25 How to Place an Order with ARTO Order Through Fulfillment Step 1: Fax or Purchase Order to ARTO Select Style, Color, and using the price list to determine retail pricing. Add upcharge ONLY if optional surface texture (Travertine, Limestone, Luna) is selected. Apply your discount to retail price to calculate your cost. Step 2: ARTO Order Confirmation Sent After an order is received ARTO sends an Order Confirmation to confirm quantities, costs, financial terms, and Estimated Time of Completion (ETC). All ETCs are estimates and orders may be ready to ship sooner or later than the ETC on the confirmation. ARTO sends a confirmation for every order to minimize errors due to miscommunication or mistakes in the purchase order. Step 3: Sign Order Confirmation and Return to ARTO All order confirmations must be signed and returned to ARTO to start production or to package orders NO EXCEPTIONS. Check all details including sizes, colors, textures and quantities carefully and notify ARTO immediately if there are any errors. The confirmation will also note payment terms, if deposit or prepayment is required, and when account is frozen due to a credit hold. Indicate on the order confirmation if a color control sample is required or if the order is an add-on to a previous order. Please note ETC is an estimate for informational purposes only. DO NOT send a truck or schedule outside carriers until ARTO confirms order is ready to ship. Step 4: ARTO Order Ready Notification Sent ARTO will fax or notification when orders are packaged and ready to ship. Customer Will Calls may pick up material only with written authorization from the distributor and appropriate vehicle. If shipping instructions are provided orders will ship as soon as ready (unless alternate instructions are provided). Returns: ARTO must authorize ALL returns in writing. Any return orders will be assessed a 35% restocking charge; product must be in resalable condition. Returns accepted for standard/quick Ship items only; NO RETURNS FOR CUSTOM ORDERS. Guidelines for Sample Ordering ARTO makes samples at almost no charge Process: If a sample is requested we will ask if exact samples or closest match is needed. Exact Samples: If exact samples are in stock we will ship the sample same day or next day. If the sample is not in stock, and depending on color selected, it may take up to 2 weeks for a sample to be produced. Note: Classic colors are usually quicker to produce. Closest Match Samples: If a customer cannot wait 2 weeks for a sample to be produced, ARTO can offer a Closest Match option. We will select and ship the exact or similar shape and color selected as separate pieces. (For example if the request is 12 Octagon Mission Red and none are available in stock, we would offer a color chip of Mission Red and a piece of 12 Octagon in any color). Shipping: As a courtesy ARTO does not charge for shipping on small sample requests, however we will charge for shipping on overweight or oversized items. ARTO Requirements to Write a Custom Quote for Concrete and Ceramic You need it we can make it Quantity: Helps determine volume pricing and the amount of molds needed to get job done in a practical time. The factory will not do a custom job of a 100 pieces with one custom mold being built or any similar scenario. Custom Fabrication: Custom molds, plates or cutters are NOT for sale or given away to anyone, they maybe used in ARTO product line or discarded after 3 months. Product Description: Product may need a digital rendition (not required) and will not be done untill pricing is approved. Submit a design, photo or a tile or description of what you would like produced. Project Date: Helps answer if there are reasonable expectations, if there is a delivery schedule, will determine estimated production time and aid in quoting set up fees. Application: Ask what is the application to be sure all are reasonable uses of the product. Create Quote and Price Approved: Quote shall explain lead-time for sample, and lead-time for production after the sample is approved. Quote shall have price for a one piece set up and price for the full production run. Will there need to be a drawing approved, sometimes yes sometimes no. If it needs to be drawn the expense shall be calculated into the one piece set up price so if there is a cancellation, factory will be compensated for the work invested.
