5 Introduction Set & Forget Marketing is an interactive, automated marketing system that allows Shortcuts clients to generate automated and/or SMS marketing campaigns. Clients can choose from a range of message templates designed to suit a wide variety of salons and spas (which can be further adapted for their own needs). Set & Forget Marketing is fully integrated into the Shortcuts software, allowing clients to update their own salon profiles online, which in turn automatically updates their information back in the Shortcuts database. Set & Forget Marketing can also provide links in the s directly to their salon website or online booking site to encourage online appointment bookings (BookME). 6 Logging In/Out Logging In To login to Set & Forget Marketing, perform the following procedure: 1. Using your Internet browser, navigate to the following URL: 2. Type in your user name into the User name field. 3. Type in your password into the Password field. 4. Click the Sign In button to login to Set & Forget Marketing. Logging Out You can log out from any screen within Set & Forget Marketing by simply clicking on the Logout link. The gcast website automatically logs you off after a certain period of inactivity. It will, however, prompt you to extend your time periodically. Click on the OK button to extend your time. We strongly recommend that you regularly save your work as a precautionary measure, however. 7 Templates Before you can start using Set & Forget Marketing, you will need at least one template. Most businesses will have one template for each marketing campaign that they send out; you may have more or less as your needs require. You can either use one of the many excellent Shortcuts templates we provide, or you can create your own. E- mail templates can be easily modified to suit your specific needs. They operate on a What-You-See-Is-What-You-Get (WYSIWYG) format, which means if you are familiar with Microsoft Word or other word processor; you will be able to change these templates easily. This section will explain how to modify the standard templates using some of the more advanced functions of the Set & Forget Marketing software and will cover: Copying down the Standard Shortcuts Template - how to edit an existing Shortcuts template and save it for your own use. Editing Templates - how to customize an template s font, pictures, tables etc. Using the Creator - how to use the Creator wizard. Copying down the Standard Shortcuts Template Use this procedure if you really like the purpose, layout and format of one of our existing templates and want to use it for your own. You may, of course, further edit and customize the template to suit your own needs. 1. In the Set & Forget Marketing website, click on the Template Library tile. The Template Library screen will appear. 2. Click on the relevant category in the Template Library that contains the desired template. 8 3. Click on the Edit link for the relevant template you want to use. The Design Template screen will appear. 4. Ensure that the Anyone option is selected. 5. Modify the content and layout of the template as needed. For more information about editing templates, see Editing Templates on page 18. You can import an existing template s content and layout into your new template. For more information, see Switching Templates on page 40. If you have been editing the template in full-screen mode, you will need to return to the normal view before you can save your changes. 6. Click on the Save as your own button. You may need to scroll down the screen to see this button. A window will appear asking you if you want to save a copy of this template as your own. 9 7. Click the OK button and wait until a message appears on the screen saying that a new copy of your template has been saved. 8. Click on the <<Back button at the bottom of the screen to return to the Template Library screen. Your new template will appear in your own personal template library. 10 Editing Templates This section covers how to edit various parts of an template, including: Rows/Columns/Cells - how to add, edit and delete rows, columns and table cells in your template Changing Font/Size/Color - how to change the font, size or color of text in your template Personalized Fields - how to use personalized fields in your template URLs - how to add URL (webpage links) into your template Pictures - how to add, edit or change pictures in your template Adding Pre-Written Content - how to insert pre-written content into your template Adding Survey Links - how to add survey links to your template Adding Trackable Links - how to add trackable links to your template Switching Templates - how to switch template formats When editing templates, we recommend that you use the fullscreen mode as this allows you to see much more of the template at one time. To access the fullscreen mode, simply click on the Fullscreen icon when you are editing an e- mail template. Rows/Columns/Cells templates are designed using tables, which provides a robust, yet flexible framework in which to create your e- mails. Tables are made up of cells (smaller blocks inside the table), rows (a horizontal group of cells) and columns (a vertical group of cells). Rows, columns and cells are defined in the template by a dotted white line surrounding them. A Row A Column A Cell You may, at times, wish to add or delete rows and columns. 11 Adding a Row 1. Click to place the cursor in the desired location in the , then right-click on the location and select either the Insert row before or the Insert row after option, as appropriate. 1a. Click to place your cursor... 1b.... then select the appropriate option 2. The new row will be added above or below the selected point, as appropriate. A New Row Deleting a Row 1. 12 Adding a Column 1. Click to place the cursor in the desired location in the , then right-click on the location and select either the Insert column before or the Insert column after option, as appropriate. 1a. Click to place your cursor... 1b.... then select the appropriate option 2. The new column will be added before or after the selected point, as appropriate. A New Column Deleting a Column 1. Click to place the cursor in the column you want to delete, then right-click on the location and select the Remove column option. The row will be deleted. 1a. 13 Editing Table Properties 1. Right-click anywhere in the template and select the Table Properties option. The Insert/Modify Table window will appear. 