1 Frequently Asked Questions General 1. Why is there a new NHSD Content Manager? Healthdirect Australia has made improvements to the National Health Services Directory (NHSD) to give service providers increased capability to both self-manage their information and to add a greater depth of detail about their services. The NHSD also supports the National Endpoint Proxy Service (NEPS), which enables the data captured in the directory to be used to facilitate Secure Messaging Delivery and support the federal government s My Health Record system. 2. What are the main changes in the NHSD Content Manager? A new name, the NHSD Content Manager. All current users will be asked to re-register for a new account. All accounts must now be linked to a unique address. Some terms have changed, for example, we now refer to top organisations, sub-organisations and people (previously agencies/organisations, sites and practitioners). A greater depth and breadth of information about organisations, services can be added to support care planning and coordination and referral pathways. New privacy features that enable service providers to easily manage consent for what consumers or other providers and organisations can see. Greater flexibility to structure directory information in a way that better reflects how services are organised and delivered. 3. What are the benefits of the NHSD? More detailed information about services can be made available to other service providers and consumers Users can easily self-manage their organisation and service information online at any time via a secure website. Data captured once in the NHSD directory can be then be used to support a wide range of initiatives and applications, eg NHSD information is now searchable on around 100 websites nationally in addition to the NHSD website. The data captured in the NHSD directory can be integrated with clinical systems and general practice management software to support care planning and coordination. NHSD information is used to facilitate referral pathways between service providers and connection of care. 1

2 4. Who is Healthdirect Australia? Healthdirect Australia is a public company limited by shares. We deliver health services by contracting with service providers, managing ongoing operations and implementing governance structures so that our health services are provided safely and efficiently. All our services are wholly or jointly funded by federal, state and territory governments. Healthdirect Australia manages the following healthcare services: healthdirect nurse helpline and health information after hours GP helpline Pregnancy, Birth and Baby mindhealthconnect National Health Services Directory My Aged Care Carer Gateway For more information visit 5. What is the National Health Services Directory (NHSD)? The National Health Services Directory is a comprehensive directory of health and related human service information. The directory is a joint initiative of all Australian governments, developed and delivered by Healthdirect Australia, and forms a key component of the national ehealth infrastructure. 6. Is the NHSD (Healthdirect Australia) a Government Organisation? Healthdirect was established by the Council of Australian Governments (COAG) which includes representatives from state and federal governments. Funding has been provided by both Federal and State governments to provide Australians with access to free reliable health service information. 7. Is the NHSD free? The NHSD is funded by Federal and State governments. There are no charges to service providers to be listed in the NHSD or to access NHSD information. 8. Can I update my own organisation/service information? Yes, you can keep your organisation/service details up to date on the NHSD via the NHSD Content Manager online application. This can include the updating information such as services offered, contact details, facilities, eligibility criteria and operating hours. You can easily make real time changes and also control the information that is publically displayed. 9. Do I need to add all the different services provided by my organisation? The NHSD requires all of the services provided to be listed separately, particularly if they are provided during different hours or days to other services at the same location, or by a different method (eg home visit), or have different contact details. Adding all the services for your organisation allows for the capture and display of a much greater depth of information to other service providers and consumers. 2

3 Privacy 10. Do I have to provide my ABN (Australian Business Number)? A registered ABN, ACN or ARBN number are required for NHSD Content Administrators to create new Top Organisations in NHSD. In most cases the required ABN details will be obtained directly from the ABR website, however, an NHSD Content Administrator may contact you to verify your ABR details. 11. Do I have to provide information to the NHSD? The advantage in providing your information to the NHSD are: accurate and reliable information available for consumers and service providers 24/7 Accessible via multiple channels including federal, state and regional government websites, peak body and other key organisation websites and clinical desktop systems facilitation of communication and referral pathways across the health care community provides a foundation for integrating national ehealth infrastructure Data exposure settings can be applied in the NHSD Content Manager that enables service providers and individuals to determine what information is accessible to consumers or other service providers. 12. Where is NHSD data sourced from? Healthdirect Australia has been working with State and Territory Governments to migrate State service information into the National Health Services Directory. These directories provide a range of health services including allied health, hospital and community services to support health professionals to coordinate ongoing care for patients with chronic and complex conditions. Healthdirect Australia has also been working with Primary Health Networks to source primary health care data, Local Hospital Networks to source hospital and community services information as well as peak bodies and other key organisations across Australia. Account access 13. How do I access the new NHSD Content Manager? If you previously had an account to update via the NHSD Management Interface you should have received an with instructions on how to access the new NHSD Content Manager. If you did not receive and or would like to set-up a new account on the NHSD Content Manager contact the NHSD service desk via nhsd@healthdirect.org.au. 3

