1 Datasheet Automation with a human touch Version 6.0 Robotic Process Automation with Jidoka The Jidoka platform is a business solution that provides a powerful infrastructure for process automation based on RPA (Robotic Process Automation) technology. Designed to be a fast and robust solution to deploy software robots, the distributed architecture of Jidoka is composed of a web console, which visually provides information on the executions of the automated processes, and of a server, which coordinates the actions related to the deployment of the robots on nodes (physical computers or virtual machines). The robots are executed under the strictest security requirements using encrypted communications (SSL). V6 Overview High availability New real time events and alerts, both for the platform and each robot, for the recovery of the console or nodes in the event of hardware or software failures. The console and the nodes are integrated into a Kubernetes cluster, ensuring high availability of the platform. Server Nodes Auto-scaling New integrated features are available from the console for the automatic start/stop of nodes in Docker/VirtualBox containers. This improvement, together with events associated with the queuing of robots, makes Jidoka the best platform for dynamic robot scaling. Distinctive Features Enterprise-scale Dashboard Applying a "Design-Centric" approach to RPA, based on the workflow process, Jidoka is a solution designed to meet the automation requirements of large organizations. RPA for Operations and IT Jidoka empowers collaboration between operation and IT teams during the robot design and development process phases, boosting quality in construction, deployment, and maintenance of the robots. Java Development Jidoka is built in Java, a powerful, open, universal programming language, and the most suitable to automate complex processes. Collaborative robots Jidoka facilitates collaboration between systems and persons, allowing control of nodes and robots through the console (chatbot feature), mobile applications, physical devices (Internet of Things - IoT), or even by voice. Computer Vision Jidoka's capacity to process unstructured image data, provides our robots advanced artificial vision skills. Execution modes Jidoka offers different execution options for adapting the operative of the robots to any process requirement. Manual Manual execution of the robots from the console or in the taskbar of a node. It allows you to define parameters such as the input file, assign priorities or choose the execution node, among other options. Deferred Allows setting the parameters of a manual execution but delaying it until a certain date and time. It is also possible to re-run a specific execution while maintaining the predefined instructions. Visual tool to plan the execution of robots at specific times and days. Programmed It also allows to create exclusion periods when the robot cannot be executed. It gives the option to disable all robots in case of maintenance tasks. Step by step At any time, you can launch a step-by-step execution. The robot stops in each task of the workflow until receiving further instructions by operator. Queue The robot remains in a standby status until a node is available. The platform establishes the order of executions in the queue based on the priority assigned to the robot and the time it is requested. Event-driven Robots can also be executed when certain events occur in the system, such as the completion of another process or the restart of a node. Event-driven executions are managed from an action editor that allows defining events and actions to be executed, as well as additional conditions to be met. Via REST API Robots can be run from other systems and applications through web services published by the Jidoka server and exposed through a REST API. Through this API you can also cancel, consult, etc. the execution of a robot. The REST API functionality allows you to obtain the list of resulting files (artifacts) and even the log. 2

3 RPA for Business Users Execute and monitor processes with Jidoka Management and control From the Jidoka console you have access to all of the actions needed for the definition, execution, monitoring and configuration of nodes and robots. Access to all the robot s information and configuration options: versions to be executed, associated nodes, input parameters, etc. Robots High visibility both on the set of robots that are being executed, and on the complete list of robots the user is authorized to manage. You can enable or disable the execution of all robots, permitting that, if any intervention is needed, no robot will be executed during this process. Management of all the execution nodes actions: download the agent, connect/ disconnect, relaunch the agent, etc. Nodes Monitoring the machine configuration and status: checking if session is active or blocked, screen resolution, disk space, available memory, operating system, etc. Additionally, a node can be configured to automatically restart when an agent exceeds a certain threshold-limit of RAM usage. Management tool that allows you to create, configure, and delete users who have access to the platform. Users Allows associating permissions on robots and nodes with which the user can interact. Easily modify individual authorizations, offering the possibility of managing access or navigation restrictions to different console pages. Multiple options available to manage robot executions: pause, resume, abort, delete, mark them as test, etc. Executions Actions can be performed on the executions in progress or completed, and for each execution or per block. An execution schedule is also provided, giving access to multiple configuration options: establish instructions, specify the number of executions to be launched, launch an execution manually, or edit previous schedules, among other options. History of changes Both for robot configuration and user management, we provide a history of changes accessible from the console. It allows you to navigate through configuration versions previously saved. Planning Users can plan any action by configuring an event to run at a specific time and/or day. 3

