1 Instructions for Authors Canadian Journal of Pathology (CJP) Canadian Journal of Pathology is a quarterly, peer-reviewed publication. It is published by Clockwork Communications as the agent for Canadian Association of Pathologists (CAP-ACP). All reviews are double blind. For further information about the Journal, or to submit a manuscript, please visit for more information or to log-in to the journal s manuscript submission portal. On-line submission will require the following submission steps and information: 1. Log-in by Corresponding Author (new users will need to register). 2. Selection of article type and sub-type. 3. Article Title and Short (running) Title. 4. Co-Author names/contact information. 5. Abstract (include clinical trial registration information if applicable). Perspective (optional): limited to 50 words and to appear at the end of the abstract this presents a synopsis of the work to facilitate understanding of its significance. 6. Keywords (3-5 terms). 7. Number of words, total number of files. 8. Author cover letter (to be pasted in to cover letter field). This will not be published and will only be seen by the Editorial Team. It should include: i. A statement that all authors and their contact information have been included and that all have contributed substantially to the manuscript and agreed to the copyright terms of this Journal; ii. If applicable authors must state whether manuscripts from the same study were submitted or published in this Journal or other publications; iii. Any comments for the Editor; iv. optional: authors may suggest the names of three potential reviewers (please include workplace contact information reviewers will not be used if only a personal address is provided) for the Journal s consideration (reviewers are selected at the Editorial team s discretion). 2 9. Title Field this will be published but will not be seen by reviewers: i. Title and name/contact of corresponding author; ii. all author names, credentials, and affiliations (include an asterix next to corresponding author); iii. Acknowledgments (optional): all individuals/organizations that provided assistance during the research or writing of this article; iv. The following (altered for single/multiple authors): The author has / The authors have provided CAP-ACP with nonexclusive rights to publish and otherwise deal with or make use of this article, and any photographs/images contained in it, in Canada and all other countries of the world. v. Declaration of any conflicts of interest or disclosures (see later section for disclosure formats) or one, or both, of the following statements: For original research only: This research did not receive any specific grant from funding agencies in the public, commercial, or not-for-profit sectors. For all submissions (including research): The authors declare that there are no conflicts of interest regarding the publication of this paper. 10. Indication of number of files being provided (not including the fields above attachments only) and attach the following: A) one file of the full manuscript (WITHOUT author or any identifying information information) including title and abstract. See page 2 for format requirements (incl. selecting pull-quotes) and page 3 for style guidelines. And B) Individual files for each figure, table, supplementary files (the latter are for use on the website only). See page 2 for Image/Table accepted formats. 11. Acceptance of the Online Declaration on behalf of all authors Note: Molecular Pathology Corner submissions have separate length/content criteria. These items will be peer-reviewed but they provide a mini-review of 500 words, in a simple style avoiding technical details, and related to current clinical practice (or testing that is almost there) not research topics that have potential applications in the far future. FORMAT OF MANUSCRIPT FILE FOR SUBMISSION The following should be included in the manuscript document (uploaded as a single Word file). Please see pages 3 and 4 for additional format requirements and guidelines. NOTE: information identifying authors should NOT be included in this file. 1. Full title / Keywords / Abstract all 3 identical to those provided in the submission steps but WITHOUT clinical trial information. 2. Captions for Figures/Tables to be included at the beginning of the article (including the Figure/Table Number, caption/description, any source or photo credit/reprint credit for images not owned by the author) with images provided in separate files ideally not embedded in the manuscript file. 3. Highlight (in yellow) 4-6 sentences that would be appropriate for pull-quotes (text we highlight for visual appeal). If not we will select our own. 3 Style requirements: MANUSCRIPT STYLE GUIDELINES 1. Authors to appear first name middle initial(s) last name, then affiliation number (in superscript), followed by author s professional credentials. Corresponding author to include an Asterix next to their affiliation numbers. Affiliations should include the country. Authors to be separated by commas and affiliations to be numbered (superscript numbering at the beginning of each affiliation) as a list. 2. Use conventional units of measurement throughout the manuscript, with conversion factors for Système International (SI) units expressed once in parentheses after the first mention of the conventional unit. 3. Referencing using CSE citation-sequence (using superscript numbering without brackets and after the punctuation (sample - study showed. 2 ) listed in order of first reference in the article. 