Summary This document describes the infrastructure that was setup in the first few months of the project to allow for both external and internal communications among different partners. It is also targeted to be a dissemination portal for the project. For the external communication, this infrastructure consists mainly in a public website that presents the project and its (future) achievements to the scientific community, the general public and the press alike. The web site also includes a private section for internal communication. We also plan to use a web-based code management and issue tracking software. Finally, mailing-lists are setup to facilitate the communication between the members of the project. 4

Chapter 1 Public and internal web site The web site should be the main source of information for the general public and the press regarding the goals and achievements of the COMANOID project. Therefore, it should provide visitors with comprehensive and up-to-date information. The COMANOID web site is accessible through many different address: http://(www.)comanoid.(eu fr com net org be biz) http://comanoid.cnrs.fr However, the reference address for external communication is http://comanoid.eu. The web site is hosted on CNRS headquarter server, hence it should be online for the foreseeable future. This also relieves us from the administration burden of a web-server and allows us to focus our effort on the editorial content of the site. Finally, the web site is built upon the Joomla CMS (Content Management System) 1, and has been agreed among all the partners. The first months of the project, a request for ideas on potential logos was launched. After several iterations, we end-up by the following logo showing the humanoid holding a tool under the background of Airbus Group inspired logo and it is in the front page of this deliverable. 1.1 Public web site structure News The latest news of the project (new publications, workshops, achievements, etc...). This is the page where visitors land by default. Project overview This section contains a short description of the project including its goals and the technologies that will be developped within the project. Consortium Short descriptions of all participants, including links to the respective institutions and research groups. For each partner, the ID picture of the participants and their role in the project is added. Contact Contact information of the project coordinators. 1.2 Public website design Figure 1.1 shows the design created for the web site. The layout was designed to create a light, technical and professional appearance. The central picture in the upper part will highlight different robotic scenarios or other visually attractive project results. The menu on the left allows the visitor to go through the website sections. The content is in the center/right part of the page. Finally, a login link in the bottom allows registered users to access the private section and social links will lead the visitor to the appropriate pages. 1.3 Private section Joomla authorizes users to register an account on the website. To do so, the process is as follows: 1. The user creates an account and provides a valid e-mail 2. S/he receives an e-mail to confirm the e-mail validity 3. The administrators receives an e-mail to confirm the account creation 4. The user is advised that her/his account has been created and can now login and access the private section This rather cumbersome process ensures that we do not give access to the private section to unauthorized users. The private section itself contains private information regarding the project (e.g. access plans and other practical information about an upcoming meeting). 1.4 Additional communication channels In addition to the website, various communication have been setup to give a social presence to the project: Facebook page Twitter profile Youtube channel 6

Chapter 2 Code management and issue tracking software COMANOID partners will have to work together on some projects and documents. In order to do so, we have setup a private group on CNRS code management platform which is based on the GitLab software. 1 The interface is presented in Figure 2.1. Chapter 3 Project mailing lists Two mailing lists have been set up to ease the communication either between all the project partners or exclusively between the project s Principal Investigators. The project-wide list is comanoid@comanoid.eu. It is intended for general announcements and scientific and technical discussions among the partners. The PI s list is comanoid-pi@comanoid.eu. It is intended to discuss administrative issues and deliver administrative information to the project s PIs. Additional lists have been created to allow communication between each partner and the project management. This mailing-lists are of the form comanoid-institution@comanoid.eu. Finally, a communication mail, contact@comanoid.eu, is reserved for external contacts. 9