4 RPA for Business Users Execute and monitor processes with Jidoka Workflow The robot execution is based on tasks and transitions previously defined on a business workflow, which is displayed on the console showing real-time information on the status of the process. Adaptability Easily adjustable to modifications or evolution of business processes. Reuse of tasks between different processes. Sections Complex processes can be broken down into sections with their own workflow. A section can be executed as an action in the main workflow or within other sections. Visual drag & drop Actions of the Jidoka SDK available in the process workflow. Business users can adjust specific actions directly from the workflow. Process analytics The console provides a comprehensive set of metrics that give real-time information on data collected by the platform, both for processed elements (items) and for executions, individually or aggregated. Data can be displayed with customized graphics to facilitate the analysis. Execution logs to identify warnings and errors easily. Real-time information Different log types (own log, log level, etc.) are available and can be enabled or disabled by the user. Video recording of the execution accessible from the log. Global statistics Control panel with configurable gadgets to visualize integrated information about nodes, robots or executions. Number of items processed by a set of robots. Number of executions performed. Accumulated execution time. Minimum and maximum peaks. Graphs and execution records Statistics by predetermined criteria, such as date ranges, item properties, item results, nodes where robots have been executed, etc. Statistical information associated to robot's smart delay, which allows identifying bottlenecks in their execution. Execution results are visualized by means of graphs that users can personalize to facilitate data interpretation. Custom reports Reports defined by users and exportable in Excel format with information on executions, queues and events. If report generation takes more time than initially configured, the file will be available in a new download window. An end alert is sent to the user when the report is ready. 4

Chat with Doka Chatbot integrated in the Jidoka console. It helps users to execute robots using natural language (NLP). Voice Robots can be configured to be executed by voice commands. Mobile app Jidoka's console has connectivity with external systems, such as mobile applications, that enables control and monitoring of robots, nodes and events, or console navigation, even using voice commands. Internet of Things (IoT) Interaction with robots from physical devices such as the Amazon Dash Button. Users can configure actions associated with the Amazon button presses (for example, disable all robots in case of serious errors and re-enable them). Amazon Dash Button Jidokaphone mobile app Chatbot in the Dashboard Business tools ROI Calculator Tool included in the console to calculate cost savings achievable through process automation (expected ROI). Allows you to monitor cost savings gained once a robot - or a set of robots - is deployed (comparative ROI). Information on expected / achieved ROI is available in real time. This information is especially useful to know what was actually happening in the node in case of an uncontrolled error. Display and remote control Viewer and a remote-control environment from which you can see and interact with the desktop of the node as if it were in front of you. Allows capturing screenshots and interacting with the desktop remotely. It does not require the installation of any additional software in the client node. Video Video recording of a robot in action, both of the complete execution or only a part of it. The robots can automatically capture all the screens viewed. Screenshots The screenshots are displayed in the execution logs and can be downloaded in a single ZIP file as an output of the process. Alerts, events and exceptions Managing events and configuring alerts is one of the most demanded features in automation environments. The Jidoka console makes available to business users a wide selection of predefined and editable events and actions related to robots and nodes, including advanced exception handling capabilities. Alerts Configurable alerts that send an each time a specified event occurs, such as the beginning/ end of a robot execution, the disconnection of a node, an event/ exception in the execution, or also a node running out of memory. The server that sends the alerts is configurable by SMTP. Events Each released version extends our list of available events and actions. Among the latest, we have incorporated events that occur when the execution of a robot is aborted, the execution is queued more than a determined time, or there has been a failed login attempt. Exceptions Our platform facilitates the identification and treatment of specific problems not covered by the usual cases of the process. Allows, for example, sending an with the log included every time an exception occurs. 6

