1 IKEM -toolkit Gives support for managing your electronic documents on the basis of a standardised knowledgebase. This is a semantic network of concepts that are inter-related according to ISO-norm thesaurus structure. ISO norm 2788 (1986) The IKEM -toolkit contains different network-based modules that use the central thesaurus as network of controlled related concepts: Thesaurus Manager Indexer Searcher Viewer Webkit Knowledge Manager Short description of the modules: Thesaurus Manager: this knowledgebase contains controled keywords represented in a standardised database format with hierarchic, equivalent and related relations. Also scope notes can be attached to every keyword. An automatic HTML-convertor can be used to publish your thesaurus as a web-document. Maintenance of the thesaurus can be supported by group annotations that are automatically clustered on the basis of the thesaurus relations. Indexer: this module supports the automatic indexing of all your electronic documents: keywords and concepts are automatically associated to each document. This process is based on the patented method which is basically an intelligent projection of all thesaurus terms on all document words. Also thesaurus update terms are automaticcaly suggested. Searcher: this module supports 7 ways to search your indexed electronic documents: full text search, keyword- and concept search, update-term search, hierarchic search, name-search and alphabetic term search. Viewer: the document viewer is an integrated module. The full document content is displayed with coloured identification of keywords and update terms. Also the associated concepts can be viewed. Webkit is a separate module to consult the thesaurus module through a webbrowser. Knowledge Manager supports pattern-based analysis of your electronic documents. Specific causal patterns, e.g., can be indexed in order to search a document collection for causes and effects that are related to subjects that are represented in your thesaurus. All modules of the IKEM -toolkit can be used separately on a stand alone PC or within a local network which has the thesaurus a server. The modules can also be integrated with, e.g., MsWord en Lotus Notes/Domino.
2 IKEM -toolkit for thesaurus-based managing of all your documents The IKEM -toolkit is an integrated software platform for managing all your electronic documents that are living on your intranet: your lab-reports, s, web-pages, business plans, etc. At any time, you will find your reports, thanks to the patented IKEM -indexing method. The IKEM -toolkit contains different network-based modules that are clustered with an electronic thesaurus: Thesaurus Manager Indexer Searcher Viewer Webkit Knowledge Manager Ikem Thesaurus Manager Ikem Indexer Ikem Searcher Ikem Document Viewer Ikem Webkit
3 IKEM -architecture The IKEM -toolkit can be installed as a personal workstation or as a corporate intranet system. In both installations, the thesaurus administrator has a strategic role since s/he maintains and updates the conceptual reference used for automatic indexing and retrieving all managed electronic documents. The results (keywords and concepts) can be mailed to the author for evaluation. can search for relevant annotations to update the thesaurus and to add new concepts. Support and merge personal thesauri in order to generate corporate thesauri. The IKEM -clients can : search and retrieve the indexed documents by browsing through the thesaurus. browse and annotate the thesaurus for new concepts or corporate conceptual references create a personal thesaurus which reflects his/her personal view on the global intranet-organisational documents.
4 Structuring corporate expertise The IKEM Thesaurus Manager is a multi-user tool for all maintenance functions of the standard ISO-2788-regulated thesaurus relations between singular or compound terms. These relations are: Hierarchy relations between Broader and Narrow terms: e.g. car has as broader term vehicle, Equivalence relations between Use and Use-for terms: e.g., VR is used for virtual reality, Associations relations between Related terms: e.g., speed is related to sports car Scope Note relations provide the place for examples of the usage of a term, e.g., by a paragraph, a speech file or a digitized video file. Annotations: for storing all comments from endusers and indexers for maintenance purposes. A thesaurus is a strategic instrument for any organisation since it is a semantic network of related terms that functions as a reference knowledge base for the organisation. Keyword Search bar Descriptor (division of VARTEC) provides support in your selection and creation of new thesauri. We have an in-house library of step-in thesauri, which can be installed on test at your organisation. We have a method for building your thesauri, according to ISO-standards. 5 The IKEM Thesaurus Manager has a webconverter for automatic translation to html-format of all your thesaurus relations. The result is a powerful tool, e.g., to publish your thesaurus on your intranet so that all staff members can consult the corporate thesaurus as a ISO-standardisation instrument. Web converter Ikem Thesaurus Manager Excel converter The IKEM Thesaurus Manager has an Excelimport function to convert your thesaurus spreadsheet into the IKEM Thesaurus Manager format. The result is a powerful and flexible editing tool for processing thesaurus relations
6 The IKEM Thesaurus Manager has a group-annotator to support thesaurus users for suggesting new terms or to add comments about the existing relations in the thesaurus. All annotations are automatically clustered according to their subject. Such group-discussions are powerful feedback collectors and stimulate the important informal exchange of expertise between team members. 7 The IKEM Thesaurus Manager has a set of functions to support the maintenance of the electronic thesauri that are managed by the IKEM-toolkit. An important function is based on Thesaurus-update module. This module generates during the indexing process, a list of relevant keywords from each indexed document. These suggested keywords are not in the thesaurus but can be considered to be included in the thesaurus since their listed frequency could be an indication of their relevance. 8 The IKEM Indexer generates automatically keywords and concepts for the delivered electronic documents. Keywords are terms that are present in the document as well as in the thesaurus. Concepts are terms from the thesaurus that have a broader term relation with the generated keywords and are not found in the document. The IKEM Indexer is a background process, which can be started by an Ikem-operator or by a software agent which indexed on the basis of predefined events. 9 Searching your documents To search your indexed documents, the Ikem Searcher loads the thesaurus, and the user can input his search term in the seven search bars so that a list of mapped terms is generated from which the user can select. After selecting a term, a tree-based term representation indicates the number of retrieved k-documents and c-documents. This search approach can be combined by a browsing process based on the hierarchic term relations from the thesaurus. The retrieved documents are indicated by their file name. Clicking on the file name opens the Ikem-document Viewer. 10 To view your indexed and retrieved documents, the Ikem Document Viewer can be consulted at any time during the consultation process. Special buttons let you indicate all keywords (from the thesaurus) and relevant concepts (not present in the document) but related to the document since these concepts are broader-terms of all keywords. 11 By using the Ikem Document Viewer all keywords, concepts and update terms are directly visible. The numbers of the keywords and the update terms indicate their absolute frequency. The numbers of the concepts show the calculated thesaurus distance. Ikem Document Viewer
12 Ikem Knowledge Manager Ikem Knowledge Manager is a GroupWare-based tool for interactive causal relation extraction in your electronic documents. Different types of causal knowledge are identified while the enduser selects them to index the documents. The Ikem Knowledge Manager supports interactive extraction of the context for which the causal relations are true. Based on this explicit context, causal queries are supported: e.g. What documents identify a positive influence between concept X and keyword Y in context Z? Ikem Knowledge Manager: for indexing causal expertise in your organisation
13 Ikem Competence Manager The Ikem Competence Manager supports maintenance of software agents, which represent and monitor the individual competences of endusers using the Ikem Toolkit. These compentence are expressing personal interest profiles in the form of weighted attributes to keywords, concepts and relations, used in the Ikem Toolkit environment. The Ikem Competence Manager pro-actively monitors all indexed documents (e.g., incoming mails and/or documents) and parses the contents to check if some document can be automatically routed to the owner of the respective competence profile. Ikem Competence Manager: for personalised broadcasting of documents based on competence profiles.
