3 Getting Started on Practice Sets for Students Handout COPY AND GIVE TO STUDENTS 1. Navigate your Internet browser to:. Click the Log In tab at the top left of this web page 2. Click the hyperlink of the Practice Set software program your Professor assigned your class to use and the Log In page will appear. 3. Purchase the rights to use the software by clicking on the Purchase button and completing the purchase process securely online through PayPal. You do not need to sign-up or register with PayPal to purchase a software program. Use a Credit Card to purchase the software in order to receive a Registration Code without a delay. Make sure your address is entered correctly when purchasing. Other payment forms such as a debit or check card can take up to 5 days to clear therefore delaying the Registration Code , this is a PayPal rule not ours. 4. After purchasing, you will receive two s. You will receive a receipt from PayPal. This is labeled Receipt for your Payment to PKL Software in the subject line. You will also receive an from PKL Software containing a 12 digit Registration Code. The is labeled Your PKL Software order in the subject line. You will use this 12 digit Registration Code to register. 5. Return to the Log In web page and click on the Register button. Read the License Agreement and click the Accept button. On the next page, enter the 12 digit Registration Code and fill in the remaining items required. Make sure your address is entered correctly. If your Professor gives you a Course Code, enter it as well. Click the Submit Registration Data button. You are now a registered user. 6. Return to the Log In web page. Click the Download Student Manuals button. Click on the Introduction PDF icon. When the file has opened, click the print button and print the PDF document. 7. Return to the Log In web page. Enter your User ID and the password you have chosen and click the Log In button. You are now ready to use the Practice Set program. 8. To begin the program, follow the directions in the Introduction Student Manual. Print additional Student Manuals when needed. Disable any Pop-up Blockers installed on your computer. Disabling Pop-up Blockers allows you to print documents in any PKL Software program without complications caused by the Pop-up Blockers. To disable Internet Explorer s Pop-up Blocker, perform the following directions. This will not disable your Pop-up Blocker for any other web sites that you wish to view. For more information about disabling Pop-up Blockers, go to: 1. Launch Microsoft Internet Explorer. 2. In the Tools drop down menu, click on Internet Option. 3. Click the Privacy tab and click on the Settings button under the Pop-up Blocker section at the bottom of the window. 4. Enter in the space below Address of Web site to allow and then click the Add button. 5. Click on the Close button to close the Pop-up Blocker Settings window and click on the OK button to close the Internet Options window. Page 3

4 Getting Started for Professors Levels of Security All software programs have levels of users for security purposes. These three levels are called Student, Professor, and Administrator. Student is the lowest level, Professor is the medium level and Administrator is the highest level. Each higher level grants the user more options and allows the user to view more web pages. When individuals register they are automatically assigned to the lowest level of Student. Course Codes Course Codes are used to identify a class of students with a Professor. Course Codes allow the Professor to perform several features with only their students and no other users. A Course Code is a word or number the Professor chooses. Course Codes may have numbers, letters, or a mixture of both. Once both the Professor and the Students have entered the Course Code in their account, the Professor may take advantage of features like ing messages to students about assignments or special directions. Professors may also monitor their students and view the amount of times they have logged on, the date they last logged on as well as other information. To start, pick a Course Code. For example, Professor Smith may use "ProfSmith1". Now enter the chosen Course Code into the account. The steps to enter a Course Code for a Professor account are: 1. Log in with a Professor level User ID. 2. Move the pointer over to the Administration toolbar menu and click the Course Codes sub menu. 3. Choose Course Code Maintenance in the fly out menu. 4. Read the directions at the top of the web page. They explain how to enter the Course Codes you wish to use. 5. Click the Submit button to complete this process. 6. The Course Code has now been successfully entered. Next, tell your students the Course Code you picked. Instruct them to enter the Course Code the next time they log on. If they have registered, they can enter the course code via the Change User Data sub menu item off of the Administration main menu item. Student Manual, Professor s Manual, and Answer Book Editions and Versions Download and/or print a new copy of the Student Manual, Professor s Manual, and Answer Book (for non-algorithmic sets) at the beginning of each semester or quarter. Changes may be made to these documents each semester. Every document is marked with an Edition or Version number. This Edition number must match the Edition number listed on the software description under the About the Software link or in the Professor s Information and Support page at the PKL Software home page. About the Getting Started on Practice Sets for Students Handout This Student Handout in the next section available for Professors to copy or print and handout to students. The page gives directions on how to complete the purchase process and how to get started using the software. Page 4

