Microsite Overview The Basics: How to build and manage your ISA Section microsite

We are excited to work with you to build your microsites within the all-new www.isa.org. The website has state-of-the-art features and we hope you ll find the content management system to be user-friendly, intuitive, and easy to manage. So, what s next? How can your section get started? First, think about your content and how you ll organize it into the new site s content areas Second, email Kenia Thompson at kthompson@isa.org to request credentials for up to two people in your section. We recommend starting with your section president and your webmaster, and you can share those logins with others as needed Within a week or two, we will set up all of the licenses and send you your login credentials along with a copy of this manual, which shows step-by-step instructions for content creation, a recording of the training session that you will see this afternoon, and a contact for help Utilize the manual, the recording, and the help contact if you have questions as you build your site The ISA staff and our vendor teams are here to help should you have any questions. Have fun, and please let us know what you think of the new system! 2

ISA Section Microsites Menu Items, Content Blocks, and Widgets Menu Items Menu items are the main headers on the section page, displayed above the header banner. The pre-populated headers are as follows: Home Takes you back to the home page News & Events This is a great place for you to put information about your upcoming events and recent news. About Us Contact Us The about us page allows your section to add any text you d like to describe your section. Suggested topics here might include your mission, vision, history, and/or areas of participation. The contact us section is pre-populated with a contact form that sends email to your administrator(s). Content Blocks Content blocks are fields of text throughout the website, designed to allow your editors to insert any text content they d like into these areas. There are some content blocks that will be pre-set in your templates; however, you can also create content blocks anywhere you see fit. Widgets Widgets are tools that allow you to place different types of content in various places throughout the site. Widgets can be moved around on your home page to display more prominence to the content types that you feel are most important. Some widgets, like the events widget and the blog widget, will also populate the menu item pages for those content types. There are many available widgets within the system, and the following are anticipated to be useful to the sections in particular: Announcements Blog Campaigns Events Jobs Newsletters Resources Sponsors Content Blocks These widgets can be used as a bullet list of important messages you would like your website visitors to see. The blog is a very versatile content area with title and description fields, so it s perfect for announcements, messages from your section leadership, notes about upcoming events, calls for participation, and more. This content type has a matching widget to bring recent blog entries onto your home page. These areas can be used to promote new, exciting, high-profile news or events related to your section. This is a great place for you to put information about your upcoming events and recent news. This content area has a matching widget to bring recent news and events onto your home page. Here, you can create and maintain job postings for your local area. This content area has a matching widget to bring recent job postings onto your home page. Here, you ll upload your newsletters, and site visitors can click on links to download the PDF files. In this area, you can place documents about your section, like bylaws and MOPs, or you can use the area for technical resources if you prefer. These areas can be utilized to promote sponsor company names, logos, and URLs on your home page or in another area of your site. Content blocks are fields of text throughout the website, designed to allow your editors to insert any text content they d like into these areas. There are some content blocks that will be pre-set in your templates; however, you can also create content blocks anywhere you see fit. Logging in 1. Go to: http://staging.isa.org/cmslogin.aspx 2. Enter your login credentials. 3. Once authenticated, select the work area button to access the section administrative controls. 4

How to Change the Password 1. Choose Settings in the workarea menu bar 2. Choose User Profile from the folders at left 6

3. Click Edit 4. Enter a new password in the Password field. Enter the same password in the Confirm Pwd field. 5. Click Update. 7

Content Types Each section will have access to the following content types: Widget List and Administration Available widgets for Section microsites include: Announcements Blog Campaigns Events Jobs Resources Sponsors Newsletters Content Block 8

Announcements Widget The announcements widget pulls information from an Ektron admin form and populates the announcements widget and detail page. Steps 1. Select the announcements folder, and then the New button. 2. To add a new announcement, select the HTML content menu item. 9

3. Complete the form with a title and content and select publish. The text entered into the title section will display in the announcements widget, and the title and form text will display on the content detail page for that announcement. 10

Blog Widget The Ektron blog widget captures content from an admin form and populates the blog detail page, as well as the home page blog display. Steps 1. Click on the + next to the blogs folder and then click on the technology subfolder. 11

