1 Staff and Recruitment Privacy Notice Your personal information The University of Lincoln Students Union collects personal information about you when you submit a recruitment application and during your employment. We use this information to facilitate our human resource provision and provide you with services related to your employment. This notice explains more about how we use your personal information. During your employment we will collect information regarding; performance and development, health, staff survey results, communications, annual leave, attendance, disciplinaries and training. We will also keep a note of any changes to your details that you tell us about, including when you change address. Keep your details up to date by using the MyView service and also contact the HR department. How we use your information We use information about you to facilitate the recruitment process and ensure our legal obligations are met, such as Right to Work, verification of identity and communication with candidates and references. This information is used to facilitate your contract with us, and any other legal obligation placed on us. We use your personnel file, that includes the information you provide during the recruitment process and the duration of your employment. This is to maintain an accurate employment history and to facilitate our contractual obligations to you, for example when we process your salary.

2 We will use your personnel file as a source for any information that you provide or we gather during your employment, including your address, disciplinaries, annual leave and sickness. It is also used to monitor work performance and facilitate any legal responsibilities we have as an employer, as well as to provide you with access to rewards and benefits through the University of Lincoln Students Union. We may use your contact details in the event of an emergency, for example during illness or adverse weather. We use your information in order to process information in line with health and safety legislation for accident reporting and general wellbeing. We may process special categories of information relating to your racial or ethnic origin, political opinions, religious and philosophical beliefs, trade union memberships, biometric data or sexual orientation. We will always obtain your explicit consent before carrying out these processes unless this is not required by law or the information is required to protect your health in an emergency. When processing data based on special categories, you have the right to withdraw consent at any time. We use CCTV across our offices and venues for safety and security. If you access other services provided by the University of Lincoln Students Union, such as Associate Membership or entrance to an event, you will be provided with additional details of how these will use your personal information. The Students Union occasionally uses cookies and other technologies on its website that collect data about you when you use them. The cookies policy for the Students Union website can be found here: Information we may share with other organisations We may need or want to share your information with other organisations, these are provided below. University of Lincoln Payroll information, for example your bank details and national insurance number, will be shared with the University of Lincoln in order to process payment of your salary as an employee. We may also share your personal details with the Rewards and Benefits department at the University of Lincoln to enable your participation in such schemes as; Linc-on Lifestyle. Your information is also shared with the University of Lincoln to facilitate Health Surveillance checks for those working in environments which require this, which the University of Lincoln may share with an external health check supplier. Your information such as name, will be shared for the purpose of health

3 and safety in order to facilitate accident reporting in order to maintain a safe working environment. We use a number of suppliers who process personal information on our behalf. These include suppliers of software services. These act strictly on our instructions and must not use the information for their own purposes. Other than those mentioned above, we will only disclose information about you to third parties if we are legally obliged to do so, for example we may need to pass on certain information to HMRC. In exceptional circumstances we may be asked to share your information with police or other investigators if it would prevent or detect crime or safeguard a person s wellbeing. Each instance will be judged on its own merit and any sharing of information will be done within the law. Information processed abroad No personal data is transferred outside the European Economic Area (EEA). How long we keep your information Unsuccessful applications will be retained for 6 months after interview, for monitoring purposes. All payroll information will be retained for 7 years from date of processing, for regulatory purposes. All personnel files will be retained for the entirety of employment and 6 years after, to conform to legislation. If you access additional Students Union services, these may keep a record of your contact and will provide you with details of how long they keep your information. Accessing your information and other rights You have a number of rights relating to your personal information. These include: Access You have the right to request a copy of any personal information we hold about you. If you would like a copy of any of your information please contact the Data Protection Officer on the details below. Your request will be processed within a month. Portability If you have provided information on the basis of your consent or for a contract then you can request a digital copy so you can send it to another organisation.

Correction Erasure Restriction If any of the information we hold about you is incorrect or incomplete then please let us know. You have the right to have your information corrected so that we hold accurate records about you. This is also known as the right to be forgotten. You can request that your personal information is erased if it is no longer necessary for the Students Union to keep it, or you withdraw consent that you have previously provided, or you object and there is no overriding grounds to keep it or if it is unlawful to continue to keep it. You can request that the use of your personal information is limited to storage only and that we use it for no other purpose. This applies where you contest the accuracy of the personal information we hold, or our use of the information is unlawful, or we no longer need the information except in relation to legal claims, or you object to the use of your data and we need to verify whether or not our purpose for keeping it overrides the grounds of your objection. How to object or withdraw consent If you object to our use of your personal information then we must stop unless we can demonstrate compelling legitimate grounds for continuing.
