4 1 Getting started 1.1 Introduction The OCR moderation system (OCR MAPS) is an online system, developed by TAG Assessment, which allows you to moderate work submitted by the centres you are assigned, for the qualifications you moderate for. This work has been submitted electronically by your centres from MAPS3, the centre side application, where it has been marked against the assessment/grading criteria for the unit. If this marking has taken place in the Red Pen Tool then you will now be able to see the centre s marking on the student s work using the Red Pen Tool in OCR MAPS. This new version of OCR MAPS follows a similar moderation workflow to its predecessor but has an updated user interface which allows you to see the student s work in the Red Pen Tool with any centre marking/annotations made. 1.2 Minimum systems requirements As an online system you can use any modern web browser with OCR MAPS. For the best experience we recommend using one of the supported browsers listed below. Some site features may not function as expected if you use an unsupported version: Firefox: 29.x or later (Windows, Mac OS X). Safari: 5.1.x, 6.1.x, 7.x or later (Mac OS X). Chrome: 33.x or later (Windows, Mac OS X). Internet Explorer: 10.x, 11.x (Windows). To use the Red Pen Tool on the desktop you will require the Adobe Flash Player version 11 or later installed in your web browser. Most modern web browsers now come with this installed but you can check this by navigating to the following web address and then click the Check Now button. You can also use an ipad with either ios 7 or 8 installed. However currently you will not be able to use the Red Pen Tool as the Adobe Flash Player is not supported on the ipad. 1.3 Initial set up When you first start moderating for a qualification that uses OCR MAPS you will be set up in the system by OCR. You will receive an from the OCR MAPS Administrator with the subject line Your new OCR MAPS account that will confirm the creation of your account. The will contain your login details and a link to activate your account. To do so click the link and you will be re-directed to the OCR MAPS site where you will be able to login. An example of the new account activation is shown in Appendix 1. 4 OCR 2016

5 Over time as you are assigned centres for the qualification you moderate for, these centres will be assigned to your account in OCR MAPS. When one of these centres submits work for moderation you will receive two s as follows: An from OCR Interchange to inform you that the claim is ready for review. You should receive this first as the centre needs the claim number when submitting work from MAPS3. An from the OCR MAPS Administrator to inform you that the centre has submitted work for moderation. An example of the claim submitted for moderation is shown in Appendix 1. Both s will include the claim number which links the claim in OCR Interchange to the work submitted from MAPS3. Once you have received both s you will need to log into OCR MAPS to sample/moderate your centres work and into OCR Interchange to review the claim. 1.4 Help and assistance There are several ways of obtaining support when using OCR MAPS to moderate the work submitted by your centres. The primary method of support will be this user guide which will also be available in the Help section within OCR MAPS. However if, after having referred to the user guide, you still have questions then contact the OCR Customer Support Team: By telephone (8:30am 5:30pm Monday Friday) By 1.5 Who s who in MAPS Users of OCR MAPS are set up with different roles which determine their level of access and functionality available Moderator A moderator has access to the Dashboard, Centres and Specifications tabs in OCR MAPS. In the Dashboard tab a moderator can view a list of unmoderated claims submitted by the centres they are assigned, for the qualifications they moderate for. They can link directly to a claim from the dashboard to view the student s work in the units submitted. A moderator can also see a list of their assigned centres and a newsfeed of activities relevant to their role. In the Centres tab a moderator can view their centres, the number of claims submitted by each and the number of these that have been moderated or remain unmoderated. For each centre they can drill down further to see a list of claims and then to an individual claim. Once in a claim they can view and moderate the student s work. OCR

6 Each moderator has an approval status which determines whether they can change the moderation status of the claim. If unapproved a moderator can moderate the student s work within a claim but cannot set the claim status to complete. In this case their team leader or chief would need to view their moderation and change the status of the claim to complete. Once a moderator becomes approved to moderate their status will be updated to approved and they will then be able to set the status of their claims to complete. In the Specifications tab a moderator can view the specifications they moderate for. For each specification they can view the units and then for each unit the learning outcomes, assessment/grading criteria and teaching content Team leader A team leader has access to the Dashboard, Users, Centres and Specifications tabs in OCR MAPS. 8 2 Login To login to OCR MAPS open a web browser and browse to The login screen will be displayed. Enter your username and password then click the Login button. On successful login you will land on the Dashboard tab and you will see your name in the top right hand corner of the screen. 2.1 Reset your password If you have forgotten your password you can reset it from the login screen. To do so click the Forgot password button to display the Reset password screen. Enter your registered address twice and click the Reset password button. The Reset password request screen will be displayed. Click the OK button to clear the message. The system will send an , from the OCR MAPS Administrator, to your registered address with the subject line Your OCR MAPS reset password request. An example of the reset password is shown in Appendix 1. 8 OCR 2016

9 The will contain a link to allow you to reset your password. To do so click the link and you will be re-directed to the Reset password screen. Enter your new password twice, ensuring you adhere to the password format rules and click the OK button to complete. A password has to contain at least eight characters including a capital and a number. You cannot reset your password to one you have previously used. You will be returned to the login screen and can login with your username and reset password. 2.2 Lockout If you have forgotten your password and you fail to login on three consecutive attempts your account will be locked for fifteen minutes as a precautionary measure. You will not be advised of this on screen but will be notified by . The system will send an , from the OCR MAPS Administrator, to your registered address with the subject line Your OCR MAPS account failed login attempts. An example of the failed login attempts is shown in Appendix 1. The will contain the options you have to unlock your account. You can either: Wait for the fifteen minutes to pass and try to login again with your existing username/password combination or Reset your password following the steps in section 2.1. OCR