5 What students encounter when purchasing a PKL Software program. All payment transactions are processed securely online through PayPal. Students do not need to sign-up or register with PayPal in order to purchase a program from PKL Software. We recommend that students use a Credit Card to purchase software in order to receive a Registration Code without a delay. Tell your students to begin the software purchase at least a week before starting to use the software program to allow for any problems or delays. As a security measure, some college campuses may prohibit online purchases from their computer labs. A student will receive the following messages to their address entered when purchasing the program. 1. A receipt from PayPal containing a receipt number. This is labeled Receipt for your Payment to PKL Software in the subject line. 2. An from PKL Software containing a 12 digit Registration Code. This is labeled Your PKL Software order in the subject line. Once a student completes the purchase of a program from PKL Software, they will receive a receipt from PayPal labeled Receipt for your Payment to PKL Software in the subject line of the . This will contain a receipt number. Students may confuse this receipt number as a Registration Code and may attempt to enter the receipt number into the program. The receipt number will not work as a Registration Code and will not be accepted by the program. Once the payment has been cleared by PayPal, the student will receive a second containing a Registration Code. The time it takes to receive this depends on the form of payment that is used by the student. Paying with a Credit Card is the quickest way to receive a Registration Code. Bank Check Cards and echecks can take as long as 5 days to clear therefore delaying the Registration Code . The student must now register the Registration Code into the program as described in the Getting Started for Students directions. Answer Books Answer Books are available for non-algorithmic practice sets. You can download in the Professor Information and Support page. Answer Books contain answers to the evaluation questions, financial statements, and the general journals that students are asked to produce in the programs. There are NO Answer Books for Algorithmic products as every student has different answers. Professor Information and Support Professors are encouraged to visit this page regularly for information and support. A link to the Software Support Request site is available on this page. Professors are encouraged to visit this site periodically in order to stay up-to-date with information about changes or fixes in programming. Professor s Manuals and Answer Books are also available for download on this page. Page 5

Professors are encouraged to use this page as well as it provides helpful information for both Professors and Students. Contacting Customer Support If you have any technical support problems or question with this software or site, please contact Customer Support. Customer Support: Disabling the Pop-up Blocker for Microsoft Internet Explorer to allow printing Problem: Disabling Pop-up Blockers allows you to print documents in any PKL Software program without complications caused by the Pop-up Blockers. 7 Completing Professor Related Tasks How to download student data and evaluation scores for grading. Only Professors with a Professor level of security have the ability to download student data and evaluation scores. 1. Under the Administration toolbar menu and the View sub menu, click on the Class Members sub menu. 2. Select the Course Code of the class you want to view and click Get My Students. How to reset a student s evaluation scores back to zero. Only Professors with a Professor level of security have the ability to reset a student s evaluation scores back to zero. 1. To reset the scores, log into the program with a Professor level account User ID. 2. Under the Administration toolbar menu, click on the Manage User sub menu. 3. Enter your User ID in the text box and click the Select button. 4. Enter the numerical figure zero 0 in the text box next to the corresponding evaluation. 5. Click the Submit User Data button when finished. How to reset a student s data files to a specific week. Only Professors with a Professor level of security have the ability to reset data files to a specific week. 1. To reset data files, log into the program with a Professor level account User ID. 2. Under the Administration toolbar menu and the Files: Reset and Backup sub menu, click on the Reset Files to a Specific Week menu. 3. Enter your UserID/Name in the text box. 4. From the pull down menu select the week that you want to reset the student data files to and then click the Reset Data Files button. How to backup data files. Both Students and Professors have the ability to backup data files. Older backup files are deleted and are replaced by the current files. 1. To backup data files, log into the program with a Student or Professor level account User ID. 2. Under the Administration toolbar menu and the Files: Reset and Backup sub menu, click on the Backup Data Files menu. 3. Click on the Start Backup button. Page 7

