Administrative Site Reference Guide
Step 1: Enrollment To access the web admin portal you must be a admin of a company using the OnCommand Connection Telematics Device. If you do not have an account, click Register Now You are then prompted to select if you are a driver or fleet admin. If you are a driver you will be prompted to download the OCC Driver Log application and register through the app. Click here to view a video on the process. If you are a fleet admin you will be prompted to complete registeration by regisering the company or reqeusting access to an already created company. Step 2: Set Your Company s Hour Cycle and Time Zone Click your name in the top right hand corner of the admin site, and select Settings. Set your time zone and hour cycle and click Done. This will set the time zone and hour cycle for drivers that drive under your account. 3
Admin Section The Admin section is used to manage drivers that are invited or have requested to join to your fleet. You can also assign Admin rights to a user in this screen. Results are sorted alphabetically by last name. 8 1 Name Shows the name of the user. The last name is displayed first followed by the first name. 2 Role There are two roles, Admin and Driver. The Admin role can access and control all the pages shown in this document through OnCommand Connection. The Driver role can only access their logs through the EDL application. 3 Phone Displays the phone number of the user listed. 4 Email Displays the email address of the user listed. This is the email address used to log into the EDL application. 5 Status There are two types of status, Pending and Active. Pending status is shown when the user has not been granted access to record driving time to your company. Active status is shown when the driver has been granted access to record driving time to your company. 4
Admin Section (Continued) 6 Edit The Edit function allows you to change and confirm information pertaining to the user. In this window, you are also able to assign Special Driving Categories and change the status of the user. 7 Delete The delete button allows you to deactivate a user. This will remove them from your company but will still allow them to access the OCC Driver Log app and Marketplace. 5
Admin Section (Continued) 8 Add New User The Add New User function allows you to invite a new driver or admin to your fleet. In this window you are able to assign roles to new fleet members. Once you click Save, an email invite will be sent to the new driver directing him/her to download the OCC Driver Log app. 9 Search by Name/Email ID The Search by Name or Email ID allows you to search for a user by entering their first and/or last name. You can also search for the user by entering their email address used in the OCC Driver Log app. 6
LOGS Section The LOGS section allows you to see a listed view of submitted Driver Logs. It also allows you the ability to quickly see if there are any violations, if a DVIR was submitted, and view/ make suggested edits. 1 2 3 Date Displays the date the DVIR was submitted. Driver Shows the name of the user. The last name is displayed first followed by the first name. DVIR This column shows if a DVIR has been submitted and if that DVIR has any defects. The number of defects is shown. 4 Violations This column shows if the driver has a violation in their submitted log. More details on the violation can be found by viewing the log. 5 View Clicking View will open a pop-up window that displays a pdf of the Driver Log. You can see the details on the defects submitted, as well as, see if the vehicle is safe to operate. This document can be printed or saved. LOGS Section (Continued) 6 Edit Clicking Edit will bring you into a new screen that allows you to suggest edits to the submitted Driver Log. If any suggested edits are made a notification will be sent to the driver. The driver will then have to approve those edits. The original Driver Log will still be saved as well as a copy with the suggested/ approved edits. 7 Total Mileage Today Displays the total miles/kilometers driven during the time of this Driver Log. This includes yard moves and/or a codriver. (Cannot be modified) Odometer Displays odometer reading of the vehicle at the end of the Driver Log. (Cannot be modified) Co-Driver Displays the name of the co-driver. Shipping Documents Displays the shipping document numbers that are attached. 8
LOGS Section (Continued) 6 Edit (Continued) 7 VIN No. Displays the entire VIN number of the vehicle used for this Driver Log. Trailer/ Tractor Displays the vehicle number of the trailer or tractor pulled during the Driver Log. (if applicable) Status Changes This section allows you to add new status changes by selecting the type of status and the start and end time of that status. Clicking on an existing status changes this area so that you can adjust the timing if necessary. Save Changes & Cancel Clicking Save Changes, saves and submits any adjustments done to this Driver Log. Note: The changes still have to be approved by the driver before the new/adjusted Driver Log is created. 9
LOGS Section (Continued) 7 FMCSA Reports This feature allows you to send a drivers report directly to FMCSA. 1) Select the date range: Up to 3 months can be selected 2) Select a driver by using the search function or by selecting one from the list below. 3) Choose a how to send the report: Choosing Continue to Email will allow you to send the driver report to the FMCSA via email. You will then get an email from FMCSA if they received the report successfully or not. Choosing Continue to Web Service will allow you to send the driver report to the FMCSA via Web Service. This sends the report in a CSV file directly to the FMCSA server. You will then get an email from OnCommand Connection if the FMCSA received your report report successfully or if there are any items needing attention. 10
LOGS Section (Continued) 8 Driver Reports This feature allows you to send a drivers report directly to FMCSA. 1) Select the date range: Up to 6 months can be selected 2) Select a driver(s) by using the search function or by selecting one or multiple from the list below. 3) Choose what to do next with the report: Choosing Email PDF will allow you to send the driver report to specific email address. Choosing Download PDF will allow you to download the driver reports to your computer. 11
DVIRS Section The DVIRS section allows you to see a listed view of submitted DVIRs. This section also allows you the ability to view the DVIR submitted. 1 Date Displays the date the DVIR was submitted. 2 Driver Shows the name of the user. The last name is displayed first followed by the first name. 3 Unit # Displays the unit number of the vehicle. 4 Status This column shows if a DVIR has been submitted and if that DVIR has any defects. The number of defects is shown. 5 Defects This column shows if a DVIR has any defects. 12
