Identify Protection Guidelines for Backup Data Introduction Backing up is the process of creating duplicate copies of data to protect against data loss. A network contains many systems that need to be backed up. 2 Objective 1 Identify the SMS Backup Process Backing up and restoring network data helps ensure reliable access to directories, files, and other network resources. NetWare 6 provides backup and restore functionality for networks through Storage Management Services TM (SMS TM ), a package of related services that allow data to be stored and retrieved using SMS-compliant backup and restore software. To understand the backup process on a NetWare network, you need to know the following about SMS: Data Backup Types Supported by SMS SMS Terms SMS Backup Components Data Backup Types Supported by SMS SMS allows you to back up the following types of information: NetWare server file system NetWare server DOS partition edirectory database Windows workstation file systems DOS workstation file systems GroupWise databases 18-2 Copying all or part of this manual, or distributing such copies, is strictly prohibited. 3 SMS Terms You need to understand the following backup terms: Table 18-1 Term Explanation Host Target Target service agent (TSA) Parent Child The NetWare server running a backup engine to back up network resources. A backup device is attached to this server. Any NetWare server, workstation, or service that has a Target Service Agent (TSA) loaded. The TSA allows the target to be backed up by the host. A program that runs on a server or workstation and processes data moving between a specific target and an SMS-compliant backup engine such as NetWare Backup/Restore. The TSA allows data from a specific workstation or server to be backed up and restored. A data set that can have subordinate data sets (other parents or children). For example, a parent can be a directory, a subdirectory, or an edirectory container. A data set that has no subordinates. For example, in the NetWare file system, a child is a file. SMS Backup Components The SMS backup process involves the following: A host server (the NetWare server on which the backup program resides) A target (the NetWare server or workstation that contains the data to be backed up) 18-3 Copying all or part of this manual, or distributing such copies, is strictly prohibited. 4 (Optional) A workstation that is used to configure backup sessions and submit them to the host server SMS uses an application on the host server to communicate with modules on target devices. The application reads the information from the target device and sends it to a storage medium. 5 Objective 2 Develop a Network Backup Strategy Before implementing SMS-compliant software on your NetWare network to back up your network, you need to develop a strategy that meets your data backup needs. The strategy determines how you configure the software to back up and restore data. To develop a backup strategy, you need to know the following: Types of Backups Time Requirements for Completing a Backup Time Requirements for Restoring a Backup Backup Schedules Requirements for Backing Up the Network Types of Backups You can use 3 types of backups: Table 18-2 Backup Data That Is Backed Up Archive Bit States Full Incremental Differential All data, regardless of when or if it has previously been backed up Files that have been created or modified since the last full or incremental backup All data that has been modified since the last full backup Cleared Cleared Not Cleared You can use these backup types in 1 of 3 backup strategies: Full backup at every backup session Full backup combined with incremental backups Full backup combined with differential backups 18-5 Copying all or part of this manual, or distributing such copies, is strictly prohibited. 6 Do not combine differential and incremental backups. If you do, the differential backup will not contain all the changes that have been made since the last full backup. 7 Based on the information from Figure 18-2, the following illustrates the relative amount of time each backup strategy might take: Figure 18-3 Approximate Time to Back Up High Med Low Full with Differential Full with Incremental Full Only Day Day of Week Completing a full backup every time requires the most time. A full backup followed by incremental backups requires the least amount of time. 8 Time Requirements for Restoring a Backup The following shows the relative amount of time needed to perform a complete restoration based on each backup strategy: Figure 18-4 Number of Backups to Restore Full with Differential Full with Incremental Full Only Day Day of Week A full backup is the fastest to restore because you restore only the most recent backup. Full backups combined with incremental are the slowest to restore because you first restore the most recent full backup and then each incremental backup since the full backup. Full backups combined with differential backups fall somewhere in the middle, because you first restore the most recent full backup and then the most recent differential backup. Backup Schedules Before you begin backup procedures, plan a backup schedule based on your needs. 9 You can perform different types of backups on different schedules: Daily. Perform an incremental or differential backup after the close of business. If revisions are heavy and rapid, consider several backup sessions each day. Weekly. Perform an incremental or differential backup after the close of business on the last day of the week for 3 of the 4 weeks in the month. Monthly. Perform a full backup on the last business day of the month (for example, the last Friday). Major changes. Perform a full backup before and after you change your configuration, and before and after you upgrade your server to a new version of NetWare. Application changes. Perform a custom backup before and after you modify applications. Requirements for Backing Up the Network If you are assigned to back up the network, you must have the following rights: To work with NetWare file systems, you need Read and File Scan rights to the files. To work with edirectory, you need the Browse object and Read property rights to the whole tree. To restore the file system or edirectory tree, you must also have the Create right. You also need to know The passwords on the servers that act as hosts and targets. 