2. To enter a new blog entry, select the new button, and then the HTML post menu item. 3. The blog entry can be created by applying a title and content to the blog form. 12

4. The published date for the content will automatically be applied once the blog entry is published. Final content will display on the blog page as follows: 13

Campaigns Widget The campaign widget can be utilized to promote new and exciting happenings in your section. 14

Steps 1. Section campaign images that appear on the home page can be managed by selecting the campaign folder. 2. To add a new campaign image select the new button and then the portalcampaign menu item. 15

3. Campaigns will require a title, description, and image. 4. The desired image can be uploaded by selecting the icon to the the right of the image text and selecting a local file. Contact Us Each section will have a pre-installed contact us form on the contact us page of the section subsite. 16

Events Widget Events display as follows on the events page and are populated via the form below. Steps 1. To add a new event item, select the events folder. 17

2. To add a new event, select the new button and then the add calendar event menu item. If there is no a calendar, first add a calendar; then add an event. 3. In the form, add the following items: Title Location Start date (date picker) End date (date picker) City State Zip Code Country 18

Jobs Widget The jobs widget pulls information from an Ektron admin form and populates the Jobs widget and detail page. Steps 1. To add a new job posting, select the job folder, and then the new button. 2. Select the Portal-jobs menu item and complete the form. 19

Newsletters Widget The newsletters widget pulls information from an Ektron admin form and displays links to the individual newsletters. Steps 1. To add a new newsletter, select the newsletter folder in the content area. 2. Newsletters are designed to be entered as PDF content. Select the New > DMS document menu item to begin the upload process. 21

3. Enter a title for the newsletter, which is required. Users will see this title. 4. Use the Choose File button to select the PDF from your computer. 5. If desired, you may click on the Content tab and add a description or summary of the newsletter in the text box. 6. Click Publish in the menu bar above the title. 7. You will return to the newsletter folder. The first time you upload a newsletter, you need to complete steps 1-7 in the section below. 1. Select View > Properties, then click the Edit Properties button. You are now viewing properties for the Newsletter folder. 2. Click the Metadata tab. 3. Uncheck Inherit Parent Configuration. 4. Scroll down the list of Meta Data/Custom-Fields Available. 5. Check both boxes for PortalNewsletters. 22

6. Click Update in the menu bar. 7. Click Back in the menu bar to return to the newsletter folder. 23

Each time you upload a newsletter, you will place your content on the page and organize your content by completing steps 1-12 in the section below. 1. Navigate to Pages > Membership > Participate in a Local Section > section name. 2. Locate the Newsletters page. 3. Click the left-arrow icon next to Newsletters so the arrow points down and options are displayed. Choose Edit Properties. 4. Click the Metadata tab. 5. Locate the PortalNewsletters: (Content) box. 6. Click Edit in the associated box. 7. In the dialog box, navigate to Content > Membership > Participate in a Local Section > section name > Newsletters. 8. Select the content you would like to display. 9. Click Insert. 24

10. In the Reorder and Finalize Selections box, you can use the up and down arrows to sort content. 11. Click Save. 12. You will be returned to the Page folder. Click Publish. 25

Resources Widget The resources widget pulls information from an Ektron admin form and populates the resources widget. Steps 1. To add a new resource, select the resources folder in the content area. 26

2. Resources are designed to be entered as PDF or text content. a. To upload a PDF, select the New > DMS Document menu item. i. Enter a title for the resource, which is required. Users will see this title. ii. Use the Choose File button to select the PDF from your computer. b. To enter text or link content, select the New> HTML Content menu item. i. Enter a title, which is required. Users will see this title. ii. Content can be entered in the content tab. If entering a link, select the link icon in the text editor and supply the link in the link manager URL field. Select OK in the link manager. 3. In either case and if desired, you may click on the Content tab and add a description or summary of the resource in the text box. 4. Click Publish. 27