The only requirement for developers is to know how to program in Java and to have basic knowledge of Maven, used to pack and deploy robots. Tools for developers Jidoka doesn t require any specific development IDE. Robots can be built using the developer s usual IDE: Eclipse, Netbeans, etc. Development environment Easy configuration of software platform and tools to be used as a robot development environment. Development console designed specifically for the construction and testing of robots. Promotion of robots in different environments in a controlled and secure way, keeping the log, history, and the user responsible for the installed versions. Installation and deployment Jidoka can be installed on Linux (Ubuntu, CentOS, RHEL, etc.), Mac or Windows. Nodes are connected to the console via HTTPS. It is not needed to configure each node and associate it with the console, even if the machine changes. Specific tools enable Jidoka console management, including customization, security, backup / restore of information, monitoring, integrity, policies, etc. Configuration Integrity configuration options, for example, to define when to launch events based on the disk and memory usage of the machine where the console is located. Log saving policies allow to define the log level and file rotation, avoiding excessive consumption of disk space on the server. Robot debugging Robots can be either developed on the machine where the robots are executed, or any other physical or virtual node or machine. The developer can connect the Java remote debugger to the client node to debug the robot, insert breakpoints, display variables, execute a piece of code, and even change them, as a standard Java application does. 7

8 RPA for IT Users Build and manage robots with Jidoka Remote scripting Groovy scripts can be executed from the console on the nodes, directly accessing the execution information of the robot. Development of own libraries By creating libraries, the robots can share common functionality without the need to rewrite code, utilizing the "plug and play" approach. Examples of libraries are those of the login to the client's proprietary systems (such as Siebel), the connection to a VPN or proxy or even libraries that implement a reusable business logic or access certain application windows, among others. Robots can make use of contexts, whether they belong to each robot or they are global. Use of contexts With this feature, we provide Jidoka robots with mechanisms that dynamically adapt behavior in reaction to changes in context, returning to the workflow once these more complex processes are completed, or even execute specific code that cannot be executed simultaneously by multiple instances of robots. Jidoka publishes a wide range of features via web services (REST API). REST API methods can be classified into different groups: Web services Platform: checking the server's status, performing backups/restorations, enabling or disabling the execution of robots, obtaining the list of nodes, etc. Robots: Getting the list of robots, running a robot or cancelling an execution, obtaining the results, etc. Human assistance: Starting a chat, answering a question, etc. Robots are deployed on Maven repositories, allowing earlier versions to be used if necessary. Repositories It is possible to define a list of Maven repositories that facilitate the search for dependencies used by the robots. This feature eliminates the need for making multiple deployments of binary files required for the robots to operate. Multi-tenancy Jidoka includes a flexible permission feature based on tags, which makes possible to associate one or more users with a set of nodes, robots, credentials, libraries, etc. This allows different companies, departments or user groups to have access only to their own information. 8

9 RPA for IT Users Build and manage robots with Jidoka Local plugins The user can add local plugins, which are programs that run on the node not requiring any connection to the console. There are multiple applications of local plugins, such as performing actions on the machine before launching robots or even being able to run the VPN software that is needed to obtain agent connectivity with the Jidoka console. BPM files reading Jidoka allows you to import BPMN files into the process workflow. Element Inspector Tool that allows the developer to identify element attributes of the applications which the robot interacts with (buttons, text boxes, menus, etc.). This tool includes an option to select visual elements with a simple click of the mouse. A recording tool that helps to obtain information about the user s interactions with the applications used in the processes (mouse movements, keystrokes, windows viewed, etc.). Process documenter Both the console and nodes can be configured into Docker containers and Kubernetes clusters. Containers Nodes included in Docker containers can be initiated and stopped from the console, manually or as an action in response to an event. 9

10 RPA for IT Users Build and manage robots with Jidoka Automation techniques Jidoka features various libraries and technical components to support developers in creating and maintaining comprehensive automation solutions adaptable to the most complex scenarios. Navigation and device control Keyboard and mouse control Simulates interaction with applications controlling mouse movements, keystrokes, special keys, etc. Windows management Allows the opening and closing of applications, search windows of running programs, set the active window, maximize, minimize, etc. Multiple browsers Our robots work on all popular browsers (Internet Explorer, Chrome, Firefox, etc.), controlling script execution, pop-up management, etc. Smart delay After each action taken, the robot waits for the application s response to continue. The wait time for Jidoka robots is "smart" waiting because they adapt to the execution speed at each moment. Using this component, the robot can wait for the right time by taking full advantage of the available runtime window in the node, and avoid errors due to variations in device performance or response times. Computer Vision With the combination of our own tools and integrated components, Jidoka provides a tool called "Hawk-Eye" that facilitates artificial vision capabilities to our robots. Hawk-Eye covers all the main needs of search, identification, and extraction of elements on the screens. Among other functions, it allows: Taking screenshots, both partial and complete. Searching for images on the screen, or even images within others, adjusting the tolerance values. Hawk-Eye Extracting texts from images. The integration of Open Source OCR components (Tesseract) with Popchar (own OCR engine) and artificial vision libraries (OpenCV) allow the developer to accelerate the vision capabilities of robots, bringing them closer to human perception. It is possible, for example, to look for elements without knowing their position, or adapting the vision of the robot to changes in buttons position, fields, etc. This component is especially useful for Citrix environments, interacting at high speed with the desktop only through the image recognition. 10

