4 1 - steno-s Program In this chapter you will learn how to install and licence the steno-s program. connect a microphone or another audio signal to your PC. start and close steno-s. enlarge or minimize the recording and audio playback window. 1.1 What is Recording Software? Conferences and meetings are part of your daily business. In general in each meeting minutes have to be taken down. In the past your secretary had to take down everything in shorthand during the meeting. Today you can record your meeting with the steno-s software via PC and later your secretary can type the spoken text into her text program. With steno-s you can record, play and file voice or music signals on your PC. In principle steno-s is an audio recorder and player which allows you to enter so-called markers in your recording, export audio data or link steno-s with Microsoft Word. You can use steno-s to record your meetings and conferences. You can mark and identify important spots to find them at any time again. You can integrate documents or data in your recording and open them later at the right position or you can use steno-s to copy all recorded data onto a CD and give this to your secretary or others. 1.2 PC System Requirements Due to system variability of computer hardware it is not possible to determine general system requirements for the optimum operation. In the following you will find some recommended system requirements which have been established after several tests with various PCs. Even if your PC fulfils the system requirements, problems can occur with steno-s due to special hardware or software configurations. Please note: It is not possible to provide a 100% operational guarantee with steno-s software. 064

5 Hardware Requirements: Intel Pentium Processor from 1.2 GHz Memory 256 MB RAM Hard disk capacity: 40 GB 20 MB free hard disk capacity to install the program Monitor and graphics card with 1024 x 768 pixel and 32-bit colour CD or DVD burner Sound card with high-quality microphone input, stereo Loudspeakers or headphone (optional) 1 x RS 232 interface to connect a foot switch (optional) 1 x RS 232 interface to connect a media control system (optional) 2 x USB 2.0 interface to connect USB devices (optional) Software Requirements: Operating system Windows XP (Home Edition or higher) Microsoft Word (Office 2000 or higher) Internet Explorer 4.0 or higher (for the steno-s help files) No installed burning software, burn CDs only via the activated CD burning software of Windows XP It is recommended to avoid system loads by other programs during the audio recording and burning process. Recommended Settings under Windows : Activation of the CD burning software of Windows XP Deactivation of the automatic stand-by functions Deactivation of screen savers Monitor setting: 1024 x 768 or 1280 x 1024 pixel and 24 or 32-bit colour 1.3 Installation steno-s is a Microsoft Windows program. Before you can install steno-s on your PC you must install the operating system Windows XP. In order to install steno-s from a CD-ROM proceed as described below: 1. Put the CD-ROM in your CD-ROM drive of your PC. Should the installation program not start automatically, proceed as follows: 2. Select the Start symbol of Windows and Execute of the opened menu. 3. Enter d:\steno-s setup (instead of d use the appropriate letter that stands for your CD-ROM drive). 4. Select OK and follow the instructions of the installation program. E 065

6 1 - steno-s Program Licensing After installation of steno-s you can use all of it s functions. However, as long as the program has not been licensed, the recording will be interrupted regularly and you will lose some seconds of the recording each time. In order to use all functions of steno-s you must licence the program. For this please tell beyerdynamic your Name, the Company Name and the Product Number. From these data your personal Licence Code will be created and sent to you. This code is bound to your computer and makes sure that the program is not used on other computers. If you change your computer and reinstall steno-s, please note that the licensing procedure has to be performed again to receive a new Licence Code. This code, however, is only valid for 3 days. For a fully adequate code, please contact: beyerdynamic GmbH & Co. KG Theresienstrasse 8, Heilbronn, Germany steno-s@beyerdynamic.de Select? and Licencing in the recording window. Please take down the Product Number. Now start the internet and open the website or Complete the form for registration online. You will then receive an from beyerdynamic with your licence code and all registration data. In the field Licence Code under? you must enter the user name and the licence code you have received from beyerdynamic. To avoid mistakes you can copy the code with Ctrl C and enter it with Ctrl V. Warning: There is a different licence code for each product number. 1.4 How to connect a Microphone or another Audio Source To record the meeting connect a microphone to the microphone input of your PC or another audio signal to the appropriate input of your PC. If you want to connect a microphone, you can use the MPC 70 USB from beyerdynamic. For this microphone the loudness level is already set so that you only have to select the USB source under Options / General settings / Recording parameters and Audio mixer and Selection of the recorder. 1.5 Optional Accessories for steno-s operation with a PC MPC 70 USB Acoustical boundary microphone with USB connection Order # STA 22 Headphone Order # STA 33 Foot switch (RS 232 connection) Order #