2. Adjust the table s properties as desired, such as width, height and alignment: The Cellpadding field allows you to specify the space INSIDE each cell between the edge of the cell and the text/image. The higher the number entered in this field, the bigger the space. The Cellspacing field allows you to specify the space OUTSIDE each cell between the edge of the cell and the next cell. The higher the number entered in this field, the bigger the space. The Alignment drop-down list allows you to specify the alignment for the image (e.g. left, right, center). The Border field allows you to put a border around your table. The higher the number entered in this field, the thicker the border. Note that this border is grey and its color cannot be changed. The Width and Height fields allow you to specify the width and height of the row/column/cell. 3. Click the Update button to save your changes. 14 Editing a Row/Column/Cell s Properties 1. Click to place the cursor in the row, column or cell you want to edit, then right-click on the location and select the Table cell properties option. The Table Cell Properties window will appear. 1a. Click to place your cursor... 1b.... then select Table cell properties 2. Adjust the row/column/cell s properties as desired, such as width, height and alignment: The Alignment drop-down list allows you to specify the alignment for the image (e.g. left, right, center). The Cell Type drop-down list allows you to specify whether the row/column/cell is a Data or Header type. In most cases, you would leave this as Data. The Vertical Alignment drop-down list allows you to specify the vertical alignment for the image (e.g. top, center, bottom). The Scope field allows you to specify whether the cell is a row, a column, part of a row group or part of a column group. The Width and Height fields allow you to specify the width and height of the row/column/cell. 3. If you are editing a cell or column, click to select the Update current cell option from the drop-down list above the Update button. If you are editing a row, click to select the Update all cells in row option from the drop-down list instead. 4. Click the Update button to save your changes. 15 Changing Background Color for a Row 1. Click to place the cursor in the desired row, then right-click on the location and select the Table row properties option. The Table row properties window will appear. 1a. Click to place your cursor... 1b.... then select Table row properties 2. Click on the Advanced tab, then click the Browse button beside the Background color field. The Select a color window will appear. 3. If you know the exact code for the color you want, type it into the Color field, then click the Apply button to return to the Table row properties window. Otherwise, use the Picker, Palette or Named tabs to select the color you want, then click the Apply button to return to the Table row properties window. 16 4. Click on the Update button to change the color of your row. 5. You will be returned to the template, and the row s color will be changed. Changing Background Color for a Column/Cell 1. Click to place the cursor in the desired column or cell, then right-click on the location and select the Table cell properties option. The Table cell properties window will appear. 17 2. Click on the Advanced tab, then click on the Browse button beside the Background color field. The Select a color window will appear. 3. If you know the exact code for the color you want, type it into the Color field, then click the Apply button to return to the Table cell properties window. Otherwise, use the Picker, Palette or Named tabs to select the color you want, then click the Apply button to return to the Table cell properties window. 4. Click on the Update button to change the color of your row. You will be returned to the template, and the column or cell s color will be changed. 18 Changing Font/Size/Color Like any word processor, you can change the font, size, color and other formatting of your text using the Text toolbar. Font drop-down list Font Weight Text size drop-down list Justification Bullets and Numbering Tab Spacing Super/Sub script Highlighting and Text colour drop-down lists To change the formatting of a text, highlight the appropriate text portions using the mouse, then click to select the appropriate formatting from the Text toolbar. Personalized Fields Personalized fields are a superb way to customize a campaign for each client. Personalized fields may include a client s name, your company name, your phone number, your web address etc. This is a personalised field. To use a personalized field in an , click to place the cursor in the desired location in the , then click to select the desired personalized field from the Personalized Field drop-down list. If you have a Facebook or Twitter account, you can also include social media links such as Facebook likes or Tweet buttons in your . 19 URLs A URL (Uniform Resource Locator) is the term given to a link that takes you to a particular internet webpage. To insert URL links in your s, use the following procedure: 1. Click to place the cursor in the desired column or cell and type in the text for the link you want to create (e.g. Visit our website, Homepage). 2. Highlight the text for the URL, then click on the Insert/edit link icon. The Insert/edit link window will appear. 3. Type the URL for the desired webpage into the Link URL field, including the prefix, if necessary. 4. Click on the Insert button to insert your URL link into your template. 20 Pictures You can add (or change) pictures to your templates to give them a lot more impact. When importing images, remember the following guidelines: The template s width is 650 pixels. Ideally, any pictures you use should not exceed this width. You may, however, choose to use larger sized images, and instead adjust the template accordingly. The default half-banner logo is 278 x 72 pixels in size. We recommend that the image you use for your banner conform to this size. You may, however, choose to use a larger sized logo that takes up the entire banner. The template banner is 650 x 100 pixels in size. We recommend that the image you use for your banner conform to this size. You may, however, choose to use larger sized images, and instead adjust the banner accordingly. Other template images are 278 x 278 pixels in size. If you are intending to simply replace the existing images in the template, your new images should conform to this size to make editing as easy as possible. Again, however, you may choose to use larger sized images, and instead adjust the template accordingly. Uploading your Custom Images to the Set & Forget Marketing website Before you can use your own images in your marketing s, you will need to upload these images to the Set & Forget Marketing website. 1. In the Set & Forget Marketing website, click on the Admin link. The Administration screen will appear. 2. Click on the Image Gallery link. The Images window will appear. 21 3. Click to select your business from the Folders section on the left. Any existing images available for your business will be displayed in the Folder Contents section. To upload a new image, click the Browse button. The Choose File window will appear. 