1 22 July 2016 To: Users of The Broker s Workstation and/or The Underwriter s Workstation Dear Valued Client: Re: The Broker s Workstation and The Underwriter s Workstation Important Releases and Changes Custom Software Solutions Inc. (CSSI) is pleased to announce the release of the following enhancements and newest features to The Broker s Workstation (TBW) and The Underwriter s Workstation (TUW): Contents 1. Speed Optimizations in TBW/TUW Recent performance optimizations in TBW/TUW include improving the amount of time required to check out Client folders. 2. Abeyance Checkbox when Creating New Client Folder Select the Abeyance checkbox when creating a new Client folder, and the New Abeyance tab in the Activities dialog will open automatically once the Folder ID has been assigned. 3. Phone Number and Columns on Persons Tab The Persons tab in Folder Details will now also display each Person s Phone Number and Address, as applicable.. Enlarged Phone Number Fields on Persons Tab The Phone Number fields on the Persons tab in Folder Details have been enlarged for easy viewing of extra characters (such as extension numbers) that have been entered in the field. 5. Word Wrap in TBW Coverages View Rather than carrying into the next data column, long lines of data in the TBW Coverages View will now automatically wrap to the next line and remain within defined margins.

2 2 6. edocs included in CSIO/I-Biz Processed Report edocs are now included in the types of transactions that display in the Processed CSIO/I-Biz Report. 7. About Feature in Void Receipts Current and Closed Periods Lists Right-click an item in the Void Receipts Current or Closed Periods lists and select About to view additional details about that item. 8. Accounting Drilldown in AR and AP Reconciliations Double-click an item in an Accounts Receivable or Accounts Payable Reconciliation window to view detailed transaction information quickly and conveniently in one screen. 9. Producer Signature Feature in COI and Quote/Dec Page (Commercial) The Producer Signature feature allows a Commercial user to connect a signature saved in.jpg or.bmp format to her/his Producer Code. That saved signature will then populate automatically, as applicable, in the PDF Certificate of Insurance and Quote/Dec Page. 10. Improved Conversion to Custom Coverage Item (TUW) Now, the TUW user has the option to create a Custom Coverage in a Rating Definition using the right-click menu. 11. Subscription Premium Override (TUW) The Subscription Premium Override functionality allows a user with the appropriate User Rights to override premiums on policy subscriptions. 12. Minimum Retained Premium included in Return Premium Calculation (TUW) The TUW Cancellation transaction has been improved to include the policy Minimum Retained Premium automatically in the Cancellation calculation. 13. Bordereaux Report now includes Manual Policies (TUW) - The TUW Bordereaux Report has been enhanced to include Manual Policies (policies without IQ Coverages) in the report criteria and results. 1. Speed Optimizations in TBW/TUW The Broker s Workstation and The Underwriter s Workstation are subject to ongoing improvement, with continual development of new features and performance optimization that make daily workflows more efficient, enable the delivery of high-end customer service, and help you better manage your business.

3 3 Recent performance optimizations in TBW/TUW include the following: Steps have been taken to improve the amount of time required to check out Client folders. This improvement will be particularly noticeable for large folders with many documents. You will notice these performance optimizations once the TBW Update Utility has been run. IMPORTANT NOTE: This enhanced folder checkout requires stricter validation, which may prevent the occasional folder from checking out properly. If an error displays when you are in the process of checking out a folder, please contact Client Services for assistance. 2. Abeyance Checkbox when Creating New Client Folder A new Abeyance checkbox has been added to the Client Information step in the New File Wizard. When you are creating a new Client folder, select the Abeyance checkbox if you would like the New Abeyance tab in the Activities dialog to open automatically as soon as the Folder ID has been assigned to the new folder. This option may be particularly helpful when, for example, reception or administrative staff has created a Prospect folder and plans to assign a follow-up Abeyance immediately to the broker. To create a new Client folder, drag and drop the New File icon from the Document Tray onto an empty space in the Desktop Tree (see Figure 2.1). (Figure 2.1) With the help of the New File Wizard, enter applicable details for the new folder. In the Client Information step, select the Abeyance checkbox (see Figure 2.2) if you would like the New

4 Abeyance tab in the Activities dialog to open automatically as soon as a Folder ID has been assigned to the new folder. Please note, once a Folder ID has been assigned to a newly created folder, the Abeyance checkbox will no longer be available in the Client Information step. (Figure 2.2) Once all folder details have been entered, click the Finish button. Next, enter a unique Folder ID in the Account Number dialog, and click OK (see Figure 2.3). (Figure 2.3) If the Abeyance checkbox was selected in the New File Wizard, the New Abeyance tab in the Activities dialog will automatically display (see Figure 2.). Add or modify Abeyance details, as needed, and click OK.