7 1.6 How to start steno-s Select the Start button. Select the menu item Programs. Select steno-s from the sub-menu. The recording and playback windows of steno-s will be opened. Recording window Playback window In the left recording window you can start and stop the current recording and create Prepared markers. In the right playback window you can observe the current recording or if it is a recording that already exists (meeting) you can observe and control the playback. If the windows are not to be separated, select Options and View in the recording window. Under Connect windows you can select between: Connect playback window to recording window on top right or Connect playback window to recording window on bottom right. 1.7 How to close steno-s Select File and Close program or select the button in the recording window. Never simply switch the PC off. Close steno-s always with one of the options described above. When a meeting is opened, you will be asked if you want to close the current meeting. If you confirm with Yes, the recording and the playback will be stopped, the meeting and steno-s will be closed. If you confirm with No the procedure will be cancelled. E 067

8 1 - steno-s Program 1.8 The Recording Window With the button you can maximize the steno-s windows so that they are shown on the whole screen. Each of the recording and playback windows take half of the screen. With the button you can minimize the recording window in several stages. Recording Window Stage 1 As soon as a meeting has been opened or created all of the following buttons are available in this size of the recording window: 1 New meeting 2 Prepare meeting to be burnt on a CD Enter new text marker in the prepared marker area 4 Delete marker from the prepared marker area 5 Enter selected marker from the prepared marker area into playback window 6 Enter selected marker from the prepared marker area into playback window and select next marker 7 Enter new text marker in playback window 8 Enter new marker without text in playback window 9 Open / close playback window 10 Start recording 11 Stop recording 12 Status display recording 13 Button to maximize window (no function in stage 1) 14 Button to minimize window Recording Window Stage 2 This size of the recording window has the same buttons as in the recording window stage 1. 10 1 - steno-s Program 1.9 The Playback Window The Playback Window has a double function: On the one hand you can observe the current recording, on the other hand the playback of an existing recording is displayed. With the button the playback window can be shown or hidden. The playback window can be minimized with the buttons. With the button you can maximize the steno-s windows so that they are shown on the whole screen. Each of the recording and playback windows take half of the screen. 12 2 - Recording and Playback Parameters In this chapter you will learn how to select a recording device. set the recording and playback source (microphone, sound card etc.) and how to be sparing with memory. set the recording parameters. select a storage location for your recorded data. select a playback unit. set the parameters in the audio mixer. 2.1 How to select a Recording Device Select Options in the recording window. Under General settings open the index card Recording parameters. Under Selection recorder you will find a list of devices which your computer will recognize for the recording of audio data. In order to select a different recording device, select the arrow on the right hand side of the field Selection recorder and select the appropriate device from the opened list. Note: With steno-s you can change the recording device during recording. Due to technical reasons the recording will be interrupted for 1-2 seconds and then it will be continued with the new device. 2.2 Recording Settings Open the menu item Options. Select General settings and then the Recording parameters tab. In Recording mode selection you can select which sound track (left or right input of the recording device) is to be used and if the recording is to be in mono or stereo. 072

13 Under Recording quality you can select the sample rate of the recording. A high sample rate allows a recording with a wide frequency response (HIGH corresponds to a cut-off frequency of around 20,000 Hz and a sample rate of 44,100 Hz), a low sample rate limits the frequency response (LOW corresponds to a cut-off frequency of around 10,000 Hz and a sample rate of 22,050 Hz). For voice recordings a LOW recording quality is normally sufficient. The higher the recording quality, the higher is the storage demand on your computer. The HIGH recording quality takes more than double of the storage demand of the LOW recording quality. Under Audio compression you can select the kind of compression for the recording. A high compression rate allows a recording with a low storage demand (the setting lowloss compression corresponds to 1/10 of the setting uncompressed). A low compression rate allows a recording with a medium storage demand (the setting lossless compression corresponds to a 1/4 of the setting uncompressed). The setting uncompressed has a high storage demand. The setting lossless compression corresponds to the compression procedure ADPCM. There is no loss in quality. The setting low-loss compression corresponds to the compression procedure mp3. The loss in quality which arises from this compression procedure can be hardly heard and is not relevant for voice recordings. E 073

