GMRT Data Import The three (3) GMRT Import file templates are located on the Welcome page as well as under the Locations, Staff and Student tabs respectively. Creating Location, Staff, and/or Student Files 1. Open the template 2. Type or copy your data into the columns. Note the following: Commas are not allowed Do not delete columns from the template Do not change or delete the header text 3. When you have finished adding data to the template, click File, and then click Save As 4. Select a location to save the file 5. Type a name for the file 6. Select CSV (Comma delimited) (*.csv) for a PC and Windows Comma Separated (.csv) for a Mac 7. Click Save Location File Considerations: All students have to be associated with (assigned to) a class or group 1
Students can only be associated with one class in GMRT online The class/group that the student is associated with is the class that they will test with and the class where their results will be displayed Classes cannot be associated with more than one grade level Locations cannot be deleted after a staff or student has been assigned to it For optimal functioning with online testing, classes should not contain over 150 students Sample Location File: Staff File Considerations: To assign a staff account to the district level, leave School/Building and Class fields blank. To assign a staff account to a building, leave the Class field blank If a staff account is being assigned to multiple classes, they must have a row of data for each class to which they are assigned 2
While a staff account can cover multiple class locations under the same building or multiple building locations, a staff account cannot cover multiple classes under different buildings. There are two options for teachers associated with multiple schools: they can either be granted building access to each building or they can have a separate login for each building. Staff must be assigned roles within GMRT online There can only be one proctor for each class; you cannot assign two proctors to the same class. Ethnicity and special program information is not required in student uploads; however, adding this information will allow you to disaggregate your test data by these categories 3
It is not required that data be entered in the last column, Active User. However, it is highly recommended that you indicate your students as active in the roster file. As you continue to use the GMRT system, there will be times where you request Riverside prepare your account for the next cycle of testing. Part of that is marking your students as inactive, so that when you upload your new files, students that are no longer active in your system do not display as available for testing. To ensure your returning students are marked active, the last column in your file needs to be marked Y. Usernames and passwords can be automatically generated automatically by the GMRT system. However, these auto-generated IDs or passwords are strings of numbers and letters and are often difficult for students to type or remember. For that reason, it is advised that districts designate their own usernames for students and, if possible, a generic or designated password for them as well.
