1 IREAD-3 Summer 2016 Reporting Guide As with the spring administration, PearsonAccess next OnDemand Reports functionality will provide access to online Proficiency Roster results for the Summer IREAD-3 administration. Results for all tests administered online through June 15 are now available. For tests administered online after June 15, results should be available within hours after the test is submitted. Results for tests administered on paper will be available on August 15. At that time, the following reports will be available for all IREAD-3 Summer 2016 tests: Proficiency Rosters including Undetermined Status reasons, if applicable. Individual Student Reports (ISR) PDF copies of Individual Student Reports. Corporation- and School-Level Student Data Files (SDF) These electronic data files are similar to the GRT Files received in previous years. ISRs and SDFs will be available for users with Corporation or School Test Coordinator roles (CTC and STC) to download through the PearsonAccess next Published Reports functionality. To support broader access to IREAD-3 (and eventually ISTEP+) results, the following user roles can be assigned to users in your corporation and/or school(s): Corporation User (CU) This role is similar to a Corporation Test Coordinator, with functionality rights limited to corporation-wide Published and OnDemand reporting. School User (SU) This role is similar to a School Test Coordinator, with functionality rights limited to school-wide Published and OnDemand reporting. Teacher This is a specialized reporting role, with limited access to designated Reporting Groups for OnDemand reporting only. This guide includes the following sections to assist you in accessing and disseminating your IREAD-3 Summer 2016 results: Creating new user accounts with the Corporation User, School User, or Teacher role Creating Reporting Groups Adding or Removing Student Tests in a Reporting Group Assigning Teacher Users to Reporting Groups Accessing OnDemand Proficiency Rosters with Undetermined Status reasons (if applicable) for each test section Accessing Published Reports 1
2 Creating New User Accounts PearsonAccess next users with the Corporation Test Coordinator (CTC) or School Test Coordinator (STC) role have the ability to create, edit, and delete other user accounts, as well as the ability to reset passwords for other users with access to the same organization(s) to which he or she has access. User accounts can be managed individually through the online PearsonAccess next interface or in bulk through a file download/upload process. For detailed instructions, please review the Introduction to PearsonAccess next presentation available on Avocet at (presentation) or (video). To provide teachers and administrators in your school(s) and/or corporation with access to IREAD- 3 results while restricting their access to other PearsonAccess next functions, Pearson has implemented the following roles and access rights within the PearsonAccess next live site: Role Corporation User School User Teacher Published Reports Access Download Access Download No OnDemand Reports Access Download Access Download Access Download Access Rights Change Update User Admin Profile Yes First/Last Name Address Yes First/Last Name Address Yes First/Last Name Address Change Password Yes Yes Yes These roles have no access to any other functionality within the PearsonAccess next live site. Keep in mind also that if a user has multiple assigned roles, total access rights are determined by the hierarchy and combination of roles assigned to a user, according to the following diagram. Corporation Test Coordinator Corporation IT Coordinator School Test Coordinator Corporation User School IT Coordinator Examiner Proctor Corporation User* School User Teacher For example, if a user has both the School Test Coordinator and School User roles assigned to them, they will have all the rights of a School Test Coordinator, since that is the higher-level role. Similarly, a user with the Proctor or Examiner role and the Teacher role would have the combined access rights assigned to both roles, but no more. The Teacher role can only have access to specific Reporting Groups for OnDemand Reports within their authorized school(s). Users with the Teacher role will not be able to see results for all students within their school(s) unless they have access to Reporting Groups that encompass all students. *Note: If a School Test Coordinator assigns Corporation User rights to a user, he or she can only authorize access to the school(s) to which their account is authorized. A School Test Coordinator cannot authorize a Corporation User to access corporation-level data; only a Corporation Test 2
3 Coordinator can grant corporation-level access. Details on all user roles and access rights can be found in the User Role Matrix, which can be downloaded from Avocet at 3
4 Creating Reporting Groups This process is optional and, if desired, can be used to provide teachers or other authorized school or corporation personnel with limited access to IREAD-3 OnDemand Reports (Proficiency Rosters with Undetermined Status) for a specific group of student tests. For example, student tests can be grouped by teacher, homeroom, class period, last name (A-M, N-Z, etc.), or any other criteria you wish to use. Corporation Test Coordinators and School Test Coordinators can create Reporting Groups and then assign users with the Teacher role specific access to view results for only certain Reporting Groups. These restrictions apply to only to OnDemand Reports and only to users who have only the Teacher role assigned. Teacher users do not have access to Published Reports. Users with the School Test Coordinator or School User role will have access to all results (Published and OnDemand) and all Reporting Groups for their authorized school(s). Similarly, users with the Corporation Test Coordinator or Corporation User role will have access to all results (Published and OnDemand) and all Reporting Groups at all schools within their authorized corporation(s). Please note the following: Student tests can only be assigned to one reporting group. Adding a student to a different Reporting Group will remove the student from the original Reporting Group. Reporting Groups can be assigned across schools, but users must have access to all schools represented in the group. A corporation-level user can assign student tests from multiple schools to a