8 How to restore backed-up data files. Both Students and Professors have the ability to restore backed-up data files. The current backup files are not deleted. Once a file has been restored, the data files cannot be set back to any previous version except the backup data files. 1. To restore backed-up data files, log into the program with a Student or Professor level account User ID. 2. Under the Administration toolbar menu and the Files: Reset and Backup sub menu, click on the Restore Backed-up Data Files menu. 3. Click on the Restore Data Files button. How to enter a Course Code. To start, pick a Course Code(s). For example, Professor Smith may use "ProfSmith1". Now enter the chosen Course Code(s) into the account. The steps to enter a Course Code are the same for both a Student and a Professor account. 1. Log in with a Professor level User ID. 2. Move the pointer over to the Administration toolbar menu and click the Manage Users sub menu. 3. Enter your Professor level User ID and click the Select button. 4. Enter the Course Code(s) you wish to use into the text boxes. 5. Click the Submit User Data button. 6. The Course Code(s) has now been successfully entered. Next, tell your students the Course Code you picked. Instruct them to enter the Course Code the next time they log on. How to create an evaluations answer key. Only Professors with a Professor level of security have the ability to create evaluation answer keys. 1. To create an answer key, log into the program with a Professor level account User ID. 2. Under the Evaluations toolbar menu, click on the evaluation for which you want to make an answer key. 3. After the evaluation form appears, click the Make Answer Key button and the form will be filled with the corresponding answers. 4. To print a copy of the answers simply click the Print button that is located above the answer column in the web page. To ensure a quality copy, do not use any other print button or method of printing. Page 8

10 Introduction to the PKL Software Home Page Who is PKL Software? PKL Software is a software development company which designs web-based Accounting Practice sets and tutorials designed for accounting students. All products are web-based and use a commercial web server to provide access to the products over the Internet. The PKL Software Company partners bring together accounting, analysis, design, and computer programming experience with the many previously published materials including textbooks, practice sets, software, and tutorial materials. Navigating the PKL Software Home Page The PKL Software home page has many tools for both Professors and Students. White tab links on the top of the home page. About the Software is a list of software that is available and gives information describing each software program. How It Works is a basic overview of how to use the software programs. Features describes the advantages of using PKL Software programs. Demo the Software provides directions to demo the available software programs. Purchase Now provides information about purchasing the available software programs. Customer Support provides information about common problems and their solutions. Use this page to contact Customer Support about any problems that are encounter. Links in the gray margin along the left side of the home page. Home is a link to the home page. New Software provides information about new software in development and the tentative release dates. About the Authors provides information about the authors of the software and manuals. Site Map provides a complete link site map of PKL Software home page. Contact Us is a general address for all non customer support related inquiries. 11 Introduction to the Practice Set Log In Page User ID text box The User ID text box is where the user enters their User ID when logging in. Password text box The Password text box field is where the user enters their Password when logging in. Log In button The Log In button is used to log in after entering your Use ID and Password. Forget Your Password? The Forget Your Password button may be used if the user has forgotten their password. The user must enter the User ID and answer their secret question. If the information is correct, the system will show them their password Forget Your User ID? The Forget Your User ID button may be used if the user has forgotten their User ID. The user must enter their 12 digit Registration Code. If the information is correct, the system will show them their User ID. Download Manual button The Download Manual button takes the user to a web page where they may download the Student Manuals PDF files or Professor s Manual PDF files. Only Professors have the ability to download the Professor s Manual. Purchase button The Purchase button is used to purchase the software program. All purchase transactions are handled by PayPal. A Registration Code is ed to the user when they have purchased a program. Register button The Register button is used to register the user s Registration Code after purchasing a program. The user must use the Registration Code that was ed to them when they purchased the program. The user must also complete the rest of the information to finish registering. First Time User? Click Here button The First Time User? Click Here button is available to help new users with the process of software purchasing, registering and logging into the software programs for the first time. Encourage students to read this document and follow the directions carefully. Page 11

12 Introduction to the Practice Set Toolbar Menus The features discussed in this manual are only available to professors with a Professor level of security that includes a Professor level User ID and password. This manual explains the features of the Data Entry, Journals/Ledgers/Statements, Administration and Support Menus including their sub menus within a practice set program. These features are available to Professors and Administrators only. The sub menu features that are underlined below are the only features that students will see when they are logged in. 13 Data Entry Menu The Data Entry menu item takes the user to the data entry page. This is where journal entries are made. Journals/Ledgers/Statements Menu The Journals/Ledgers/Statements menu item gives the user access to documents like the General Journal, Ledgers, Financial Statements and other financial documents. Evaluations Menu The Evaluations menu item displays a list of evaluations available for students to complete while working through the programs modules. Professors with a Professor level of security have the ability to make answer keys from the evaluation forms. Students do not have this ability. Administration Menu Manage User The Manage User menu item allows a Professor to change or correct a student s course code and evaluation scores. A professor can reset a student s evaluation scores back to the beginning by entering in zeros in the evaluation score text box. Change User Data The Change User Data menu item allows the user to change or correct any of the settings associated with their account. Items that can be changed or corrected are the first and last name, password, forgotten password question, forgotten password answer, address and course code. To change any item, simply erase what is in the text entry box and enter the change or correction. Click the Submit User Data button when finished to save the information. A Professor may change student s evaluations scores, course code and password. Items that cannot be changed are the UserID/Name and Registration Code. Reset Files to a Specific Week The Reset Files to a Specific Week menu item allows a Professor to reset the data files for any of their students individually to a specific week of the program. See Completing Professor Related Tasks for more information. Backup Data Files The Backup Data Files menu item allows the user to copy existing user files and back them up on the computer server. Older backup files are deleted and are replaced by the current files. Restore Backed-up Data Files The Restore Backed-up Data Files menu item allows the user to replace the existing data files with the backup data files. The current backup files are not deleted. Once a file has been restored, the data files cannot be set back to any previous version except the backup data files. Download Student Data The Download Student Data menu item allows Professors a way to download student data about your students to your computer. The data consist of a list of your students which includes their first and last name, User ID, address, and their Mid and Final Evaluation scores. Page 13