4. Browse to the desired image located on your hard drive, then click on the Open button. You will be returned to the Images window. 5. Click the Upload button to upload the image to the website. A message will be displayed saying the upload was successful, and the new image will be added to the list of available images under your business category. 6. 22 Inserting a Half-Banner Logo Image 1. Click to select the old logo image, then click on the Insert/edit image icon. The Insert/edit image window will appear. 1b.... then click on the Insert/edit image icon. 1a. Select the old logo Click on the Browse icon beside the Image URL field. The Images window will appear. 3. A number of available images will be displayed on the screen. Click on the Select link below the image you want to use for your logo, and you will be automatically returned to the Insert/edit image window. 4. 23 You have finished adding your new logo to your template! A new logo! Inserting a Full-Banner Logo Image 1. Right-click anywhere in the right side of the template banner, then click to select the Remove column option from the pop-up menu that appears. 1a. Right-click in the banner... 1b.... then select Remove column. 2. Click to select the old logo image and press the Delete button on your keyboard to delete the old logo. 2. Click to place the cursor where you want to insert the picture, then click on the Insert/edit image icon. 27 Editing an Existing Image s Settings 1. To edit an existing image s settings, click on the image you want to edit, then click on the Insert/edit image icon. The Insert/edit image window will appear. 2. Adjust the image s settings as desired, such as size, alignment and border. The image settings are split between the General, Appearance and Advanced tabs: The Image Description field allows you to enter a description for the image. The Title field allows you to enter a title for the image. The Alignment drop-down list allows you to specify the alignment for the image. The Dimension fields allow you to specify the height and width of the image. The Vertical space field allows you to put additional spacing (in pixels) above and below the image. The Horizontal space field allows you to put additional spacing (in pixels) to the left and right of the image. The Border field allows you to put a border around your image. The higher the number entered in this field, the thicker the border. Note that this border is black and its color cannot be changed. The Swap Image and Miscellaneous fields are used primarily by your web designer for advanced editing. Consult your web designer for more information. 3. 28 Adding Pre-Written Content Shortcuts has provided a number of pre-written text blocks that can be easily slotted into campaigns, making it even quicker and easier to put together marketing s! 1. To insert a pre-written text block into an template, click to place the cursor in the desired location in the e- mail, then click on the Promotion Copy Content icon. The Pre-Written Promotional Content Library window will appear. 1a. Click to place your cursor... 1b.... then click the Promotion Copy Content icon 2. Click to expand the appropriate category and sub-category, then click on the desired content link. The pre-written text will be displayed on the screen. 30 Adding an Existing Trackable Link For more information on trackable links, see Setting up Trackable Links on page To insert a pre-defined trackable link into an , click to place the cursor in the desired location in the , then click on the Links icon. The Insert a Link window will appear. 1a. Click to place your cursor... 1b.... then click the Links icon 2. Click on the [Insert Link] link beside the relevant trackable link you wish to insert. 31 Making all Links Trackable You can choose to make all links in your campaign trackable by ticking the Make all links trackable option at the bottom of the template. Set & Forget Marketing will automatically add a tracking code to each link when your campaign is sent. Note that the following types of links cannot be made trackable: Set & Forget Marketing survey links Set & Forget Marketing Unsubcribe, Upgrade, Sign Up & Refer a friend links Mailto links (e.g. mailto:support@shortcuts.com.au) Anchors Trackable links also need to be created manually when using the snapshot method and uploading a file. Switching Templates 1. You can import content from a completely different template by clicking on the Copy New Content icon. The Template Selector window will appear. 2. Click on the desired Category, then click on the Use this template link for the relevant template. The existing template will be replaced by the new one. 32 Setting up a Campaign A Campaign refers to a set of rules and a Set & Forget Marketing template that you send to your customers on a once-off or regular basis. During your initial training session, your Shortcuts trainer will create several default campaigns for the client based on the generic templates available. This section will cover: Setting up Campaign Settings - how to setup general settings for your campaigns Setting up the Default Campaigns - how to copy the default ( or SMS) campaigns to your account Finding an Existing Campaign - how to search for and locate an existing campaign Editing an Existing Campaign - how to edit an existing campaign. Setting up a New Campaign with an Existing Template - how to create a new campaign based on an existing template Using Barcodes in Set & Forget Marketing - how to include barcodes in your marketing campaigns If you have a Facebook or Twitter account, you can also send out campaigns via these social media channels. See Social Media on page 104 for more information. Setting up Campaign Settings Before you start creating campaigns, it is recommended that you setup some default settings common to all your campaigns. To do so, use the following procedure: 1. In the Set & Forget Marketing website, click on the Admin link. The Administration screen will appear. Set & Forget Marketing User Guide 40 Copyright Shortcuts Software Do not reproduce