10 3 Dashboard The Dashboard tab provides a summary of your current workload (for the centres you are assigned, for the qualification you moderate for) and provides a number of shortcuts to browse to other areas of the system as part of your moderation workflow. It contains three main sections which you can resize, to a certain extent, by dragging the vertical dividers between them. You can also resize the overall display using the web browser s zoom settings or the keyboard shortcuts (Ctrl +, Ctrl - on a Windows computer, Cmd +, Cmd - on a Mac). 3.1 Toolbar The toolbar at the top of the screen provides links to the following tabs within OCR MAPS: Dashboard Users Centres 10 OCR 2016

11 Specifications The link for the active tab you are viewing is highlighted in yellow. The link for the Centres tab has additional sub-links to Show all centres, Show assigned centres and Show inherited centres. These sub-links appear when you hover over the link for the Centres tab in the toolbar. In the right hand corner of the toolbar the name of the logged in user is displayed. Just above the name there are links to: Settings Help Logout Settings In the settings section you can view the data that has been used to set you up in the system. This includes your personal details, assessor identifier, approval status, batch notification limit and whether you have opted to receive alerts when the batch notification limit (if applicable) is exceeded. To view the data in your settings click the Settings link. To edit certain details in your settings you can click the Edit button to display the Edit user screen. OCR

12 You can only edit certain details including the: Batch notification limit notification Password The batch notification limit is the number of days after submission that the unmoderated claim is marked as being overdue on the dashboard and the point when the overdue batches notification is displayed on login. The maximum value for the batch notification limit is 12 days which is the current moderation turnaround limit for QCF qualifications. The batch notification limit does not apply to Cambridge Technicals qualifications. You can choose to select a lower value for the batch notification limit if you want to be alerted before the 12 day limit is reached. To change the value click the plus (+) or (-) symbols or type a number directly and then click the Update button to save. 12 OCR 2016

13 You can also opt to receive an alert, in addition to the on screen notification, when the batch notification limit is exceeded by any unmoderated claim in the batches list. To do this click the notification checkbox and then click the Update button to save. An example of the overdue batch notification is shown in Appendix 1. You can change your password in one of two ways: In the Edit user screen enter your new password in the password and repeat password fields and click the Update button to save. A password has to contain at least eight characters including a capital and a number. You cannot use a password you have previously used. In the settings section click the Change password button to enable the inline password entry. Enter your current password and new password twice before clicking the Save button. A password has to contain at least eight characters including a capital and a number. You cannot use a password you have previously used. If you need any other personal details changing then you should contact OCR using the details in section Help In the help section you can navigate to specific content in the OCR MAPS user guide. To view the content in the help section click the Help link Logout Click the Logout link to logout of OCR MAPS and be returned to the login screen. OCR

14 3.2 Batches The batches section displays a list of unmoderated claims for the centres you are assigned, for the qualification you moderate for. It shows the number of days since the claim was submitted by the centre in MAPS3. The list is displayed in descending order with the oldest claims at the top of the list and the newest ones at the bottom. For each unmoderated claim the following information is displayed: Claim number Centre number Centre name Qualification name Submission date Days since submission Information symbol to navigate to the claim Envelope symbol to indicate where there are any portfolio notes present A maximum of twenty five unmoderated claims are displayed per page. If you have more unmoderated claims you can use the navigation links at the bottom of the section to move between pages and to refresh the page. You can resize the column widths by dragging the dividers either to make a column wider or narrower as required. You can sort by Centre number, Centre name, Qualification name and Submission date columns by clicking on the column name. A small arrow should appear to indicate whether the sort order is ascending or descending. When you are ready to moderate a claim you can navigate directly to it by clicking the information symbol against the claim. This takes you to the claim summary filtered by the centre number, qualification and claim number (shown in the crumb trail in the blue bar). You can also navigate to the claim from the Centres tab (section 5). 14 OCR 2016

15 There are two filters at the top of the batches section. Filter by specification this allows you to filter the unmoderated claims in your batches list by specification if you moderate for more than one specification. Some of the filters have been configured to allow more than one option to be selected and the Filter by specification is one such filter. In this case you should click in the filter (1) to open it, make your selection from the list of options displayed (2) and then click in the filter (3) to close it with the selection made View this allows you to select the unmoderated claims for All, Assigned or Inherited centres. If you are a moderator you will only see unmoderated claims from your assigned centres. However if you are a team leader or chief you will see unmoderated claims from your assigned centres and from your inherited centres. So if you filter by Assigned you will select your own workload, if you filter by Inherited you will select you teams workload and if you filter by All you will select both. To clear a filter, click the no entry symbol next to the filter. The filter will be cleared and the unfiltered list of unmoderated claims will be displayed Warnings For qualifications where the batch notification limit applies, a set of warning symbols and font colours are used in the batches section to indicate whether the moderation is overdue or not. Days since submission Within the batch notification limit of 12 days or lower value if selected in your settings Outside the batch notification limit of 12 days or lower value if selected in your settings Description A green tick is shown alongside the Submission date and Days since submission values which use a green font. A yellow warning symbol is shown alongside the Submission date and Days since submission values which use a red font. OCR