14 2 - Recording and Playback Parameters Note: Please note that the quality of the whole recording procedure depends on many factors (quality of the microphone, quality of the sound card etc.). If you have problems with the recording quality please ask your dealer. With steno-s you can change the recording settings during the current recording. Due to technical reasons the recording will be interrupted for 1-2 seconds and then it will be continued with the new settings. Under Recording location you can see in which folder on your computer the recording is saved. If you select the change button you can select a different path for the storage of your audio data. 2.3 How to select a Playback Unit Open the menu item Options. Select General settings and the index tab Recording parameters. Under Selection playback unit you will find a list of devices which your computer will recognize for the playback of audio data. In order to select a different playback unit, select the arrow on the right hand side of the field Playback unit selection and select the appropriate device from the opened list. 2.4 Settings of the Audio Mixer Under Audio mixer you can select the audio sources and volume for your specified audio device (e.g. the sound card). Each audio device has a certain number of selectable audio sources for recording and playback. Depending on the type of the audio device the volume, mute, balance etc. can be selected for each audio source. For some audio devices there may not be any audiomixer settings available which can be operated with steno-s (e.g. USB sound devices). Note: When steno-s is closed the program saves all audio mixer settings which you have entered. When steno-s is started again, all settings that were activated before steno-s was closed are reactivated. In this way steno-s makes sure that the set audio mixer settings are reactivated when steno-s is started again, independent of audio mixer changes by other audio programs. The recording or the playback of a meeting can exhibit problems, if the settings in the audio mixer are not correct. 074

15 2.4.1 How to select the Recording Source in the Audio Mixer Open the menu item Options in the recording window and under General settings the index tab Audio mixer. Under Recording mixer settings you will find the following options: Depending on the connected external device you must select the correct input for the recording. By ticking the appropriate check box Select under Recording mixer settings, you can select, if you want to record the meeting via the microphone input or line input of your sound card. With the slide controls you can adjust the recording volume for each recording source. The status of the recording is displayed even if the recording has not yet been started. In order to activate this display you must open or create a meeting. If you have connected a microphone to your PC you must tick the check box Select under Recording volume mic input / integrated mic. Under Recorder selection you will find a list of the devices, which your computer will recognize for the recording of audio data. In order to select a different recording device under Recorder selection, select the arrow on the right hand side and the desired device from the opened list. Note: With steno-s you can change the recording device during recording. Due to technical reasons the recording will be interrupted for 1-2 seconds and then it will be continued with the new device. For special requirements you have access to more audio sources, slide controls and mute switches of the existing audio devices via the button. These settings are for experienced users. E 075

16 2 - Recording and Playback Parameters How to select the Playback Source in the Audio Mxer Open the menu item Options and the index tab Audio mixer under General settings. Under the Playback mixer setting you will find the following options: Under Playback unit selection you will find a list of devices which your computer will recognize for the reproduction of audio data. In order to select a different playback device, select the arrow on the right hand side of the field Playback unit selection and the desired device from the opened list. It is absolutely necessary to activate the whole playback with Playback volume master. Adjust the master volume of all activated playback sources with the slide control. Depending on the playback source you want to listen to, you must remove the tick from the appropriate check box Sound off. In general you may want to play a steno-s meeting. The playback source Volume Wave (meeting) must be activated and the slide control moved to maximum (to the top). If you activate the playback source Volume Mic or Volume Line the microphone input or line input is switched directly to the loudspeakers. Warning: This can cause feedback which is heard as a whistle increasing in volume. In general you do not need these playback sources. For tests, however, it could be necessary to change settings here. 076

17 Note: For special requirements you have access to more audio sources, slide controls and mute switches of the existing audio devices via the button. These settings are for experienced users Options of the Audio Mixer Open the menu item Options and the index tab Audio mixer under General settings. You will find the following options under the Playback mixer setting: If the option The mixer parameters are not to be changed by other programs during the program execution is ticked, all changes of the mixer settings are monitored during the activation of steno-s. Should other audio programs or the Windows audiomixer change settings, steno-s will notice and re-set them immediately. This function makes sure that settings once adjusted with steno-s are kept in the audio mixer. If the option Activate the automatic mic level control is ticked, variations in the recording level are balanced. This function is only effective, if a recording source is activated in the Recording area. This means that either the microphone input or the line input of the active audio device must be selected. The slide control of the activated recording source is controlled automatically by steno-s. Depending on the recording level the slide control is closed or opened. If the option Couple the wave volume to playback Master volume is ticked, a change of one of the volume controls Volume Wave (meeting) or Playback volume master results in a change of the other. This makes sure that the reproduction of the meeting is not disturbed by closed volume controls. E 077

18 3 - Recording In this chapter you will learn how to start the recording. stop the recording. read the status display of the recording. open, save, close, delete, rename or move a meeting. place, move, delete or change markers in the recording window. place, move, delete or change markers in the playback window. 3.1 How to start the Recording Before you can start to record you must create a new meeting or open an existing meeting. A meeting has to be regarded as a cassette. It contains all recordings, markers and files. The result is a meeting file which allows the access to audio data and markers. A meeting file has the extension.spa. After installation of steno-s, Windows XP will recognize a.spa-file. If you select a.spa-file from the Windows-Explorer or the desktop then, steno-s will start automatically and open the selected.spa-file. Select the button or the menu item File and New meeting or Open meeting. Before you can start a recording, you must enter a name for the new meeting. This can be done in the dialogue window Save meeting / save as which will be opened when you create a new meeting. Select the button to start the recording. 3.2 How to start the Recording automatically when the Program is started The recording can be started automatically with each start of steno-s. To activate this function select the menu item Options and General settings and the index tab Program settings. Tick Start recording automatically when the program is started and Open new meeting automatically when the program is started or Open last meeting automatically when the program is started. 078

