This should be in addition to your IT solutions for Virtual Server snapshots. The ADMS backup tools create a complete snapshot of the Vault Databases, Filestores and custom Content Centre Libraries that can be archived using your existing company backup software. Creating an ADMS backup is the recommended disaster recovery method as this backup could be quickly restored to a PC acting as a temporary Vault server until such time as a replacement server is acquired. For your disaster recovery plan, you should note the version of ADMS that is running including service packs. The version of SQL database that is hosting the AUTODESKVAULT instance and the download details or location of the Vault server installation media. You will not be able to restore the backup into previous or unpatched versions of the software. Page 1 of 6
2 The ADMS backup tool provides a command line driven feature that can be run on the server via a batch routine. The batch routine should be run every day after the Vault users have finished working and should complete prior to the start of main company backup. As the amount of data in the Vault increases, you should re-check the timings to ensure the ADMS backup completes before the main backup begins. Automate the backup by configuring a Windows Scheduled Task to run the batch routine every day. Be aware that the Scheduled Task is authenticated by a Windows user. If the password for the Windows user is changed or the user account expires, the Scheduled Task and therefore the Vault Backup will fail. Do not assume your IT Department are backing up the server and all data is recoverable. Archiving live SQL databases may not be possible with your backup software. Without the databases, the Vault filestore is not useable. Vault data restoration should be detailed specifically within your company disaster recovery plan. Test your backup and know that should the worst happen you can restore the data with the minimum of delay. Example backup routine The Data Management Server backup routine is detailed below. The paths to your files may be different so do not copy the following routine without checking and testing thoroughly. Rem Autodesk Data Management Server backup routine Rem This file should be run as a scheduled task daily and complete before the main company backup begins Rem Remove previous backup that should have been archived by the IT Department rd "c:\vault\backup" /s /q md "c:\vault\backup" Rem Initiate Vault backup (note this is one line with no carriage returns) "C:\Program Files\Autodesk\ ADMS *VERSION NUMBER*\ADMS Console\connectivity.admsconsole.exe" -Obackup -B"C:\vault\backup" - L"C:\Vault\Backup\VaultBackupLog.txt" DBSC -VAL -VU<backup user> -VP<password> -S Page 2 of 6
3 Explanation of backup routine The batch routine begins by removing the previous backup. As the backup is contained in a folder with the time and date in the name we need to manually remove the previous backup daily. Remove directory silently and with sub folders: rd <folder> /q /s Recreate folder to contain backup: md <folder> Where disk space permits, rather than remove and recreate the backup each day, 2 rolling backups should be maintained using: Rem Cycle previous backups to maintain 2 copies rd "c:\vault\previousbackup" /s /q ren c:\vault\latestbackup PreviousBackup md "c:\vault\backup" The ren line renames the LastestBackup folder to PreviousBackup The main Vault Backup line options are: The command to run: Connectivity.ADMSConsole.exe Default locations: C:\Program Files\Autodesk\ADMS 201?\ADMS Console\ C:\Program Files\Autodesk\ADMS Workgroup 201?\ADMS Console\ C:\Program Files\Autodesk\ADMS Professional 201?\ADMS Console\ The operation: -Obackup The backup location: -B path to backup folder Create a log file: -L path to log file.txt Read only libraries: -DBSC The Vault user to action command: -VU<adminlogin> The Vault user password: -VP<password> Optional backup validation: -VAL Perform silently: -S Page 3 of 6
4 Testing We would recommend testing the batch routine with the S option removed until you have proven the routine completes without errors. The silent option will suppress any dialogue boxes during unattended backups. All switches are case sensitive and should use a minus symbol followed by the option. Any paths or names with spaces should be contained within speech marks as path and name. Running the backup during working hours may prevent users accessing the Vault. On a regular basis, check the backup log file to ensure the backup is completing successfully. You may also check the scheduled task dialogue to see the last run date and status columns. To fully test your Backup, restore a Vault Backup from tape and install ADMS on an available PC. Restore the backup on the new ADMS and check for errors. Do not restore the Backup on the live ADMS server as this will replace all current Vaults. User permissions Any Vault user with Administrator rights can be