1 Microsoft Project 2010 Check filters User Guide Version 3 Dated 8 th May 2015 Note: The Check filters and associated user guide are provided to the planning community for general user but remain the Intellectual Property of Core Consulting Group. 2 1. Introduction The Check filter template file was developed over a number of years by Martin Vaughan of Core Consulting Group. The template is a cut down version of our extensive innovations and view based reports we use. Feedback please is appreciated, martin.vaughan@coreconsulting.com.au 2. Enabling the filters The easiest way to use the check filters is to copy them into your Global template, a file used by each PC to capture default settings. To do this use the Organiser function. 1. Open the Check filters only template file. 2. From the menu, select File Organiser. 3. Click on the Filters tab 4. Ensure you have Check filters only shown on the bottom right hand side, Global on the left hand side. 5. Highlight all the Check filters on the right hand side and click the Copy button 6. Click on the Fields tab 7. Repeat the process for Date 10, a field used by check filters 4 and 5. Page 2 of 5
3 3. Template Contents 3.1 Customised Rules (Tools Options) The following File Options have been altered from the default. Item New Tasks created Auto Scheduled New Tasks are Fixed Duration New Tasks are Effort Driven off Autolink inserted or moved tasks off Change We do not wish to use manual scheduling Work will be calculated from duration and % units, we do not wish Duration to change when units are changed. Turned off, each resource is not considered interchangeable Turned off, we do not want MS Project to automatically change logical dependencies 3.2 Customised Views There are no customised Views supplied in this template. 3.3 Customised Tables There are no customised Tables supplied in this template. 3.4 Customised Filters Filters are used to hide any detail which does not fit the filter selection criteria. They can be enabled by using the toolbar or through the Project Filtered For command. Custom Filters include: Filter Use Response expected CHECK 1 (SUMMARY WITH A DEPENDENCY) Identifies summaries which are linked to other tasks or summaries (have either Predecessors or Successors). Transfer Predecessors and Successors to sub tasks (as a rule, summaries should not be linked to other tasks). Filter should return no items. CHECK 2 (MISSING PREDECESSOR) CHECK 3 (MISSING SUCCESSOR) Identifies incomplete tasks/milestones which have no predecessor assigned (no predecessor may mean incorrect Start and Finish dates). Identifies incomplete tasks/milestones which have no successor assigned (no successor will result in large float values). Possibly incorrectly scheduled (sitting at project Start date). Add a Predecessor, Actual Start date or a constraint. Filter should only return Start milestone and incoming project dependencies. Possibly incorrect float, may actually impact schedule if correctly linked. Add a successor or consider the use of a Deadline. Filter should only return Finish Page 3 of 5
4 Filter Use Response expected milestone and outgoing project dependencies. CHECK 4 (FUTURE ACTUAL) CHECK 5 (UNSTATUSED) CHECK 6 UNRESOURCED CHECK 7 RESOURCED NON TASK CHECK 8 EXCESSIVE DURATION CHECK 9 SUSPECT CONSTRAINTS Identifies any tasks/milestones with an Actual date in advance of Status date (due to support of % complete status method, a future scheduled task may have some % complete and hence Actual Start date which will affect scheduling). Identifies any tasks/milestones sitting before the Status date which have not been updated and hence may lead to incorrect schedules. Identifies any tasks without allocated resources. If schedule is resourced then resourcing these items may lead to unanticipated conflict. Identifies Summaries or Milestones with resources assigned. If resources are assigned to Summaries there may be double counting, if resources are assigned to Milestones they may be redundant entry. Identifies Tasks which have duration longer than 20 days. Identifies Tasks or Milestones with Must, No Later Than or As Late As Possible constraints or where Constraint date may no longer be relevant. Check Actual dates and either modify them or set % Complete to 0. If necessary review dependencies and/or constraints. Filter should return no items. Check the status of these items and either enter correct Actual dates or forecast them to occur after Status date. Filter should return no items. Allocate resources to all Tasks as necessary. Filter should only return items where resourcing is not relevant, eg equipment delivery times. Remove all resource assignments against Summaries. Only assign Resources to Milestones where cost allocation is required. Units will always be 0 in such cases. Review and consider breaking the tasks into more detail. Review Constraints and consider removing them. Filter should return only items which are defined Targets. Caution should be demonstrated when using constraints. CHECK 10 (WRONG TASK TYPE) Identifies Tasks or Milestones which are not Fixed Units, Effort Driven = No and Auto Scheduled Review and change as necessary. Note: With 2010 if the filter is changed, the active View will no longer call up the correct Filter. The user will need to revert to the All Tasks filter or other as appropriate after running the filters above. 3.5 Customised Forms There are no customised Forms supplied in this template. 3.6 Customised Macros Page 4 of 5
5 There are no customised Marcos supplied in this template. 3.7 Customised Calendars There are no customised Calendars supplied in this template. 3.8 Custom Fields The Template file contains one customised Text field: Field Date 10 (calculated) Use Status date for check filters, a calculated field used to record the Status date, taking whatever is put in Project, Project Information, Status date field. Users can ignore this field. 3.9 Customised Toolbars There are no customised Toolbars supplied in this template. Note: With 2010 the ability to provide a custom toolbar to run filters has been made much more difficult. At this stage we cannot provide an equivalent toolbar to our 2007 template file Example tasks The Template file contains no example tasks apart from a generic Summary, 2 Tasks and a Milestone: Page 5 of 5
