1 FAST Financial Aid Student Tracking New Awards & Disbursement System Overview for Financial Aid Contacts October

2 System Overview FAST (Financial Aid Student Tracking) is a way for college s/university s Financial Aid Contacts and the College Success Foundation (CSF) to share information pertaining to CSF Scholars. Beginning Fall 2016, CSF no longer needs financial information from a school in order for a scholar to be awarded scholarship money, so we have modified the options for downloading spreadsheets. This site can be used to add/update student IDs by downloading the All Awarded Students spreadsheet, edit the College_Student_ID column and upload it to CSF. Schools can make add/modify student IDs and add comments within a spreadsheet and then upload that spreadsheet to FAST. CSF immediately receives the updated information. A spreadsheet can be downloaded for report purposes (e.g. Unit Record Report) for two scholarships, either individually or for both. Select All Disbursements Multi Column to download this spreadsheet. 3 Login Screen If you don t remember your password, click on the Forgot your password? link. You will receive an with your new password. The new password may look something like upftetkd, so you might want to copy and paste it into the Password field to log in the first time. 3

12 Batch Download Definitions All Awarded Students Use this spreadsheet to upload new and/or update student ids. Also shows the cumulative dollars dispersed by scholarship. All Disbursements Multi Column Each row will have multiple columns detailing student s disbursement information. Use this spreadsheet for Unit Record Reporting. o College Success Foundation no longer administers the Washington State Opportunity Scholarship (WSOS). If you need to run reports for the academic year for disbursements received, the information is still available in FAST. Be sure to select from the Academic Year dropdown list. Contact WSOS if you need information for other academic years. 12

13 Step 1: Download the Spreadsheet After selecting an option and clicking on Download, you may see this warning, click Yes to continue downloading the spreadsheet. If the spreadsheet doesn t open, or your screen is jumping around, click on Excel in the task bar at the bottom of your monitor to see this message. 13

14 Step 1: Download the Spreadsheet Enter data in the green shaded columns only. By adding the student s ID, it can be used as a search criteria. Always put an x in Column A when a row has been edited. 14

15 Step 2: Make Changes To filter the spreadsheet for sorting. Click on cell A1. For Excel 2003-click on Data Filter AutoFilter; for Excel 2007-Sort & Filter Filter. This adds a dropdown arrow to the right of the column name. Click on a column s dropdown arrow and choose the sort option you prefer, Sort A-Z or Sort Z-A. Enter notes to CSF staff in the School_Comment column. Place an X in the Update_Award column of any row you have changed. Save the file as an Excel Workbook if you will be uploading the file to CSF. 15

17 Details of Upload Process The Add/Update Award(s) box is checked by default Click Choose File to browse to where the saved file is located & click Open Click Upload Confirm Academic Year, and the number of rows marked for processing. If correct, click on Create Awards The upload process can take ~3 minutes depending on how many students are being uploaded 17

19 Step 4: CSF Updates Award Information CSF staff views your comments and will make the necessary adjustments to the student record. 19
