2 1. Getting started Talis Aspire is a useful web based tool for creating managing and sharing your reading lists. You can access Aspire at any time by visiting aspire.surrey.ac.uk We advise using Aspire in Google Chrome or FireFox When you access Aspire for the first time: If you are interested in using Aspire, contact your Academic Liaison Librarian who will send you an invite to create a new account When you accept the invite, login to Aspire using your university username and password You will be prompted to setup a quick user profile. You must make your profile public so that the library can pass ownership of lists to you. You will now need to download the button. This button will allow you to add resources to your profile (see 4. Adding Resources) To install the button, go to the My Bookmarks tab Click Bookmarklet Installation Tutorial and Add the bookmarks toolbar. In Chrome: In Firefox: 2
3 Then drag the Add to My Bookmarks text up and drop it into the bookmarks toolbar: When you access Aspire in the future: Login using your university username and password Access any lists that you have started by selecting the My Lists tab and clicking Edit. Access any resources that you have bookmarked by selecting the My Bookmarks tab Change the details of your profile by clicking on your name in the top right hand corner 3
4 2. Building a list from scratch You can build your own Reading Lists from within Aspire Before you start to build, it s worth checking to see if the library has already built your list for you. If they have, go to Point 3 Review and Edit a List To see whether a list has already been built: See if you have already sent a version of the list to your Academic Liaison Librarian. If you have check with them to see if it has been built Go to the Reading Lists homepage and enter the module code or title to see if the list appears. If your list does appear it means it has already been published, go to Point 3 Review and Edit a List. If it doesn t appear, it means you can start to build. To do this, go to Point 4 Adding Resources to collect the items you want to appear on your list Then go to Point 5 Building a Reading List to build your list If you are at all unsure whether your list may already have been built check with your Faculty Engagement Librarian. 4
5 3. Review and Edit a List If you find the Library has already built your Reading List, you will receive an when it is published and ready for you to review. The will look like this: To access your list click the link Then click in the top right hand corner of the screen. Your list will now appear under the My Lists tab at the top left hand corner of the screen. To edit the list, click on the Edit button and the choose Edit List from the drop down menu You can now check your list and add, remove or edit any resources you need to. (Instructions for how to do this in Points 4-6 below). 5
6 4. Adding Resources Save resources to your profile using a simple process called bookmarking 4.1 Creating Bookmarks We recommend using SurreySearch to bookmark print resources. If the item isn t on our library Catalogue, we then recommend you try using Amazon as an alternative. You can locate online resources using Google Scholar & bookmark from any website. To bookmark a resource, follow these four steps: 1. Find the item online 2. Right click the Details link and Open in a New Tab 3. In the new tabbed page, Click 4. Check and edit the bookmark: Resource Type Choose the appropriate resource type from the drop down menu, e.g. book, article or journal For the clearest bookmarks, try to include: 1. Resource Type 2. Title 3. Author 4. Date Add Field Add extra fields if necessary, e.g. volume or issue Add a manual bookmark You can easily create a bookmark from scratch by going to My Bookmarks and clicking 5. Click Your bookmark will be stored in the My Bookmarks tab of your Aspire profile This is how the above bookmark will appear to the student: 6
7 4.2 Copying Bookmarks Copying bookmarks from an existing list is a quick way of capturing an item for use in another list. Open a list and click on the item you wish to copy Click on the add to my bookmarks button Success is indicated by the light blue banner that appears underneath 7

Building a reading list 5.1 Create a new list Select the My Lists tab Click Enter the module details, time period will be the academic year (01/08/current year 31/07/following year) from the drop-down menu Click OK and then I am list owner when prompted This will open the blank edit page for your list 5.2 Adding sections and notes to your list To add a section, look for this box on the right hand side of your screen: Drag a New Section into your reading list When prompted, enter a title and study note If you wish to add some text to your reading list such as Guidance on Reading, drag a New Note into the list and enter the text into the box provided 5.3 The layout of your list Please use the following University approved Reading Categories when building the sections of your list. Title Required Purchase Essential Reading Recommended Reading Background Reading Study Note Students are expected to purchase this text for sustained use through the module. Students are expected to read this material to gain essential understanding of the module content. Range of recommended materials provided to extend understanding of the module content. Further reading identified as relevant to the module content. If there is no reading in a category, please add a new note saying: None specified Further sections can be added to suit your requirements e.g. Weekly/Lecture Specific Reading 8
9 5.4 Adding bookmarks to your list Look for the Most Recent Bookmarks box, situated on the right hand side: Use the Find box to locate the bookmark you want Drag your bookmark into the appropriate section of the reading list Click Edit Notes and Importance to prompt the following information box: Note for student In this box, add any specific information for the student, such as instructions to read specific chapters Note for library In this box, you can enter details of any information that you want the library to know Importance From this drop down menu, select a category for the resource (Required Purchase, Essential Reading, Recommended Reading or Background reading). This step is important because it will not only inform the student of their reading priorities but will help the library when ordering stock for the list Click 9
10 5.5 Help with specific resources Bookmarking is largely the same regardless of the type of resource you are adding but there are some small differences that you should bear in mind when bookmarking specific resource types: Books When adding books it is important to add the correct edition and you should follow certain rules. The general rule for both books and e-books is to add the newest edition that is available on the catalogue unless specifically instructed otherwise. However, always bear in mind these three things: If the edition on the catalogue corresponds to the edition on the reading list then breathe a sigh of relief. If the edition on the catalogue is newer than the edition on the reading list then make a note of this - you will need to make a note for library later in the process. If the edition on the catalogue is older than the edition on the reading list then STOP - you should now look for the newest edition on Amazon and add that instead. Initially, you will need to search for books on SurreySearch: 10