Reporting Group. However, those student tests would only be accessible by users with access to all of the schools represented in such a group (i.e., another corporation-level user or a school level user with authorization to multiple schools). Users with access to only one of the schools represented in such a group would not be able to see results for any of the students from their school who belong to that group, and those students tests could not be put in an additional group just for that school (student tests can only be in one group). As a result, please use caution if you wish to create a group across multiple schools. Teachers must be assigned to reporting groups. Users with the Teacher role can access student reports only after a Corporation or School Test Coordinator manually assigns them to one or more Reporting Groups. Users with the Teacher role have no other access rights within PearsonAccess next, other than changing their password, changing administrations, or updating their user profile. Users with the Corporation Test Coordinator, Corporation User, School Test Coordinator, or School User role will have access to all reports in their corporation(s) or school(s); these users do not need to be assigned to Reporting Groups. 4
5 Creating Reporting Groups (continued) Use the following steps to create Reporting Groups, assign student tests to each group, and assign users to each group: Log in to the PearsonAccess next live site (in.pearsonaccessnext.com) and verify that the IREAD- 3 Summer 2016 test administration is selected. Select Reporting Groups from the Reports menu or home page drop-down. Select the dropdown menu next to the Start button and select Create / Edit Reporting Groups. Under Organization, select a school from the drop-down menu. In the Name field, enter a name for the Reporting Group. (Optional) In the Description field, enter a description for the group. Select Create. The Reporting Group will appear on the left under Reporting Groups. To create additional groups from this screen, on the left, select New Reporting Group and follow the steps outlined above. When you are finished, select Exit Tasks in the upper right corner of the Create/Edit Reporting Groups screen. 5
6 Adding or Removing Student Tests in a Reporting Group Log in to the PearsonAccess next live site (in.pearsonaccessnext.com) and verify that the IREAD-3 Summer 2016 test administration is selected. Select Reporting Groups from the Reports menu or home page drop-down. From the Reporting Groups screen, find the reporting group(s) within your organization using any of the following three methods: Select the drop-down next to Search and select Show all results (area A below) to view all Reporting Groups in your organization. Use the Filters (area B below) to find groups within one or more organizations. Enter the name of the Reporting Group in the Find Reporting Groups field (area C below) to find individual groups. From the list that appears, select the check box next to the group(s) from which you wish to add or remove students (area D above). To select all groups shown, select the check all box at the top of the check box column. If you have multiple pages of groups, you can increase the number viewed per page by selecting the Displaying drop-down (area E above). You can select groups from multiple pages, if you wish, and PearsonAccess next will remember them under the Manage drop-down in the upper right portion of the screen (area F above). Select the drop-down menu next to the Start button (area G above) and select Add / Remove Student Tests in Reporting Groups. 6
7 Adding or Removing Student Tests in a Reporting Group (continued) Select a Reporting Group on the left under Reporting Groups (area A above). In the Find by name or ID within box (area B above), begin typing the last name or STN of one of the students whose test you wish to include in the group. As you type, the drop-down selection list will narrow to show only students containing the characters typed thus far, within the school shown. When you have located the student, select their name and repeat this process for another student until you have selected all of the students for your group. If you wish to select students from multiple schools, select the drop-down arrow next to the school name (area C above) and select all organizations you have access to. As you select students, their names will appear below (area D above), with a list of candidate tests for inclusion in the Reporting Group. When you are finished selecting students, select the check box next to each student s name or test. This will confirm their candidacy for the group you are creating or modifying. Select Save. The selected student tests will now appear below the list as Assigned Student Tests (area E above). To remove student tests from a Reporting Group, deselect the check box next to the test in area E and select Save. When you are finished creating or modifying a group, select another group from area A and repeat this process. Select Exit Tasks from the upper right portion of the screen when you are finished. Assigning Teacher Users to Reporting Groups 7
8 This section applies only to users who have been assigned only the Teacher role, which restricts access to OnDemand reports for only the Reporting Groups to which they have been assigned. Users with the School User, Corporation User, School Test Coordinator, and Corporation Test Coordinator roles are not subject to these restrictions. Users with the Teacher role do not have access to Published Reports, whereas these higher-level roles do. Instructions for assigning Teacher users to Reporting Groups are as follows: Log in to the PearsonAccess next live site (in.pearsonaccessnext.com) and verify that the IREAD-3 Summer 2016 test administration is selected. Select Reporting Groups from the Reports menu or home page drop-down. From the Reporting Groups screen, find the reporting group(s) within your organization using any of the following three methods: Select the drop-down next to Search and select Show all results to view all Reporting Groups in your organization. Use the Filters to find groups within one or more organizations. Enter the name of the Reporting Group in the Find Reporting Groups field to find individual groups. Select the drop-down menu next to the Start button and select Assign Users to Reporting Groups. Select the checkbox next to the Reporting Groups to which you wish to assign a user (area A above). Use the check all box at the top of the column to select all Reporting Groups listed. Assigning Teacher Users to Reporting Groups (continued) Enter the username(s) of the Teacher user(s) to be authorized for each group in the Authorized Users field to the right of each Reporting Group (area B above). Make sure the 8