16 In some cases you may see a small envelope symbol against the claim and this indicates that the moderator, team leader or chief has left a note against a student s unit in the claim. To view the portfolio note you would need to browse to the claim by clicking the information symbol against the claim to view the claim summary. You should then be able to see in which student s unit the note has been left. 3.3 My Team The My Team section displays the members of your team if you are a team leader or chief. If you are a moderator this section will be empty. From the My Team section you can browse to other areas of the system as follows: Click the blue arrow symbol in the My Team title bar to browse to the Users tab filtered by your team. You will be able to see the organisation structure of your team and the centres assigned to your team members for the qualifications they moderate for. Click the eye symbol next to a team member to browse to their dashboard. You will be able to see their unmoderated batches including any that are overdue and the centres they are assigned to. You can also see a set of warning symbols and font colours against your team members that indicate whether their moderation is overdue or not. A green tick next to a team member indicates they have no claims to moderate and their moderation is up to date. A yellow warning symbol next to a team member indicates they have one or more claims to moderate but they are not yet overdue. The number indicates the number of unmoderated claims. A red warning symbol next to a team member indicates they have unmoderated and overdue claims. The first number indicates the number of unmoderated claims and the second number in the brackets indicates the number of overdue claims. 16 OCR 2016

17 A total of twenty five team members are displayed per page. If you have more team members then you can use the navigation links at the bottom of the My Team section to move between pages and to refresh the page. 3.4 My Centres The My Centres section displays the centres you are either assigned to or have inherited from your team members. From the My Centres section you can browse to other areas of the system as follows: Click the blue arrow symbol in the My Centres title bar to browse to the Centres tab filtered by the centres you are assigned to or have inherited from your team members. You will be able to see summary information about the claims submitted by each centre and can then drill down into the individual claims and the student portfolios. Click the blue arrow symbol next to a specific centre to browse to the Centres tab filtered by that centre. You will be able to see summary information about the claims submitted by that centre and can then drill down into the individual claims and the student portfolios. You can also see a set of warning symbols and font colours against the centres that indicate whether they have unmoderated claims. A green tick next to a centre indicates they have no claims to be moderated. A yellow warning symbol next to a centre indicates they have one or more claims to be moderated but they are not yet overdue. The number indicates the number of unmoderated claims. A red warning symbol next to a centre indicates they have unmoderated and overdue claims. The first number indicates the number of unmoderated claims and the second number in the brackets indicates the number of overdue claims. OCR

If you have more assigned and inherited centres then you can use the navigation links at the bottom of the My Centres section to move between pages and to refresh the page. 3.5 Newsfeed The Newsfeed section displays a list of activities relevant to the user with a date/time stamp and IP address of the computer where the activity took place. A moderator will see activities relevant to their role whereas a team leader or chief will see activities relevant to their role and that of their team members. The Newsfeed section is updated in real time and is displayed in descending order with the newest entries at the top. Each newsfeed entry contains one or more links to others areas of the system that are relevant to the activity that has taken place. A list of possible newsfeed entries is shown in Appendix_2. 18 OCR 2016

19 4 Users If you are a team leader or chief the Users tab allows you to view the organisation structure of your team for the qualification you moderate for. This allows you to view your team members to see the centres and qualifications they moderate for. A moderator does not have access to the User tab. The Users tab contains two main sections which you can resize by dragging the vertical divider between them. The Organisation structure section is to the left and the Users section to the right. The organisation structure section shows the groups that you and your moderators are organised into. These groups represent the teams you have been organised into by OCR for the qualification you moderate for. For each qualification the chief is present in the top group with team leaders and moderators in groups below this. The number next to each group indicates the number of moderators present in the group. You can view the moderators in any group by ticking the checkbox next to the group. The moderators will be displayed in the users section on the right. For each moderator you can see their name, approval status, status and role. You can also view other information about each moderator as follows: Click the eye symbol next to a team member to browse to their dashboard. You will be able to see their unmoderated batches including any that are overdue and the centres they are assigned to. Click the information symbol next to a team member to view the details in their settings. This includes their personal details, assessor identifier, approval status, batch notification limit and whether they have opted to receive alerts when the batch notification limit is exceeded. OCR

20 Click the plus symbol next to a member of your team to expand the view to display the specifications assigned to a moderator in the left hand pane. Select a specification to view the centres either assigned or inherited by the moderator in the right hand pane. Once you have finished viewing the specifications assigned to a moderator in your team click the minus symbol to collapse the view. Click the Expand All button to expand the view for all moderators in your team to display the specifications assigned to each moderator in the left hand pane. Select a specification to view the centres either assigned or inherited by the moderator in the right hand pane. Click the Collapse All button to collapse the view of the specifications assigned to each moderator in your team. There are five filters at the top of the users section. Search this allows you to search for a moderator by entering three or more characters from their name (forename or surname), username or address. This search is only effective on the moderators displayed in the users section. So if you have the checkbox selected in the organisation structure section for a particular group the search will only be effective on the moderators displayed in that group. Status this allows you to filter the moderators by their status. Only one option can be selected from the list. Approved this allows you to filter the moderators by their approval status. Only one option can be selected from the list. Role this allows you to filter the moderators by their role. More than one option can be selected from the list. You can use this filter in the same way as the Filter by specification filter described in section 3.2. Filter by specification this allows you to filter the moderators by the specifications they moderate for. More than one option can be selected from the list. You can use this filter in the same way as the Filter by specification filter described in section 3.2. To clear a filter, click the no entry symbol next to the filter. The filter will be removed and the unfiltered list of moderators will be displayed. 20 OCR 2016