10 Backup responsibility is usually given to the network administrator, who already has rights to all volumes and directories. However, for larger enterprise networks, the network administrator often delegates backup responsibilities to other administrators. a 10 minutes As network administrator for your Digital Airlines office, you are evaluating your current data backup strategy. You need to back up the following data on a regular basis: Your NetWare server file system Your edirectory database Each employee s workstation file system Exercise 18-1 Develop a Backup Strategy for Your Digital Airlines Office The server file system contains data such as customer databases, user home directories, and web site files critical to the company. The edirectory database is the key to managing and maintaining effective network resources. However, because there are tools for repairing and troubleshooting the database, and changes to the database are infrequent, backup is not as critical an issue as it is for the server file system. Employees have been asked to store all important files in the server file system. However, many employees forget to copy the most recent version of these files to the server file system. For added protection, you would like to occasionally back up data on each employee s workstation. Answer the following: 1. Which of the following can you back up using SMS? a. 13 Objective 3 Evaluate Common Backup and Restore Software Used with NetWare SMS provides an architecture for backing up and restoring data on a network. However, you need to decide which backup and restore software to use for actually backing up and restoring data. In this objective you learn about the following software: NetWare Backup/Restore ARCserve for NetWare VERITAS Backup Exec for NetWare You need to test both the backup software and the backup device. If you are using third-party software (such as ARCserve or VERITAS Backup Exec), make sure the software backs up trustee assignments and extended NetWare file attributes. x You can test third-party backup software by creating a temporary directory structure with text files, backing up the files, deleting the files from the volume, and then restoring the files. NetWare Backup/Restore NetWare 6 provides the following utilities that work with SMS to help you back up and restore data to the servers and workstations on your network: NWBACK32. NWBACK32 is a client-based utility that configures and submits backup or restore jobs to NetWare Backup/Restore Copying all or part of this manual, or distributing such copies, is strictly prohibited. 14 NetWare Backup/Restore. NetWare Backup/Restore is a series of NLMs that run on the NetWare server. It processes a job from NWBACK32, creates a session, establishes communication with the target, and conducts the backup or restore. The following shows the NWBACK32 screen: Figure 18-5 When you use NetWare Backup/Restore, keep the following in mind: Load NetWare Backup/Restore on the NetWare server where your backup device is attached. Make sure you have enough disk space on the host server s volume SYS for temporary files and log files (1 MB should be sufficient). Make sure the designated media has enough storage space. 15 If the session doesn t fit on the media, you are prompted to insert another tape. If another tape is not inserted, the backup does not finish and the program does not exit. To reduce this risk, do one of the following: Set append to No Attend the backup so you can insert the next tape. Use a tape loader backup device. Limit access to the NetWare Backup/Restore NLMs to maintain the security of your NetWare server and to ensure data integrity. The error and backup log files display both the DOS-equivalent name and the name space (such as long, Macintosh, NFS, or OS2) used to create the directory or file. Monitor the size of NetWare Backup/Restore temporary files. NetWare Backup/Restore creates temporary files on the target server. These temporary files store information during backup. The files might become quite large if you have extended attributes or linked UNIX files. Do not mount or dismount volumes or unload drivers during a backup session. You might corrupt data or abend the host server. ARCserve for NetWare ARCserve for NetWare fully supports edirectory to provide enterprise data backup for NetWare. ARCserve for NetWare is currently marketed as Brightstor ARCserve Backup for NetWare. 17 ARCserve Features Table 18-3 Feature Benefit The following lists some of the features available for ARCserve for NetWare: Backup storage selection Backup type selection File interleaving Media pooling Server-to-server copying Auto pilot tape rotation User-Defined Scripts You can protect your data by using the following methods to store the data in more than 1 location: Back up to tape and keep the tape in a safe place (preferably offsite) Copy your data to another hard disk Set up an automated backup scheme that involves tape rotation Perform a remote server backup Create a duplicate server by mirroring your original server You can perform immediate, scheduled, or fully automated backups of file servers and workstations. You can back up several servers simultaneously to the same tape drive. You can separate media (tapes) into groups that create certain backup jobs. Media pools keep a record of when media can be recycled and reused. (Also called server