Oxford School District Request for Proposal - Sale of Computer Equipment Purpose Oxford School District is seeking proposals on the sale of used laptop computers. Background Oxford School District proposes to sell approximately 1944 used laptop computers in service for three years in our 1:1 computing initiative, and 46 used laptop computers in service in an elementary school cart installation. Terms Used OSD - Oxford School District Proposal Forms Proposals must be submitted in a sealed envelope via mail or hand delivery to: Oxford School District Attn. Mike Fortenberry 224 Bramlett Blvd. Oxford, MS 38655 Sealed proposals must be clearly labeled with Proposal - Sale of Computer Equipment 12/7/2017. Do Not Fax or Email Proposals Proposals will be received by Oxford School District at the Office of the Superintendent, 224 Bramlett Blvd., Oxford, MS 38655 until 10:00am on Thursday, December 7, 2017. Proposals must be either hand delivered or mailed to the address above prior to the scheduled proposal deadline. Proposals received after the stated deadline will be deemed invalid and will not be 2
considered. The responsibility for the timely delivery of proposals rests solely with the vendor. This RFP package consists of the following sections: I. General Conditions II. Technical Specifications III. Proposal Forms I. General Conditions The following are General Conditions for the equipment to be sold as outlined in the Technical Specifications. Scope of Work Sale of approximately 1944 13 MacBook Air laptop computers and 46 11 MacBook Air laptop computers. Terms of Sale All equipment being offered for sale is used equipment, and as such will have wear and defects. Every effort has been taken to maintain these devices in a fully functional condition. However, there may be some units with bad or missing components. The equipment is available for onsite inspection by appointment only. Email Mike Fortenberry at mforten@oxfordsd.org to schedule an onsite visit. All equipment will be sold in one lot. The bid will be awarded to the bidder with the highest total bid. All equipment is sold As Is and all sales are final. Payment in full is due at the time of pickup from Oxford School District. In the case of discrepancy in the computed proposal pricing, the unit price shall govern and the total price shall be revised accordingly. Proposal prices shall remain valid for 60 days after the scheduled opening date. Availability of Equipment The laptops being sold will be available immediately upon School Board approval of the winning bid. The winning bidder will be notified immediately via the contact information submitted with their bid package. 4
Shipping Requirements The winning bidder will be required to provide all labor, packaging and shipping materials, make all shipping arrangements, and pay all shipping costs. All equipment must be removed from Oxford School District property within 30 days of the equipment available date. Oxford School District can accommodate up to full size semi-trucks and trailers, but there is no loading dock or forklift available. The winning bidder is responsible for the coordination of all arrangements needed to provide for an efficient pickup and loading of the computer equipment. Withdrawal of Proposal Requests to withdraw a proposal after it has been submitted must be made in writing and received by OSD prior to the scheduled proposal opening time. No proposal may be withdrawn after the scheduled opening time. Alterations to RFP Specifications and Requirements No changes or alterations of any kind to the RFP specifications and requirements are permitted without prior written approval from Oxford School District.