Each time you create a resource, you will place your content on the page and organize your resources by completing steps 1-12 in the section below. 1. Navigate to Pages > Membership > Participate in a Local Section > section name. 2. Locate the Resources page. 3. Click the left-arrow icon next to Resources so the arrow points down and options are displayed. Choose Edit Properties. 4. Click the Metadata tab. 5. Locate the PortalResources box. 6. Click Edit in the box. 7. In the dialog box, navigate to Content > Membership > Participate in a Local Section > section name > Resources. 8. Select the resource you would like to display. 9. Sponsors Widget The sponsors widget pulls information from an Ektron admin form and populates the sponsor link to the sponsor URL. Steps 1. To enter a new sponsor, select sponsors, menu item, and select the new button. 29

2. Select portal-sponsors. 3. Enter the sponsor name, URL, title and logo. 4. Logos can be uploaded using the icon to the right of the image text. 5. The URL will allow users to select the sponsor from the sponsor widget and navigate to the desired address. 30

Home Page Content Block Content is placed into the section content folder and associated to the home page drop zone. Steps 1. Log in to Ektron. 2. Click on workarea. Click on the Content tab. 3. In the left Folders pane, navigate to Pages > Membership > Participate in a Local Section. In the right pane, look for your local section name. Using the drop-down arrow next to your local section name, choose Edit Page. This opens the home page in PageBuilder. a. At the upper left are a left arrow and a right arrow. Click on the right arrow and the menu bar will open. b. At the far right is a push pin. Click on the push pin to pin the menu in the open position. 4. To edit the section content, hover over the bubble to the upper left of the content block, and select edit in context. 31

5. The text editor will open and a small editor bar will allow for inline content changes. 6. Selecting the save icon in the far left of the text editor bar will save content changes. Publish the page by choosing Publish under the file menu. 32

About Us: The about us page allows section admins to enter free form text content. Steps 1. Log in to Ektron. 2. Click on workarea. Click on the Content tab. 3. In the left Folders pane, navigate to Pages > Membership > Participate in a Local Section. In the right pane, look for your local section name. Using the drop-down arrow next to your local section name, choose Edit Page. This opens the home page in PageBuilder. a. At the upper left are a left arrow and a right arrow. Click on the right arrow and the menu bar will open. b. At the far right is a push pin. Click on the push pin to pin the menu in the open position. 4. To edit the section content, hover over the bubble to the upper left of the content block, and select edit in context. 5. The text editor will open, and a small editor bar will allow for inline content changes. 6. Selecting the save icon in the far left of the text editor bar will save content changes. Publish the page by choosing Publish under the file menu. 33

Use of the Full Content Editor Ektron includes a full content editor you can use to format and manipulate text and graphics. Common editing functionality such as bold, italic, bullet lists, and alignment can be found on the right side of the top row of the editing bar. Spell Check can be found on the top row of the editing bar, tenth from the left. Other important functions of the content editor include: Paste from Word (top row of editing bar, fifth from left): In addition to the standard Cut, Copy, and Paste functions (second, third, and fourth from the left), the content editor includes the valuable Paste from Word function. When content is pasted directly from Microsoft Word, frequently it will include special formatting codes that will cause formatting problems in Ektron. It s very important to use the Paste from Word function to clean up any content pasted from Word. When you click Paste from Word, a dialog box will pop up. Paste the content copied from Word into the box and click OK. 34

Insert Symbol (top row of editing bar, 19th from left): To insert common symbols such as or ½ that will not paste into Ektron from Word, click Insert Symbol and select from the dropdown. Hyperlink Manager (top row of editing bar, 12th from left): To insert a clickable link or email address into content, highlight the content to be clickable and click the hyperlink manager. Use the hyperlink tab to insert a URL or the email tab to insert an email address. If you wish to remove a link, use Remove Link next to it (13th from left). 35