21 5 Centres The Centres tab displays a list of the centres you have been assigned, or have inherited from your team members, for the qualification you moderate for. You will be able to see summary information about the claims submitted by each centre and can then drill down into the individual claims to view the work submitted. For each centre the following information is displayed: Centre number Centre name Specifications only visible once a submission has been made for a specification Submissions the number of submissions made for a specification Moderated the number of moderated submissions for a specification with the number of student s units in brackets Unmoderated the number of unmoderated submissions for a specification with the number of student s units in brackets File types submitted a symbol to view the different file types submitted by a centre and the number of each. You can also browse to a specific page by entering the page number and then clicking the enter key on your keyboard. You can use the filters to search for a particular centre to view their claims or you can use the advanced claim search to find their claims directly. Search this allows you to search for a centre in three different ways by entering either their centre number, three or more characters from their name or the claim number. The system will filter the list of centres and display those that meet the criteria entered. Filter by specification this allows you to filter the centres by specification if you moderate for more than one specification and the centre has made a submission for more than one specification. More than one option can be selected from the list. You can use this filter in the same way as the Filter by specification filter described in section 3.2. View this allows you to filter for All, Assigned or Inherited centres. If you are a moderator you will only see your assigned centres. However if you are a team leader or chief you will see your assigned centres and your inherited centres. So if you filter by Assigned you will select your assigned centres, if you filter by Inherited you will select you teams centres and All you will select both. To clear a filter, click the no entry symbol unfiltered list of centres will be displayed. next to the filter. This allows you to filter by claims directly rather than filter by a centre to find the claim. Click the Advanced claim search button to display the Advanced claim search screen. 23 Specification this allows you to filter the claims by specification if you moderate for more than one specification. More than one option can be selected from the list. You can use this filter in the same way as the Filter by specification filter described in section 3.2. Search this allows you to search for a claim in three different ways by entering either their centre number, three or more characters from their name or the claim number. Status this allows you to filter by All claims or for claims with a particular status of Unmoderated, Admin issue, Complete or Malpractice. View this allows you to select claims for All, Assigned or Inherited centres. If you are a moderator you will only see claims from your assigned centres. However if you are a team leader or chief you will see claims from your assigned centres and from your inherited centres. So if you filter by Assigned you will select claims at your centres, if you filter by Inherited you will select claims at your teams centres and if you filter by All you will select claims from both. Date from this allows you to enter a start date after which you want to filter claims from. By default this is set to a date a year ago. Date to this allows you to enter an end date before which you want to filter claims from. By default this is set to today s date. All of the filters work in combination so you can search for claims for your specification that have been submitted between certain dates with a particular status. To close the advanced claim search and return to the Centres tab click the Close button in the blue bar. 5.2 Assigned users For each centre and specification you can view the users assigned and their role. Click the plus symbol next to a centre to expand the view to display the specifications assigned to you in the left hand pane. Select a specification to view the users assigned to the centre and their role in the right hand pane. Once you have finished viewing the users assigned to the centre for a particular specification click the minus symbol to collapse the view. Click the Expand All button to expand the view for all centres to display the specifications assigned to you in the left hand pane. Select a specification to view the users assigned to the centre and their role in the right hand pane. Click the Collapse All button to collapse the view for all centres. OCR

24 6 Centre summary The centre summary displays a list of claims submitted by a particular centre for the qualification you moderate for. To open the centre summary for a particular centre first use the filters on the Centres tab to find the centre. Then click the information symbol in the specifications column next to the qualification you moderate for to open the centre summary. You will see a list of claims submitted by the centre filtered by centre and qualification (shown in the crumb trail in the blue bar). For each claim the following information is displayed: Claim number the claim number which should be the same as the claim you review in Interchange Submission date the date the work was submitted Unit count the number of units with work submitted Candidate count the number of candidates with work submitted Marksheet count the product of number of units and number of candidates with work submitted in MAPS, i.e. two candidates with work submitted for two units gives four marksheets Status will always be active as an archived claim will not appear in the centre summary Claim status the status of the claim which can be Unmoderated, Admin issue, Complete or Malpractice. Repeal the repeal symbol (available to an OCR administrator only) can be used to return a claim to a centre by re-opening the claim in the centre side MAPS3 application. This option will only be used in exceptional circumstances. Claim summary the information symbol links to the claim summary. 25 You can sort by Claim number, Submission date, Unit count, Candidate count, Marksheet count, Status and Claim status columns by clicking on the column name. Filter by exam option this allows you to filter the claims by level or qualification depending on how the specification has been set up in OCR MAPS. Filter by claim status this allows you to filter the claims by their status of Unmoderated, Admin issue, Complete or Malpractice. To clear a filter, click the no entry symbol unfiltered list of claims will be displayed. next to the filter. The filter will be removed and the OCR

26 7 Claim summary Once you have identified a claim in the centre summary (section 6) you can view the details of that claim by clicking the information symbol in the last column. You will see the claim summary filtered by the centre, the qualification and the claim number (shown in the crumb trail in the blue bar). There is a separate row for each student that has submitted work in the claim. For each row you will see the following data: Student the name of the student Assessor the name of the centre assessor who marked the student s work Class the name of the class the student is in at the centre Unit name the name of one or more units the student has submitted work for moderation along with a link showing the centre submitted and moderated mark Qualification the name of the qualification as set up in OCR MAPS Claim No the claim number Repeal the repeal symbol (available to an OCR administrator only) can be used to return student s unit to a centre by re-opening the student s unit in the centre side MAPS3 application. This option will only be used in exceptional circumstances. You can resize the column widths by dragging the dividers either to make a column wider or narrower as required. You can sort by the Student column by clicking on the column name. A small arrow should appear to indicate whether the sort order is ascending or descending. There is one filter at the top of the claim summary. 27 7.1 Link for QCF/NQF qualifications For QCF/NQF qualifications a centre can only submit the student s work to OCR for moderation if it meets all of the assessment criteria. Therefore the link shows the centre submitted mark as 0 followed by the moderated mark in brackets. So when the claim is first submitted the display shows as 0 (0). This means that the centre has submitted the student s work with 0 outstanding criteria (all the criteria have been met) and the moderated mark is shown as 0 by default. Hovering over the link a tooltip is displayed which shows the number of outstanding criteria. As you moderate the student s work the moderated mark will be updated if you decide that the work has not evidenced one or more criteria. So if you find one criteria has not been evidenced and you remove it from the marksheet, then the display will be updated to 0 (1) upon save and the tooltip would show 1 criteria outstanding. 7.2 Link for Cambridge Technicals qualifications For Cambridge Technicals qualifications a centre can submit the student s work to OCR for moderation if it meets the pass grading criteria as a minimum. Therefore the link shows the centre submitted grade as P, M or D (pass, merit or distinction) followed by the moderated grade in brackets. So when work is first submitted the display shows as P (P), M (M) or D (D). This means that the centre has submitted the student s work with either the pass criteria met (P), the pass and merit criteria met (M) or the pass, merit and distinction criteria met (D). The moderated grade is shown as P, M or D in each case by default. Hovering over the link a tooltip is displayed which shows the submitted and moderated grades. As you moderate the student s work the moderated grade will be updated if you decide that the work has not evidenced one or more criteria. So if you find one criteria has not been evidenced and you remove it from the marksheet, then the display will be updated to the following upon save and the tooltip updated accordingly. OCR