mirroring) This gives you the advantage of a duplicate server while eliminating downtime. This gives you 4 methods of selecting the data you need to restore to disk. 18 Table 18-3 (continued) Feature Benefit Tape-to-tape copying Databases Reports and logs This helps you maintain offsite copies of backup tapes. This gives you quick access to information about jobs performed by ARCserve and helps you quickly locate and restore your data. These provide a complete history of operations performed and specific activity reports on the nodes, directories, and tapes in your system. How ARCserve Components Work The client component of ARCserve, the ARCserve Manager (a Windows interface), runs on the workstation. The server component of ARCserve, the ARCserve Server, runs on a Novell NetWare server. The following briefly describes these and other ARCserve components: ARCserve Manager. This component runs on your workstation and handles all your backups and restores. ARCserve Manager also lets you perform tasks such as copying files from one server to another, accessing the ARCserve utilities, and viewing information about past and presently running jobs. ARCserve Server. This component runs on the file server and processes all unattended jobs scheduled by ARCserve Manager and all jobs submitted from ARCserve Server. ARCserve Server also reschedules jobs and updates information about jobs and tapes in ARCserve s activity logs and databases Copying all or part of this manual, or distributing such copies, is strictly prohibited. 19 ARCserve Server consists of the following components: Scheduler. Manages the jobs you schedule through ARCserve Manager. Job processing modules. Scan the queue, and, when a job is ready to run, dynamically load the NLMs required for the job. Tape Server. Communicates with your tape drives and allows you to view the tape server log and current tape activity. Databases. Keeps track of the workstations and servers, the jobs you run, and all files that have been backed up, copied, or restored by ARC serve. ARCserve client agents. This component runs on workstations and lets you back up and restore Windows, DOS, OS/2, and Windows 95 workstations. Optional client agents. Available for Macintosh, Windows NT, and UNIX workstations. These agents allow you to back up and restore these types of clients. Agents for the following databases are also available: Oracle, NetWare SQL TM, Gupta TM, SYBASE, and Btrieve. ARCserve client agent for NetWare. 20 VERITAS Backup Exec for NetWare VERITAS Backup Exec for NetWare is a data management solution for Novell networks. Backup Exec supports NetWare 6 NSS and edirectory. It lets you back up and restore NetWare server volumes, workstation drives, and nonvolume objects associated with both servers and workstations (such as edirectory, binderies, and registries). 22 You can also use the Administration Console for NetWare when troubleshooting with VERITAS technical support or during disaster recovery. x The Administration Console for NetWare does not have some of the Administration Console s advanced features, such as reports and wizards. 23 Table 18-4 (continued) Feature Benefit Enhanced device management Robust media management Enhanced media overwrite protection Utility job creation Device management simplifies how you organize and allocate the storage devices attached to your media server. You can select the media management mode of your storage devices in physical and logical units called drive pools. You can also use the more traditional partition management mode, in which you can assign drives to a partition for processing jobs by type (such as backup and restore). Backup Exec automates the tasks of categorizing and tracking media as it is used. To ensure that media is not accidentally overwritten, Backup Exec allows you to set the criteria for overwrite and append jobs. Two different levels of media overwrite protection are available depending on whether you use the media management mode or the partition management mode. With the traditional partition management mode, overwrite protection periods are assigned to the partition. With the media management mode, overwrite protection is associated with the media. 24 Table 18-4 (continued) Feature Benefit Multiple catalog views Backup Exec now provides the ability to choose a catalog-based (tape) view or a volume-based (device) view of the data that has been backed up. x Backup Exec can also be configured to work with Novell NetWare Cluster Services and Novell Management Portal Utility. Backup Exec User Access There are 3 ways users can access Backup Exec: NetWare supervisors have full rights to Backup Exec. Backup Exec Administrators have expanded rights to the Backup Exec system. Backup Exec Administrators can be assigned by NetWare supervisors. You might want to assign Backup Exec Administrators when users need expanded Backup Exec rights but not NetWare supervisor rights. The term Administrator includes both NetWare supervisors and Backup Exec Administrators. Administrators can access all job histories, submit tape rotation jobs, submit file grooming jobs, and access all catalog information. Users can submit operations for their own workstations and other volumes that they have sufficient rights to. Some Backup Exec functions are available only to Administrators. These functions appear only in the client application when you are attached to the backup server under an account that has Backup Exec Administrator or NetWare supervisory status Copying all or part of this manual, or distributing such copies, is strictly prohibited. 