14 Message to Class Members The a Message to Class Members menu item is used by the Professor to send s to students. Students addresses are automatically entered into the To text box of the . Only students that have entered the same Course Code in their account that the Professor assigned to them will be ed. No other addresses from other classes or other Course Codes will be ed. To send students a message, fill in the remaining text boxes with a message and click the Send button. Message with Attachments The with Attachments menu item allows the user to send an to their professor. Users may also attach documents to the message for the recipient of the to view. Documents that may be attached to an are the trial balance, income statement, and student evaluations. Professors may use this feature as a way of collecting class homework or collecting homework from an ill or absent student. To send an , enter the recipients address and fill in the appropriate text boxes. To attach any of the offered attachments, click the associated buttons. Note that the selected buttons will become grayed out when selected. Class Members The View Class Members menu item displays the list of class members that are assigned to the Professor. Any student that entered the Course Code into their account the Professor assigned will be displayed alphabetically by their last name. Other information is also displayed such as their first name, UserID/Name, and address. License Agreements The License Agreements menu item is available to view and/or print the license agreement. Find User by Name This Professor web page displays a grid of users whose Last name and First name match those entered. Use this page to look-up a User ID or address knowing the user's name. Leaving both the First and Last Names blank will display all users of the product. Entering a First or a Last name will locate a user who s First and Last names are like the one entered. Entering both a First and a Last name finds all users with that specific First and Last Name. Each page displays up to 15 users. Software Support Requests The Software Support Requests menu item is a link to PKL Software s Software Support Requests web site. Professors may file a Support Request if there is a technical or cosmetic problem with the website or any software programs. The "Software Support Request" system is designed to collect issues, errors, and suggestions. It is web based and the Professor may access it from any of our software programs via the Administration menu item and the Software Support Request sub menu item. This system is available to security level Professors and Administrators but not to Students. The system allows Professors to enter a new support request, view the status of existing ones, and generate reports on the requests. A support request may be anything that needs to be fixed or investigated by PKL Software. Professors may also view other issues that are in the queue from other Professors. Page 14

15 Professor Information and Support The Professor Information and Support menu item is a direct link to the Professor Information and Support page. Professor s Manuals and Answer Books are available for download on this page. Professors are encouraged to visit this page regularly for information and support. A link to the Software Support Request site is available on this page. Return to Log In The Return to Log In menu item is a link to return to the log in page of the software program. This link automatically logs the user out of the software program and returns the user to the Log In page. Return to Home Page The Home Page menu item is a link to the PKL Software Home Page. Support Menu Download Student Manuals The Download Student Manuals menu item provides access to the Student Manual available for the program. The Student Manuals may be viewed online, downloaded/saved and printed from the printer. The Student Manuals are available in Adobe Acrobat PDF files. Users need to download and install Adobe Acrobat Reader to view and print the files. A link is available on the Customer Support page of the PKL Software web site. How to Journalize The How to Journalize menu item links the user to a web page that explains in detail how to make and post journal entries. Restore to Beginning Balances The Restore to Beginning Balances menu item is available to students who want to restore their data files back to the beginning balances of the program. Students may want to start the program over from the beginning. Once a file has been restored, the data files cannot be set back to any previous version except the backup data files. Restore to Adjusting Balances The Restore to Adjusting Balances menu item is available to students who want to restore their data files back to the adjusting balances of the program. Once a file has been restored, the data files cannot be set back to any previous version except the backup data files. Calculator The Calculator menu item displays a calculator that may be used to calculate journal entries or answer evaluation questions. What is This menu explains more about the program. About this Web Site The About this Web Site menu item gives the user information about the web site and program being used. Page 15
