Conversion checklist from BusinessWorks Version 12 to Sage BusinessWorks 2017 This checklist includes instructions for how to convert from BusinessWorks Version 12 to a new installation of Sage BusinessWorks 2017 in a network environment. For additional details on each of these steps, please refer to the Sage BusinessWorks 2013 installation guide included with the Sage BusinessWorks 2017 installation. Important: After the installation is complete, upgrades from BusinessWorks Version 12 will require a Database Conversion which can take several hours for each company depending on the amount of company data. Schedule the installation and conversion when there is time for users to be out of the system for the entire process. Note: The database conversion may take over night. Windows 10: If installing on Windows 10 a reboot will be required after installation. If the reboot is not performed you will receive the error "Unable to connect with the system manager database (specified driver could not be loaded due to system error 1114 A dynamic link library (dll) initialization routine failed Pervasive ODBC client interface, C:\program files(x86)\pervasive\bin\w3odbcci.dll)" Prior to Installation 1. Back up each company in v12 and in all companies; rebuild all modules used in BusinessWorks 12. The rebuild option is located in each module by selecting Utilities, Rebuild. 2. IMPORTANT - Please make a backup of the System database prior to beginning the upgrade process. Failure to do so may result in a loss of custom forms, users and registration information. 3. Stop all Services that may be running relating to your anti-virus software or firewall that could conflict with the Sage BusinessWorks Installation. Other programs that may cause an issue include: IIS Admin Service, Microsoft Exchange System Attendant, Microsoft Exchange Information Store, Microsoft Exchange Message Transfer Agent, Microsoft Exchange Directory, Microsoft Exchange MTA-Stacks, Microsoft Exchange Management Btrieve v7.0 for Windows NT (Server Edition) Scalable SQL v4.0 for NT (Server Edition), MSSQL, Windows Defender, Windows Firewall and services related to anti-virus software. If you are using a terminal server, please view the Download Center for the Terminal Server installation checklist. At the server or standalone computer (Log on as network administrator.) 1. Create and share a SAGE folder with full Share and NTFS rights for the everyone group. This is the directory where you will install Sage BusinessWorks. Note: Errors can occur if the share name contains spaces in the UNC path, please do not add any spaces into the folder names that Sage BusinessWorks will be installed to. 2. Note the product code you received in the email from Client Care when you purchased the product. If moving to a new location from an existing Sage BusinessWorks installation, you can obtain your product code from your previous installation CD or by accessing Utilities, Registration Information and clicking on the Network Registration option. Please note what is listed to the left of the OK button. If the box indicates WorkGroup your product code is WG. If the box indicates NT Server, your product code is CS. IMPORTANT Note: Use of the incorrect product code may cause the program to not function correctly. Please contact Customer Support if you have any concerns about your product code. 3. Double click the SageBusinessWorks.exe file downloaded using instructions from the Prior to Installation section above and select Install Sage BusinessWorks 2017. 4. We recommend you accept the default paths displayed. Do not install to the BW directory used in Version 12. 11. In the Select Client Data Path screen, select the Universal Naming Convention (UNC) path that the client workstations will use to access the data files and click Next. If a message appears stating, "No writeable share exists," make sure the SAGE folder on the server is shared with full Share and NTFS rights for all Sage BusinessWorks users. 12. When the installation is complete, click Finish. There is no further installation that needs to be done at the server. 13. Launch Sage BusinessWorks. Note the default login for a new installation is MANAGER with no password. 2 Page

14. While in Sage BusinessWorks verify that you have the current Service Pack for version 2017 installed by accessing the Sage Support website. Note: The installation of the service pack can be performed at any one workstation. At the client (Login on as a user that has administrative rights) Run client setup one time at each workstation. If you are installing the client after moving to a new location uninstall the pervious client prior to following the steps below. Note: Run only one client installation at a time and verify nobody is in Sage BusinessWorks while the installation is running. NOTE: Do not use the Sage BusinessWorks CD to install the client. 1. From Windows Explorer, browse to the \\{SERVERNAME}\Sage\BWProg\Client Setup folder on the server. 2. Run Autorun.exe. 3. Follow the wizard to install the Sage BusinessWorks client. 4. If prompted for an administrator user login and password, enter the Windows network administrator user ID and password (this can be obtained from your Network Administrator.) 