1 Online Reading List Guide for Academic Staff Last updated: Tuesday, 27 June 2017 by CLR 1. Getting started Talis Aspire is a useful web-based system for managing and sharing reading lists. It is designed to work in conjunction with the VLE: SurreyLearn. The process of ensuring all listed resources are available via the Library begins with module convenors updating their lists on a regular basis and submitting these for library review. To access Aspire, visit aspire.surrey.ac.uk or the link in your SurreyLearn module. When you access Aspire for the first time: Contact your Faculty Engagement Librarian, who will send you an invitation to create a new account and accept the role of List publisher. When you accept the invitation, log in to Aspire using your university username and password. You will be prompted to set up a quick user profile. You must make your profile public so that the library can pass ownership of lists to you. Aspire will work on any browser, but we recommend that you use Google Chrome which is faster and less prone to problems. 2 Follow the instructions on screen. This will allow you to add the button to your bookmarks/favourites bar. Note that the instructions differ slightly according to which browser you use, which Aspire automatically detects. Screenshots of each can be seen here. When you access Aspire in the future: Log in using your university username and password Access any lists that you have started by selecting the My Lists tab and clicking the list link Access any resources that you have bookmarked by selecting the My Bookmarks tab Change the details of your profile by clicking on your name in the top right hand corner 2. Creating a new list Before you create a list, search Aspire to check whether a list already exists for this module. At the end of each academic year, all live lists roll over (ie they are copied over and assigned to the new academic year) so unless it is a brand new module, there is probably a list on the system that can instead be edited. Go to the Reading Lists homepage and enter the module code or title. Click Search. If your list does appear with the correct academic year, go to edit an existing list. If it doesn t appear, this means you can create and build a new list. 2.1 Create a new list Select the My Lists tab Click Create new list at the top right hand side Enter the module details. List name: Title of list followed by module code, e.g. History and Social Psychology PSYM111 Hierarchy: click Select Hierarchy and type in the module code. Select and click save. This links the list to the module on SurreyLearn. Time period: select the academic year (01/08/current year 31/07/following year) from the drop-down menu Anticipated student numbers should import to Aspire from SITS so you can leave this one blank. 2

3 Click Create list and then I am list owner when prompted This will open your blank list in edit mode. 2.2 Add sections and notes to your list To add a section, look for this box on the right hand side of your screen: Drag a New Section into your reading list When prompted, enter a title and study note then click save If you wish to add some text to your reading list, such as general guidance on useful resources, drag a New Note into the list and enter the text into the box provided. 2.3 The layout of your list Please use the following University-approved Reading Categories when building the sections of your list. Title Essential Reading Recommended Reading Background Reading Study Note Students are expected to read this material to gain essential understanding of the module content. Range of recommended materials provided to extend understanding of the module content. Further reading identified as relevant to the module content. If there is no reading in a category, please add a new note stating None specified. Additional sections can be added as required, e.g. weekly reading, journals, websites, or resources grouped by topic. Study notes for these are optional. 3. Edit an existing list Search for the list in Aspire, and open the version with the current academic year. Click Add to My Lists at the top right of the screen. Your list will now appear under the My Lists tab at the top left hand corner of the screen, for quick access in future. To edit the list, click on the Edit button and choose Edit List from the drop-down menu: 3

4 You can now check your list and add, remove or edit resources. 4. Adding Resources Save links to resources using a simple process called bookmarking 4.1 Creating bookmarks In the first instance, please search our library catalogue SurreySearch for resources and bookmark from there if possible. If we do not have something you require in stock, try using Amazon as an alternative for physical items, or Google Scholar to find links to journal articles. You can bookmark from any website. A detailed guide to bookmarking specific types of resource can be found in step 5. To bookmark a resource: 1. Find the item online 2. Click 3. Check the details and click create to save the bookmark. The next page shows what appears after you click the bookmark button, and explains the various fields. 4

