3 1. Introduction This document details the guidelines recommended for use by all those contributing apprenticeship data to the Course Directory Provider Portal. It identifies the mandatory and desirable data needed with recommended standards for those fields. 2. General Guidelines Field Status: Every field is categorised as being either: Mandatory: The field must be completed or the entry cannot be submitted. Desirable: The field is not mandatory, but should be completed if the information is available. Optional: The field is not mandatory, but can be completed if the provider chooses to. The more information you provide the more information that will be available on the NCS website. Manual Data Entry The mandatory fields for manual data entry are: Provider Location Apprenticeship Delivery Location UKPRN Location Name Framework / Standard Name Provider Type Post Code Contact for Apprenticeship Information Provider Name Address 1 Town Post Code Contact Telephone for Apprenticeship Information Apprenticeship Location Catchment Radius (miles) URL Delivery Mode Bulk Upload The mandatory fields for bulk upload are: Location Apprenticeship (Framework) Apprenticeship (Standard) Delivery Location LOCATION_ID* APPRENTICESHIP_ID* APPRENTICESHIP_ID* APPRENTICESHIP_ID* LOCATION_NAME* FRAMEWORK_CODE STANDARD_CODE LOCATION_ID* POSTCODE* FRAMEWORK_PROG_TYPE STANDARD_VERSION RADIUS_(MILES)* FRAMEWORK_PATHWAY_CODE CONTACT_ * DELIVERY_MODES* CONTACT_ * CONTACT_PHONE* CONTACT_PHONE* The Bulk Upload file requires 2 fields to be populated in order to link Apprenticeships to Delivery Locations (APPRENTICESHIP_ID) and Delivery Locations to Locations (LOCATION_ID). These are: APPRENTICESHIP_ID : This is entered against each Apprenticeship and must be a unique value created by the provider. The APPRENTICESHIP_ID entered in the Apprenticeships section should be entered against at least 1 Delivery Location in order to link Apprenticeships and Delivery Locations together. Page 3 of 12
4 LOCATION_ID : This is entered against each Delivery Location and must be a unique value created by the provider. The LOCATION_ID entered in the Location section should be entered against at least 1 Delivery Location in order to link Locations and Delivery Locations together. Please note that the Provider section is not mandatory. If it is not populated, the fields will be populated by the information held on the Providers UKPRN. Invalid characters Certain characters are not accepted when performing a bulk upload. For Example: ^ _ \ { or } [ or ] (hyphens must be - ) ` (apostrophes must be ) 3. PROVIDER INFORMATION FIELDS In many cases these fields will not need to be changed, with the details held being taken from the UKRLP. If you believe that the details held are incorrect, please contact the UKRLP. Provider Name Character limit: 100 characters Bulk Upload file column header: PROVIDER_NAME Description: The name of the provider that offers the course. This may differ from the legal or trading name which is referred from the UKRLP. Recommended Content: If this field is left unchanged or deleted, the UKRLP trading name will be displayed on the public facing learner website. If there is no trading name, the legal name will be used. For further information please refer to the UKRLP website - Page 4 of 12
5 Provider Alias Character limit: 100 characters Bulk Upload file column header: PROVIDER_ALIAS Description: An alternative name that the provider wishes to also be known by. Recommended Content: Both the Provider name and Provider Alias will be used to identify the provider when a search is performed on the public facing learner website. Please note: Only the name chosen for the Provider name (please see section 3.1) will be displayed to the user, not the Provider Alias. Admin Addresses Character limit: 5 x 40, 1 x 8 Bulk Upload file column headers: ADMIN_ADDRESS_1, ADMIN_ADDRESS_2, ADMIN_TOWN, ADMIN_COUNTY, ADMIN_POSTCODE Description: The address for administrative enquiries for the provider. Recommended Content: If this is filled in, Address line 1, Town and Postcode must be completed. Please enter postcodes with a space. If this field is left unchanged or deleted, the UKRLP legal address will be displayed on the public facing learner website. Please note: If filled in this is the address that will be used on the public facing learner website. Provider Bulk Upload file column header: ADMIN_ Description: The address of the provider, which is used for administrative enquiries. Recommended Content: Only one address should be entered in this field. A personal can be inputted, but where possible a more general address would be advisable. If this field is left unchanged or deleted, the UKRLP address will be displayed on the public facing website. Please note: If filled in, this is the address that will be used on the public facing learner website. Provider Website Bulk Upload file column header: ADMIN_WEBSITE Description: The home page of the main website of the provider. Recommended Content: It should include the full address, including the scheme part (e.g. If this field is left unchanged or deleted, the UKRLP web address will be displayed on the public facing website. Please note: If filled in, this is the URL that will be used on the public facing learner website. Page 5 of 12