33 2. Click on the Site Preferences link. The Site Preferences screen will appear. 3. Click on the Campaign Settings tab. The Campaign Settings screen will appear. Any values that you enter into this screen will be used as default settings for all campaigns you create. You can freely change individual campaign settings as required (see Setting up the Default Campaigns on page 49 and Setting up a New Campaign with an Existing Template on page 54 for more information). 4. The Campaign from name field allows you to specify the default name that a campaign appears to be coming from. For example, if you entered John Smith into this field, clients receiving your campaign s would see it as coming from John Smith. Enter the desired name into this field. 5. The Campaign from field allows you to specify the default address that a campaign appears to be sent from. Enter the desired address into this field. We recommend that you use an address from your own domain name or a premium account. Free providers such as AOL or Yahoo may not allow their free service to be used for marketing services such as Set & Forget Marketing. 6. The Campaign reply-to name field allows you to specify the default name to which replies to a campaign will be addressed to. For example, if you entered Jane Field into this field, any replies from your clients would be addressed to Jane Field. Enter the desired name into this field. 7. The Campaign reply-to field allows you to specify the default address that replies to your campaign s will be sent to. Enter the desired address into this field. 8. The Campaign Footer fields allows you to create a default footer that is appended to the end of each of your campaign s and/or faxes. Enter the footer into the field, if desired. 34 9. Click to select the desired alignment (system default, left, center or right) from the Align campaign to the: dropdown list. 10. Click to select the desired option from the Include "Can't read this? Click here" link above the main content: drop-down list. If you are unsure of which option to pick, choose the Default option. 11. If you want to make all links in the trackable (see Setting up Trackable Links on page 79 for more information), click to select the Yes option from the Make all links in every trackable drop-down list. If you are unsure of which option to pick, choose the Default option. 12. If you are going to send SMS campaigns it is crucial that you have nominated your SMS provider and entered your account username and password. This information will be automatically populated if you are using SMS Appointment Confirmations. If you are not using SMS appointment confirmations you will need to enter your account details here manually. 13. Click the Save button to save your changes. 35 Setting up the Default Campaigns To copy a default campaign, use the following procedure: 1. In the Set & Forget Marketing website, click on the Campaign Manager link. The Only send one copy option allows you to send just one to customers who share a single address. This is especially important if your campaigns reference multiple client databases (and therefore containing possible customer duplicates). The Sent from fields allow you to specify the address from which the campaign appears to have come. By default, it uses the default campaign settings for your business (see Setting up Campaign Settings on page 46). If you d like to change these settings, enter your name and address into the appropriate fields. We recommend that you use an address from your own domain name or a premium account. Free providers such as AOL or Yahoo may not allow their free service to be used for marketing services such as Set & Forget Marketing. The Reply to fields allow you to specify the address to which replies to the campaign will go. By default, it uses the default campaign settings for your business (see Setting up Campaign Settings on page 46). If you d like to change these settings, enter your name and address into the appropriate fields. The Personalized Company fields option is only relevant if you are an Enterprise client or have multiple sites for your business. By default, the campaign is sent using your Head Office s details. To have the campaign s display the individual site s details instead, click to select the Member s Partner option. Note that if you are sending campaign s to more than one site, selecting the Member s Partner option means that campaign s sent to a specific site s clients will display the details for the site they belong to. If sites do not have their own specific settings, the Head Office s details will be used. 13. Once you have finished modifying the various options, click the Save & continue button. 39 14. These are pre-defined demographics for the copied campaign, and we recommend that you do not change them. If you wish to change the demographics, however, enter the appropriate demographic restrictions for this campaign, then click the Status tab. The Status screen will appear. 15. Before you can activate the campaign, you first need to send a test to ensure that you are happy with the way the final marketing looks. By default, the test will be sent to your address. Enter any other appropriate addresses into the appropriate field, then click the Send test button. This will send a test to the specified addresses. 16. Open up the test in your program and check it for any errors according to the checklist provided in the Status screen. Tick off each option as you go. 17. Once you are happy with your campaign, click on the Activate button to activate it. A window will appear asking if you are sure you want to activate the campaign. 18. Click the OK button to continue. The campaign will be saved and activated. 19.Repeat Steps for each of the other Set & Forget Marketing campaigns. You have finished setting up your default campaigns! Finding an Existing Campaign Once created, existing campaigns can be found in the Campaign Manager screen by clicking on the Campaign Manager link in the menu. You can search for existing campaigns by entering the appropriate search criteria into the Campaign Search History section, then clicking on the Search History button. 40 Editing an Existing Campaign To edit an existing campaign, perform a search for the appropriate campaign (see Finding an Existing Campaign on page 53), then click on the relevant campaign name link. This will take you to the Campaign screen, where you can edit the campaign s settings as required. Note that if you are trying to edit a campaign that has already been activated, you will need to make it inactive first before you can edit it. Setting up a New Campaign with an Existing Template Occasionally you may want to setup an entirely new campaign based on one of your own templates. To do so, use the following procedure: 1. In the Set & Forget Marketing website, click on the Campaign Manager link. The Create New Campaign screen will appear. 2. Click on the Template tile. The Template Library screen will appear. See the bullet point on Personalized Company fields on page 52 for more information. 7. Once you have finished modifying the various options, click the Save & continue button. The Demographics screen will appear. 