Queries Queries are the way to access the data stored within the Slate system. Through queries you can filter information to a specific set of parameters in order to capture select groupings of data based upon your requirements. Once set, a query will allow you to affect interactions, bin movements, or export the filtered group of data to an excel data file. Query Screen Breakdown: 1 2 3 4 1. Button to create a new Query that you will save for use again in the future. 2. Button to create a quick Query that will not be saved for future use. 3. The area in which all of your stored and saved Queries will be available to use 4. Click the folder name to view your Queries in any specific folder that you may have saved them under. Select a new query: Name: Name of your query (for example, 2016 Neuro Cluster Matriculates) Folder: Place your query will be saved. Leave all other options at default. Population: - Prospects (People registered in Slate but haven t started an application) Applicants
Exports: Any piece of data you want included in the Query output. Most often used exports include: Name Email Degree Program Program Interest Area Entry Term Email Citizenship Sex GRE Scores TOEFL Scores IELTS Scores Search using text for specific exports or scroll up or down to view the available export fields. Drag yellow boxes around to change export column order (if exporting to excel spreadsheet). Click/unclick to add/remove export fields. These end up as your column headers in an excel spreadsheet or the names pulled in a patched pdf export.
Filters: Export filters allow you to filter for the data you want to export. Click/unclick to select individual filters. Once you click continue, you specify how your filter will work. Filters most commonly used are: Decision (most recent): Admit (we made an admission offer) Admit/Attend (they accepted our offer) Admit/Attend/Decline (they accepted our offer and changed their mind) Admit/Gap (they accepted our offer and are deferring for 1 year) Admit/No Response (we haven t received their decision yet) Admit/Rescind (we rescind our offer) Deny (we denied them admission) Gap/Attend (they took a gap year, got moved to the next application round, and it has been confirmed they will matriculate for the current round. Degree Program Tag: not in test (this removes any test records used for debugging Slate) Round: Application cycle- 2015 means students matriculate in 2015 (apply in 2014) Application submitted: Have they submitted yet? Once they have, they count to our application numbers Application Status: Awaiting materials (missing a required letter of recommendation, test score, etc ) Awaiting payment (haven t paid their application fee or received a waiver) Awaiting decision (their application is complete and system is waiting for admission decision) Decided (we issued them an admissions decision) To exit out of the edit screen, click on the query name:
Running the Query: Click Run Query. If your query results look as you desire, you can then click export to select your form of output. Most often it will be as an Excel spreadsheet. You can also export a zipped batch of pdf s (see below). Exporting a batch of application pdf s: Generate a query that includes all of the applications you want to export. Run the query and then select pdf document export. Select the parts that you want to include in the individual application pdf. Be sure to click Export as individual PDFs within a Zip archive. Otherwise you ll have one giant pdf! A zipped file will download to your browser containing the applications- don t be surprised if this takes some time.
Default Query: You can establish a default query that will contain export and filter fields that you will commonly use. This default will then show these settings each time a new query of a particular dataset is established. To establish a default query, create a query entitled default and save in the Templates folder. The default query will only have effect if called default and saved in Templates. Modifying an existing Query: To modify an existing query, select your query from the list and the click Edit Query. Once finished modifying your query, you can exit out of the settings by clicking the query name (in this case, default) just beneath the Slate logo: Modifying your export filter: You can modify your filter by clicking the edit option or by doubleclicking on the filter box:
To turn a filter off, select Status = Inactive. This will cause the selected filter to be greyed out in your list of filters. You can also change the filter criteria by highlighting or un-highlighting specific options. Multiple selections can be made by holding down the control key while selecting your options.