6 Provider Phone Number Character limit: 30 characters Bulk Upload file column header: ADMIN_PHONE Description: The main telephone number of the provider. Recommended Content: Where possible, the field should be recorded as: STD Telephone number ext. number for example ext If this field is left unchanged or deleted, the UKRLP telephone number will be displayed on the public facing website. Please note: If filled in, this is the phone number that will be used on the public facing learner website. Provider Fax Number Character limit: 30 characters Bulk Upload file column header: ADMIN_FAX Description: The main fax number of the provider. Recommended Content: Where possible, the field should be recorded as STD fax number If this field is left unchanged or deleted, the UKRLP fax number will be displayed on the public facing website. Please note: If filled in, this is the fax number that will be used on the public facing learner website. Generic Apprenticeship Delivery Information for Employers Character limit: 500 characters Bulk Upload file column header: MARKETING_INFORMATION Description: This free text field should contain generic apprenticeship information targeted towards employers. Refer to Appendix A for more information about formatting text in this field. Please note: If filled in, this information will be used on the public facing learner website. 4. LOCATION INFORMATION FIELDS Location ID Bulk Upload file column header: LOCATION_ID* Description: The provider identifier for the location/centre Recommended Content: This free text field is a code/id specified by the provider It assists a provider to identify a particular location for updating purposes and enables potential students/delegates to refer accurately to an apprenticeship run at a particular location when contacting a provider. This could be simply the name of the main site in the case of a school, for example. Page 6 of 12
7 Location Name Bulk Upload file column header: PROVIDER_LOCATION_ID Description: The name of the location/centre where the apprenticeship is run. Recommended Content: An address should be completed for each location name. Location Address Character limit: 5 x 40, 1 x 8 Bulk Upload file column headers: ADDRESS_1, ADDRESS_2, TOWN, COUNTY, POSTCODE* Status: All fields are optional except for POSTCODE which is mandatory Description: The postcode or full address where the apprenticeship is delivered. Recommended Content: Postcode is mandatory and must be completed. Location Address Bulk Upload file column header: Description: The address of the location/centre where the apprenticeship is run. Recommended Content: Only one address should be entered in this field. A personal can be inputted, but where possible a more general address would be advisable Location Website Bulk Upload file column header: WEBSITE Description: The home page of the website address for the location/centre where the apprenticeship is run. Recommended Content: The address should include the full web address, including the scheme part e.g. Location Telephone Number Character limit: 30 characters Bulk Upload file column header: PHONE Description: The telephone number for the location/centre where the apprenticeship is run. Recommended Content: Where possible, the field should be recorded as STD Telephone number ext. number. Page 7 of 12

APPRENTICESHIP INFORMATION FIELDS Apprenticeship ID Character limit: 50 characters Bulk Upload file column header: APPRENTICESHIP_ID* Description: A unique identifier for the apprenticeship used by the provider. Recommended Content: This free text field is a code/id specified by the provider. It is used when associating an apprenticeship with a delivery location in the bulk upload file. Apprenticeship (Standard) Character limit: N/A Bulk Upload file column header: STANDARD_CODE, STANDARD_VERSION Type: Numeric for Standards based apprenticeships Description: The LARS standard code and version of the apprenticeship. Recommended Content: Refer to Appendix B for a list of Apprenticeship Standards. Apprenticeship (Framework) Character limit: N/A Bulk Upload file column header: FRAMEWORK_CODE, FRAMEWORK_PROG_TYPE, FRAMEWORK_PATHWAY_CODE Type: Numeric for Framework based apprenticeships Description: The LARS framework code, prog type and pathway code of the apprenticeship. Recommended Content: Refer to Appendix C for a list of Apprenticeship Frameworks. Apprenticeship Information for Employers Character limit: 1500 characters Bulk Upload file column header: MARKETING_INFORMATION Status: Desirable Description: Information about how your organisation delivers this apprenticeship that employers would find useful. Recommended Content: This free text field is one of the most important. It is the only one to give potential students details of what is actually covered in an apprenticeship and will enable comparisons to be made from one apprenticeship to another. Refer to Appendix A for more information about formatting text in this field. An ideal Summary would contain a unique summary of the main aspects of the apprenticeship content specific to each apprenticeship. The type of information recommended for this field includes: What students/delegates will learn by studying the course What topics are covered in the apprenticeship Any modules or units studied Page 8 of 12