8. Enter the appropriate demographic restrictions (e.g. gender, state) for this campaign by clicking on the + button and then selecting the appropriate category (e.g. Core Demographics), sub-category (e.g. Personal Details) and attribute (e.g. First Name) for the desired demographic. Repeat until all the necessary demographics have been added. To delete unwanted demographics, click on the - button beside the relevant demographic. IMPORTANT NOTE! We do not recommended using the Age Groups demographics for your campaign unless all of your clients have a date of birth entered, INCLUDING THE YEAR. 43 You can also create what are called Demographic Scenarios, which can be thought of as different sets of applicable criteria for the same marketing campaign. For example, your main demographic might be all clients from the age group, but you also want to include anybody whose birthday is in February. To do this, you would set up your main age group demographic as normal, then click on the + button beside the Add a new scenario section, and create the February demographic. The resulting demographic scenarios would look like the following. Notice the OR separator between the two different demographics. You can check to see how many clients will receive the campaign by clicking on the Check Recipients button. 9. Click the Status tab. The Status screen will appear. 10. Before you can activate the campaign, you first need to send a test to ensure that you are happy with the way the final marketing looks. By default, the test will be sent to your address. Enter any other appropriate addresses into the appropriate field, then click the Send test button. This will send a test to the specified addresses. 11. Open up the test in your program and check it for any errors according to the checklist provided in the Status screen. Tick off each option as you go. 12. Once you are happy with your campaign, click on the Activate button to activate it. A window will appear asking if you are sure you want to activate the campaign. 13. Click the OK button. Using Barcodes in Set & Forget Marketing Although Set & Forget Marketing does not yet have the capability to generate barcodes, you can still use barcodes in your campaigns via the following workaround: Stage 1: Create a Barcode 1. 44 2. Type in the code you d like to use (e.g. Birthday). This will be used to connect the discount in Shortcuts. If you are using Set & Forget Marketing Promotion Codes, the barcode text you enter here should be identical to the promotion code used. 3. Click the Generate Barcode button. 4. Right-click on the barcode image and select the Save The Picture As option from the menu that appears. 5. Browse to the desired location on your computer (e.g. the Desktop), then click the Save button. Stage 2: Add the Barcode to your Set & Forget Marketing Template 1. In your Set & Forget Marketing template, click to place your cursor at the location you want to insert the barcode image, then click the Direct Gallery Access button. 2. Click the Browse button and locate your saved barcode image, then click the Open button. 3. Click the Upload button to upload your barcode to Set & Forget Marketing. A message will appear on screen when this is complete. 4. Click the Select link beneath your newly uploaded barcode image to insert it into your template. 46 Setting up Trackable Links A Trackable Link is a link to a particular webpage or attachment that is tracked in Set & Forget Marketing, allowing you to see how many of your customers are clicking on particular links. (Each such click is known as a hit.) This section will cover: Setting up the Default Trackable Link(s) - how to setup the default trackable link(s) Creating a New Trackable Link - how to create a new trackable link Finding an Existing Trackable Link - how to locate an existing trackable link Editing an Existing Trackable Link - how to edit an existing trackable link Normal links in a campaign can also be turned into trackable links, subject to certain restrictions. See Making all Links Trackable on page 40 for more information. Setting up the Default Trackable Link(s) Shortcuts has created several default trackable links for your use. These links are intended to help you speed up the creation of trackable links. You may not need to use all of these default links; simply choose whichever is most appropriate for your business! 1. In the Set & Forget Marketing website, click on the Admin link. The Administrations screen will appear. 2. Click on the Special Links link. The Links page will appear. 3. Click on the Trackable tab. While you can give the link any code you want, we recommend that you choose a code that is descriptive and easily recognisable. 7. Type in the website address for the trackable link into the Url field. 8. Click the Save & return to list button. You will be returned to the Copy Link screen. 9. If this is the kind of trackable link you want to create, click to select the Upload a File option and go to Step 6. An Internet Web Address - A customer clicking on this kind of trackable link will be taken to a specified webpage. If this is the kind of trackable link you want to create, click to select the Supply an internet address option and go to Step If you are using an image for your trackable link (see Step 11 below), click to place a tick in the Snapshot option. 7. Click on the Browse button beside the File field to browse to and select the file you want to use for your trackable file, then click the Open button. 8. If desired, enter a short abbreviation or text description of this trackable link in the Code field (e.g. CMF). 9. If desired, enter a longer text description of this trackable link in the Desc field (e.g. Club Membership Form). 10.Enter the text for the trackable link into the Text field. If you are using an image for the trackable link, this text will be displayed if the user hovers their mouse cursor over the link. 11. If you want to use an image for your trackable link, enter the URL for the image in the Image field. Alternatively, click on the Gallery link to select an image from your Set & Forget Marketing image gallery. (See Uploading your Custom Images to the Set & Forget Marketing website on page 28 for more information on how to upload your images to Set & Forget Marketing.) 51 Finding an Existing Trackable Link 1. In the Set & Forget Marketing website, click on the Admin link. The Administrations screen will appear. 2. Click on the Special Links link. The Links page will appear. 3. Click on the Trackable tab. All of your currently available trackable links will be displayed on the screen. You can see just how many hits each trackable link has accumulated in the Hits column for the relevant link. Editing an Existing Trackable Link To edit an existing trackable link, perform a search for the appropriate link (see Finding an Existing Trackable Link on page 83), then click on the [edit] link beside the relevant trackable link. This will take you to the New Trackable screen, where you can edit the link s various details. To delete a trackable link, click on the Delete icon beside the relevant link in the Trackable screen. A window will appear asking you if you want to delete the link. Click OK to continue. Note that you cannot delete trackable links that have already accumulated one or more hits. 52 Image Gallery The image gallery is a place for you to store and upload pictures within your Set & Forget Marketing account. You can also create sub-folders to store your images in. This chapter will cover: Accessing the Image Gallery Creating a Sub-Folder Uploading Images to a Folder Each process will be covered in more detail below. Accessing the Image Gallery 1. In the Set & Forget Marketing website, click on the Admin tab. The Administration screen will appear. 