4. A specific reference style is not required in the initial manuscript submission. Once a manuscript is revised and accepted the author will be required to format all references to conform to NLM Standards (see also Style Requirements 4-6, below). NOTE: do not use italics or bold and use only sentence case capitalization. Samples of references for other documents can be found at: Sample: 1. Halpern SD, Ubel PA, Caplan AL. Publication abbreviations must conform to NLM standards. A searchable index can be found at 6. For references list all authors when six (6) or less; for more than six authors, list the first six authors followed by et al. 7. For website references use: [Cited date.] Available from: website address. 8. Article to be single spaced using full paragraph breaks (no paragraph indentations). Subheadings to be in bold with line break before text. 9. Canadian/British spelling is preferred over American spelling. Manuscript section headings: Abstract should match the one provided during the submission process Introduction - State the objectives of the work and provide an adequate background, avoiding a detailed literature survey or a summary of the results. Methods - Provide sufficient detail to allow the work to be reproduced. Methods already published should be indicated by a reference; only relevant modifications should be described. Results/Conclusion - Results should be clear and concise. Discussion - This should explore the significance of the results of the work, not repeat them. Avoid extensive citations and discussion of published literature. References - endnotes numbered in order of first reference. Author Guidelines and Instructions Canadian Journal of Pathology. 4 Section headings should be on their own line with a line break before the text. Subheadings and sections should not be numbered. All sections should be written concisely. Limit the Introduction to 600 words and the Discussion to 1500 words. Note that section headings may not apply to all article types. Samples have been provided as a guideline rather than a requirement. Proprietary Information: Use nonproprietary names for drugs, and descriptions for devices. Brand name may be mentioned only once within the text (upon first reference), unless essential to the study. For presentation of brand or trade names, include manufacturer s name, city, state and country within parentheses. Upon subsequent reference, use generic drug names or device descriptions only. SUPPORTING FILES TO ACCOMPANY THE MANUSCRIPT 1. Tables must be provided in an editable format and not as an image file. Name using Table number and label accordingly. Include description text and any source credits as required. 2. Images to be in high-resolution (300 dpi).tif or.eps (note for.eps fully embed the non-standard fonts and convert the text to curves and rasterize). File names should match image number in the manuscript. Other formats can be accepted but are not preferred. NOTE authors must obtain permission to use any images that are not the authors own original work or copyright free. For figures involving multiple images submit all in one image file at full size (or if not possible label each image and provide a sample layout). Only embed text within an image that is essential to the image and ensure sufficient font size for legibility at full size. Note: see below for types of text that may be embedded: 3. Any supplementary files (optional) will be for potential publication on the Journal s website only. These will not appear in the published article. Submit in image or word/excel files. 5 ADDITIONAL DETAILS / REQUIREMENTS Disclosures Should any of the following perceived or potential conflicts exist they must be declared in both the cover letter and title fields (NOT in the manuscript): Research funding sources must be acknowledged, including corporate, grant, institutional, or departmental funds. List funding sources in this standard way to facilitate compliance to funder s requirements: This work was supported by the National Institutes of Health [grant numbers xxxx, yyyy]; the Bill & Melinda Gates Foundation, Seattle, WA [grant number zzzz]; and the United States Institutes of Peace [grant number aaaa]. It is not necessary to include detailed descriptions on the program or type of grants and awards. When funding is from a block grant or other resources available to a university, college, or other research institution, submit the name of the institute or organization that provided the funding. See our Editorial Policies for more information on our funding disclosure requirements related to sponsor involvement in the article and access to data ( ). Potential conflicts of interest including honoraria, travel to conferences, consultancies, stock ownership (excluding publicly owned mutual funds), equity interests, and patent-licensing arrangements (particularly if a commercial product is noted in the article) must also be declared. Trial registration The CJP will only consider for publication randomized clinical trials that were registered with an appropriate registration agency (such as clinicaltrials.gov) before the first subject was recruited. These guidelines apply to studies that involve both pharmacological and non-pharmacological interventions. The online registry information should appear in the Cover Letter and Title sections. Rights and Distribution Canadian Journal of Pathology is received by all members of CAP-ACP, and other paid subscribers, in print and/or electronic versions. The Journal provides open access, via 6 months after the initial distribution date. Articles submitted to this Journal should not be submitted to other publications during our peer-review process or after acceptance by the Journal. Journal content cannot be reprinted, in full or in part, in any form, without permission, in writing, from CAP-ACP. Accepted manuscripts are embargoed until the Journal s distribution.
