5 Authorization Key Upgrade Utility Overview When you upgrade from your current Eclipse release to a new release, use the Authorization Key Upgrade Utility to update authorization key templates and user authorizations before your actual upgrade. By reviewing and updating all the templates and authorization keys for your users before your upgrade, which usually occurs over a weekend, you can save yourself time and energy and be able to focus more closely on the upgrade itself to ensure a smooth transition. Intuit Eclipse sends you a configuration file that contains information about the new and changed templates and authorization keys for the new release, as well as recommendations on template and authorization key combinations. You create a configuration file of the templates and authorization keys in your current release. Use the upgrade utility to import and compare your current configuration file with the configuration file for the new release to determine which authorization keys have changed from their previous functionality and which ones are completely new. You can also use this process to update your user's authorization keys and their levels. When you finish modifying the templates and authorization keys, and after your system has been upgraded, you can export the configuration file to the system. After the export, the upgrade utility validates the updated configuration file and creates a report of any authorization key settings that have failed. 8 Authorization Key Upgrade Utility Rel. 8.0 Displaying and Navigating Templates and Users The Authorization Key Upgrade Utility is divided into a Templates tab and a Users tab. The Templates tab is where you compare the current and upgraded authorization key templates and then build the templates for the new release configuration file. The Users tab is where you assign templates and authorization keys to each user and update users' templates and authorization keys and their levels, as needed. When you select an authorization key, the Authorization Key Description area displays quick reference information about that authorization key. These descriptions help you make decisions about how best to apply the keys to your system. The utility displays authorization keys as color-coded, so you can determine, at a glance, which authorization keys have been modified and those that are new to the release, and therefore might require your attention. The utility does not display the following types of users: No Login Message Group Those with no authorization keys or templates assigned. To help you stay organized while updating authorization keys, display templates and users in the following states of review: Display All View all templates or users, whether reviewed or not. Reviewed View only those templates or users that you have set as reviewed. Use this setting to help you keep track of those templates or users that you have reviewed. 27 Rel. 8.0 Authorization Key Upgrade Utility Modifying User Authorizations Use the Authorization Key Upgrade Utility to modify user authorizations, as needed, before your upgrade or go-live weekend. After you create the current release configuration file, import and compare the current release authorization keys with the upgrade authorization keys, and update templates on the Template tab, you can drag and drop the new and revised authorization keys and templates to update your user setup. As you update users in the New Users column, you can tag users as reviewed, and then choose to display only those users that need further attention. While updating user authorizations, use the view-only Current Users column as a reference of your current authorization key setups. You can save your work as a new configuration file anytime during the user authorization update process, and then reopen the file later to resume your work. As you finish modifying users for the upgrade, set the user ID as reviewed, so that the utility knows which user information to update. After you have reviewed all of the user IDs, export your work into Eclipse to complete the upgrade process. To modify a user authorization: 1. Import or open configuration files. 2. Click the Users tab to display the user authorization information. 3. Search for the user IDs that you want to modify, if necessary. 4. Modify the New Users column, as needed to create the authorization key setup for the upgrade, as follows: To... view all templates and authorization keys assigned to a user view all templates and authorization keys not assigned to users Do this... In the New Users column, double-click the user ID to display the templates and authorization keys assigned to that user. In the New User column, select a user ID. When you select another user ID in the New User column, the Authorization Key/Templates column refreshes, and therefore, provides a reference for all templates and authorization keys not assigned to the selected user. Note: You cannot add a template from the Authorization Keys column to a template in the New Users column. In the New User column or New Templates column, authorization keys displaying asterisks (*) contain a range of levels. Mouse-over these authorization keys to view the range and level assigned. To change an authorization level, double-click the authorization key to display the Input prompt, and enter the authorization level required for this user. The prompt does not display for authorization keys with no authorization ranges. The Authorization Key Description area displays information about the authorization key levels, if applicable. 31 Rel. 8.0 Authorization Key Upgrade Utility Testing Authorization Key Export Settings Before you export your configuration file, review and edit, as necessary your Eclipse host settings, IP address, and port settings. Then, test your system's host settings, IP address, and port settings to determine, before the upgrade, whether you have any firewall or connection issues. When you run this test, the system loads the Authorization Key Upgrade Utility with a configuration file that contains a single authorization key called SIMPLE.EXAMPLE, so you can determine the accuracy of your export settings without processing a real configuration file. To review and edit host, IP, and port settings in Eclipse: 1. Review and edit the following information as needed: Host From the System menu, select TCL. At the semi-colon (;) prompt, type SH and press Enter. At the dollar sign ($) prompt, type hostname and press Enter. The system displays the host name on the next line. IP Address At the dollar sign ($) prompt, type ping <hostname> and press Enter. The system displays the IP addresses for your system. When you see the IP address you want, press Ctrl-Pause/Break to stop the process. At the dollar sign ($) prompt, type exit and press Enter to escape. Note: To exit the TCL program, at the dollar sign ($) prompt, type exit and press Enter. At the semi-colon (:) prompt, press Esc. Port From the System menu, select Phantom Status. In the Program column, find the line item SOCKET.PH.SERVER. In the corresponding location in the Status column, find the Accepting on Port message. The number following the pound sign (#) is the current port setting. Contact Eclipse Support if this process is not available. Note: To display all the active programs in your system, press Alt-A. To test export settings: 1. Open the Authorization Key Upgrade Utility. 2. Form the File menu, select Test Export Settings. 3. In the Host field, enter the name of your host. 4. In the Port field, enter the name of your port. 5. Click Export to run the test. The Progress bar displays the progress of the test, and then one of the following occurs: The system displays the following message: Test export was successful. Click OK and continue with Exporting Configuration Files. The system displays the Exception Error window. Click OK to close the window, and contact Eclipse Support for help with diagnosing the problem Intuit Inc. All rights reserved. 27