9 user name(s) entered for each Reporting Group are authorized to access data for the organization shown for each group. To assign one or more Teacher users to multiple Reporting Groups at once, enter the username(s) in the Authorized Users field at the top of the screen (area C above) and select Assign to selected Reporting Groups. Make sure the user name(s) entered are authorized to access data for the organizations for each selected Reporting Group. If a user is assigned access to a Reporting Group at a school to which the user does not have access, the user will receive an error message when attempting to access OnDemand Reports. To remove a user from a Reporting Group, select the X next to the user s name. When you are finished, select Save. Select Exit Tasks to return to the Reporting Groups screen. 9
10 Accessing Proficiency Rosters 1. Log in to the PearsonAccess next live site (in.pearsonaccessnext.com) and verify that the IREAD- 3 Summer 2016 test administration is selected. 2. From the Home page, under Reports, select OnDemand Reports. 3. Results for the students in your school(s) will appear. You can display up to 100 students per screen by selecting the Displaying drop-down. You can display results for an individual student by typing the student s name into Find Students search box. You can also narrow down the list of results by using the Filters to search by organization, test name, or grade. Organization Name: Displays results for students only in the selected school(s) or corporation. 10
11 Group Name: Displays results for students who are members of the selected reporting group(s). (This functionality will be introduced in a later phase of IREAD-3 and ISTEP+ reporting.) Test Name: Displays results by test. This will be more applicable for ISTEP+ reporting, since there is only one test for the IREAD-3 assessment. Grade: Displays all results by selected enrolled grade(s). 4. Select the Information icon ( ) next to the student s name to view or print the individual student test results. This individual student report preview shows the student s Scale Score and Performance Level, along with Strand-level raw scores for Reading: Foundations and Vocabulary, Reading: Nonfiction, and Reading: Literature (Reading Comprehension is contained within the Reading: Nonfiction and Reading: Literature strands). 11
12 Print or Download Test Results 1. Use the Manage Columns menu to add or remove fields from the display. 2. Select the printer icon to print or download report results. There are three available options: 1. Student List Reports (PDF) Downloads a combined PDF containing a Proficiency Roster for the students displayed. 12
13 Print or Download Test Results (continued) 2. Student List Report Excel Downloads a spreadsheet in Excel format with the column headings. Use Excel Find, Sort, and Filter options to search, sort, or group your data. 3. Student List Report CSV Downloads a text file in CSV format with the selected column headings. Import to Excel or another database program to search, sort, or group your data. NOTE: There is a limit of 500 OnDemand Reports that can be sent to PDF/XLS/CSV through the printer icon. 13
14 Accessing Published Reports When they are available, PDF files containing Individual Student Reports and Student Data Files in comma-delimited.csv format can be downloaded for local storage, use, and individual reprints through the Published Reports functionality in the PearsonAccess next live site (in.pearsonaccessnext.com). These reports will be accessible based on role, as follows: Report Level/Name Corporation Test Coordinator or Corporation User School Test Coordinator or School User Corporation Student Data File X School Student Data File X X Individual Student Reports X X The following steps will allow you to access your IREAD-3 Summer 2016 Published Reports: 1. Log in to the PearsonAccess next live site (in.pearsonaccessnext.com) and verify that the IREAD- 3 Summer 2016 test administration is selected. 2. From the Home page, under Reports, select Published Reports. The organizational level at which you are logged in (corporation or school) will serve as the initial Organization Name filter for the Published Reports screen. Based on this filter, one or more files will be listed, as shown in the examples below: 14
15 Accessing Published Reports (continued) You can display files for additional organizations by clicking in the Organization Name filter box (area A above) and selecting the desired organization from the drop-down list. To view all files available under your purview, simply select Clear (area B above) in the upper right corner of the Filters box or remove specific organizations by selecting the X next to the organization name within the Organization Name filter box. You can increase the number of files shown per page by selecting the Displaying dropdown (area C above) and choosing a larger number. You can also use the Organization Type filter (area D above) to display only school-level or corporation-level files. The organization type for each file can be displayed by selecting the Manage Columns drop-down (area F above) and checking the box next to Organization Type and then selecting Apply. To download a file, click on the file name, and it will be saved to your browser s default download folder. The file naming conventions are as follows: Student Data File IREAD-3_Summer_2016_[corporation number]-[school number]_student_data_file_[yyyymmdd].csv Individual Student Reports IREAD-3_Summer_2016_[corporation number]-[school number]_student_report_[yyyymmdd].pdf To download multiple files at once, select the check box next to each file you want to download (area F above), or select the check all box at the top of the check box column 15

You can select files from multiple pages and PearsonAccess next will remember them all under the Manage drop-down in the upper right portion of the screen. Select the Download button next to the Manage drop-down and a.zip file containing all the files you selected will be downloaded to your browser s default downloads folder.
