3 Consultation for Readiness 2011 Readiness Consultation Fee: $400 Board Certified Chaplain who demonstrates an awareness of strengths and weaknesses as a potential supervisor. Plan for learning which includes a timetable. Consultation with personal interview including primary CPE supervisor. No vote taken. 5 Supervisory Candidacy 2011 Supervisory Candidacy Application Fee: $400 Board Certified Chaplain who has successfully completed the certification process and received NACC certification. Completion of a minimum of five (5) units of training: four (4) in CPE and one (1) in Supervisory CPE. Under the direction and consultation of a Certified CPE Supervisor. Granted for two years; Certification Commission may grant an extension for one (1) year. 6 3

4 Certified Associate Supervisor 2011 Associate Supervisor Application Fee: $400 Catholic pastoral minister who has benefits of certification as Associate Supervisor by the NACC Certification Commission, interested in becoming a Certified CPE Supervisor. A Certified Associate Supervisor remains at this level for only two years. This level is a prerequisite to becoming a Certified CPE Supervisor. 7 Certified CPE Supervisor 2011 CPE Supervisor Application Fee: $400 Catholic pastoral minister who has the benefit of certification as a CPE Supervisor by the NACC Certification Commission. Clinical pastoral educator responsible for teaching supervisory CPE and preparing others for certification in pastoral care. Receives an annual copy of Reflective Practice: Formation and Supervision in Ministry. Renewal of Certification is required every seven years. 8 4

5 How to Seek a Mentor Most applicants ask, When should I seek a Mentor? Once you begin pulling your materials together, the NACC Certification Commission highly recommends you seek an Active Board Certified Chaplain (CH) or CPE Supervisor (SU) for mentoring during the preparation of your materials. For help finding a Mentor, Members may go to the Online Membership Directory located at to find a (CH) or (SU) in your area. To access this Members-only information, a Username and Password would be required: Username: your Member I.D. # Password: your last name (all lowercase letters) 9 How to Seek a Mentor Also, Applicants are strongly encouraged to get a Mentor if they completed their certification interview, but were not recommended for certification. 10 5

6 Application Process for Certification of Chaplain Applicant must first apply for and become a full member of the NACC Contact NACC office for certification materials NACC office responds within 14 days directing applicants to the NACC website for electronic materials Applicant submits supportive materials and fee by postmark deadline of February 15 for a Fall interview, and by September 15 for a Spring interview If the 15 th is a Sunday or holiday, the next business day is acceptable for the postmark NACC office reviews supportive materials for completeness 11 Application Process for Certification NACC office will assign a date, place and interview team, honoring the first preference for an interview site if possible. A copy of supportive materials is to be sent (by applicant) by certified mail to all interview team members at least 45 days before interview date. 12 6

8 Reminders Applicant is required to make 4 copies of supportive materials (mail one to office and 3 to certification interviewers - one set for each person). For instructions to place supportive materials in the binder, please refer to the Checklist for Supportive Materials Required for Certification Interview which is located on the NACC website with the Certification Application. You need to follow the order of the checklist including tabs for materials. 15 Certification Application Form Applicant provides the following critical information on the form: Applicant s membership number which identifies applicant as Member. CPE centers where all units were taken. NACC office verifies that listed sites are accredited with USCCB/CCA or ACPE. NACC obtained CPE equivalency and documentation of previous certification interviews if applicable. 16 8

9 Current Letter of Endorsement NACC office sends request for a current ecclesiastical endorsement to the appropriate authority: For laity*: request is sent to the (Arch)Bishop of the diocese of the Applicant s ministry For Religious Sister, Brother, or Priest: request is sent to Major Superior For Diocesan Priest or Deacon: request is sent to Ordinary (Bishop of the diocese of incardination) *Additionally, lay applicants are responsible for requesting a letter of recommendation from their pastor or a priest in active ministry to be sent directly to NACC office. Letter of recommendation is to be a signed original on letterhead. Current is defined as within one year of application for certification 17 Current Letter of Recommendation (employment) Letter of recommendation from a person to whom the applicant reports in one s place of employment. If unemployed, a letter from a person who can assess the quality of ministry provided. Letter of recommendation is to be a signed original on letterhead. NACC does not require employment as a condition for certification. 18 9

10 Documentation of CPE Units all final evaluations by CPE supervisors all applicant final self-evaluations If an equivalency has been granted: NACC letter notifying applicant that equivalency has been granted. 19 Equivalency for 1 Unit of CPE Refer to the Certification Procedures Manual, Part Seven (CP71-CP73). 12 Current Autobiography Updated autobiography which includes CPE and ministry experience as it reflects your current self understanding. Not to exceed 7 pages Bachelor s and Master s Degree Documentation A Master s degree in theology, divinity, religious studies, pastoral ministry, pastoral studies, or spirituality granted or acknowledged by an accredited academic institution. The NACC does not require a certain number of credit hours for this degree An official transcript is required as proof of this degree and must be sent directly from the institution (s) An equivalency for this degree is not granted 24 12

