must define values for the properties in the capture profile. Create a Batch mode capture profile from Scanner source To create a capture profile for transcripts your users will scan, complete the following steps. Note To simplify this procedure, ensure that any required scanning profiles already exist. 1. On the ImageNow toolbar, click the down arrow next to Capture and click Manage Capture Profiles. 2. In the Capture Profiles dialog box, click Create. 3. In the New Capture Profile dialog box, on the General tab, complete the following substeps. 1. In the Name box, type the name of your profile. Make it short and unique. 2. Optional. In the Description box, type a description of your profile. 3. In the Source list, select Scanner. 4. In the Mode list, select Batch. 5. Optional. If you did not already define submit.to.content.server=true in the inserverdc.ini file, in the [General] section, and you want to submit transcripts captured with this profile to Content Server to provide full-text search, select the Submit documents to Content Server check box. Content Server requires a separate license. DataCapture Transcript Processing Installation and Setup Guide Page 17 of 29

6. Optional. To specify a queue to route processed transcripts, under Workflow, in the Send To list, select a destination queue. Otherwise, specify a destination queue in the inserverdc.ini file. 4. On the Scanner tab, in the Scanning profiles list, select a scanning profile. 5. On the Batch tab, complete the following substeps. 1. Under Options, select any of the following check boxes. Bypass QA Processing Step. Bypasses the quality assurance step in the batch grid. Create new batch when feeder is empty. Scans pages until the document feeder is empty. This option is useful when a user loads a group of related documents that, when captured, complete the batch. Prompt user for notes at Batch creation. Prompts a user to enter notes about a batch when ImageNow creates it. Validate page count. Lets you specify Prep User, Prep Date, and Page count values in the Supply Group Information dialog box. Note This option requires that you create a group called Prep Users and add at least one user to the group before using the capture profile. Otherwise, a user cannot complete the Supply Group Information. Show Batch Report. Displays a report that shows the Batch Sequence number and the number of captured pages. 2. To create a new batch when a barcode or patchcode is detected, under Separator Sheets, complete the following substeps. 1. From the Type list, select Barcode, Patchcode, or Barcode and Patchcode as the type of code that will appear on the separator sheets. 2. If you selected Barcode or Barcode and Patchcode in the previous step, in the Trigger box, type a barcode filter that a barcode must match before a new batch is started. 3. Troubleshoot DataCapture The following sections provide tips on troubleshooting DataCapture. Logging ImageNow Server has debug logging available specifically for troubleshooting data processing problems. Specific log files for DataCapture reside in the [drive]:\inserver6\log folder. The names of the files include the dates they were generated so you know which logs files to look in. An example log file name is inserverdc_20120307.log. The [Logging] group in the inserverdc.ini file contains the settings you can adjust to control logging verbosity debug levels and turn logging on or off. Resolving a Suspended state If the Batch grid in ImageNow Client displays a Suspended state for a transcript batch, consider the following options to resolve the issue. If you are scanning over 200 pages in a single batch, in the [drive]:\inserver6\etc folder, open the inserverjob.ini file and increase the [Timers] settings. For example, if you are scanning 500 pages on a 1 GB RAM computer with 3.40 GHz, it takes about one hour to complete. Another factor is the size of the template file that collects data from each scanned document. Restart the DataCapture Agent service. Open Windows Task Manager and verify that the formreader.exe is not running. If it is running, end the process and then restart the ImageNow Server DC service. When you return to the batch grid, delete the suspended transcript batch and then resume DataCapture at the point of capture. Verify that you have the necessary workflow queues for DataCapture and that each queue name is identical to the names stored in the inserverdc.ini file stored in the [drive]:\inserver6\etc directory. Restart the DataCapture Agent service. Verify that you have the correct template associated with the capture profile and that the template it is stored in a folder one level subordinate to the [drive]:\inserver6\datacapture\templates folder.
