5 Creating Sage Estimating Reorts with the SAP Crystal Reorts Designer This booklet describes how to use SAP Crystal Reorts to create a reort that will rint data for a selected estimate in Sage Estimating. It assumes that you have a Reort Designer role and that you understand how to use Crystal Reorts Designer. Overview You use Reort Manager in the Estimating Management Console to create estimate reorts based on Crystal Reorts designs. In Reort Manager, you secify a Crystal Reorts (RPT) file on which to base the estimate reort. Reort Manager creates a coy of the reort design in a custom reorts database, and uses this coy for all subsequent modifications to the reort. Whenever you edit the reort design, you check it out from the custom reorts database. (You do not use the original reort design file again.) Before you can create reort designs, you must also use Reort Manager to generate reort samle data. Reort Manager creates tables for the samle data in a searate custom reorts database based on one or more reresentative estimates that you select. You use the tables and the fields contained in this samle database when you set u your Crystal Reorts design. NOTE: An Estimates database can contain many estimates with a mix of features, but you rint a reort for one estimate at a time. Therefore, you need to set u your reort designs to extract data from a single estimate. Before you start Before you can create a reort design in Crystal Reorts, you must: 1 Create a blank RPT file. 2 Generate samle data for the custom reorts database. 3 Identify the EstimateId for a reresentative estimate that you will use when designing the reort. Creating a blank Crystal Reort (RPT) file NOTE: This ste is required only if no other reorts exist in Reort Manager. If you have existing reorts, oen the Estimating Management Console, select any reort, and then ski to ste 4 under Generating samle data for the custom reorts database One of the stes in the Using the Standard Reort Creation Wizard to Create an Estimate Reort section requires you to select a blank Crystal Reort (RPT) file. 6 Creating Sage Estimating Reorts with the SAP Crystal Reorts Designer If you do not already have a reort file, create one as follows: 1 Start SAP Crystal Reorts. 2 On the Start Page tab, click Blank reort. 3 In the Database Exert window that aears, click [Cancel]. 4 On the main menu, click File > Save. 5 In the File name text box, tye blank.rt. 6 Navigate to an easy-to-access folder. 7 Click [Save]. 8 Exit the rogram. You will select this file, later, in the Reort Manager. Generating samle data for the custom reorts database Use the Estimating Management Console to create samle data for your reort designs: 1 Click [Reort Manager] on the toolbar. 2 Click New Reort > Crystal Reort. 3 In the New Reort window: a In the Reort box, tye a name for the reort you want to create. b From the Filename box, browse to and select the reort design file (.RPT) that you saved earlier. c Click [OK]. 4 Select one or more estimates from the grid (lower right-hand ane) to use for samle data, and then click [Generate Data]. 5 When romted to select otions for the reort working data, click OK to accet the default selection. Reort Manager stores the samle data in a custom reorts database, where it is available to use when you are designing reorts. 6 Click [Check In]. Identifying a reresentative estimate in the custom reorts database When creating a Crystal Reorts design, you must identify a single estimate that has the characteristics you want to reort on. When you run an estimate reort, Sage Estimating uses the EstimateId of the estimate dislayed at run time. However, when designing the reort, you need to suly the EstimateId for a secific estimate that you will use to lay out the reort elements. 2 Sage Estimating (SQL)

7 Before you start To find the EstimateId values that are available in the custom reorts database, query the values using SQL Management Studio, as follows: 1 Start Microsoft SQL Server Management Studio. 2 In the Connect to Server window, connect to the SQL database. For Server tye, select Database Engine. For Server name, select your Sage Estimating server. 3 In the Object Exlorer: a Exand the Databases node. b Exand the *ReortDesign* database. c Exand the Tables node. d Right-click the Reort.Estimate_v1 line on the table. e Click Select to 1000 rows. The Results tab dislays the estimates available in the custom reorts database, including the EstimateIds and the names of the estimates. f Write down the EstimateId for the estimate that you want to work with when you design the reort. 8 Using the Standard Reort Creation Wizard to Create an Estimate Reort Using the Standard Reort Creation Wizard to Create an Estimate Reort NOTE: These instructions assume that you are using Crystal Reorts 2013 with Suort Pack 2. If you use a different version, the workflow may be different. All of the stes and arameters in this section are required to reort on a Sage estimate. Ste 1: Create a reort and connect it to the custom reorts database 1 Start Crystal Reorts. 2 Select File > New > StandardReort. 3 Using the Standard Reort Creation Wizard: a Exand Create New Connection. b Exand OLE DB (ADO). 4 In the OLE DB (ADO)Fields OLEDB Provider window: a Select SQL Server Native Client NOTE: If you are using Microsoft SQL Server 2014, select SQL Server Native Client b Click [Next] 5 In the OLE DB (ADO) Connection Information window: a In the Server field, enter your SQL instance. For examle, enter (local)\sage_estimating. b Select the Integrated Security check box. c For the Database otion, select your custom reorts database. d Click [Finish] to return to the Standard Reort Creation Wizard. Ste 2: Select the tables you want the reort to use TIP: For a list of the tables you can link to a reort, see Aendix: Using Sage Estimating Data on Reorts on age 8 1 On the Data tab: a Exand the database node you just added. 4 Sage Estimating (SQL)