9 What theoretical principles will be covered Any practical exercises that may be involved Whether the learning opportunity is wholly academic Any information that is not relevant to other fields Any progression information such as whether the opportunity can lead to a particular job or to another qualification, if this is one of the principal features of the apprenticeship. Any other information which will allow the potential student to make an informed decision Please note: It is advisable not to include information regarding the provider or delivery location. Apprenticeship Information URL Bulk Upload file column header: APPRENTICESHIP_INFO_URL Status: Desirable Description: A URL providing more information about the apprenticeship Recommended Content: This field should include the full address, including the scheme part e.g. This free text field should be completed with a URL which links directly to an employer focused page on your organisation's website with information about, in order of preference: This specific apprenticeship Your apprenticeships in general Your home page This may be a URL for the prospectus or general website should a specific apprenticeship page not be available. Contact Address Bulk Upload file column header: CONTACT_ * Description: A contact address related to the apprenticeship Recommended Content: This field should contain your organisation's address (not named individuals) for handling employer queries about this apprenticeship. Contact Us URL Bulk Upload file column header: CONTACT_US_URL Status: Desirable Description: A URL to your contact us page for apprenticeship information Recommended Content: This field should include the full address, including the scheme part e.g. This free text field should be completed with a URL which links directly to a "Contact us" page on your organisation's website where an employer can enquire about this apprenticeship. This may be a URL for the prospectus or general website should a specific apprenticeship page not be available. Contact Telephone Number Character limit: 30 characters Page 9 of 12
10 Bulk Upload file column header: CONTACT_PHONE* Description: The requirements for a learner which are necessary before the course can be taken. Recommended Content: This field should contain your organisation's telephone number for handling employer queries about this apprenticeship. 6. DELIVERY LOCATION INFORMATION FIELDS Apprenticeship ID Character limit: 50 characters Bulk Upload file column header: APPRENTICESHIP_ID* Description: A unique identifier for the apprenticeship used by the provider. Recommended Content: The APPRENTICESHIP_ID entered in the Apprenticeships section should be entered against at least 1 Delivery Location in order to link Apprenticeships and Delivery Locations together. Location ID Character limit: N/A Bulk Upload file column header: LOCATION_ID* Type: Numeric Description: A unique identifier for the location used for this apprenticeship. Recommended Content: This should be a Location ID from the Locations(s) you have on the system. Catchment Radius (Miles) Character limit: N/A Bulk Upload file column header: RADIUS_(MILES)* Type: Numeric Description: The catchment radius expressed as a whole number of miles Recommended Content: This should be the catchment radius centred on the location s post code. Delivery Modes Character limit: N/A Bulk Upload file column header: DELIVERY_MODES* Description: The way in which the apprenticeship is delivered. Recommended Content: If the apprenticeship can be delivered in more than one way e.g. full time and part time, an opportunity should be created for each mode. The delivery mode options are: Delivery Mode Description Bulk Upload Ref. 100% Employer Based Entirely delivered at employer s premises DM1 Day Release Apprentices given days off to study DM2 Page 10 of 12

Block Release Apprentices given blocks of time off to study DM3 If you have multiple delivery modes for a particular delivery location, select all that apply. For the bulk upload, separate each delivery mode that applies with the pipe ( ) character. Text Formatting Guide The free text MARKETING_INFORMATION fields in both the provider and apprenticeships sections allow limited formatting of their contents. A.1. Paragraphs A paragraph consists of one or more lines of text separated by one or more blank lines. A.2. Headings To add a heading to your content, at the start of a new line prefix the heading text with ###. For example: ### This is a Heading A.3. Bulleted lists To add a bulleted list to your content prefix each line with an asterisk, a plus sign or a hyphen. For example: * Red * Green * Blue Is equivalent to: + Red + Green + Blue And: - Red - Green - Blue You can separate items in the list with blank lines or include paragraphs of additional text. A.4. Numbered lists To add a numbered list prefix each line with a number followed by a period. For example: Page 11 of 12

Example ### The Catering Industry The Catering Industry covers: * Hotels * Restaurants * Pubs, bars and nightclubs * Contract catering * Holiday centres * School catering. It operates across well known chains and in small businesses, including owner/operators, which make up just under three quarters of employers. The hotel and catering industry as a whole is a big employer and contributes around 30bn to the English economy each year, with the restaurant industry alone employing two thirds of a million people. The industry is facing a number of key challenges to make sure that staff have the right skills and, once trained, that they stay and develop their skills to fulfill their career ambitions, contributing to increased productivity and business profitability.