5 Resource Type Choose the appropriate resource type from the dropdown menu, e.g. book, article or journal For the clearest bookmarks, try to include: 1. Resource Type 2. Title 3. Author/s 4. Date Add Field Add extra fields if necessary, e.g. web address, page nos. Add a manual bookmark You can easily create a bookmark from scratch by going to My Bookmarks and clicking Add->Add manually Click Create If you like, you can add a student note in the Note field when saving a bookmark (eg Please read Chapter 7 ). You can add, remove or edit these notes at any time once the item is on a list. Your bookmark will be stored in the My Bookmarks tab of your Aspire profile. It will appear as below on a published list: There is, however, a forthcoming new Aspire interface which will allow list items to be presented in citation format of choice watch this space. 5

6 4.2 Copying bookmarks Copying bookmarks from an existing list is a quick way of capturing an item for use in another list. Here s how: Open a list and click on the title of the item you wish to copy Click on the Add to My Bookmarks button Aspire will confirm that this has been saved: 6

7 4.3 Adding bookmarks to your list Open your list and go to Edit>Edit list. On the right hand side is a list of Most Recent Bookmarks ; this includes up to 250 of the resources you have most recently bookmarked. Type in the Find box to locate a specific bookmark by keyword. Drag and drop your bookmark into the appropriate section of the reading list. Click Edit Notes and Importance to prompt the following information box: Note for student In this box, add any specific information for the student, such as instructions to read particular chapters Note for library In this box, you can enter any information that you want the library to know Importance From this drop-down menu, select a category for the resource (Essential, Recommended or Background Reading). This step is very important because not only will it inform the student of their reading priorities, it will help the library when reviewing stock levels. Click 7

8 5. Bookmarking different resources Bookmarking is largely the same regardless of the type of resource you are adding, but there are some small differences that you should bear in mind when bookmarking specific resource types. 5.1 Books A note on editions Please make sure you have bookmarked the specific edition of the book you require the students to read. It would be helpful if you could check whether new editions have been published that the library does not yet hold, and bookmark these. (In cases where further stock is needed, our supplier will often only have the latest edition available to purchase.) If a specific previous edition is required because content does not appear in later editions, it would be great if you could add this in a library note on the bookmark for clarification. Initially, search for books on our library catalogue, SurreySearch (which can also be accessed from - it is the default search option). Sign in to get the most comprehensive results. If the book you require is available, click through to the record. Look out for notes that different versions are available this means we have more than one edition. The latest version should be the default on the search result page. It will also be indicated whether we have an ebook, print book or both (as in the above example). Click on the title of the book, or click See all versions if applicable and ensure you click on the title of the edition you require. This opens the catalogue record. If the book is only available in print: click on the Add to My Bookmarks button in the bookmarks bar of your browser. Check the metadata and click Create. This saves the bookmark. 8

9 If the book is only available electronically: Click on the ebook link to open the ebook in a new tab. Ebook tab: 9

10 From the ebook tab, click on the Add to My Bookmarks button in the bookmarks bar of your browser. Check the metadata. As well as title, author etc. it should include a Web address field with the ebook link; the Online Resource box should also be ticked. Click Create to save the bookmark. If the book is available electronically and in print: First make sure they are both definitely the same edition. If so, from the catalogue record, click on the view full text e-link: This will open the ebook in a new tab. From here, highlight and copy the web address. Returning to the catalogue record tab, click the Add to My Bookmarks button. At the bottom click on the drop-down menu next to Add field and select Web address. Then click Add. An extra field will now appear in the metadata. Paste the link to the ebook here and tick the Online Resource box below then click OK in the pop-up window. 10

11 Click Create. Your bookmark has now been saved and will include a link to the online resource as well as to the catalogue to show where to find physical copies. If the book does not appear on our catalogue: Search for it online. Amazon is a good place as it holds most titles. (You may need to look elsewhere if it is an obscure resource.) When you have found the book, click on the Add to My Bookmarks button in the bookmarks bar of your browser. Check the metadata and click Create. This saves the bookmark. Once you have saved a bookmark, you can either: add your new bookmark to the reading list immediately by returning to your reading list tab and following the instructions to add bookmarks to your list continue bookmarking resources and add these all to your list when you have finished 11

