1 Taxpayer Secure Portal Instructions Secure Portal Walk-Through (External User) Secure Portal is an solution that allows you to exchange containing Personally Identifiable Information with your auditor. No additional software is necessary in order to use Secure Portal. You must have a current account and internet connection. What can you expect? A link to take you to the taxpayer login page. A key number to access information related to a specific taxpayer. A notification a secure message is waiting for you. Step 1: Navigate to The first time you login, you will be required to perform a one-time, self-registration. Leave all fields blank and click on Register as a New User. Step 2: Enter the key # supplied by the auditor, account ID # (without dashes), which could be either your FE# or ME# if you file under that number, and tax type and select Submit. Page 1 of 8
2 Step 3: Complete the New Registration page. All fields are required with the exception of 2, Address 2 and Fax. After the form is completed, select Submit. If a required field was not properly completed, a red * will appear to the right of the box. After you register, an will automatically be generated to the auditor. Only one registration is necessary and other accounts or tax types may be added. If you are the contact for multiple accounts or audits see Step 6 for instructions on adding additional accounts. Important: Passwords must be at least 6 characters long and must contain an upper case and lower case letter and a number. Step 4: After registration has been completed, click on Back to get to the Taxpayer Login page. Page 2 of 8
3 Step 5: Enter the code that is shown, your User ID and password and select Submit. The security code is not case sensitive; however, the User ID and Password are case sensitive. Step 6: Your Home page will be displayed. Select Additional Accounts to add other tax types (i.e. Sales, Use, MBT, etc.) or other taxpayer accounts. Step 7: Enter the key #, account # and tax type for additional accounts and select Submit. Page 3 of 8
4 Step 8: After you have added the additional account, it will appear in your inbox on the Home page. To send a message, click on the New Message button. Step 9: Select the account # and tax type from the Account dropdown menu. The contact name will automatically populate. If you have multiple contacts, you will need to select from the Contact dropdown menu. In the Message box, compose the message you want to send. There is a size limit for the message box. You are more likely to hit this limit if you copy and paste text in (for example from a Word document), have a very lengthy message or if a lot of text formatting (for example adding bolds, colors, highlighting, etc). If you do reach this limit you will receive a message that the message is too long. If you cannot shorten your message, you can put it into a Word document and add it as an attachment. Message too long example: If you want to include an attachment, select the Browse button and go to the location the file is saved on your computer or the server. Page 4 of 8
5 For attachments in the secure portal, it is recommended that you zip files over 500 MB. You can attach up to 8 files that total up to 2 GB. It states in the secure portal that there is a maximum size of 800 MB for each attachment but you can attach larger files, just make sure you stay under the total allowable attachments and all attachments are not greater than 2 GB. Select Send. After the message has been sent, confirmation will be received that Your message has been sent. Click OK. Click on the Home button to return to your inbox. Step 10: To reply to a message, click on Reply and follow the instructions in Step 9. Page 5 of 8
6 Step 11: If you need to modify any information in your Profile, while on the Home screen, click the Profile button. Step 12: Modify the profile screen as desired. You should be able to edit all the fields except the UserID field. When finished making changes, click the Save button at the bottom. Page 6 of 8
7 Step 13: After saving profile changes, verify that you received the screen confirming your changes have been made. Step 14: If you have forgotten your password, on the Taxpayer Login screen, enter the code shown and your User ID. Select Forgot Password. If you have forgotten your User ID, please contact your auditor for assistance. Page 7 of 8
8 Step 15: Enter the answers to your two security questions and click Submit. If you don t remember the answers to the security questions, please contact your auditor for assistance. Step 16: You should receive a message that Your password has been sent to the registered to this account. Login as usual. You will be prompted to change your password the next time you login.
