NOTES It is up to each district s discretion as to calculate all the federal resources together as one group. Please refer to the letter from the SDCOE for the CDE guidance. These instructions are written in an easy to follow manner to allow an entry level position to accomplish this task. A person with more experience can easily skip many of the steps &/or use shortcuts. Some of the sheets are locked & protected without a password to guard the formulas from accidental overwrite. To unprotect see page 29. These instructions were written for Excel 2007. If you have an earlier version of Excel, please refer to the set of instructions written specifically for those versions. In this example I am working with the first quarter, when you do the second quarter make sure to use the second quarter tabs. 3 GETTING THE DATA 1 st Logon to FIS. 2 nd Click on the FINANCIAL INFORMATION tab. 3 rd Click on the TRANS link. 4 2

GETTING THE DATA 2 nd Fill in FUND 06 to pull all restricted resources & OBJECT 9110 for cash. 1 st Choose FILE in the FUNCTION menu. 6 th Click on TRANSMIT. 3 rd Enter the MONTH, DAY & YEAR for the first day of the quarter. 4 th Enter the MONTH, DAY & YEAR for the last day of the quarter. 5 th Check the box below LIST ALL TRANSACTION. 5 GETTING THE DATA 1 st Click the DNLOAD link. 6 3

DOWNLOADING THE DATA 2 nd Click on the link to desired download. 1 st All recent downloads will be listed verify the correct download by the date & time stamp. 7 DOWNLOADING THE DATA 1 st Click on the SAVE button. 8 4

DOWNLOADING THE DATA 2 nd Choose a location to save it. 3 rd Click on SAVE. 1 st Type in a file name. (note: the file type is a text document) 9 DOWNLOADING THE DATA 1 st Click on the CLOSE button. 10 5

PREPARING THE DATA 1 st Map to where you saved the text file. 2 nd Right click the text file. 4 th Choose EXCEL. 3 rd Choose OPEN WITH. 5 th If Excel is not one of your options here, then click on CHOOSE PROGRAM and you will be able to choose Excel. 11 PREPARING THE DATA 1 st Click the MS logo and then SAVE AS to turn it from a text file into an Excel file. 12 6

PREPARING THE DATA 1 st Change the file type from.txt to Excel Workbook. 2 nd Click the SAVE button. 13 PREPARING THE DATA 1 st Highlight all of the data by clicking on the box/cell above the row number 1 & to the left of the column letter A. 14 7

PREPARING THE DATA 1 st Right click on the worksheet. 2 nd Click on COPY. 15 INTO THE CALCULATOR page - DATA Q# 1 st Open the INTEREST RATE CALCULATOR file. 3 rd Click in cell A1. 2 nd Go to the DATA tab for the correct quarter Q1=1 st quarter, Q2=2 nd quarter, etc. 16 8

INTO THE CALCULATOR page - DATA Q# 1 st Right click on the worksheet. 2 nd Click on PASTE. 17 SAVE & NAME THE FILE 1 st This is a good time to save and name the file. 2 nd Click on the MS logo and then SAVE AS. 18 9

SAVE & NAME THE FILE 1 st Map to the folder you want. 2 nd Type in the name. 3 rd Click the SAVE button. 19 ADDING MORE ROWS page - DATA Q# 1 st Go to the last row of data (row 100 in this example) if you have less than 5000 rows then please skip to page 27 otherwise continue with the next page. 20 10

ADDING MORE ROWS page - SUM Q# 2 nd Click on the HOME tab, then FORMAT, then HIDE & UNHIDE. 1 st If you have more than 5000 rows of data then we need to accommodate them take note of the row number. (5110 in this case) 3 rd Click on UNHIDE SHEET. 21 ADDING MORE ROWS page - SUM Q# 1 st Choose the sheet that corresponds to the quarter you are working on, in this case Q1 for 1 st quarter 1, Q2=2 nd quarter, etc. 2 nd Click on OK 22 11

ADDING MORE ROWS page - SUM Q# 1 st Verify that your are on the sheet titled Data Lookup Q#, the # should be the quarter you are working on (in this case quarter 1). 2 nd Highlight the last row (row 5000) by clicking on the row number. 23 ADDING MORE ROWS page - SUM Q# 1 st Highlight past the last row number that you have data in on the tab title DATA Q#, the # should be the quarter you are working on (in this case quarter 1). 24 12

ADDING MORE ROWS page - SUM Q# 1 st Click the HOME tab. 2 nd Click the Blue Arrow, then DOWN. 25 ADDING MORE ROWS page - SUM Q# 2 nd Click the HOME tab. 1 st Verify that the data is being pulled into the sheet. 3 rd Click on FORMAT, then HIDE & UNHIDE, then HIDE SHEET. 26 13

THE INPUT TAB page - INPUT 1 st Choose the fiscal year from the pull down menu. 2 nd Update the QUARTERLY INTEREST FACTOR here. 3 rd Check the box on all the resources that you want to calculate the interest on. 27 THE INPUT TAB page - INPUT You can also enter additional &/or locally defined resources. Remember to check the boxes. 28 14