12 There is also the option to click Create & Add to list which will allow you to choose which list to bookmark to, choose the section, set the importance, and add student or library notes before you save it. However, if you choose this method, please be aware that you will still need to open your list and publish the changes in order for the new bookmark/s to show up to students. 12

13 5.2 Articles Search for the article title on SurreySearch. If we have electronic access, the article will come up as a search result followed by the words Full text available. Click on the title of the article to open its record, or alternatively click the full text available link to jump straight to the article link within the record. (This box also indicates our electronic holdings for the journal in this case we have an electronic subscription to the entire output of this journal from vol. 1 issue 1 to present.) Click on the link to full text. This will take you to the article. From here, click the Add to My Bookmarks button in your toolbar and have a look at the metadata. Note that there are now two tabs the first tab for the article/issue information, and an Is part of Journal tab which contains the journal title and ISSN. Check that everything looks correct. Click Create to save the bookmark. NB. You will need to bookmark the article from a page that contains all the relevant metadata (volume/issue numbers, page numbers, etc.) that the bookmark button can then organise. (Opening a PDF and trying to bookmark from here will not work as Aspire will try to save it as a webpage without all the bibliographic data.) 13

14 Once you have saved a bookmark, you can either: add your new bookmark to the reading list immediately by returning to your reading list tab and following the instructions to add bookmarks to your list continue bookmarking resources and add these all to your list when you have finished 14

15 5.3 Journals Search for the journal title on SurreySearch. You can narrow the results down to journals only by expanding the Resource Type list on the right, scrolling down and choosing Journals. Alternatively you can use the Journal Search function (link along the top of the SurreySearch page). Note that this only includes titles which are available online, and will not show any journals we only hold in print. However, e-journals are always preferable to print, so bookmark these if possible. Most of our journal holdings are electronic. Click on the journal title to open its catalogue record. Or click Online access to jump straight to the full text link within the record. Click on the Full text available at link to open the journal itself. 15

16 Click the Add to My Bookmarks button in your toolbar and have a look at the metadata. Your journal bookmark only needs four fields: o o o o Resource type make sure that this says Journal Title this should be the journal title and only the journal title! Delete any extra text that might have crept in here ISSN please add a field and enter ISSN if this is not already present Web address this should have been pulled through automatically from the website and will not need editing (Certain platforms, e.g. EBSCOHost, can skew the data a little by showing the resource type as webpage or including other text in the title field; most, however, should not need editing.) When the details look correct, click Create to save the bookmark. Once you have saved a bookmark, you can either: add your new bookmark to the reading list immediately by returning to your reading list tab and following the instructions to add bookmarks to your list continue bookmarking resources and add these all to your list when you have finished 16

17 5.4 Websites Go to the homepage of that website Click Add to My Bookmarks Check that the Resource Type is set to Website Check the title is correct Check the hyperlink is correct Click Create and drag the bookmark into your list 5.5 British Standards Online British Standards Online will sometimes feature on Engineering reading lists. Example title: BS EN :2004 Eurocode 2. Design of concrete structures. General rules and rules for buildings. To find and bookmark them: Go to SurreySearch and search for British Standards Online Click the Online access link to jump to the link in the catalogue record. Click the resource link to open the database. Search for the article you need, e.g. BS EN :2004 Select the correct standard from the results. In this example there has been an update in 2014: Click the title to open the standard. Then click Add to My Bookmarks. Check the metadata this should look similar to the below. It makes sense to change the resource type from Book to Document to avoid confusion, as the standard is accessed as a PDF document. 17

18 If all looks correct, click Create to save the bookmark. Once you have saved a bookmark, you can either: add your new bookmark to the reading list immediately by returning to your reading list tab and following the instructions to add bookmarks to your list continue bookmarking resources and add these all to your list when you have finished 18