13 301.3 Bachelor s and Master s Degree Documentation Transcript analysis (B.A. and Master s) is required at the applicant s expense for all degrees acquired outside the United States. All transcripts and analysis are due by the certification postmark deadline of February 15 or September 15 so please plan ahead. A list of agencies that analyze transcripts can be found under the FAQs in the Certification section of the NACC website. 25 Verbatim Applicant submits one verbatim illustrating his/her current ministry Verbatim submitted may or may not contain remarks/comments by supervisor 26 13

14 NACC Ethics Accountability Statement Submitted at initial certification and renewal No disciplinary or corrective action arising from a complaint of unethical and/or criminal conduct imposed on and no complaint for unethical and/or criminal conduct that is pending in a civil, criminal, ecclesiastical, employment, or other professional organization s forum Never resigned, been transferred or terminated, nor negotiated a settlement from a position for reasons related to unethical and/or criminal conduct. If you cannot sign the statement, you must follow the Ethics Accountability Statement Procedures (EP11-EP14) 27 Previous Certification Interviews Presenter Reports Part I and II from past certification interviews (if applicable) Recommendations from the previous NACC certification interview(s) from Presenter s Report Part II are to be included and addressed in the Narrative Statement Any other updated items are to be submitted with your completed supportive materials and a new Certification Application with the current certification application fee. Applicants can re-enter the Certification Application process after receiving their official certification denial letter from the Certification Commission, and after the 20-day appeal deadline has passed. The NACC will not hold over any supportive materials except for your academic and ACPE transcripts

15 NACC Website Please refer to the NACC Website under Certification at for information. 29 Interview Process for the Certification of Chaplains Part I of the Presenter s Report will be available to the Applicant at the interview site one hour before the interview. The Presenter of the Interview Team, when reviewing the Applicant s materials, verifies that the Theory of Pastoral Care, Identity and Conduct, Personal, and Professional competencies have been addressed. A check mark in the Needs Clarification column creates a question for the Interview Discussion section at the bottom of the report. The questions on the Presenter s Report Part I do not limit the interview discussion; rather, they provide a starting point of discussion in the interview. The Presenter may seek consultation from other members of the interview team in preparing the report

16 Interview Process (continued) What is the expectation of the Applicant once the Applicant enters the interview room? Rather than a traditional style interview where 1 person asks a series of questions and you answer, the expectation is that YOU would be in charge of your own interview. Please see attached SAMPLE of PR-I for questions listed at the end of the PR-I. You will notice the Standards (from all the checked boxes) are integrated into these questions. This is your base for your interview discussion. As you address each question, please give specific examples of your experience (while taking necessary time to reflect upon your answers) to demonstrate your competency to each of these Standards needing further clarification. 31 Interview Process (continued) 15-Tips for a Good Interview: Enter the room smiling. Shake hands with Interviewers. Address Interviewers by formal titles (see name badge). Thank the team for the work & time they put into this process. Be confident and friendly. Be aware of your eye contact; should not focus more on the female member of the group (or only the male members of the group and not the female). Engage your team by making excellent eye contact with ALL. Keep your response direct, to the question

17 Interview Process (continued) Give specific examples of your experience while taking necessary time to reflect upon your answers. Do not speak rapidly and continuously without any pause for reflection. Check with the team to be sure they are following you. Exhibit COMFORT in taking time to formulate your answers. RELAX so that you can easily move into a more pastoral response to the questions. Show flexibility when asked for clarification or additional comments in situations. If you feel nervous, take a deep breath and CALM yourself. Be comfortable with your team. Be sure to clarify each question within the allotted 50-minutes. You are genuine and caring and obviously love what you are doing. This is YOUR time to shine! 33 Interview Process (continued) The interview lasts fifty (50) minutes, followed by a deliberation process during which the Applicant is asked to leave the room. The Interview Team creates a summary document called the Presenter s Report Part II. This document provides a synopsis of both the process and the content of the interview, as well as the team s recommendations. Presenter s Report Part II includes a vote by the Interview Team to recommend or not to recommend the Applicant to the Certification Commission for certification. The deliberation process normally takes approximately one hour

18 Interview Process (continued) After the deliberation process the Applicant is invited to rejoin the Interview Team. The Team gives their recommendation and an oral report based on the Presenter s Report Part II. This oral report concludes the interview without additional discussion. Three sets of the Applicant s materials are returned to him/her, and he/she is asked to sign a Receipt of Certification Materials Form. The fourth set of materials, held at the NACC National Office, is destroyed following the next meeting of the Certification Commission and once the time of appeal has lapsed. 35 Interview Process (continued) Following the interview, Presenter s Reports Parts I and II are forwarded to the Certification Commission for action at its next scheduled meeting. Presenter s Report Part II and the Commission s decision to grant or deny certification are communicated to the Applicant within thirty (30) days of the Certification Commission s action

19 Interview Process (continued) The Missioning Ceremony of newly certified Chaplains and CPE Supervisors ordinarily takes place during a Eucharistic Celebration at the next annual conference of the National Association of Catholic Chaplains. 37 Interview Process (continued) If certification is denied, the Applicant has the right to appeal the decision or reapply for certification. For the Certification Appeals Procedures, see the Certification Procedures Manual (CP 61-63)