19 3.3 How to stop the Recording If you want to stop the recording, select the button. The recording can be stopped in a meeting and started again even when your PC was switched off. Note: The Start and Stop buttons are only displayed when a meeting has been opened. 3.4 Status Display of the Recording The status display of the recording window shows the current recording time, the recording level, the recorded source and the recording parameters. Recording source Audio parameter Recording level Recording time Current Recording Time Displays the total time of the recording in hours : minutes : seconds. Recording Level Displays the current recording level of your sound card. The display should indicate the black area quite rarely. The recording level is set automatically or under Options / General settings / Audio mixer. Recording Source If you have selected the microphone input, a microphone symbol will be displayed or if you have selected the line input, a line input symbol will be displayed. To select the audio source open Options / General settings / Audio mixer. Recording Parameters Displays the current settings of the recording parameters. To set the recording parameters open Options / General settings / Recording parameters. E 079

20 3 - Recording 3.5 How to open an existing Meeting If you want to open an existing meeting, select File and Open meeting. If you want to open the last meeting automatically when steno-s is started, open Options / General settings / Program settings. Tick Open last meeting automatically when the program is started. From now on whenever steno-s is started the last meeting will always be opened automatically. Note: When a meeting is already opened you will be asked if you want to close the current meeting. You must confirm with Yes, if you want to open an existing meeting, because only one meeting can be opened at a time. Strg corresponds to Ctrl. 3.6 How to delete a Meeting Open the menu item File and Delete meeting. If you want to delete an open meeting, select the menu item File / Delete meeting and Delete whole meeting with audio files. Note: The function Delete whole meeting with audio files is only possible when the recording has been stopped. If you confirm the subsequent dialogue, that you really want to delete the meeting with Yes all audio data, markers, meeting system folders and files are moved to the Recycle Bin. The meeting file Strg corresponds to Ctrl. that allows access to the audio data is also moved to the Recycle Bin. If you want to restore the complete meeting, you must restore the meeting file and the appropriate meeting folder which contains all audio data, markers, meeting system folder and files. As the meeting folder is not designated with a name but with a number, you may not recognize it immediately. However, it is possible to trace by looking for the date of the deletion. In general the meeting file and the meeting folder have the same date and time of the deletion. 080

21 3.7 How to rename or move a Meeting If you want to rename or move a meeting to another location, select the menu item File and Rename / move meeting. With this function you can enter a different name for the opened meeting or save it with the same or a new name at another location. Note: If you want to create a copy of the meeting file, use the function Save meeting as. Strg corresponds to Ctrl. 3.8 How to save a Meeting When you create a meeting you automatically create a new meeting file. If you want to save a meeting later in another folder or under a different name on your computer, use the function Save meeting as. Select File and Save meeting as. Please note that changes to the description of the meeting can only be carried out in the currently opened meeting. If you do not want to create a copy of the meeting file, but just change the name of the meeting file, use the function Rename / move meeting. Strg corresponds to Ctrl. E 081

22 3 - Recording 3.9 How to close a Meeting Select the menu item File and Close meeting. When you close a meeting, you are not asked to save the file. This is not necessary, because when creating the meeting you have already created a meeting file with an individual name. When you close a meeting the last settings such as the current play position are saved automatically. Furthermore, an index file will be created to read the data more quickly when the file is opened again. If this index file is missing (e.g. if a computer crash should occur) a progress bar will be displayed when the meeting is opened again, as this process can take a while if the audio file is large. An index file can only be created on writable volumes. On CD-Rs (CD-RWs) there will be no index file produced. Strg corresponds to Ctrl. 082

24 3 - Recording 3.10 Time Stamps Markers With time stamps, or Markers, you can identify special notes, information, discussion items, questions, files etc. in the recording. Each marker has a certain content. A text marker contains text, a file marker can contain any file and a link marker contains a link to any file. In a meeting you can place as many markers as you want. Use markers to add certain information to your meeting or to identify certain spots. Integrate files into your meeting to store them with steno-s. Add links to make certain documents or information accessible. In the area Prepared markers of the recording window you can prepare markers that are not related to a certain meeting. These markers are always present whenever steno-s is started again. 084