2. Click on the Image Gallery link under the Resources section. The Image Gallery window will appear. 3. The current folder being viewed will be displayed in the Current Folder field. There are generally four available options for folders: Staff member s images Images in this folder are only available to the logged in staff member. No other staff member can access these images. Your company Images in this folder are available for all staff members within the company to access. Industry Relevant images based on the partner s industry may be available in this folder. System Images in this folder are available to all system users. If you have a parent account sharing images with you, its folders will also be displayed. Creating a Sub-Folder You may wish to create your own sub-folders to better organise your images. 1. Click to select the New subfolder option from the Folder options drop-down list. The New Folder Properties section will appear. 2. Enter the name of your new sub-folder into the field provided. 3. Click the Save button to finish creating your new sub-folder. 53 Uploading Images to a Folder 1. Click on the folder you want to upload the images to. 2. Click on the Browse button to search for and select the desired image. Once you have selected the image, click the Upload button to upload your image. Images must be less than 4MB in size, and be in either a JPEG, GIF or PNG format. 3. Once your image has uploaded, you should see the image on-screen along with a message stating that the upload was successful. 54 Checking Campaign Results To check the status and results of your campaigns (bounce back, opts outs, etc.), use the following procedure: 1. In the Set & Forget Marketing website, click on the Campaign Manager link. The Create New Campaign screen will appear. 2. In the Search Existing Campaigns section, click on the V buttons to select the date range for the campaign from the Campaigns sent between fields. To view all campaigns you ve created, you can just click on the Search History button without entering any search criteria. 3. Click to select the campaign s status from the Campaign status drop-down list. 4. Click to select the campaign s send method ( , SMS or both) from the Send method drop-down list. If your business is an Enterprise or multi-site chain, you will also see an additional option called Include campaigns belonging to parent organisation(s). Normally, you will not see any campaigns which were created at a higher level (e.g. Head Office level) than your site. If you want to include campaigns created at this higher level in your search, click to place a tick in this option. Campaigns that have been created at a higher level will be indicated by a Parent/child icon as shown below. Note that you will still only be able to see campaign results for clients belonging to your site. 5. Click on the Search History button. 56 6. You can drill down into each section for more information by clicking on the numbers beside each campaign (Sent, Delivered etc.) The Campaign Report screen will appear. If you click on the Details link beside a campaign, you will see a quick breakdown of all the campaign s statistics. You can also click on the Publish Report option to generate a link you can send to others you want to view the campaign results. 7. To export the list of clients in a CSV format, click on the CSV link and save the file to the desired location on your computer. 57 Correcting Bounce Backs/Bad s If a campaign is undeliverable after several attempts, the client s address will be marked as Bad, indicating that s will no longer be sent to that address. To rectify this, it is recommended that you check your mailing list periodically by performing the steps below: 1. In the Set & Forget Marketing website, click on the Admin link. The Administration screen will appear. 2. Under the Resources section, click on the Reports and Statistics link. The Reports and statistics screen will appear. 3. Click on the Start member search link. The Advanced member search screen will appear. 4. Enter All clients (or another name of your choosing) into the Report Title field. 5. 58 address Family name Given name Is valid. 6. Click the Save button. 7. Click the Back button on your browser until you are back in the Reports and Statistics screen. 8. Click to select the CSV Format option beside your new report (e.g. All clients ). 9. Click the Generate Report icon and follow the prompts to save the report to your computer. Alternatively, you may click the Report icon to have it ed to you instead. 10. Open the report. This is an example of the layout you will see. Notice that the second client in the list has been flagged as having a bad . You will need to note down all the clients in your report that have a bad address. 11. Enter all the correct addresses for the bad clients in their Client Cards in Shortcuts. The new addresses will then be uploaded to Set & Forget Marketing during the next synchronisation. 12. In the Set & Forget Marketing website, click on the Admin link. The Administration screen will appear. 13. Under the Member Database section, click on the Search members link. 59 14. Enter the client s first name, last name or both into the appropriate fields, then click the Search button. 15. Click on the magnifying glass icon next to the client s name to view their details. 16. 60 Targeted Marketing Set & Forget Marketing also allows you to generate and upload a customized marketing list from Shortcuts for bulk marketing (hence why they are sometimes referred to as Bulk Marketing campaigns). They are best used as once-off campaigns sent to specific groups of clients (such as only clients who have not had a specific service, for example). Targeted marketing campaigns can be sent out either through or SMS. This chapter will cover: Sending Bulk Marketing Sending Bulk SMS Marketing Sending Bulk Marketing Bulk marketing allows you to send a marketing to multiple clients from your Shortcuts database at the same time. This can be especially useful for informing your clients about specials or promotions (e.g. half-price facials on Wednesdays), or simply to help fill up your appointment book. 1. Search for the relevant client data in the Shortcuts Marketing screen as per usual. 2. Tick the No exclusion option to remove any clients which do not have addresses from this list. If you want to remove clients who are marked as being children from this list, tick the Children exclusion option as well. 3. Click the Generate button. The Marketing List window will appear. 