11 RPA for IT Users Build and manage robots with Jidoka Text and image extraction Screen scraping Text extraction from any window or image recognized with the Hawk-eye component. Jidoka applies a proprietary optical recognition technique (OCR) optimized for automation, with high effectiveness. Web scraping Text extraction from web applications using an API that finds and selects information among all the page elements. Document and database management MS Office, Outlook and Adobe PDF Jidoka provides libraries to automate reading and writing tasks on Microsoft Office (Word and Excel) and Adobe PDF documents, including a Jidoka Outlook module for management. CSV and XML file management Libraries to manage different types of files, including CSV and XML. Database connection Direct connection with the most common database management systems (Oracle, Access, MySQL, etc.) to allow data extraction and writing. Integration Enterprise applications The SDK allows the development of customized libraries to automate a variety of enterprise applications like Enterprise Resource Planning (ERP) such as SAP, Customer Relationship Management (CRM) such as Siebel, or Human Resources Management platforms such as Meta 4. REST API Jidoka enables robot integration and invocation from other platforms through web services published by the Jidoka server and exposed through a REST API. 11

12 Enterprise RPA Automation for large companies Jidoka has been designed to respond to automation needs in large-scale complex business processes. Security standards, easy scalability, and resource optimization capabilities make Jidoka the perfect RPA solution for medium and large companies. Security Encrypted communications Communications between all Jidoka components are done in an encrypted way using a HTTPS protocol that meets the strictest security standards. Access to Jidoka console is protected by username and password, being also possible to include protection at IP level. Roles, permissions and authorizations The platform includes a permission module whose management is simple and intuitive due to a system based on tags. Among other functions, it allows you to set permissions as "any of them" or "all of them". Jidoka offers additional tools that allow, for example, to create user pools per application, so there is no need to define several users to be able to access one or more specific applications. Double factor authentication and LDAP For greater security in access, it is possible to activate the double factor authentication. Users must enter during the login process, in addition to their usual password, a code that they will receive to their mobile phone and changes every minute. You can also configure LDAP authentication and define the security policies specific to each organization. Backups The dashboard allows you to execute system backups from within the application, including configuration files, as well as support and input/output files. Backups can be restored, scheduled, and stored (even on a remote machine). Session lockout Jidoka robots can run on blocked user sessions, complying with the most restrictive corporate security requirements. It is possible to lock out a node's screen, even while the robots are running. The credentials management module allows you to manage passwords that robots have available for the execution of automated processes. Credentials management From the console, it is possible to activate and deactivate credentials, as well as to reserve and release them, allowing you to configure also the maximum number of concurrent users in different instances. Credentials are controlled by permissions, and are not visible on the screen, guaranteeing information privacy at all times. 12

13 Enterprise RPA Automation for large companies Scalability Automatic load distribution Jidoka includes an execution system to balance the load between nodes. The data provider module includes an execution system that distributes operations among the nodes available, which allows you to divide any execution among several nodes with only one instruction. Queue management Queues significantly facilitate the management of large automation processes, allowing the user to scale them transparently, regardless of the data types being processed. From the console you can monitor the activity of all the robots in charge of managing those processes. The ability to optimize the use of resources, both in robot execution and in continuous monitoring of infrastructure, reduces the size of the platform and the number of licenses required in each implementation, resulting in a lower cost for the company. Optimal sizing Reuse When scaling the automation solution within an organization, Jidoka can "copy" or replicate existing robots in similar business processes, and later adapt the workflow to the peculiarities of each process, allowing companies to extend and scale the solution very easily. Upgrade When a new version of the platform is released, the nodes are automatically updated in an unassisted way, without interrupting the server or the clients.