25 How to place Prepared Markers In the recording window you can create so-called Prepared markers such as the agenda of your meeting or items that occur in each meeting, such as important information, questions to be clarified, decisions etc. The Prepared markers always remain, even if a new meeting has been started. But you can also delete, change or place new markers. How to place a Marker: Select the button or open the menu item Marker / Prepared markers and Add new text marker to the Prepared markers list. The window Create steno-s text marker in Prepared markers list will be opened. Now you have two possibilities to enter your markers. 1. You can open a file, for example the agenda of your meeting. Select File and Open. Then you can select and open the appropriate file. 2. You enter the marker manually, by typing the desired text. If you want to enter more than one marker, you must separate the individual markers with line breaks (press return key). There are also different possibilities for placing the marker: 1. Select Set marker. This function is suitable when you want to place only individual text markers. The complete text appears as the contents of a single marker in the area Prepared markers. 2. You mark the text that you want to place as a marker and select Set marker (marked area only). The marked text appears as the contents of a single marker in the area Prepared markers. E 085

26 3 - Recording 3. If you select Each paragraph as marker you can place several text markers that are separated by a line break (press the return key). In the area Prepared markers several markers will appear. Each marker consists of one paragraph. 4. If under the menu item Marker or Return key the function Set marker with Return key (Enter) is activated, the marker is placed when the return key is pressed. Important: If you want to place text markers consisting of several lines of text or several markers separated by line breaks, this function has to be deactivated by removing the tick How to delete Prepared Markers Delete individual markers by marking the appropriate marker and pressing the Delete key on your keyboard or select the button. You can delete all markers by selecting the menu item Marker / Prepared markers and Delete all markers in the Prepared markers area How to place Prepared Markers later In the recording window highlight the marker above where you would like to add a new marker and click with the right mouse button onto this position. In the window which is then opened, select Add new text marker at marked position and enter your marker, as described in How to place prepared markers. If you want to place a new marker at the end of the existing markers select the button. Notes 086

27 How to change Prepared Markers You can change the text of a marker at any time. Highlight the marker and click with the right mouse button onto it. Open the highlighted marker by selecting the function Change text:..., change the text and click onto Save marker to save the changed text How to move Prepared Markers Strg corresponds to Ctrl. Nach oben corresponds to Up. Nach unten corresponds to Down. Entf corresponds to Del. You can also move markers. Highlight the marker and click onto it with the right mouse button. There are a few possibilities to move the selected marker: 1. Move marker up one position The marked marker is moved one position upwards. Strg corresponds to Ctrl. Nach oben corresponds to Up. 2. Move marker down one position Nach unten corresponds to Down. The marked marker is moved one position downwards. Entf corresponds to Del. 3. 28 3 - Recording How to place File or Link Markers as Prepared Markers A file marker is like a text marker a time stamp in a meeting. The marker contains no text, but a file such as a picture, an Excel table, a Power Point presentation or a Word document. The file is actually copied into a meeting and can be burnt on a CD. Therefore, you can open this file at any time. A link marker is treated like a file marker, but the marker actually contains just a link to the real file. Therefore, the real file cannot be copied when a CD is burnt. Select the menu item Marker / Prepared markers and Add new file or link to the Prepared markers list. A selection screen will be opened where you can select one or more files. Once this has been done, select Open. Another selection screen will then be opened where you can select if you want to create a file or link marker. You can also open Windows Explorer to select the desired file and drag it with the mouse into the area Prepared markers of the recording window. 29 3.11 Display of the current Recording in the Playback Window As soon as you have started the recording you can see a display of the recording in the playback window on the right hand side next to the window with the Prepared markers. This window displays a time bar to indicate the recording, breaks in the recording and markers How to place Markers during Recording There are various possibilities to place markers during the recording: With the button you can paste the currently highlighted marker of the list Prepared markers at the current recording position. If the recording is not running, the marker is pasted at the end of the recording. With the button you can paste the currently highlighted marker of the list Prepared markers at the current recording position and highlight the next marker in the list. If the recording is not running, the marker is pasted at the end of the recording. If you select the button, a window will be opened where you can enter text or open a text document. 33 3.12 How to create a Description and display Properties Select the menu item File and Properties of meeting. A window will pop up where you can enter descriptions. Complete or change the following fields: On the page Details of the author you can enter the Name of the author and other details of the meeting such as Date of creation, Windows licensee and Hard disk number. On the page Audio and Marker you will receive information about the Location of audio data, the Memory size of the meeting and a table indicating all individual audio tracks of a meeting which are separated by breaks. 34 4 - Exporting the Meeting In this chapter you will learn how to burn a meeting with all audio data and markers on a CD. export a meeting with all audio data and markers to another storage location. set limiting marks. 4.1 How to burn a Meeting on CD If you use the operating system Windows XP and if your PC is equipped with a CD- ROM drive you can burn your recorded meeting with all audio data and markers via the burn function of Windows XP onto a CD. Select the button or the menu item File - Export meeting and Burn CD of meeting with audio data. A window will pop up where you can start to prepare the burning process with the button Burn meeting to burn the current meeting onto CD later. If the meeting is to be opened and played with other PCs that are not equipped with the steno-s software, the option Attach the program steno-s Player is available. If this function has been selected, the steno-s Player software, which is free of charge, is added to the actual meeting in a separate folder. After installation of the steno-s Player software the user can play the recorded meeting. The steno-s Player software can be controlled via a foot switch and contains the functionality for Microsoft Word. Note: Of course it is not necessary to add the steno-s Player software when the steno-s or steno-s Player software is already installed on the computer where the exported meeting will be used. 094