4. Click the button. If you have a Set & Forget Marketing account linked to Shortcuts, go to Step 12. If this is the very first time you have used the Marketing feature, your web browser will launch and the Set & Forget Marketing enquiry page will appear. Follow the instructions on-screen to submit an enquiry; a Shortcuts representative will be in touch with you shortly to assist you. 61 If you do not have a Set & Forget Marketing account linked to Shortcuts, the Create Set & Forget Marketing Account window will appear to allow you to sign up for an account. 5. By default, your business name as specified in Shortcuts will be entered into the Business Name field. To change this, simply enter a different name into the field. 6. Enter a username for yourself into the Username field. Do not use any spaces or special characters in this field. 7. Enter a password for your account into the Password field and the Confirm Password fields. 8. Enter a valid address into the Reply field. 9. Click to select your country from the Country drop-down list. 10. Click to place a tick in the Auto Synchronise tickbox. This will allow Set & Forget Marketing to synchronise with Shortcuts every 30 minutes, ensuring that your customer data for both programs are always up to date. Autosynchronisation will only take effect after you have rebooted your computer. 11. Click on the Create button to create your Set & Forget Marketing account. 12. An information window will appear notifying you of your campaign identifier and asking you if you want to upload your client list. Take note of your campaign identifier as you will need it again later for the Set & Forget Marketing website. 13. Click the Yes button. Shortcuts will upload your client list to the Set & Forget Marketing website, and a progress bar will display the progress on screen. Please be patient as this process may take a few minutes depending on the size of your client list. Once the client list is ready, another information window will appear asking you if you want to run your Internet browser to complete the marketing campaign. 14. Click the Yes button. Your Internet browser will launch with the Layout screen of the Set & Forget Marketing website displayed. 15. Type in a subject heading for this into the Subject field. You can also use the drop-down list below this field to select from a number of personalized fields to use in your heading. 16. If you do not wish to use a template for this , create the body as desired using the on-screen tools provided, then go to Step 19. All templates belonging to the category will be displayed. 18. Click the Use this template link for the desired template. 63 25. Enter your campaign ID (from Step 12) into the Bulk Marketing Campaign Tag field, then click on the Status tab. If you cannot find this field on the screen, click the + button to add a new demographic, choose Shortcuts Software Administration Master Demographics, Demographics, then select the Bulk Marketing Campaign Tag option from the drop-down list. 26. Click on the Send Test button. This will send a test to your reply address to enable you to check that the e- mail is working properly. 27. Review the test and use the tickboxes provided as a checklist to ensure your is ready for sending. To make changes to the , click on the Layout tab and return to Step 16. You can also click the Check Now button to see how many clients will receive your marketing. 28. Once you are happy with your , click the Activate button. 64 Social Media When sending Set & Forget Marketing campaigns, you have the option of simultaneously posting them to Facebook and/ or Twitter. Given the popularity and reach of these social media channels, doing so is a great way to target a wider audience for whom you may not have their contact details! This chapter will cover: Storing your Social Media Login Details in Set & Forget Marketing. Using Social Media Campaigns. Viewing Social Media Campaign statistics. Each will be covered in more detail below. Storing your Social Media Login Details In order to post campaigns to your Facebook profile, your Facebook business page or your Twitter profile, Set & Forget Marketing will need your Facebook and Twitter login details. There are two ways you can go about this: You can store your Facebook and Twitter login details in Set & Forget Marketing. (Your login details are kept secure and are not visible to Shortcuts or gcast staff.) We recommend storing your login details in Set & Forget Marketing as this will help streamline your campaign creation process. You can enter your Facebook and Twitter login details each time you set up a new campaign. You also have the option of using different login details while setting up any campaigns should you ever wish to use a different Facebook/Twitter account. Storing Facebook Login Details IMPORTANT! If you change your Facebook password at any time, you will need to re-update your Facebook login details for Set & Forget Marketing again using this procedure. 1. Login to the Set & Forget Marketing website with an account that has Total Access. 2. Click on the Admin tab. The Administration screen will appear. 3. Under the Profile section, click the Site Preferences link. 4. Click the Campaign Settings tab. 5. Under the Social section, click the Facebook Login button. You may need to scroll down to see this section. 6. Enter your Facebook login details into the appropriate fields. 7. Tick the Keep me logged in option, then click the Log In button. 65 You may see a screen similar to the one below when logging in, asking you to save a new device name. This is a Facebook security feature, and is normal if you are logging into Facebook from a computer different than your usual one. It is up to you whether or not to save the device name; it will not affect your Set & Forget Marketing campaigns. 8. You now need to configure your Set & Forget Marketing App Permissions. When you are creating Set & Forget Marketing campaigns, you will have the option to post them to your personal profile, as well as your business Facebook page. This option determines who can see posts this app makes for you on your Facebook timeline. This is specific to only your personal Facebook profile timeline; it does not affect posts made to your business Facebook page. Click to select who you would like to see posts made from your Set & Forget Marketing app, then click the Log In with Facebook button. 9. You now need to give permission for Set & Forget Marketing to post to your Facebook pages. If you have more than one Facebook page, they will be listed here. Note that you will still have the choice of which page(s) are posted to when you set up each campaign. Click the Allow button. This will close the Facebook window. 10. 66 Storing Twitter Login Details IMPORTANT! If you change your Twitter password at any time, you will need to re-update your Twitter login details for Set & Forget Marketing again using this procedure. 