It can be updated by selecting an option from the drop down list. The possible statuses are Unmoderated, Admin issue, Complete or Malpractice. When a centre first submits work for moderation the status of the claim is set to Unmoderated. Any claim with a status of Unmoderated remains visible in the batches section (section 3.2) of the dashboard. As you moderate the claim you can update its status as follows: If you identify an administrative issue that prevents you from moderating the claim then select the Admin issue option. An example could be that work is missing from the claim for certain students. In this case you should inform us about the issue using the standard procedures. It maybe that we can repeal the claim and ask the centre to re-submit it with the missing student s work present. If you identify a malpractice issue then select the Malpractice option. Then inform us about the possible malpractice using the standard procedures. 28 OCR 2016

29 Once you have finished moderating the claim and have changed the status of the student portfolios (section 8) sampled to Unit closed then you can change the status of the claim itself to Complete. Any change you make to a claim s status is reflected in the centre summary (section 6) and when the status is changed to Complete the claim disappears from the batches section (section 3.2) of the dashboard. Any claim with a status of Admin issue or Malpractice remains visible in the batches section of the dashboard. OCR

30 8 Student portfolios To view the student s work click the link showing the centre submitted and moderated mark as follows. 0 (0) for QCF/NQF qualifications P (P), M (M) or D (D) for Cambridge Technicals qualifications Click the link showing the centre submitted and moderated mark for the student s portfolio you want to sample for each unit. This opens the student s portfolio (unit shown in the crumb trail in the blue bar). Moderation status Portfolio details Files submitted Marksheet It contains a number of sections as follows. 8.1 Unit name and moderation status The unit name and number are displayed to the left of the blue bar at the top of the student s portfolio. 30 OCR 2016

31 The moderation status is displayed as a drop down list with three options: Unit submitted the default moderation status for student portfolios in newly submitted claims and for student portfolios that are not sampled during the moderation. Unit moderated the moderation status that can be set when the particular student s portfolio has been moderated but other student s portfolios in the claim have not yet been sampled. Unit closed the moderation status that can be set when the moderation of all of the student portfolios sampled in the claim have been completed. The Save changes button should be used to save any changes made in the marksheet or to the moderation status. When clicking the Save changes button there is on screen notification of the save and the screen refreshes. The Close button closes the student s portfolio and returns you to the claim summary. The up arrow hides the top three sections maximising the size of the marksheet which expands to fill the space they took up. 8.2 Portfolio details The portfolio details section shows details of the student, the centre and the moderation of the student s portfolio. Student name the name of the student Centre name the name of the centre Submitted by the name of the centre user that submitted the claim for moderation from the centre side MAPS3 application Submitted on the date and time the claim was submitted Assessed by the name of the centre assessor that marked the student s work in the centre side MAPS3 application Quality assured (Yes/No) indication of whether the student s unit has been marked as quality assured (internally standardised) in the centre side MAPS3 application Resubmission (Yes/No) indication of whether the student has resubmitted the unit possibly because they failed previously or because they want to achieve a better grade OCR

Moderation status the moderation status as selected in the blue bar at the top of the student s portfolio Moderated by the name of the moderator who has changed the moderation status to Unit closed Moderated on the date and time the moderator changed the moderation status to Unit closed. 8.3 Files submitted This section contains the files submitted for the unit and optionally for the claim. The Files tab contains the files submitted for the unit and these comprise the student s work. Each file is depicted by an icon which indicates the file type and has a filename which is below the icon. Depending on the number of files submitted and the length of their filenames not all of the files may be immediately visible in the Files tab. In this case a scroll bar will appear to the right of the Files tab section indicating that you need to scroll down to see all of the files submitted. You can also expand the Files tab section, to see all of the files submitted, by selecting and dragging down the divider between the top three sections and the marksheet. In exceptional circumstances the file type may not be recognised and the icon will show a question mark (as below). In this case the file is still present and can be downloaded as usual. The Supporting files tab will only be active if the centre has submitted supporting documentation with the claim. This is applicable to submissions for Cambridge Technicals qualifications where the centre can submit their standardisation records and candidate authentication statements for all students in the claim. 32 OCR 2016

33 Any files in the Supporting files tab will be the same for all students in the claim so you will only need to download them once. To do this click the cloud icon adjacent to the file and choose to either open the file or save it to your computer before opening. 8.4 Marksheet The marksheet section takes up the main part of the screen. Here you will see how the files submitted for the unit have been tagged by the centre assessor (and possibly the student) against the assessment/grading criteria for each learning outcome in the unit. In marking the student s work the centre assessor tags each file against the assessment/grading criteria that the file evidences. The student may also self-assess their files before handing in their work to the centre assessor for marking. Each file may evidence one or more assessment/grading criteria and more than one file may evidence a particular assessment/grading criteria. So in the marksheet you may see the same file tagged against one or more assessment/grading criteria and one or more files tagged against a particular assessment/grading criteria. Examples of the marksheet for QCF/NQF and Cambridge Technicals qualifications are shown overleaf. OCR