4 14. Has my access changed? You should have the same level of access to information that you did in the NHSD Management Interface. If you cannot access your organisation details in the NHSD Content Manager contact the NHSD service desk at for assistance. For more information about roles please see Role descriptions and access levels in the What s New Guide. 15. When I log in I can t see my organisation and the people in my organisation. Your account may not be correctly linked to the organisation/s please contact the NHSD service desk via nhsd@healthdirect.org.au for assistance. 16. How do I know what type of user and role I have? The User Reference Guide has detailed information on each role and the corresponding access authority and available functions. When you login in to the NHSD Content Manager and view your organisation details, you will be able to see the People linked to your organisation/s and the role/s they have, including your own role. 17. Can more than one person be an editor/approver of an organisation? Yes organisations can have multiple editors and approvers. Public Access 18. How can the general public access the NHSD? Key information in the NHSD is available publicly in a number of ways including via: The Healthdirect mobile app NHSD service finder widgets (embedded on partner websites). 19. What is a widget? Developed by Healthdirect Australia, the NHSD widget is a free, user friendly and tailorable search application that can be embedded onto any website, allowing website visitors to search for and view NHSD information 24/7. The NHSD widget is already embedded on around 100 websites nationally, including federal, state and regional government and peak organisation websites. 20. Where can I view a widget? A service finder widget example can be seen on 4

5 Managing data 21. How often should I update my organisation/service details? You should update your NHSD information whenever your details change, such as opening hours or contact information. The NHSD data is being used to support many services and applications so it is important that your details are always up to date. 22. What is the difference between my top organisation name and my sub-organisation name? The top organisation name is the legal entity name registered on the Australian Business Register (ABR). The sub-organisation name should be the business or trading name of the company, or the name that the organisation is commonly known as. 23. What is the People page for? The previous interface didn t have this. Some terminology has changed in the NHSD Content Manager. Individuals in the NHSD were previously referred to as Practitioners now they are called People. People (practitioners or non-practitioners) can be linked to both Organisations and Services. It is possible for a person to have multiple occupations if they have different roles within an Organisation. Eg, A Person could be a Director of Medical Services linked to an Organisation and also a specialist linked to the specialist service provided by the same Organisation. 24. We have multiple people who update our records. Where can I see what changes have been recently made, and by whom? Click on View Change History button on the top right of the screen from within the record you are viewing. 25. Where can I see a list of all of the Organisations/Sub-Organisations I manage? Click on the Organisations button on the top menu bar to view a list of all the organisations you have access to view/manage. 26. My ABN number has changed. Am I able to update my existing records or do I have to create a new one? If you have access to edit the organisation then yes, you can update the ABN by using the Search Australian Business Register (Search ABR) function. ABR validation is mandatory for a Top Organisation to ensure it is a legal business entity and not already listed in NHSD. 27. Will the information for our existing record/s remain the same on the new NHSD Content Manager? Information from the previous NHSD database has been migrated across and will be visible on the new NHSD Content Manager. 28. What is coverage area? A coverage area can be applied to services that are delivered by home visit, by phone or online as these services are usually delivered across multiple areas rather than at a physical location. 5

6 A coverage area can be either national, state-wide or specified suburb/postcode areas. Eg For a national telephone service that can be accessed by anyone in Australia, a national coverage area should be applied. 29. What do you mean I should be on the NHSD for referral purposes? Secure Messaging Delivery (SMD) is the government standard for sending medical documents and messages securely and safely from one health provider organisation to another. Electronic documents such as referrals, care plans, discharge summaries and specialist letters can be sent directly from your organisation to another organisation that has SMD capability. The NHSD stores the electronic address details required to enable secure messaging to occur successfully. 30. Do all change requests submitted by an Editor need to be approved by an Approver? Yes all Directory Change Requests (DCRs) submitted by Editors must be approved. If your organisation does not have anyone with the Approver role then these change requests will be approved by the NHSD Content Administrators. 31. How do I know if the service address has geo coded correctly or not? If a physical address has been added for a service with correct geocodes, once the service record has been approved then a map will appear in the Service Delivery Details section of the Service record with a map pin marking the service location. If the service location is not pinning correctly on the map, please contact the NHSD service desk team for assistance: nhsd@healthdirect.org.au Troubleshooting 32. When I search I can t find my organisation? The search is being performed on the organisation name and other names of your organisation. If you can t find your organisation through Search, click on the Organisations button on the top menu bar and this will display a listing of all the organisations that you have access to. 33. Why can t I add a Top Organisation? Organisations need to complete an application process for inclusion in the directory. The details for a top organisation are first validated and then created by Healthdirect Australia content administrators. The designated content managers for that organisation can then edit the top organisation and create its sub-organisations, services and people. 34. I cannot log in because I can t remember my password? If you have forgotten your password click on the link Forgotten password on the NHSD Content Manager login page. 6

7 35. How can I report an error from the new interface? To report an error click on the Contact us link at the bottom of the screen and provide all details of the issue including the record ID number if relevant. This will send an and lodge a ticket with the NHSD service desk. 36. Why can t I add a sub-organisation to an existing sub-organisation? If the sub-organisation you want to add another sub-organisation to already has services attached to it you will not be able to add a sub-organisation. In this scenario, in order to add a new sub-organisation you would first need to delete the services that are attached to the existing sub-organisation. 7
