1 User Guide Welcome to your user guide. The following will offer a complete walkthrough of the most popular services and searches available in. is a subscription-based website. Customers subscribe to those modules that are of interest to them. For more information on which modules are available, click on in the Binley s Products menu on Prior to becoming an online subscriber, each customer must sign a license agreement created by our sales team. 2 Logging into To access go to via your internet browser. You will then be presented with the login screen. Account name Supplied by support Password Supplied by support Remember me on this computer Your address (this acts as a unique identifier, it also allows you to save searches and create your personal directory) By ticking the Remember me on this computer box a cookie will be stored in your web browser, saving you from having to type your username and password every time you visit. For more information about our cookie policy visit What if my username and password are not accepted? It could be that the username or password you are typing is not correct. Firstly, you should re-enter carefully, making sure you have not, for example mistaken a 1 for an I. Passwords and usernames are also case sensitive. Contact customer support on or support@binleys.com if the problem persists. Can I save binleysonline.com as a favourite or bookmark this page? It is possible to save as a favourite or bookmark this page but you should ensure you add/save it before you login. If you have saved the page after you have logged in, you may see the message Your login has expired. To clear this message, you will need to remove your favourite/bookmark, log back into and re-enter your username and password. 2 User Guide
3 Homepage features When you have completed the login procedure, you will be able to view your personal homepage. From the homepage you can perform all searches and access a variety of useful NHS-related information sources. Wherever you are on the site click here to return to the homepage At the top of the homepage is the banner, which provides immediate access to the four navigational tabs: People, Places, Documents and Mapping The global search works like a search engine on the web and is useful for finding things quickly Download user guide PDF copy of Binley s latest NHS Guide Discover healthcare news as it happens Provides easy access to map counts including organisations, responsibility, people and places UK map providing easy access to a wealth of information regarding all regions of the NHS Link to your personal directory, saved searches and alerts List of saved people, places and documents User Guide 3
4 Accessing your personal profile Once logged in, there are two ways to locate your personal profile: 1. By clicking on Personal profile at the very top of your homepage screen 2. By clicking on the Go to personal directory button located on the homepage then select Settings and preferences You will then be presented with your personal profile where you can amend your password. If you have saved your login details on the initial login page by clicking Remember me on this computer, you can reinstate the security of entering your username and password by clicking on the Delete cookie button. 4 User Guide
5 Global site-wide search The global search works like a search engine on the web. Either search the whole site or opt to search within people, places or documents or a combination of these. For example, users can input a surname or role for people searches, a town for place searches or a molecule name for document searches. Simply type your keyword or phrase in the box and hit the Go button. You can search for a number of words if separated by standard operators e.g. and, or. tip! Using quotation marks around a phrase when performing a global search will return only those exact words in that order. For example, pathology manager will just search for pathology managers rather than pathology labs or pathology departments. It s one of the best ways to limit the results returned. tip! Use an asterisk (*) at the end of partial information in a global search to encompass a wildcard search. This will find words with variations on several letters at the beginning or end of a word. For example therap* will search for words such as therapy, therapies, therapist, therapeutics. User Guide 5
6 People and Places basic and advanced search The People and Places search allows you to explore a wealth of specific information regarding people and organisations within the NHS. These are located in the top navigation bar on the homepage. You will notice that when performing a People or Places search they are very similar to use searches are divided into two: 1. The basic search allows you to enter as much information as you have available, or as little. 2. The advanced search lets you select the parameters of the search you wish to perform and to include only those areas that you wish to search for. Select criteria by Example of an advanced people search clicking the item then the right arrow to build a query Drop-down lists are available to help fill in the detail Type specific job function or key word here to limit available selection criteria above You can also search across your own saved searches This can be used to clear all input fields whenever you want to start a new search The Calculate button at the bottom of the search screen can also be used to preview the number of results your search will yield. This is useful in assessing whether or not you need to refine your search further to obtain a more manageable number of results Hit the Go button to return your search results Within an advanced people search you can search by criteria such as specialty, job function, grade, job title or interest. Places advanced searches work in much the same way allowing you to search by criteria such as department, bed numbers, trust/location type and list size. 6 User Guide
7 People search results The results of People searches are displayed by surname. Each name is a live link that can be opened to reveal details of the person named. tip! You can save your search results at this point by clicking the Save search button. This allows you to quickly return the search whenever you want. You can save searches for people, places and documents. Give your search a name and then hit Save. This stores the search in your personal directory so that it can be re-run quickly from the homepage alerts alerts are also available for people (saved search alerts) and document (document alerts). An alert is sent notifying you of any changes to which fit your saved search criteria. What does this mean for you? you will be informed when a change has been made that is relevant to you you can react to this new information and take advantage of early opportunities as they arise you will see which relevant areas are experiencing the highest-levels of change and tailor your plans and resources accordingly. The Toggle A-Z display button switches your results to an alphabetised list to allow ease of searching and access Allows you to modify your search criteria People record Click on a person s name to display the People overview page. Details of the location the person works at, their job title and responsibilities are given, as well as live links to the organisation(s) they work for. Print or save the record to your personal directory User Guide 7