Frequently Asked Questions How do I manage event registration? A section that wishes to manage event registration online can set up its own account with a service like: Eventbrite www.eventbrite.com EventSpot www.constantcontact.com/eventspot TicketPeak www.ticketpeak.com (These are examples of services; there are numerous similar services available.) These services offer online registration and marketing support, in some cases for a fee. (As of November 2013 Eventbrite is free if you do not charge for events, EventSpot starts at $20 a month for one event per month, and TicketPeak services are priced at a flat fee plus a percentage of sales.) Once your section has created an account, you can create your event and its registration form. The service creates a unique online event registration page and processes any payments you are collecting. You can link the event registration page to your ISA microsite directly using the URL provided by the event registration service. If you are comfortable working with HTML, some services (such as EventSpot) will generate code you can place directly on an ISA microsite page. Can I use Google Analytics? ISA uses Google Analytics to track statistics for the ISA.org domain. Google Analytics will track a variety of statistics about visitors to your ISA microsite. Upon request, ISA will create an account in Google Analytics specifically for your microsite. Once your access has been established, you will be able to log in to www.google.com/ analytics and click on Standard Reports > Audience > Overview to see: 1. Number of visits A visit is a group of interactions that take place on your website within a given timeframe. A visit ends when a user is inactive for more than 30 minutes, the browser closes, or at midnight. 36

2. Unique visitors The number of unique visitors is the number of individual users who visited your website. It doesn t matter how many times a user visits your website; he or she will be counted once (unless cookies are cleared). 3. Pageviews Every time a user views a page (even if it is reloaded or viewed through the Back button), it counts as a pageview. 4. Pages / Visit This is the number of pages on your website that the user viewed during his or her visit. 5. Avg. Visit Duration This is the average amount of time a user spends on your site during his or her visit. 6. Bounce Rate Bounce rate is the percentage of visits where the user viewed only one page and then left ISA.org. 7. % New Visits % New Visits is the percentage of visits by users who have been classified as new visits. Is it possible to point a custom URL to an ISA Microsite? Some ISA sections have obtained custom URLs (for example, www.isa-atlanta.org or www. isala.org) by registering with and paying a Domain Name Registrar. Some well-known Domain Name Registrars are Network Solutions, GoDaddy, and NameCheap. It is possible to point a custom URL to an ISA section microsite. ISA is currently finalizing web hosting arrangements and will provide exact information when the process is completed in January 2014. Once this information is available, you will need to log into your account with the Domain Name Registrar and follow the company s specific instructions. Some companies have a process available called URL redirect or URL forwarding. Other companies have a process called editing or updating the name server. The specific steps will depend on the process the registrar makes available. If you have questions regarding those steps, follow instructions from the company. 37

How do I get started with section microsite content? Your section s home page (including any existing content) has been populated for you. To access the home page and edit the existing content, follow these instructions. 1. Log in to Ektron. 2. Go to the Content tab of the workarea. 3. In the left Folders pane, navigate to Content > Membership > Participate in a Local Section > folder for your local section 4. Once you are in the folder, in the right pane locate the item with the name of your section. 5. Click on the action triangle and click on Edit. 6. All content may be edited in the Content tab. 7. When you are done editing, at the top left click Check In (to check in without publishing) or Publish (to publish). How do I get create a new content block? 1. Log in to Ektron. 2. Click on workarea. Click on the Content tab. 3. In the left Folders pane, navigate to Content > Membership > Participate in a Local Section > folder for your local section. 4. Once you are in the folder, click New > HTML Content. 5. A window with the content editor opens. 6. Enter a title that describes the content in the Title field. 7. The Content tab contains a toolbar editor. In this tab, you can enter and style your content. To paste from Word: a. Right-click to open a menu. Select Paste from Word. b. Another window pops up. Right-click and select Paste. Click OK. 8. In the Schedule tab, you have the option to enter a start date and an end date for your content to appear on the site. 9. When you are done, click the Save icon in the toolbar at the top of the right pane. 10. Click on Publish. The content block is now ready to be placed on a page. 38