5 5 (Figure 2.) 3. Phone Number and Columns on Persons Tab Two additional informational columns have been added to the Persons tab in Folder Details: Phone Number and . Double-click Folder Details in the Desktop Tree to open the client s Folder Details window (see Figure 3.1). (Figure 3.1) On the Persons tab in the Folder Details dialog, note that applicable Phone Numbers and Addresses will now display (see Figure 3.2). This information pulls from the Person s Address details.

Enlarged Phone Number Fields on Persons Tab The Phone Number fields on the Persons tab in Folder Details have been enlarged for easy viewing of extra characters (such as extension numbers) that have been entered in the field. To open the Folder Details dialog, double-click Folder Details in the Desktop Tree (see Figure.1). (Figure.1) On the Persons tab in the Folder Details dialog, double-click a Person to view his/her details. In the Persons dialog on the Address tab, note that the Home, Business, Fax, and Cell fields have been enlarged. This ensures that any additional characters (such as an extension number) that have been entered in the field can be easily seen (see Figure.2).

To view this feature, move to the TBW Coverages tab in a policy document. Note that long lines of data will wrap to the next line (see Figure 5.1).

8 8 (Figure 5.1) 6. edocs included in CSIO/I-Biz Processed Report edocs are now included in the types of transactions that display in the Processed CSIO/I-Biz Report. To create a Processed CSIO/I-Biz Report, click Reports, Processed CSIO/I-Biz Report in the TBW/TUW window (see Figure 6.1).

9 9 (Figure 6.1) In the CSIO/I-Biz Processed Report dialog, enter applicable filter details, and then click the Refresh button (see Figure 6.2). (Figure 6.2) Items meeting the applied filters will display in the report results. Note that edocs are now included in the types of transactions that display in the report (see Figure 6.3). Transaction types are identified in the Trans Type column.

About Feature in Void Receipts Current and Closed Periods Lists The About feature is now available in the Void Receipts Current and Closed Periods lists on The Accountant s Desktop. To view additional details about a particular void receipt, simply right-click the item, and then select About in the right-click menu to view information about the void receipt. To view this feature, open the Current or Closed Periods Void Receipts list in the usual manner. Right-click the target item in the list and select About (see Figure 7.1).

11 11 (Figure 7.1) In the Transaction Details window, view information about the void receipt, including the Creator, Accounting Date, and more (see Figure 7.2). (Figure 7.2) Click the Print button to print the information in the Transaction Details dialog, if required. When you are ready to return to the Void Receipts list, simply click Cancel or close the Transaction Details window.

Accounting Drilldown in AR and AP Reconciliations The Accounting Drilldown feature makes financial analysis easier by allowing the TBW/TUW user to view transaction details within an Accounts Receivable or Accounts Payable Reconciliation with the simple double-click or right-click of the mouse. Rather than having to print pages for reference or open and close various screens to retrieve details about a particular transaction, now you can simply double-click or right-click an item in the AR or AP Reconciliation dialog to view detailed transaction information quickly and conveniently, while leaving the original reconciliation on hand for continued use. To view the Accounting Drilldown feature in an AR or AP Reconciliation, move to The Accountant s Desktop and either create a new Reconciliation or open a Current or Closed Period Reconciliation in the usual way. In the Reconciliation window, right-click the target policy transaction and select Accounting Details in the right-click menu to open the Transaction Details window (see Figure 8.1), which will display the Accounting Date, Transaction Type, Creator, GL Posting Details, and other frequently needed transaction details. If the Reconciliation is uncommitted, you can also double-click the target policy transaction to open the Transaction Details window. (Figure 8.1) Click the Print button in the Transaction Details window to print the information, if necessary.

13 13 When you are ready to return to and continue working in the Reconciliation screen, simply Cancel or close the Transaction Details dialog. To view details for a non-policy transaction in the Reconciliation window, right-click the item and select Accounting Details (or double-click the item in an uncommitted reconciliation). In the details window that opens, additional information about the transaction will display. If necessary, click the About button to view transaction details for the selected item (see Figure 8.2). (Figure 8.2) After you have clicked the About button, the Transaction Details box will open, displaying the applicable Accounting Date, Creator, Reference Number, etc. for that item. Close the Transaction Details window to return to the details window. To view additional information about a line item, select the item and click the View Details button to open the Line Item dialog (see Figure 8.3).

14 1 (Figure 8.3) To view any documents attached to the transaction, click the Attach button in the details window. In the File Attachments box that displays, select the target document and click the View button to preview the file (see Figure 8.). (Figure 8.)