8 Places search results Places search results are displayed alphabetically by name, linking to the information held for that organisation. Give your search a name and then hit Save. This stores the search in your personal directory so that it can be re-run quickly from the homepage The Toggle A-Z display button switches your results to an alphabetised list to allow ease of searching and access Allows you to modify your search criteria tip! You can save your search results at this point by clicking the Save search button. Organisation record Open the location by clicking on the location name. The organisation s record will include contact and location details, staff and management lists, details of member organisations, localities, directorates and links to organisations with which it is associated. Click the Analyse Location button in the top right of the screen to compare QOF and financial data with another location. To show specific data for the organisation tick the fields on the left of the screen for the information you require, then hit Update selection Print or save the record to your personal directory Click the Analyse Location button in the top right of the screen to compare QOF and financial data with another location NB. The Analyse Location option will only appear under those organisations for which additional data sources are available 8 User Guide
9 Analyse location QOF data and financial data The Analyse Location function allows you to instantly compare disease prevalence (QOF data) and financial data against similar organisations in the same area. QOF data and prevalence rates are a source of information on the level of different types of health problems in the population at a particular point in time. If you are a supplier or service provider to the NHS analysing financial and QOF data enables you to cherrypick areas either by highest spend or disease relevant to your product/service. The ability to analyse and visualise this data can help you target your marketing communications and sales activities more effectively, make better-informed decisions, improve your performance and lower your costs. To compare QOF data: 1. Click QOF in the Select data set drop-down box. 2. From the Select sub set drop-down box, choose either prevalence or patient numbers for the year you require. For example, 12/13 refers to prevalence data for Choose the therapy/disease areas you want to analyse from the Select multiple fields drop-down box. You can select multiple fields by holding down the Ctrl button on your keyboard. 4. Click Create chart when you have made your selections. 5. Finally, choose the field you want to compare. Your results will automatically be displayed in a chart as shown in the example below. EXAMPLE OF A Disease Prevalence Report for a CCG, compared with other CCGs in the same area User Guide 9
10 To compare financial data: Follow the same steps as you would for QOF data. Financial data is available for: Foundation trusts This is broken down by: Income from activities Operating expenses Staff numbers Staff Numbers Report for a foundation trust, compared with other trusts in the same area 10 User Guide
11 Documents search The documents search allows you to explore the of over 12,000 NHS documents including: database Annual accounts Clinical governance Prescribing formularies Annual reports Director of public health Prospectus Board minutes Information packs QIPP plans Business plans Constitution Operating frameworks Plan on a page The documents search is located in the top navigation bar on the homepage. Upon clicking on this button the following screen will appear, presenting you with various filter options: You can search for a single word or a combination of words from within any document to enable you to quickly access the relevant insights Select criteria by clicking the item then the right arrow to build a query e.g. country/region, organisation type and document type This can be used to clear all input fields whenever you want to start a new search Hit the Go button to return your search results Click Calculate to check how many documents meet your criteria User Guide 11
12 Documents search results Once you have performed your search the results will be displayed. tip! You can save your search results at this point by clicking the Save search button. For documents you have the option to receive alerts to notify you of any changes which fit your saved search criteria. If you wish to receive alerts tick the Alert box, give your search a name and then hit Save. This will save the search to your personal directory Click on the document name to go to the document Upon selecting a document to view, you will be presented with the following page: Scroll through all documents returned in the search results View the document as either an image or plain text Zoom in and out Save to personal directory View the document type as various file formats e.g. tif, text, pdf View full document When the document loads, click the right keyword arrow to go to the first page containing your keyword. A page will appear highlighting your keyword in yellow. Keep hitting the right keyword arrow to return further pages containing your keyword 12 User Guide
13 Mapping The mapping functionality is located in the top navigation bar on the homepage. Map counts The first map you will be presented with is the UK NHS map which can be used to search for information by NHS territory for England, Scotland, Wales and Northern Ireland. This is ideal for visually viewing quick counts of people and organisations. Click on the View Analysis button to view more detailed location analysis Clicking on anything with a blue hyperlink will take you through to more information about that person or organisation If you click on the map, the statistics and counts will change to the area selected Clicking the map twice will zoom into the selected geography. You can also use the + and button to zoom in and out User Guide 13
14 View analysis The view analysis map is a more interactive map allowing you to view detailed analysis about a particular location. It can be used to view by: Street view Commissioning boundaries and health boards Country outline Whether you want to pinpoint the location of an organisation, identify disease hotspots or understand what healthcare services are available in a geographical area, mapping tool enables locality-based information analysis that can inform strategic and operational business decisions. You can search for a location on the map by postcode, place name or address Information about a selected location is displayed on the map. You can also plot organisation types by primary care, retail pharmacy and secondary care around a particular location For example, the Find my nearest tab shows the nearest 10 search results for retail pharmacies around the selected location above Clicking on the pharmacy symbol will highlight that location in the list 14 User Guide
15 QOF data From the view analysis map you also have the ability to compare QOF data. This data is available in for CCGs and GP surgeries. Drill-down to see key intelligence such as area team, CCGs, CSUs, GPs, hospitals, trusts and area team regions The Place holder link will open up a new screen with more information about that organisation such as location details, staff and management lists, member organisations and directorates The Analyse location link allows you to compare QOF data against similar organisations in the same area Select therapy area to view thematic map of QOF data Click on the relevant symbols once to view details of a particular location tip! Once you have identified an organisation on the map you can copy and paste it into the global search at the top of the page (select places) and this will take you to a detailed record of that organisation. 16 The personal directory The personal directory allows you to quickly access the People, Places and Documents information that are most relevant to you. Easy to use and maintain, you can access the Personal Directory from your homepage. In your Personal Directory you will find a list of your saved records/searches with each search title listed as a hyperlink. You can perform several tasks from your Personal Directory. Click the + or buttons to expand or collapse items saved in your personal directories Add your saved records to your homepage by ticking the On home box Delete items from your personal directory Amend or add notes to your personal directory Delete a saved search Click the + or buttons to expand or collapse items saved in your saved searches Switch off alerts for saved document searches by un-ticking the Alert box Rename a saved search 16 User Guide