9 Ste 3: Select the fields to include in the reort b Exand the Reort schema node. c Select the Estimate_v1 table. IMPORTANT: You must select Estimate_v1 or you will not be able to comlete Ste 4.. d If you want to include additional tables, select other tables, such as Item_v1. e Click [Next]. 2 On the Link tab, click [Next]. Ste 3: Select the fields to include in the reort TIP: You can use the SQL Server Management Studio or the Crystal Reorts Designer to view the names of fields in each table. For more information, see Aendix: Using Sage Estimating Data on Reorts on age 8 1 On the Field tab, select fields (columns from the tables) for examle: Estimate_v1.Name Item_v1.PhaseCode Item_v1.ItemCode Item_v1.Descrition Item_v1.TakeoffQuantity Item_v1.TakeoffUnitName 2 Click [Finish] You return to the main Crystal Reorts window, in review mode. Ste 4: Set u the EstimateId arameter to target a single estimate NOTE: For stes on querying the custom reorts database to identify valid EstimateId values, see "Before you start" on age 1. 1 In the Field Exlorer ane: a Right click Parameter Fields, and then click New. b In the Name field, enter EstimateId. 10 Using the Standard Reort Creation Wizard to Create an Estimate Reort d For the Value Field otion, select Estimate_v1.EstimateId. e Click [OK] to return to the review. f With the EstimateId arameter selected, on the Reort menu, click Select Exert > Record. 2 In the Select Exert Record window: a On the Estimate_v1.EstimateId tab, in the first dro-down list, select is equal to. b In the dro-down list that aears next, select EstimateId. c Click [OK]. 3 In the Enter Values window that aears, tye the EstimateId you wrote down for the reresentative estimate from the custom reorts database, and then click [OK]. 4 On the Reort menu, click Refresh Reort Data, or ress F5. NOTE: If you entered a valid EstimateId, review data aears. Ste 5: Save the Crystal reort 1 On the main menu: a Click File. b If the Save Data with Reort otion is selected, clear it. IMPORTANT: This ste removes the ID for the estimate you used to create the reort. The reort can then take on the ID of the current estimate when you run the reort in Estimating. c Click Save As. 2 In the Save As window: a Navigate to an easy-to-find folder. b Enter the reort file name. c Click [Save] Ste 6: Add the reort to Sage Estimating 1 Oen the Estimating Management Console. 2 On the toolbar, click [Reort Manager]. 3 Click New Reort > Crystal Reort. 4 In the New Reort window: 6 Sage Estimating (SQL)

11 Ste 6: Add the reort to Sage Estimating a In the Reort box, tye the name to use for the new reort in the Sage Estimating. b From the Filename box, browse to and select the new reort design file that you saved in "Ste 5: Save the Crystal reort." c Click [OK]. 5 If this is the first reort you have created for Sage Estimating, delete the blank reort (which is no longer needed) from the Reort Manager: a In the Reorts Catalog ane, exand the All Reorts folder. b Right-click the blank reort, and then click Delete. To view tables and fields (columns) using SQL Server Management Studio: 1 Start Microsoft SQL Server Management Studio. 2 In the Connect to Server window, connect to the SQL database. For the Server tye, select Database Engine. For the Server name, select your Sage Estimating server. 3 In the Object Exlorer: a Exand the Databases node. b Exand the *ReortDesign* database. This custom reorts database is a coy of your data that you use exclusively for creating reorts. c Exand Tables. The Object Exlorer window dislays a list of tables from the custom reorts database. 4 To view a list of the fields available in a table: a Exand the table. b Exand the Columns folder.