1. Login to the Set & Forget Marketing website with an account that has Total Access. 2. Click on the Admin tab. The Administration screen will appear. 3. Under the Profile section, click the Site Preferences link. 4. Click the Campaign Settings tab. 5. Under the Social section, click the Sign in with Twitter button. You may need to scroll down to see this section. 6. Enter your Twitter login details into the appropriate fields. 7. Tick the Remember me option, then click the Sign In button. 8. 67 Using Social Media Campaigns Sending out Set & Forget Marketing campaigns via social media is not much different from sending out normal campaigns (see Setting up a Campaign on page 46 for how to create an or SMS campaign). When you send out a campaign via social media, it takes the form of an additional message that is posted to Facebook or Twitter. This is in ADDITION to the normal /sms campaign that is sent out, and they are posted at the same time the original campaign is sent out. Including Social Media buttons in your Campaign You can include a Facebook Like button, a Facebook Share button, or a Tweet button in your s. This will enable your recipients to further share your message through their own social networks. You add these via the Personalized Fields drop-down list when composing your . Personalized Field Name Appears in campaign editor as: Appears in the sent as: Facebook like [FacebookLike] Facebook Share [FacebookShare] Facebook share (link) * Twitter tweet [TwitterTweet] Twitter tweet (link) * * If added to a campaign, the Facebook share (link) and Twitter tweet (link) works exactly the same as their nonlink versions. The only difference is that you can view and edit the HTML code for the link version in order to use your own custom image for the button. Sending out Campaigns via Social Media 1. 68 2. Click on the Social tab to access the social media campaign options. Step 3 Step 4 If you are posting a campaign to Facebook, go to Step 3. If you are posting a campaign to Twitter, go to Step Configure your Facebook campaign details: If you have stored your Facebook login details in Set & Forget Marketing, you will be automatically logged in and the Facebook username displayed above the Facebook login button. If you have not stored your Facebook login details in Set & Forget Marketing or you would like to use a different Facebook profile to post the campaign, click on the Login button and login using the desired Facebook account. Make sure to tick the Keep me logged in option! If you login as a different Facebook account here, the new details will apply to this campaign ONLY. If you would like to include a link in your Facebook post to a web version of the full campaign, click to place a tick in the Show link to read message online option. By default the subject of the Facebook message is the same as the campaign s name. If you would like to use a different subject, enter it into the Subject field. This only changes the Facebook s message subject. The name of the campaign in Set & Forget Marketing as well as any s sent out will be unchanged. Enter what you would like to say in the Facebook post in the text field provided. Click the Refresh List link to retrieve the latest, up-to-date information about the profile from Facebook. A list of pages the profile can post to will be displayed below the Refresh List link. Click to place a tick beside any pages where you would like your Facebook message posted. 4. Configure your Twitter campaign details: If you have stored your Twitter login details in Set & Forget Marketing, you will be automatically logged in and the Twitter username displayed above the Sign in with Twitter button. If you have not stored your Twitter login details in Set & Forget Marketing or you would like to use a different Twitter profile to post the campaign, click on the Sign in with Twitter button and login using the desired Twitter account. Make sure to tick the Remember me option! If you login as a different Twitter account here, the new details will apply to this campaign ONLY. If you would like to include a link in your Twitter post to a web version of the full campaign, click to place a tick in the Show link to read message online option. As with Tweeting directly at Twitter, a total of 140 characters are permitted. Including a link using this feature will use 21 of those characters. Enter what you would like to say in your Tweet in the text field provided. As with Tweeting directly at Twitter, a total of 140 characters are permitted. 5. 69 Viewing Social Media Campaign Statistics You can view statistical data about your social media campaigns by following this procedure: 1. Click on the Campaign Manager link. The Campaign screen will appear. 2. Click on the View recent campaigns link to view your campaigns. 3. Locate the desired campaign by using the Search function. 4. The Social column represents the total of all people who have liked your post on Facebook, commented on your post at Facebook, and retweeted your Tweet. The following table explains what the number in the column means: Description A black zero, not linked. An orange number, linked. Orange dashes, linked. Meaning Social media was not used on this campaign. Social feedback is available. Click the number in the Social column for more details. Social media was used on this campaign, but the post at Facebook/Twitter has been hidden or removed. 5. To drill down into social media statistics, click the linked number in the campaign s Social column. This will display a breakdown of Facebook Likes, Comments and Twitter retweets. Clicking on the breakdown numbers will display more information for that statistic. For example, clicking on the 5 comments in the screenshot above shows the 5 comments made on Facebook. You can click on a Comment s text to be taken to the post itself on Facebook/Twitter. Keep in mind that doing so means you are logged on to Facebook/Twitter, so be aware of who you are logged in as before responding to the post. 70 Unsubscribing Occasionally you may need to unsubscribe members from Set & Forget Marketing. To do so, use the following procedure: 1. In the Set & Forget Marketing website, click on the Admin link. The Administration screen will appear. 2. Under the Member Database section, click on the Search Members link. The Person Search screen will appear. 3. Enter the address of the person you want to unsubscribe into the Equals field, then click the Search button. If you have multiple sites, you can search for the customer across all your sites by selecting the All Partners option from the Partners drop-down list prior to clicking the Search button. 4. Once the search is complete, any members whose s match your criteria will be displayed on the screen. Click the magnifying glass icon next to the desired member.