How do I place a content block on a page? 1. Log in to Ektron. 2. Click on workarea. Click on the Content tab. Is this for the home page? To place a content block on the home page: in the left Folders pane, navigate to Pages > Membership > Participate in a Local Section. Look for your local section name in the right pane. Is this for a page other than the home page? To place a content block on a page other than the home page: in the left Folders pane, navigate to Pages > Membership > Participate in a Local Section > folder for your local section. 3. Using the drop-down arrow next to the page you wish to edit, choose Edit Page. This opens the page in PageBuilder. a. At the upper left are a left arrow and a right arrow. Click on the right arrow and the menu bar will open. b. At the far right is a push pin. Click on the push pin to pin the menu in the open position. c. Click on the black tab in the center (along the bottom of the menu bar). The widget bar will open. 4. Drag and drop the widget named Content Block to a column (usually column 2) on the page. 5. Click on the pencil icon in the Content Block you added. A popup window named Editing Widget opens. a. In the Folder tab, navigate to Content > Membership > Participate in a Local Section > folder for your local section. b. Available content blocks will display in the View Results window. c. Click to select a content block and click Save. The content appears on the page. 6. Proceed with any other page editing. 7. When you are finished, hover over FILE on the menu bar. Select an option: Publish to make the new content live on the web now Save to save your changes without publishing now Cancel to completely cancel your edits to the page. 39

How do I add a widget to a page? 1. Log in to Ektron. 2. Click on workarea. Click on the Content tab. Is this for the home page? To place a content block on the home page: in the left Folders pane, navigate to Pages > Membership > Participate in a Local Section. Look for your local section name in the right pane. Is this for a page other than the home page? To place a content block on a page other than the home page: in the left Folders pane, navigate to Pages > Membership > Participate in a Local Section > folder for your local section. 3. Using the drop-down arrow next to the page you wish to edit, choose Edit Page. This opens the page in PageBuilder. a. At the upper left are a left arrow and a right arrow. Click on the right arrow and the menu bar will open. b. At the far right is a push pin. Click on the push pin to pin the menu in the open position. c. Click on the black tab in the center (along the bottom of the menu bar). The widget bar will open. 4. Drag and drop a widget to a column on the page. 5. Click on the pencil icon in the widget you added. A popup window named Editing Widget opens. It will walk you through any requirements for the particular widget you selected. 6. You can rearrange widgets on the page by dragging and dropping them, for example, from one column to the other, or from the top of the column to the bottom. 7. When you are finished, hover over FILE on the menu bar. Select an option: Publish to make the new content live on the web now Save to save your changes without publishing now Cancel to completely cancel your edits to the page. 40

How do I create additional microsite pages? Most sections will only need the pages that have been established. To create additional pages, follow these instructions. 1. Log in to Ektron. 2. Click on workarea. Click on the Content tab. 3. In the left Folders pane, navigate to Pages > Membership > Participate in a Local Section > folder for your local section. 4. In the right pane, hover over New; click Page Layout. 5. In the Add New Page popup, select templates/portals-interior.aspx. Click Next. 6. Enter a page title in the title field. 7. In Aliasing, click Add Manual Alias. The alias for the page is a combination of your section name, a / and the title of the page. In the box, type your section-name/title and choose / from the dropdown box. Spaces aren t permitted in the alias. If your section name has spaces, replace them with dashes. 8. Click Next. 9. For PortalBannerImage, you can choose an existing image by following these instructions. a. Under PortalBannerImage, click Edit. b. A popup window will open. c. In the left Library pane, navigate to Folders > Content > Membership > Participate in a Local Section > folder for your local section > Images. d. How do I replace a section banner image? 1. Log in to Ektron. 2. If you wish to use a new image, you must first upload it to Ektron. a. Before you upload a new image, it must be resized to 1440x364 b. Go to the Content tab of the workarea. c. In the left Folders pane, navigate to Content > Membership > Participate in a Local Section > folder for your local section > Images. d. In the right pane, click New > DMS Document. e. Enter a title for the image. f. Click Browse and select a file from your computer. g. Click Save at the top left. h. Click Publish at the top left. 3. Once an image has been uploaded, it can be placed on each page (Folders > Pages > Membership > Participate in a Local Section > folder for your local section). 4. For each page, click on the action triangle > Edit Properties > Metadata tab. 5. Change PortalName to the name of your section. 6. Under PortalBannerImage, click Edit. 7. A popup window will open. 8.