35 If you have set marks to limit the recording for export or burning on a CD for the export function in the current meeting, you can burn only a part of the meeting onto CD. Make your choice in the pop-up window. After the steno-s burning preparation has been finished you can activate the real burning process under Windows XP. Briefly after activating the Preparation of burning a CD a window will pop up that indicates that there is data present to be burnt on a CD. Click onto this window only after the steno-s burning preparation is finished so that the actual burning process is not released too early and parts of the meeting are missing on the CD. Another window will pop up. Insert a (new) writable CD-ROM into the CD-ROM drive and click the button Write files on CD. Windows XP will guide you through the burning process. Use Windows help if you have problems with the burning process. Note: Should the window of the burning function of Windows XP not pop up after the steno-s burning preparation, you can continue the burning process as described below: Open Windows Explorer (e.g. keep the Windows key pressed and then press the E key). Click with the right mouse button on the DVD/CD-RW-Drive. A pop-up menu will open. Select the menu item Write files on CD. Windows XP will guide you through the actual burning process. Please use Windows help if you have problems with the burning process. E 095

36 4 - Exporting the Meeting 4.2 How to delete all Files in the Burning Directory If there is a wrong meeting or data in the burning directory that you do not want to burn on CD, you can delete the burning directory as described below: Open Windows Explorer (e.g. keep the Windows key pressed and then press the E key). Click with the right mouse button on the DVD/CD-RW-Drive. A pop-up menu will open. Select Delete temporary files. Please use Windows help if you have problems with the burning process. 4.3 How to export a Meeting to another Storage Location You can export a meeting including all audio data and markers to another storage location. Select the menu item File - Export meeting and then Export meeting with audio data to another location. A window will pop up where you can select a location (e.g. a folder) to which you can export the current meeting. 096

37 When you select locations that are not writeable (to which you cannot export any meeting), the button Export meeting will be deactivated. If you want to create a new folder, select Create new folder. If you have set limiting marks in the current meeting for the export function, you can only export part of the meeting. 38 4 - Exporting the Meeting 4.4 How to select limiting Marks If you want to export only parts of a meeting or burn them onto CD you can set limiting marks. Click with the right mouse button in the playback window at the position where you want to set a limiting mark in the recording. Select the desired Marks to limit the recording for export or burning on a CD with Set start mark or Set end mark in the pop up menu. The area that is marked by the limiting marks is represented by a vertical line and two arrows. If there is no beginning mark, the meeting is marked from the beginning. If there is no end mark, the meeting is marked to the end. In each meeting you can set only one Start mark and one End mark. If you want to export several parts of a meeting, do the following: Mark each area of the meeting with limiting marks and export the individual areas one after another to the same place. If you want to burn several parts of a meeting on a CD, do the following: Mark each area of the meeting with limiting marks and select from the menu File - Export meeting the button Burn CD of meeting with audio data. The actual burning process is to be released only when this process has been closed for all desired areas of the meeting. 198

42 5 - Playback 5.4 How to work with steno-s in Microsoft Word In order to write the minutes in Microsoft Word, you must integrate the functionality of steno-s into Word. Proceed as described below. Depending on your Word version you must mark in the Microsoft Word program under the menu item Extras and Macro / Security on the page Trustworthy Sources the option Trust access to Visual Basic Project to allow steno-s access to Microsoft Word. Important: In some Word versions it is necessary to remove the tick and then tick again so that Microsoft Word will accept the settings How to integrate the steno-s Functionality into Word In order to integrate the functionality of steno-s into Word, open the menu item Word and select Integrate steno-s functions into Word under Configuration of steno-s functions in Word. The toolbar of Word will display the steno-s button. In order to observe the recording all the time, steno-s should be always in the foreground. Select in the recording window the menu item Options / View and steno-s always in the foreground. If this is ticked, it is already activated. 102

