P a g e 2 Introduction The Web Conferencing Room 1. The Audio/Video icons enables you to participate in conversations. The video option allows participants to see each other during a session. 2. The Open Chat icon enables you to send Chat messages to everyone in the session. 3. The Participants List icon provides a list of all participants and moderators in the session. There is also a tool bar for raising your hand and walking away from the session. 4. The Content Area is the main presentation window. Moderators use this region to load presentations or display a Whiteboard for group collaboration.

P a g e 3 How to Customize Your Settings Collaborate allows you to customize your settings which includes your profile picture, media and notification settings. To customize your settings you need to click on the person icon on the bottom panel. Adjusting Audio, Video and Notification Settings The My Settings panel will open. Click on any of the down arrows to adjust your settings. Add a Profile Picture Click on the person icon to change your profile picture

P a g e 4 Uploading an image Click on the Upload box, select your image and click on open. Locate your image, click on the image and click on the Open box. Crop and click on I Like It! Dragging an Image Locate the image on your computer and drag it into the box. Crop and click on I Like It!

P a g e 5 Capture Photo from Camera This option can only be used if you have a web camera. Click on the Capture Photo from Camera option. You will see yourself on the screen once you are happy with the view click on the Take Photo button. Crop and click on I Like It!

P a g e 6 Session Settings The moderator has the ability to allow participants to share audio, video, post messages and modify whiteboards/files that are presented. To adjust the settings in your session click on the icon with three dots. Click on Session Settings Click on the boxes of the settings you want to enable. A green arrow means the setting is enabled for the participants.

P a g e 7 How to Share Audio The Audio icons enables you to participate in conversations using a microphone or video camera. Click on the microphone icon on the bottom panel. The icon will turn green indicating you are sharing audio.

P a g e 8 How to Share Video The Video icons enables you to participate in the session through a video camera that is connected or built into your computer. Click on the camera icon on the bottom panel. Make sure you can see yourself in the camera, adjust if necessary and click on the Share Video button. You will see your video on the screen and the icon will turn green indicating you are sharing video.

P a g e 9 How to Ask a Question The Raise Hand icon allows Participants to raise their hands any time during the session. The Participants list will indicate who is raising their hand and in what order. How Participants Raise Their Hand A participant can raise their hand by clicking on the Hand icon on the bottom panel. The icon will turn purple indicating that the participant has raised their hand. Clearing Notifications Participants can raise their hands any time during your session. You can choose to call on them now or close the notification and call on them later. 1. To close the notification and leave hands raised click on the X (circled below). 2. To clear raised hands you click on the Clear text.

P a g e 10 How to Create a Chat Message The Open Chat icon enables you to send Chat messages to everyone in the session. Click on the Chat icon on the bottom panel. Your Chat Box will open on the right side of the screen. Here you will be able to enter your message and see how it displays.

P a g e 11 How to View the Participant Panel The Participants Panel is the command center for conducting a session. It is where you manage your participants by allowing certain permissions and have the option of removing participants. To view the Participants Panel you click on the Participants icon on the bottom panel. The participant s panel will open on the right side of the screen.

P a g e 12 How to Change a Participants Role You can give participants other roles during the session. Point to a participant, click their name and click on Make presenter, Make moderator or Make captioner. Definition of Roles Presenter The presenter role was designed to help you share the workload while presenting. Presenters can do the following: Share applications, the whiteboard and files. Navigate between PowerPoint slides. See and manage raised hands. Moderator A moderator can do everything you can do. This includes changing a participant s role, setting overall permissions and removing participants from the session. Captioner The captioner role is designed to provide an accessible learning experience for students who are deaf or hard of hearing, as well as for students whose native language is different from the moderator's. Making participants captioners gives them an area to type what is being said. Other participants can view what the captioner is typing in real time. You can have multiple captioners for multiple languages.

P a g e 13 How to Share Content The Sharing Content feature allows you to share a blank whiteboard, an application or file with the participants in the discussion. To access your Share Content panel click on the on the screen. Your Share Content window will open allowing you to click on the type of content you would like to share.

P a g e 14 Share Application The Share Application allows you to share documents and videos with the participants. 1. Open the document you want to share before proceeding. 2. Click on the Share Application option and then click on the document you want to share. 3. Click on the document you want to share and then click on the Share button. The document will appear on your screen. If you need to stop sharing you can do this by clicking on the Stop Sharing button at the top or bottom of your screen.

P a g e 15 Share Files The Share Files option allows the Moderator to share files with the participants. Click on the Share Files option and locate the file you want to share. Click on the file and click on Open. Click on the file you want to share (once it loads) and click on Share Now. The document will appear on your screen. If you need to stop sharing you can do this by clicking on the Stop sharing button at the top or bottom of your screen.

P a g e 16 Share a Blank Whiteboard You can create a Whiteboard for group collaboration. Click on the Share Files option and click on the Share Blank Whiteboard option. Editing Shared Content When you share a blank whiteboard or file you are given tools you can use to edit during the session. You can also decide if you want to give your participants the same tools in Session Settings. 1. Select tool 2. Pointer tool 3. Pencil tool 4. Shape tool 5. Text tool 6. Eraser tool Zooming in on Content You can zoom in on a whiteboard or file that is being shared. You can also enlarge captions if you are using them. Double-click on the item to make it bigger.

P a g e 17 How to Record a Session You can record a session and share with participants or those who cannot attend the session. Start Recording To record your session click on the icon with three dots. Click on the Start Recording option. Stop Recording If you want to stop recording a session you click on the icon with three dots. Click on the Stop Recording option.

P a g e 18 Viewing Sessions Recorded sessions are saved on the same page you joined your session from. Recorded sessions are saved as MP4s. Recordings include audio, any content shared or active speaker video, and the captions entered during the live session. If your session had more than one caption track, only the first available one is captured. Users can stream shared recordings from any device. Users can view the recordings as often as they want. There are no view limits. Recordings need to be converted into a playable format before viewing. The first time a recording is accessed the conversion begins. It may take a few minutes but once it has been done the recording can be viewed by everybody.
