2 Login Log in using your registered address and the password given to you by the NCTJ. If you do not know your password please contact the NCTJ. 1
3 Dashboard 1. Candidates clicking here will take you to you list of trainees and their logbooks 2. Help FAQ s are answered here 3. Log out click here to log out of your logbook 2
4 Candidates 1. Your trainees names are listed here. Click on their name to be taken to their profile page. 2. Click here to view your trainees logbook. 3. This is a progress bar showing how much of the logbook the trainee has completed. As they upload work and the required coversheets are completed the bar will begin to turn green until it is 100% complete and all green. 4. Once trainees final mark for the logbook will be shown here once they have submitted it and it has been marked by the examiners. 5. Click here to view your trainees workplace assessment forms. 3
5 Candidates > Profile When you click on the name of the trainee you wish to view you will be taken to their profile page. 1. Profile this tab gives information on the trainee i.e. name, address and publication 2. Exam this section confirms that the trainee has been enrolled to sit the NQJ exams and confirms the date of the exams. 3. Logbook marks click here to see the trainees final logbook mark 4. NQJ refresher this tab allows you to add details of any refresher training the trainee has received before sitting the exams 5. Logbook comments click here to add your overall comments for your trainees logbook 6. Click here to view the workplace assessments 7. Click here to go to the trainees logbook 4
6 Candidates > View Logbook 1. The logbook must contain 40 stories or articles. The (0/40) indicator will show (1/40), (2/40) etc. as work is started on each submission, until the required (40/40) stories have been started. 2. This is a progress bar showing the percentage of the logbook that has been completed. As work is uploaded and the required coversheets are completed the bar will begin to turn green until it is 100% complete and all green. 3. Click on the name of the category of the submission you wish to view. 4. Status of the story three lights represent the following components required for each story submission: Cover sheet Original copy Final copy A red light indicates that a component has not been started or is incomplete. A green light indicates full completion of the component. All three components for each story must be complete (displaying a green light) for the story submission to be fully complete. 5. Download (ZIP) button click here to download your trainees logbook as a ZIP. file. 5
7 View submission After clicking on the category of the submission you wish to view the following screen will appear: 1. This tab is the coversheet for the story and should contain the headline of the story, a brief description from the trainee and the date that the story was published. 2. The Original copy tab will allow you to view the original copy of the story. 3. The Cutting tab will allow you to view the final copy of the story. 4. This tab gives more detail on what is required for the specific key task. 5. Here you can type comments and feedback to be viewed by the trainee and the marker. To open and view a submission click on the Original copy or Cutting tab and click on the title of the document (see number 1. below). 6
8 The document should then open on your computer for you to view. Once you have finished simply close the document. To leave comments or feedback, click on the Trainers comments/feedback tab. 1. Type your comment for the trainee or marker here. 2. Click on Add note to save the comment. 7
9 Candidates > View Workplace assessments 1. Click here to download the workplace assessment sheet. This form should be completed by you and scanned and uploaded. 2. Use the green + symbol to upload a completed form. Workplace assessment sheets can be added by the trainer or by the trainee in their login area of the logbook site. 3. Click here to download a copy of the trainees completed workplace assessment sheets. 8
10 When adding a completed workplace assessment sheet the following screen will appear: 1. This is where information of the assessment is input. Trainers or trainees may choose to add a brief description of what was discussed during the assessment however this box is optional. Please ensure the assessor s name and the dates are entered here. 2. Click on this tab to upload the completed assessment sheet. 3. Click Save to save your changes 9
11 1. Click Choose File to access your local documents. Select the file you wish to upload, highlight it and click open. The file will automatically be uploaded to the logbook site. 1. To view the uploaded file, click on the document title. 2. Click on the x to remove the uploaded file. n/b: Trainee s must upload three workplace assessment forms before they are able to submit their logbook for marking. These are not marked but must be uploaded and are there to assist the marker. 10
12 Logbook (completed) When your trainees logbook is fully complete you should see the following: 1. The progress bar should be green and be showing as 100%. 11
13 Endorsement letter Before your trainee can submit their logbook an Endorsement letter must be completed by you and uploaded to the logbook site. The endorsement letter is confirmation that all of the trainees work in the logbook is their own. 1. Click here to download a template of the endorsement letter in Word. 2. Once completed and saved or scanned to your computer click on Choose file to browse, find and upload the letter. 12
14 When you have uploaded the endorsement letter you should see the following: If you have uploaded the incorrect file or need to amend and upload the endorsement letter again you can delete the document from the site by clicking on the red X next to it. When your trainee is completely happy with their final logbook they MUST press the submit button to enable the logbook to be marked. Once submitted, they will still be able to view their submissions, but the logbook will be locked down and no further amendments are able to be made. 13