43 5.4.2 How to link a Meeting with Word To control the recording in Word select the menu item Word and Integrate current meeting into Word. If Integrate each meeting into Word automatically is ticked, the function Integrate current meeting into Word is released automatically whenever a meeting is opened. The program Microsoft Word will be opened and the buttons to control the playback will be displayed: Start Playback Go to previous marker Fast forward Strg corresponds to Ctrl. Drop-down Marker field. When you select one of the markers, the playback will start from the selected marker Stop Playback Rewind Go to next marker You can control the playback by selecting the appropriate buttons with the mouse. 44 5 - Playback 5.5 How to integrate the Texts of all Markers into Word You can integrate the texts of all markers into a Word document to create an agenda of the meeting or a template for the minutes. Select the menu item Marker and the item Integrate the texts of all markers into one Word file. Now your Word document will list all markers set in the meeting. Lines and parts that you do not need can be deleted with the normal Word function. In the upper part of the Word document steno-s will create a hyperlink. If you click this hyperlink you can start steno-s and open the meeting automatically. 5.6 How to adapt the steno-s Window to Word The normal size of the recording and playback window is too big to work with Word effectively. Please select which size is convenient for your work with Word. If you click the button of the recording window it is minimized to the button in the Windows task bar. You can also minimize the playback window in two stages, by selecting the button or as button in the Windows task bar by selecting. 5.7 How to start steno-s from Word When the functionalities of steno-s are integrated into Word, the appear in the menu bar whenever Word is started. button will This button has a double function. 45 5.8 How to control the Playback of steno-s with a Foot Switch With a foot switch you can control the playback without using the mouse or the keyboard. Other programs can be displayed on the whole screen and operated. The following descriptions refer to the STA 33 foot switch How to connect the Foot Switch The foot switch is connected to your computer via a serial interface. Make sure that your PC has a free, functioning serial interface (RS 232 -> COM port) and connect the foot switch to the free interface. Select from the menu of the recording window the menu item Options and General settings the index tab Secretary. Under Selection foot switch you will find the following options: Select the free interface under Selection RS 232 interface for foot switch to which your foot switch has been connected. Now you can use the foot switch. The settings for the foot switch are saved by steno-s and reloaded when steno-s is started again. E 105

46 5 - Playback Note: If you select the button under Selection RS 232 interface for foot switch, you can check if your foot switch is connected correctly and if it is ready for use. If you operate one of the buttons of the foot switch and if the foot switch has been connected correctly, the colour of the writing of one of the buttons must change. If you want to connect a foot switch (except STA 33) to a USB interface, proceed as described below: Make sure that your PC has a free and functioning USB interface. Connect the foot switch to the free USB interface. When the foot switch is connected to the USB interface for the first time all files that are needed for this USB foot switch are installed. Please follow the instructions of the automatic installation dialogue. Select the index tab Secretary under Options and General settings in the recording window. Select the foot switch you want to use under Selection foot switch. Now you can use the foot switch. The settings for the foot switch are stored and can be loaded when steno-s is started again. 47 5.8.2 How to adjust the Options for the Foot Switch The function of each button of the foot switch can be adjusted individually. Select the index tab Secretary under Options / General settings. steno-s differentiates between pressing the button briefly and keeping the button pressed. The time interval describes the time between pressing briefly and pressing and holding. You can assign each foot button a different command that is to be released when the button is pressed briefly or when you keep the button pressed. 51 6.2 Functions when the steno-s Program is started When the steno-s program is started there are various functions that you can select according to your requirements. Open the index tab Program settings under Options and General settings in the menu of the recording window. You will find the following functions: Activate the desired function/s and then select the button. If you select Open last meeting automatically when the program is started, you can determine, if the meeting that was opened before steno-s was closed, is to be opened when steno-s is restarted. If you select Open new meeting automatically when the program is started, you can determine, if a new meeting is to be created automatically when steno-s is started. Please note that steno-s always requests the name for a meeting when a new meeting is created. If you want to skip this function you must activate For the function New Meeting do not show dialogue box for entering a meeting name. As a standard the name Meetingxx will be used. If you select Start recording automatically when the program is started, you can determine, if the recording is to be started automatically when steno-s is opened. Please note that this function can only be effected when the function Open last meeting automatically when the program is started or Open new meeting automatically when the program is started has been activated. If you select Start playback automatically from the beginning when the program is started you can determine, if playback is to be started from the beginning of the meeting when steno-s is opened. Please note that this function can only be activated when the function Open last meeting automatically when the program is started has been activated. This function is also effective, if it has been activated with the option Start recording automatically when the program is started. E 111