5. Confirm that you can launch and access Sage BusinessWorks. Note: Users may receive a registration prompt when launching Sage BusinessWorks for the first time. This registration prompt is for the Sage Portal. If you have not created a login, please register for the Sage Portal and change the option to Never to remind you about registering. NOTE: If there are multiple users using Sage BusinessWorks on the same workstation the Profile Setup needs to be performed for each additional Windows user that accesses Sage BusinessWorks at this workstation. To run the profile setup browse to \\{SERVERNAME}\Sage\BWProg folder on the server and select bwprofile.exe. The Profile Setup is Windows user specific, therefore each user will have to verify that their default custom form and printer settings are correct before printing. Once the installation is complete you need to convert the BusinessWorks 12 data files to Sage BusinessWorks 2017.To update from version 12 to Sage BusinessWorks, version 12 data files must be converted. Sage BusinessWorks has a data conversion process. Because of Sage BusinessWorks enhancements, certain types of data cannot be converted: Export outlines: Data structure differences make it impossible to convert export formats. Custom worksheets, custom reports, or Crystal reports: Sage BusinessWorks uses a different database and ODBC driver. Print all reports and worksheets to use as a reference in configuring worksheets and reports in Sage BusinessWorks. User passwords and security settings: If a user ID was designated as Manager in version 12, it will be converted with rights to all options. If the user ID was not designated as Manager in version 12, it will be converted with no access rights. To redefine passwords and security settings in Sage BusinessWorks, select Utilities / Users select the user and add the password. Then, select Security Settings to define user s access. To convert version 12 data files to Sage BusinessWorks: 1. Rebuild data files in every module of each company in version 12. a. Sign into each company in version 12. Back up data files and then rebuild all modules by selecting Utilities, Rebuild [Module] Data Files. Rebuild Accounts Receivable and Inventory Control before Order Entry. b. If the rebuild log shows errors, print the log and research each error. Verify the referenced items on the rebuild log to ensure the transaction still shows correctly in that module. 2. Have all users (including yourself) exit version 12 and Sage BusinessWorks. 3 Page

3. If version 12 programs and data are not accessible from the computer where Sage BusinessWorks is installed, copy the version 12 program directory and its sub folders to the Sage BusinessWorks computer. Example: If version 12 programs and data reside in a \BW\ folder, copy the \BW\ folder and it contents to the C: drive of the computer where the new version of Sage BusinessWorks is installed. If running on Windows 7 or higher BusinessWorks Version 12 will not install. It will be necessary to copy the \BW\ folder from the computer with BusinessWorks Version 12 to a \BW\ folder on the computer where Sage BusinessWorks 2017 is installed. 4. If Sage BusinessWorks is installed on a network, verify that the shared drive or folder where Sage BusinessWorks programs and data reside has been shared with permissions of 'Full Control'. For details, see How to configure user rights required to run Sage BusinessWorks in the Knowledgebase. 5. If Sage BusinessWorks is installed on a network, for faster processing it is recommended the conversion be run directly at the server and not at a workstation across the network. A second option is to convert the data on a stand-alone computer where you have installed a single user installation of Sage BusinessWorks. Convert the data and then backup and restore the data into Sage BusinessWorks at the server. 6. The conversion of each company database may take several hours, depending on the size of the version 12 company database. Disable antivirus software and scheduled backups so they do not interrupt the conversion. 7. To start the conversion, select from Windows Start, Programs, Sage BusinessWorks, Database Converter for Version 12. a. Define the program path and data path for the version 12 directories usually this is the location to the BW folder and select Next. (If unknown, exit the Database Converter, sign into version 12 and from the Main Menu, select Help, About. The last two lines list the program path and data path. b. Select each company to convert and click Next. c. Define how the chart of account numbers should be expanded and select Next. d. Click Start to begin the conversion. 8. After the company database conversion completes, customized forms from version 12 can be converted by selecting Yes to the message, "Would you like to convert any of your Custom Forms now?" Select Next to continue. To convert forms at a later date, search for the FormsConvert.exe file located in the Sage BusinessWorks\Convert directory to execute it. 9. When the conversion has completed, view the convert log. If errors are listed, see How to resolve data conversion exceptions in Sage BusinessWorks in the Knowledgebase. 10. Note: If a converted company uses the Inventory Control module, back up and rebuild the inventory data before working forward. To rebuild, select IC, Utilities, Rebuild IC Data Files Your installation and conversion is now complete. Post-Conversion 1. Register your software by entering your registration information in Utilities, Registration Information. 2. Your default login will be MANAGER with no password 3. Visit the Sage Support website to download and install the most recent Service Pack. Visit https://support.na.sage.com. Your installation is now complete. If you encounter any other errors during the installation process, please note the error and the point at which it occurred. For answers to many of your questions, please check the Knowledgebase: 1. Visit the Sage Support website login page at https://support.na.sage.com 2. Once at this site select Sage BusinessWorks as your product (there is no need to select the specific version number when searching the Knowledgebase) by clicking Select Product and enter the KB article number or search for the desired information. 4 Page