34 In a QCF/NQF marksheet you will see one or more files tagged against each assessment criteria as all assessment criteria have to be evidenced. In a Cambridge Technicals marksheet you will not necessarily see one or more files tagged against each grading criteria as only the pass grading criteria have to be evidenced as a minimum. 34 OCR 2016

35 In this case you will see one or more files tagged against the pass grading criteria only and not against the merit/distinction grading criteria. However in many cases you will see one or more files tagged against the merit and distinction grading criteria as well. In the Student column you may see a tick against each file to indicate that the student has tagged the assessment/grading criteria as being evidenced in the file. If there is nothing in this column then the student has not self-assessed the file. In the Assessor column you will see a tick against each file to indicate that the centre assessor has tagged the assessment/grading criteria as being evidenced in the file. You will always see the tick in the Assessor column as the centre assessor has to mark the student s work and confirm it meets at least the minimum assessment/grading criteria required for the unit to be submitted to OCR for moderation. In the Moderator column you will see a tick in the checkbox against each file by default to indicate agreement with the centre assessor s decision. 8.5 Portfolio notes You can click the left arrow to the right of the marksheet to expand the portfolio notes section where you can leave a note possibly in relation to your moderation decision or to notify your team leader or chief of something in the student s portfolio. These portfolio notes are not seen by centres and are only seen by your team leader or chief in your team. OCR

36 9 View submitted files You can view the files submitted in two ways. You can download and open each file in the application it was created. You can open each file in the Red Pen Tool and view any annotations made by the centre assessor (and possibly the student) including seeing where the assessment/grading criteria have been tagged in the file. The advantage of using the Red Pen Tool is that you can view the file in a browser with the Flash plugin installed and do not need to have the application it was created in installed on your computer. In addition each page of the file is streamed as you navigate to it in the Red Pen Tool meaning that you don t have to download the original file. 9.1 Download and open You can download each file submitted in the student s portfolio one by one or all at once in a compressed zip file. To download a single file click on the file in the files submitted section of the marksheet and a pop up will be displayed. This will show the filename and two buttons (Download and Annotate). Click the Download button to download and save the file. Depending on your browser settings you will either be prompted to open or save the file or the file will automatically save to the Downloads folder on your computer. You will need to change your browser settings to suit your preferred workflow. Once downloaded you can open the file in the application it was created in. To download all of the files in a compressed zip file click the Download all button in the submitted files section of the marksheet. The system creates a compressed zip file containing all of the files with a filename in the following format: Marksheet number_unit number_student surname.zip The marksheet number can be seen in the browser s address bar when viewing the marksheet. An example is An example filename is _unit_1_Carter.zip You can save the zip file to your computer and then unzip it to a location from where you can open the files in the applications they were created in. 36 OCR 2016

37 9.2 Red Pen Tool If the centre assessor has used the Red Pen Tool, to mark any of the files submitted in the student s portfolio, in the centre side MAPS3 application by either: Tagging the location in the file where the assessment/grading criteria have been evidenced or Adding one or more annotations (note, comment, audio comment, highlighting) in the file. then from RPT will be displayed next to the tick against the file in the Assessor column. If the student used the Red Pen Tool to self-assess any of their files in the same way then from RPT will be displayed next to the tick against the file in the Candidate column. In the Moderator column from RPT will be displayed next to the tick in the checkbox against each file if from RPT is displayed in the Assessors column. This is because the moderator s layer in the Red Pen Tool is a direct copy of the assessor s layer. If you see from RPT in either of the Candidate or Assessor columns for any file then you should open that file in the Red Pen Tool to view the tagging and/or annotations left. Even if from RPT is not displayed in either of the Candidate or Assessor columns then you can still use the Red Pen Tool to view the files submitted but you will not see any annotations or exactly where the assessment/grading criteria have been evidenced. It is also possible to open all of the files submitted in the Red Pen Tool at the same time. Only certain file types can be viewed in the Red Pen Tool and these are listed in Appendix 3. In addition there are two versions of the Red Pen Tool, the main one for the majority of files and another one for audio/video files. The system will use the appropriate version of the Red Pen Tool for the file being viewed. You can view the files in the student s portfolio in the Red Pen Tool one by one or all at once. To view a single file in the Red Pen Tool click on the file in the files submitted section of the marksheet and a pop up will be displayed. This will show the filename and two buttons (Download and Annotate). Click the Annotate button to open the file in the Red Pen Tool. The Red Pen Tool opens the file in a separate window and the assessment/grading criteria are shown in the bottom third of the screen. OCR

Click the appropriate magnifying glass to zoom the file making it smaller to fit the page or larger to view the detail. Click the forward, back, first page and last page navigation controls to navigate through the pages in the file. Each page is streamed as you navigate to it so should display quickly in the Red Pen Tool window. Click to view a thumbnail of all pages in the file. Navigate forward and backward through the pages and select one to view that page. Save & Exit Print Click to save any annotations added to the file and close the Red Pen Tool window. If you use the Red Pen Tool to view the file and click save and exit then from RPT will be added to the marksheet in the Assessor column next to the file saved. You will only notice this is from RPT was not already present in the Assessor column for the file. If you use the Red Pen Tool to view the file and want to close the Red Pen Tool window without saving any changes then click the in the top right corner of the screen. Click to open the print dialogue and print the file with any annotations present. Help Click to open a Red Pen Tool tutorial in a new window Open file The open file section is where the pages in the file you are viewing are displayed and where you will see any annotations added by the centre assessor (and possibly the student). You can see the total number of pages in the file and the current page in the page navigation in the toolbar. To navigate around the current page simply click and hold your mouse button over the page and drag it in the direction you want to move. Use the zoom options in the toolbar to increase or reduce the size of the page. Click the resize handle in the top left corner of the assessment/grading criteria section to collapse this section and view more of the current page. OCR