15 When you are ready to return to the Reconciliation, click Cancel or Close to close the details window(s). This feature is available in both Canadian and Foreign Currency modules. Please note that the Accounting Drilldown feature is subject to User Rights (through Tools, Administration, User Manager, Rights), and also to Bank Account Control permissions Producer Signature Feature in COI and Quote/Dec Page (Commercial) The Producer Signature feature allows the TBW/TUW Commercial user to connect a signature saved in.jpg or.bmp format to her/his Producer Code. That saved signature will then populate automatically, as applicable, in the PDF Certificate of Insurance and Quote/Dec Page. To connect a signature to a Producer or Underwriter Code, first ensure the user s signature has been saved in.jpg or.bmp format to a folder on your computer. If one or more users will be generating documents with other users signatures, those signatures must be stored in a shared folder accessible to applicable TBW/TUW users. In the TBW/TUW window, click Tools, Administrative, User Manager (see Figure 9.1). (Figure 9.1) In the User Level Access Rights dialog, select the applicable User Name, and then click the Properties button (see Figure 9.2).

16 16 (Figure 9.2) In the User Details dialog that displays, ensure the appropriate Producer Code is selected on the User Details tab (see Figure 9.3). (Figure 9.3) Next, move to the Signature Setup tab in the User Details dialog. Click the Browse button and, in the Open dialog, find and double-click the target saved signature (see Figure 9.).

17 17 (Figure 9.) The selected signature will display in the Signature Box. Select the Enable Logo Printing checkbox (see Figure 9.5), and click OK. (Figure 9.5) Repeat these steps in the User Level Access Rights dialog to set up a Producer Signature for additional Producers or Underwriters, as required, and then click OK. Once the Producer Signature has been set up, the saved signature for the Producer on the Folder will automatically display, as appropriate, in PDF Certificates of Insurance and Quote/Dec Pages.

18 Improved Conversion to Custom Coverage Item (TUW) Until now, to convert a (Default) Coverage Item to a Custom Coverage Item in a Rating Definition, the TUW user would click No in the Attention prompt at the end of the Edit Coverage Item Wizard (see Figure 10.1). This prompt displayed each time a user modified a Coverage Item in a Rating Definition and clicked OK, and the user was required to select Yes every time to avoid turning the Coverage Item into a Custom Coverage Item. (Figure 10.1) Now, to improve the Custom Coverage feature and leave less room for potential error, the automatic Attention prompt has been replaced with the ability to create a Custom Coverage Item intentionally. To turn a Coverage Item into a Custom Coverage Item, right-click the Coverage Item on the Coverage Items tab in the Rating Definition. Select Convert to Custom Coverage Item in the rightclick menu (see Figure 10.2).

19 19 (Figure 10.2) In the Attention box that displays, click Yes to proceed with creating the Custom Coverage Item (see Figure 10.3). (Figure 10.3) 11. Subscription Premium Override (TUW) The Subscription Premium Override functionality allows a user with the appropriate User Rights to override premiums on policy subscriptions. To override premium(s) from the Policy Entry form, click the Multiple button (see Figure 11.1).

20 20 (Figure 11.1) In the Coverage Details section in the Multiple Subscription dialog, select the subscription line for which you would like to override the premium. Then, in the Subscription/Split Details section, enter the amount of the override premium in the Trans Prem (Transaction Premium) field (see Figure 11.2). (Figure 11.2) Click Done in the Multiple Subscription dialog, and click OK in the Policy Entry form to complete the policy billing with the overridden premium(s). Please note, the Subscription Premium Override feature is managed by User Rights (through Tools, Administrative, User Manager, Rights). In the User Access Rights dialog, the User Right for Override Subscription Premium can be found in the Policy Transactions area on the General tab (see Figure 11.3).

Minimum Retained Premium included in Return Premium Calculation (TUW) Until now, when a Policy Cancellation was being completed in TUW, the Return Premium calculation did not automatically include the Minimum Retained Premium (MRP). Now, the TUW Cancellation transaction has been improved to include the policy MRP automatically in the Cancellation calculation. A TUW user can select the Calculation method of Pro-Rata or Short Rate and, when the Calculate button is clicked and the Cancellation Return Premium is displayed in the Change Premium field (see Figure 12.1), it will take into account the policy MRP, as applicable. (Figure 12.1)

22 13. Bordereaux Report now includes Manual Policies (TUW) Previously, TUW s default functionality only included policy transactions that had IQ Coverages in the Bordereaux Report. Now, the TUW Bordereaux Report has been enhanced to include Manual Policies (policies without IQ Coverages) in the report criteria and results, as well. This means that any policy transaction meeting the Bordereau criteria, whether it has IQ Coverages or not, will display in the report results. 22 Please share this information with the appropriate TBW and TUW users in your office(s).