19 6. Requesting digitisation of material You may wish to request digitisation of essential content, e.g. a chapter or journal article, to ensure all students taking the module have access to this material. As a rule, when reviewing lists, library staff will digitise any extract to which we do not have multiuser electronic access, as long as it meets the conditions of the CLA HE licence. This applies to UK publications and specifies that one chapter/article or 10% of a printed work (whichever is greater) may be digitised. You may also place digitisation requests yourself. If your request exceeds the CLA requirements, library staff will make enquiries into additional copyright permissions. To place a digitisation request: In edit list mode you will see a link below each item that says Request Digitisation Click on this link and follow through the form on the screen, entering the required information (chapter/section, author/s, page numbers, etc) clicking Next step when ready 19

20 If you have a copyright-cleared PDF of the item (please note it MUST be copyright-cleared before it can be uploaded if you are unsure do NOT upload and instead refer to the Library), then click Browse in the Resource details tab to find the PDF, and check the tick box to confirm the PDF complies with the information given about the item. The Course details fields should automatically populate from the list/module. Please ignore the needed by date as all requests will be processed as soon as possible. (This field defaults to the start of the academic year.) The About you fields should also populate based on your Aspire profile. Click Submit request to transmit the form to the library. Library staff frequently check for new requests and will take action to digitise your text as soon as possible. This is very quick if we hold the book/journal and a copy is on the shelf, but can take longer if the item is on loan, if we do not have it in stock, or if it is not covered by the CLA HE licence (see below). If you wish to request more than one chapter/article or 10% of content from the same item, please be aware this falls outside the scope of the CLA HE licence and additional copyright permission will need to be sought. Library staff will do our best to obtain permission but occasionally this is not possible due to rights-holder restrictions or expense. Please create a separate bookmark for each chapter and submit a digitisation request on each of these accordingly, in order of preference of requirement. The Library will then seek copyright permission for these. If permission is not obtainable, the request(s) (over and above the first chapter/section) will be rejected. When your item has been digitised, this is how it will appear on the reading list. It can be viewed in full-screen mode or downloaded. 20

21 Saving your reading list To save a list in progress: o From edit mode, click Save Draft at top right to keep the changes hidden for the time being o Click Publish if you want the updates to be visible to students immediately. (Aspire will save changes as you work but it will not publish them until you choose) Any lists you create will be stored in the My Lists tab for quick access Saving a draft, or selecting a list from My Lists will give you a preview of how it will appear to students (when published) To continue editing a list, click Edit at the top of the student view screen and choose Edit list. When making changes to a published list, remember to: 1) Re-publish to make those changes visible to the student on SurreyLearn 2) Request a new review. This will alert the library of any changes so that new stock can be ordered accordingly. 7. Completing your list 7.1 Request a review Alert library staff to check availability of resources on your list When you have finished editing, click Review and choose Request review, then click the blue Request review button again in the pop-up window that appears. This step is vital. Requesting a review is the process of notifying the library of the need to check the list. Library staff will then review stock levels and order new/additional materials where required, based on student numbers. They will also check availability of online resources. If the Request review button is not visible, this is because there is a review for this list already in progress. Only one review per list can take place at a time. If this is the case, please contact your Faculty Engagement Librarian for advice. 21

22 7.2 Publish your list and link it to a module Publishing and linking your list to SurreyLearn will make it visible to students If you have the list open in edit mode, simply click Publish at the top right. If you have the list open in student view, click Edit and then Publish from the drop-down list. (If this option isn t there, it s because all recent changes have already been published.) In the pop-up box that appears, click Publish. To link your list to the corresponding module on SurreyLearn, click Edit and then Link to Hierarchy. Search for the module code, select it and click Save. If the module doesn t appear as an option, please contact your Faculty Engagement Librarian for further instructions. It may be a new module that needs adding to the system. A link to the reading list will now appear on the SurreyLearn page for this module. 22

23 8. Using the Dashboard The Dashboard allows you to see how many times each resource on a published list has been visited. Click on the green Dashboard button. The dashboard shows you some basic analytics on your list, such as: Total number of list views in the academic year Total number of times a reader has clicked through to an item on the list Breakdown of clicks per item Number of times a student has annotated the list Suggestions for similar resources (based on other courses including the same book) 23