40 To move between pages in the file use either the page navigation or pages options in the toolbar. Use the page navigation option if you want to navigate through the file page by page or move to the first or last pages. Use the pages option if you want to see thumbnails of all pages and then select the page you want to view. The score in the top left corner of the page shows the number of assessment/grading criteria tagged in the file and the total number of assessment/criteria for the unit. It is possible to navigate to the points in the file where particular assessment/grading criteria have been evidenced. To do this click the search symbol for the particular assessment/grading criteria in the assessment/grading criteria section and then click the forward/back navigation. Each time you click the forward/back navigation the system will move to the next point in the file where the assessment/grading criteria has been tagged Assessment/grading criteria The assessment/grading criteria section shows all of the assessment/grading criteria for the unit displayed six at a time. Those currently being displayed are shown in the bottom left hand corner. You can view the assessment/grading criteria not being displayed using the navigation arrows above and below the centre of the display. If the centre assessor used the Red Pen Tool to mark the files submitted then they will have dragged the assessment/grading criteria onto the file at the point that they were evidenced. You will not need to do this as you are moderating the centre assessor s decisions and are not remarking the files. 40 OCR 2016

The default colours are given in brackets. Click on a layer to toggle on or off its display on the file. Note Click and drag onto the audio/video timeline at the point you want to add the note. Once added you will see the note on the timeline and in the tags/annotations at point on timeline section. You will need to click to edit the note in this section, add your comments and save or delete. Audio Click and drag onto the audio/video timeline at the point you want to add the audio annotation. Once added you will see the audio annotation on the timeline and in the tags/annotations at point on timeline section. You will need to click to edit the audio annotation in this section, record your comments and save or delete. OCR

42 Zoom Video controls Save & Exit Click the appropriate magnifying glass to zoom the audio/video timeline to change the time divisions between graduations and give finer control when adding notes or audio to the timeline. Click the play control to listen to the audio/video recording. A vertical red line moves along the audio/video recording at the point being played. Once clicked the play control changes to a pause control which you can use to pause the audio/video at a specific point. The fast forward and fast back controls move the vertical red line forwards or backwards on the timeline in specific time frames. Click to save any annotations added to the file and close the Red Pen Tool window. If you use the Red Pen Tool to view the file and click save and exit then from RPT will be added to the marksheet in the Assessor column next to the file saved. You will only notice this is from RPT was not already present in the Assessor column for the file. If you use the Red Pen Tool to view the file and want to close the Red Pen Tool window without saving any changes then click the in the top right corner Audio/video timeline The audio/video timeline is a graduated timeline with a vertical red line at the point the audio/video is being played and where you can see any annotations added by the centre assessor (and possibly the student). To the left of the timeline you can toggle on or off the display of notes, audio comments and assessment/grading criteria on the timeline by clicking the appropriate icon. It is possible to navigate to the points in the file where particular assessment/grading criteria have been evidenced. To do this click the search symbol for the particular assessment/grading criteria in the assessment/grading criteria section and then click the forward/back navigation. Each time you click the forward/back navigation the system will move to the next point in the audio/video recording where the assessment/grading criteria has been tagged Tags/annotations at point on timeline The tags/annotations at point on timeline section gives the detail of the annotations added to the timeline. This includes the type, content and the start/finish times of each annotation. As you play the audio/video recording the annotations at the point in the timeline will come to the fore in this section Audio/video player The audio/video player is where the audio/video plays back. In the case of an audio recording you will see the playback progress throughout its duration. In the case of a video recording you will see the video playback and can pause it as required. 42 OCR 2016

43 Assessment/grading criteria The assessment/grading criteria section shows all of the assessment/grading criteria for the unit displayed four at a time. If there are more than four assessment/grading criteria for the unit a scroll bar will appear to the right of the section and this can be used to view the assessment/grading criteria not being displayed. If the centre assessor used the Red Pen Tool to mark the files submitted then they will have dragged the assessment/grading criteria onto the file at the point that they were evidenced. You will not need to do this as you are moderating the centre assessor s decisions and are not remarking the files RPT all To view the files all at once click on the RPT all button to the bottom right of the files submitted section of the marksheet. The Red Pen Tool opens all of the files in a separate window and the assessment/grading criteria are shown in the bottom third of the screen. You can see the total number of pages in all of the files and the current page in the page navigation in the toolbar. The total number of pages will be the sum of the pages in all of the files opened. To move between pages in all of the files use either the page navigation or pages options in the toolbar. Use the page navigation option if you want to navigate through the file page by page or move to the first or last pages (of the first and last file). Use the pages option if you want to see thumbnails of all pages and then select the page you want to view. OCR

44 The score in the top left corner of the page shows the number of assessment/grading criteria tagged in all of the files and the total number of assessment/criteria for the unit. Note: The RPT all option can currently only be used for files that open in the same version of the Red Pen Tool. As such it is not possible to open audio/video files with other file types as they would normally open in different versions of the Red Pen Tool. 44 OCR 2016