25 You must have NetWare supervisor equivalence to install Backup Exec on the server and to log in to the Backup Exec NetWare client. How Backup Exec Works From the Administration Console, you can launch backup, restore, and utility operations, called jobs. The jobs are processed by the job engine, which runs on the media server. The media server is the server that backup media devices (such as tape drives) are connected to. x Two simulations are available that demonstrate backing up and restoring data with the Backup Exec Administration Console. The Administration Console also lets you do the following: Configure default options for your media server Manage your devices and media View scheduled and active jobs Obtain histories of completed jobs View catalog data Run reports By allowing policy-based backups, Backup Exec lets you save all backup job settings, except for files and target devices, as a policy, and apply this policy to specific resources, simplifying the creation of new backup jobs. From either the Administration Console or the Administration Console for NetWare, you can submit jobs for workstations running the Backup Exec Agent software, monitor jobs as they are running, and determine what jobs are scheduled to run Copying all or part of this manual, or distributing such copies, is strictly prohibited. 26 When a job is completed, you can view the job log, a report of what happened during the processing of the job, and the catalog (the record of the data that was backed up). If an error occurs during job processing, the media server displays an error message to help you determine the cause of the error. Policy, job schedule, job log, partition, and device and media management databases are maintained on the media server. Information from these databases is used in various reports you generate from the Administration Console. What BESTART.NCF and BESTOP.NCF Are The BESTART.NCF file contains commands used to load Backup Exec on your NetWare media server. It is stored in the server s SYS:\SYSTEM directory. During installation, Backup Exec determines the version of NetWare running on your media server and adds the necessary lines to the BESTART.NCF file that is created during the initial installation process. The BESTOP.NCF file is used to completely remove Backup Exec from the media server s memory. It is recommended that you run BESTOP before shutting down your server. BESTOP does not unload the Administration Console or the Administration Console for NetWare. 27 Objective 4 Identify Protection Guidelines for Backup Data Knowing how to protect your backups is essential for maintaining secure data. The following are some basic guidelines for protecting your backed up data: Implement levels of access protection. Look for backup software that provides levels of access for backup and restore options. This type of protection usually includes levels of administration access and employee access to backed up data through a username and password database. Carefully assign file system rights. Make sure your NetWare file system protects data through carefully designed file system rights assignments. Make sure your backup software recognizes and preserves those rights. For example, Backup Exec preserves trustee assignments in backed-up NetWare data. Limit access to NLMs. Limit access to the NetWare Backup/Restore NLMs to maintain the security of your NetWare server and to ensure data integrity. Back up your data regularly. Back up data at least once a week with reliable tapes or other storage devices, always verifying that the correct data is backed up. Set up a reliable tape rotation scheme and schedule. If you are using tape media to back up data, make sure you rotate backup tapes on an effective schedule. For example, the default tape rotation scheme in Backup Exec is set to use a minimum of 4 tapes. It uses tapes 1, 3, and 4 as the Full backup tapes in a 3-week rotation scheme Copying all or part of this manual, or distributing such copies, is strictly prohibited. Version 2
28 By default the full backups are scheduled to take place on Friday. Tape 2 is the single differential backup tape in the scheme. Tape 2 is overwritten each Monday, and the remainder of the week s differential backups are appended to the tape. Run a virus scan regularly on backed up data. By running a virus scan on your backed up data, you can track when (and possibly how) a virus infected your network files. Do not use file recovery software if you suspect an electrical or mechanical failure. Using file recovery software on a faulty hard drive or tape drive might destroy what was otherwise recoverable data. Completely erase data from unused or discarded media. For security reasons, make sure you completely erase data on unused hard drives or tapes. Even older data can be useful to people who can piece together critical information from discarded media. Make sure the backup media has enough storage space. Security can be compromised if the scheduled backup session does not fit on the media. In most cases, you are prompted to insert another tape. If you do not insert another tape, the backup might not finish and the program might not exit. If the program does not exit, someone can complete the backup and take the additional data. To reduce this risk, attend the complete backup so you can insert the next tape. You can also use a tape loader backup device. Protect your tapes. The following are guidelines for protecting tape media: Keep your tapes boxed until you need to use them Copying all or part of this manual, or distributing such copies, is strictly prohibited. 