used to authenticate the backup within the batch file (-VU and VP switches). We would suggest creating a specific Backup User for this process. Changing the user s password without updating the batch routine would cause the backup to fail. The batch routine should be run as a Scheduled Task on a daily basis. The Scheduled Task requires a Windows login to run the process. If the user details change, the Scheduled Task and therefore the Vault Backup will fail. We would suggest creating a specific Windows User for this process that is less likely to have a password change than an active end user account. As the Backup routine creates a duplicate of the Databases and the Filestore, the hard disk space requirement is large. The Backup should be created on a local drive. This includes internal drives, USB drives and some network allocated storage. It is possible to create the backup on another server if the correct user permissions are set. Please speak to vlt systems if you need this capability. Vault Professional backup additions Using the Vault Professional Data Management Server, allows hot backups and incremental backups. Hot backups allow the Backup process to take place while users are accessing the Vault. There are no switches or settings to enable the hot backup function. Incremental backup reduces the time taken to create a backup by archiving the daily changes rather than the entire Vault. This is especially useful for multi-site Vault implementations where the maintenance window between sites is minimal. The incremental backup uses a INC switch in the ADMS backup to initiate an incremental backup. This can only be done after a full backup has been undertaken. The full backup must Page 4 of 6
5 include all of the read only databases, so you must not use the -DBSC switch. Typically, a full backup will take place during a weekend followed by incremental backups Monday to Thursday. This requires two batch routines with Scheduled Tasks. Restoring documents The Vault is backed up as a whole and individual files are not identifiable to be restored. To restore a file, restore a backup into a new installation of ADMS on a temporary server or workstation. The user can login to this Vault and extract the required files. Cloud backup Many companies now use cloud backup solutions where daily changes are streamed off site over the internet. The standard Vault backup solution is not compatible with cloud backup solutions. Typically, a Vault may be 60 to 100GB in size and each ADMS backup will be seen by the cloud backup as new files. This amount of data will not stream off site in time before the next ADMS backup is initiated. A solution for cloud backup users is to create an ADMS backup daily that is not backed up to the cloud. As part of the backup script, create a duplicate of the ADMS backup using ROBOCOPY to mirror the content. The duplicate should be streamed off site using the cloud backup as only the daily changes will be identified as new files. Sample addition to normal backup script: Rem Maintain duplicate for archive via cloud cd vault\backup\vaultbackup_** ROBOCOPY. \\BackupServer\cloud Vault backup /MIR This script changed the active folder to the one containing the current Vault backup. The backup folder contains the date and time of the backup such as: Changing to the folder..\vaultbackup_** will work regardless of the date and time. The ROBOCOPY function copies all files in the current folder to the specified location. The /MIR switch designates that the data is to be mirrored. Files remove from Vault are removed from the mirrored location, and only the new or modified files are copied to the new location. As only the daily changes are copied, the cloud backup is able to upload the data in a timely fashion. If you implement this method, please check your backup process carefully to ensure the cloud copy is complete. Page 5 of 6
6 Improving backup speed The Windows scheduled task created to run the Vault backup will by default be running with a priority of 7 or Below normal priority. As the priority during this task will be to complete the Vault backup quickly before the main company backup begins, we suggest you change the priority of the schedule task to 3 or Above normal priority. This could reduce your backup time by hours. To change a scheduled task priority, right click on the scheduled task and select export. Edit the resultant.xml file in Notepad. Near the end of the file you will see the line: Edit the priority value 7 to 3 and save the file. Delete your scheduled task and right click to import the edited settings by browsing to the modified.xml file. Extremely important The Vault backup contains your design data is extremely important to your business. You must check periodically that the backup is working. If you would like vlt systems to verify your Vault backup is complete and recoverable by fully restoring it to a temporary ADMS Server, please contact us.