52 6 - More Program Options If you select Start playback automatically from the last playback position when the program is opened, you can determine if playback is started automatically from the last playback position when steno-s is started. Please note that this function is only effected when the function Open last meeting automatically when the program is started has been activated. Under RS settings for the media control system you will find the following options: Select the free interface to which your control unit is connected to. 7.2 How to control steno-s via Handshake Wires of the RS 232 Serial Interface Some functions of steno-s can be released via handshake wires of an RS 232 interface. The control via handshake wires has the advantage that steno-s functions can be released via simple 2-pole switches or buttons. In contrast to the RS 232 control you do not need a control device that will produce commands in the ASCII format. The status of a handshake wire is analysed by steno-s and when there is a change an appropriate function will be released. In the RS 232 protocol in the help file of steno-s you will find more information about this subject. 114

55 7.3 Setting Options of the RS 232 Control under steno-s Some control commands of the RS 232 interface can be adapted via the setting options. Select the index tab RS interfaces under Options and General settings. Under RS settings for the media control system you will find the following options: Mark the function Signalling playback/pause instead of recording/pause, to display command number 104/105 instead of 102/103 of the RS 232 protocol. Mark the function Toggle mode during recording/pause to use command number 122 instead of 120/121 of the RS 232 protocol. Mark the function Toggle mode during playback/pause to use command number 125 instead of 123/124 of the RS 232 protocol. Mark the function A standard marker is set in the current meeting with each start of the recording to place a marker automatically when a recording is started. The marker corresponds to the function of the button Set new text marker without entering text. The marker will be set only when the recording start is triggered by an RS 232 command. Notes E 115

56 8 - Tips and Tricks It is not possible to create a list of markers in the recording window. The function Set marker with Return key is probably activated. Deactivate the function under Marker or Return key by removing the tick from the check box. steno-s is frozen. The program is not responding. Press Ctrl, ALT Delete. A window will pop-up. Select the TASK-MANAGER button. If the program is listed as Not responding, click on its listing and then click on the End Task button. The frozen program will disappear, other programs and Windows remain functioning. The recording or playback of a meeting is faulty. Did you connect a microphone or another device for recordings to the PC? Check the settings of the Audio mixer under Options and General settings. - Did you select the correct recording device? - Did you select the appropriate recording volume? You must select Mic input when you use an integrated microphone or a microphone connected to the PC. You must select Line input for any other sound signal. - Did you select the correct Playback source and did you activate the sound? Depending on the playback source you want to hear, you must deactivate the mute switch Sound off of the appropriate playback source, i.e. remove the tick from the check box. There is a whistle during playback via the loudspeaker. Check if you have activated under Options / General settings / Audio mixer the option Volume Mic or Volume Line. Deactivate this/these option/s by removing the tick from the check box Sound off and activate the options Playback volume master and Volume Wave (meeting) by removing the tick from the appropriate check box. It is not possible to start the recording, because the button is missing. Before you can start a recording you must create a new meeting or open an existing meeting. Refer also to the chapter 3.1 How to start the Recording. The button for burning a CD is missing. You must open a meeting or create a new meeting so that the button for burning a CD is displayed. Furthermore, the button is only displayed when steno-s is not in the recording mode. 116

57 The buttons for placing markers in the recording are missing. You must open a meeting or create a new meeting so that the buttons for placing markers in the recording are displayed. There is no sound heard when the recording is played. Check if the sound of your sound card is switched off. The playback window must display this button, if the sound is switched on. Move the slide control to the right to maximum. Make sure that you have selected the correct playback unit. Select Options and General settings. Open the index tab Recording parameters. Under Selection playback unit you can select your playback unit. Check the settings for the playback source under Audio mixer. Select the index tab Audio mixer under Options and General settings. Select your playback device under Playback mixer setting. In order to play a steno-s meeting, you must activate Playback volume master and Volume Wave (meeting), i.e. remove the tick from the check box Sound off and turn the appropriate slide control to maximum. There are no buttons for Start / Stop Recording and no icons for placing markers in the recording. There is no recording device selected. Open in the recording window Options / General settings / Recording parameters. Select under Recorder selection the appropriate device. Close the meeting and open it again, so that buttons and symbols will appear. Playback cannot be started. There is no playback device selected. Open in the recording window Options / General settings / Recording parameters. Recording mode Selects a mono or stereo audio recording. steno-s offers 3 different kinds of the mono recording: 1. The mono signal is generated from both channels of a stereo input. 2. Recording quality Strength of the compression of the audio data of an audio recording. Recording source Identifies the recording device which is currently defined in steno-s.