29 Do not try to load a tape into the drive if you notice dents, cracks or moisture in the tape's cases, hinged doors, or file-protect selectors. Store your tapes in their original cases, standing upright to prevent uneven winding of the tape, and protect them from environmental elements. Store your tapes at room temperature and away from magnetic fields such as speakers, microwave ovens, and printer heads. Store your removable backup media in a locked or secured storage area. The level of security depends on the type of content or service provided by your company. For example, companies that offer secure government and enterprise digital transactions over the Internet keep their backup data securely stored in areas protected by several levels of security, including camera surveillance and biometrics identification. Store copies of your backed up data offsite. To avoid losing data completely during a disaster, make sure you keep copies of critical backup data in a secure, offsite location. SMS uses an application on the host server to communicate with modules on target devices. The application reads the information from the target device and sends it to a storage medium. Objective 2 Develop a Network Backup Strategy You learned the following: Types of backups. 35 Full backup combined with differential backups You cannot combine differential and incremental backups. If you do, the differential backup will not contain all the changes that have been made since the last full backup. Time requirements for completing a backup. Completing a full backup every time requires the most time. A full backup followed by incremental backups requires the least amount of time. A full backup followed by differential backups requires increasingly longer amounts of time with each backup, but require less time overall than performing a full backup. Time requirements for restoring a backup. A full backup is the fastest to restore because you need to restore only the most recent backup. Full backups combined with incremental backups are the slowest to restore because you need to first restore the most recent full backup and then each incremental backup since the full backup. Full backups combined with differential backups fall somewhere in the middle, because you first restore the most recent full backup and then the most recent differential backup. Backup schedules. Plan a backup schedule based on your needs such as number of users and frequency of changes to files. You can perform different types of backups on different schedules such as daily, monthly, weekly, or whenever you have a major change on the network. Requirements for backing up the network. Objective 3 Evaluate Common Backup and Restore Software Used with NetWare In this objective you learned about the following backup and restore software tools that are SMS-compliant: NetWare backup/restore. The NWBACK32 utility (which configures and submits backup or restore jobs) and several NLMs that work with SMS help you back up and restore data to the servers and workstations on your network. ARCserve for NetWare. ARCserve for NetWare fully supports and protects edirectory to provide enterprise data backup for NetWare. The client component of ARCserve (ARCserve Manager) runs on the workstation. The server component of ARCserve (ARCserve Server) runs on a Novell NetWare server. VERITAS Backup Exec for NetWare. Backup Exec supports NetWare 6 NSS and edirectory. It lets you back up and restore NetWare server volumes, workstation drives, and nonvolume objects associated with both servers and workstations (such as edirectory, binderies, and registries). Backup Exec for NetWare consists of a Job Manager (BESRVR.NLM and BEMGR.NLM), clients (for NetWare, Windows 95/98, and Windows NT), and agents that let the job manager know a workstation is available for backup and restore operations. 37 Objective 4 Identify Protection Guidelines for Backup Data The following are basic guidelines for protecting your backed up data: Implement levels of access protection. Carefully assign file system rights. Limit access to NLMs. Back up your data regularly. Set up a reliable tape rotation scheme and schedule. Run a virus scan regularly on backed up data. Completely erase data from unused or discarded media. Make sure the backup media has enough storage space. Protect your tapes. Store your removable backup media in a locked or secured storage area. Store copies of your backed up data offsite. Exercise Answers Exercise 18-1 Develop a Backup Strategy for Your Digital Airlines Office 1. Which of the following can you back up using SMS? With a differential backup, you restore the last full backup and the latest differential backup since the last full backup (if there is one). With incremental backups, you restore the last full backup plus all incremental backups since the last full backup. Although restoring a differential backup might take less time, the incremental method takes less time. Because you do not anticipate that the NetWare file system will need to be restored frequently, you decide to use the incremental method to save time backing up data. 4. You decide to use full backup only with the edirectory database. Why? Because the edirectory database is relatively small, it does not take long to back up the database. 39 5. You decide to run a full backup on each employee workstation once a month, and then run a differential backup once a week. Why would you use the differential backup method? Because employee requests for restoring files are more frequent (due to file corruption or lost files), you decide to save time restoring by using the incremental backup method. This lets you restore an employee s data using only 2 files: the last full backup and the last incremental backup file. 6. After running your new backup procedures for a month, you receive a request that makes it necessary to restore your server file system. You perform a full backup every Friday with incremental backups on Monday and Wednesday. Today is Thursday. What do you need to do to restore the server file system? Restore the full backup from last Friday, restore the incremental backup from Monday, and then restore the incremental backup from Wednesday. 7. You try to restore the full backup from Friday, but you are not allowed to complete the procedure. You know you have Read and File Scan rights to the files. What might be the problem?