45 10 Moderating claims To moderate the claim you will first need to navigate to the claim in the claim summary screen either: Directly from the batches section of the dashboard (section 3.2) or Indirectly from the centres tab using o the filters to find the centre and then the claim (section 5) or o the advanced claim search (section 5.1) Once you are viewing the claim you will see the units (one or more) included along with the students that have submitted work for each of the units, their mark/grade and the name of the centre assessor that marked the student s work. The status of the claim will be Unmoderated. The claim should contain the same combination of units; students that have submitted work for each of the units and their mark/grade as included in the claim you review in Interchange Select sample Prior to starting your moderation and for each unit included, you will need to decide which of the student s portfolios to sample based on the sampling rules for the qualification. For Cambridge Technicals qualifications you will have already selected your initial sample in Interchange and can sample these student s portfolios in OCR MAPS. If you need to widen your sample you can do so easily by sampling other student s portfolios in the claim in OCR MAPS View student s portfolio in sample You will have to view the work in each of the student s units to be sampled (section 8). You can view the portfolio details (section 8.2), the files submitted (section 8.3) and see the centre assessor s (and possibly the student s) tagging of the files submitted against the assessment/grading criteria in the marksheet (section 8.4). You will need to moderate the submitted files to decide whether you agree with the centre assessor s decision or not. You can view the submitted files (section 9) in one of two ways: You can download and open them in the application they were created in (section 9.1). In this case the centre assessor s tagging applies to the file and you will have to confirm the assessment/grading criteria have been met within the file. You can view them in the Red Pen Tool (section 9.2). In this case the centre assessor s tagging is at the point the assessment/grading criteria have been met within the file. You can leave comments in the file if you want to in relation to your moderation or you can use the portfolio notes (section 8.5) to do this if you choose. OCR

46 10.3 View supporting files With Cambridge Technicals qualifications centres can submit supporting documentation (section 8.3) with the claim. This can include candidate authentication statements and standardisation records. You can download and view these documents as part of your moderation of the claim Make moderation decisions There are three different decisions that can be made in the marksheet (section 8.4) Tag files with additional assessment/grading criteria If you find that a submitted file contains evidence for an assessment/grading criteria that has not been tagged then you can tag the file with that assessment/grading criteria. To do this highlight the file in the Files tab and drag it to the assessment/grading criteria it evidences in the marksheet. A green tick will show in the file icon indicating it can be tagged with that assessment/grading criteria. Then drop the file and it will be added to the assessment/grading criteria and a tick will be added to the checkbox against the file in the Moderator column. In the example below the file 105 plan review has been dragged over assessment criteria 1.1 and the green tick is displayed in the file icon indicating the file can be added to the assessment criteria. The file has then been dropped on assessment criteria 1.1 and it has been added to the assessment criteria. A tick has been added to the checkbox against the file in the Moderator column. 46 OCR 2016

47 Amend tagging in moderator column Having viewed the files submitted in the student s portfolio you will need to update the Moderators column in the marksheet to confirm that each file evidences the assessment/grading criteria it has been tagged with. If the file does evidence the assessment/grading criteria it has been tagged with then no action is required and you can leave the tick in the checkbox If the file doesn t evidence the assessment/grading criteria it has been tagged with then action is required and you should remove the tick in the checkbox. Click the Save changes button in the top blue bar to save. Repeat this for all files submitted. Once done there are several possible outcomes QCF/NQF (section 7.1) With QCF/NQF qualifications as long as each assessment criteria is evidenced in one or more files the moderated mark remains as 0 meaning that there are 0 outstanding criteria (all assessment criteria have been met). In this case the mark displays as 0 (0) in the portfolio details (section 8.2) and in the claim summary (section 7). If one or more assessment criteria are not evidenced in any files then the moderated mark is increased by the number of assessment criteria not evidenced. So if one assessment criteria is not evidenced the moderated mark changes to 1 meaning there is 1 outstanding criteria. In this case the mark displays as 0 (1) in the portfolio details (section 8.2) and in the claim summary (section 7). OCR

48 Cambridge Technicals (section 7.2) With Cambridge Technicals as long as the pass grading criteria are evidenced in one or more files the moderated grade will be a pass. If the pass and merit grading criteria are evidenced in one or more files the moderated grade will be a merit. If the pass, merit and distinction grading criteria are evidenced in one or more files the moderated grade will be a distinction. If one or more grading criteria are not evidenced in any files then the moderated grade is updated to reflect the grading criteria removed. The table in section 7.2 covers the moderated grades possible. So if one pass grading criteria is not evidenced the moderated grade changes to F meaning not all pass grading criteria have been evidenced. In this case the mark displays as P (F) in the portfolio details (section 8.2) and in the claim summary (section 7) Update moderation status (section 8.1) If you have finished updating the Moderators column in the marksheet in a particular student s portfolio but have not yet viewed other student s portfolios in the sample you can update the moderation status in the top blue bar to Unit moderated. Click the Save changes button in the top blue bar to save. The moderation status is updated in the portfolio details to Unit moderated (section 8.2). Once you have viewed all of the student s portfolios in the sample and updated the Moderators column in each marksheet sampled then you should return and update the moderation status in the top blue bar to Unit closed in each. Click the Save changes button in the top blue bar to save. 48 OCR 2016

49 The moderation status is updated in the portfolio details to Unit closed (section 8.2). Close the student s portfolio to return to the claim summary. The person symbol is displayed next to the submitted and moderated mark/grade indicating the unit has been moderated. Repeat the steps in sections (10.4.1), (10.4.2) and (10.4.3) for each unit to be moderated in the claim. Once complete in the claim summary you will be able to see which of the student s portfolios have been moderated in the sample for each unit. Those with the person symbol displayed have been sampled and have a moderation status of Unit closed. Those with no symbol displayed have not been sampled and have a moderation status of Unit submitted, the same as when they were first submitted. If you need to widen your sample for any reason then the student s portfolios that were not sampled initially can be included. OCR