11 You will now be faced with four potential scenarios: a) We only have a print version in stock b) We only have the e-book c) We have both the print and the e-book d) We have neither the print nor the e-book a) We only have a print version in stock Select the latest edition available and click the item type icon to show its full catalogue record: The details screen should look like this: Click Add to My Bookmarks in your toolbar Check the metadata and click create (not create and add to list) Congratulations, you have bookmarked a print book and Aspire will return you to the search screen You now have two options: o You can add your new bookmark straight to the reading list by returning to your reading list tab and following the instructions to add bookmarks to your list (section 5.1). You will also find information on adding chapters in this section o You can continue bookmarking and add these to your list at the end of the process b) We only have the e-book Find the latest edition available you may find that we have access to this edition through more than one host and you will need to add all of these to a single bookmark. To begin with however, choose one and right click the Details link and then select Open Link in a new tab to show its full catalogue record. In the new tab click the View Onilne tab and then right click and copy the e-link. Click Add to My Bookmarks in your toolbar Check the metadata and add the weblink Check the Online Resource tickbox is ticked 11
12 Click create (not create and add to list) Congratulations, you have bookmarked an e-book and Aspire will return you to the search screen You now have two options: o You can add your new bookmark straight to the reading list by returning to your reading list tab and following the instructions to add bookmarks to your list (section 5.1). You will also find information on adding chapters in this section o You can continue bookmarking and add these to your list at the end of the process If the e-book that you have added is also available from another host, you will now need to add this link to your newly created bookmark Run the same search again and find the appropriate item. Click on it the show its full catalogue record Now open the My Bookmarks tab on Aspire and find the correct bookmark Click on edit this resource Add a field from the drop down menu at the bottom of the edit screen, select web address and click add Paste the e-link into this new field and press save Congratulations you have added a second e-link to your bookmark! c) We have both the print and the e-book If you find both the print and the e-book on SurreySearch, you should first apply these rules: If the e-book is the same edition as the print book then you should add both (see below) If the e-book is a newer edition than the print book then you should only add the e-book. If the e-book is an older edition than the print book then you should only add the print book. If the first of these applies and you need to add both, search for the book on Surrey Search and right click the Details link and Open Link in a New Tab Click the View Online link and then right click and copy the e link to the full text Click on the Details tab and then Add to my Bookmarks Paste the web address by adding a web address section in the metadata screen Check the Online Resource tickbox is ticked Click Create You now have two options: 12
13 o o You can add your new bookmark straight to the reading list by returning to your reading list tab and following the instructions to add bookmarks to your list (section 5.1). You will also find information on adding chapters in this section You can continue bookmarking and add these to your list at the end of the process d) We have neither the print nor the e-book If the book is not on the catalogue, find the latest edition on Amazon Click Add to My Bookmarks in your toolbar Check the metadata and click create (not create and add to list) Make a note that the book was not on the catalogue - you will need to make a note for library later in the process Do NOT add any information to the notes field on the bookmarking page of Aspire because this crashes the system. Save these notes for later! Articles You will need to search for articles on Google Scholar When bookmarking Journal articles - check the metadata carefully and amend it as necessary. 13
14 In order to pull across the best metadata for your bookmark, you need to look for the abstract page of the article. This page will have some (if not all) of the following information: o Article title o Journal title o Author o Volume/issue/year o ISSN Once you have found this abstract page, click Add to My Bookmarks in your toolbar Check the metadata, ensure the Online Resource tickbox is ticked, and click create (not create and add to list) When you check the metadata on Aspire, make sure the Resource Type field is listed as Article NOT webpage Congratulations, you have bookmarked an article and Aspire will return you to the search screen You now have two options: o You can add your new bookmark straight to the reading list by returning to your reading list tab and following the instructions to add bookmarks to your list o You can continue bookmarking and add these to your list at the end of the process When you add the bookmark, remember to check the dates of the article match what is listed on the Reading List. If they don t match, edit the bookmark to match the Reading List Journals You will need to search for whole journals on SurreySearch (or use the Journals A-Z list in Surrey Search) Search for the journal title and then use the Refine My Results option in the left hand bar to limit to Journals. E-journals are always preferable to print! Only bookmark the print journal if we do not have access to it electronically! Find the appropriate item and open the full catalogue record Right click on Full Text and select Open Link in New Tab Then click Journal to open the journal itself if SurreySearch gives you more than one option, use the first one but avoid jstor if possible Click Add to Bookmarks You will now need to edit the metadata! Your journal bookmark only needs four fields: o Resource type make sure that this says Journal 14
15 o o o o Title this should be the journal title and only the journal title! Delete any extra information that might have crept in here ISSN Web address this should have been pulled through automatically from the website and will usually not need editing If the Journal is one that we only have in Print rom the results page on SurreySearch, right click the Details link and open in a new tab, then Add to bookmarks. When finished, the metadata for your bookmark should look like this: Make sure you remove all other fields and then click create (not create and add to list) Congratulations, you have bookmarked a whole journal! You now have two options: o You can add your new bookmark straight to the reading list by returning to your reading list tab and following the instructions to add bookmarks to your list o You can continue bookmarking and add these to your list at the end of the process Websites To add a website go to the homepage of that website Click Add to my Bookmarks Check that the Resource Type is set to Website Check the title is correct Check the hyperlink is correct Click Create and drag the bookmark into your list 15
16 British Standards Online British Standards Online will tend to be on Engineering reading lists and look like this: BS EN :2004 Eurocode 2. Design of concrete structures. General rules and rules for buildings. To add them: Go to SurreySearch and search for British Standards Online Find British Standard Online in the list right click and Copy Link Address Then click on the link to go to the British Standards Online website Search for the article you want e.g. BS EN :2004 Click If this symbol appears in the right hand side of the address bar - click on it and select Load Anyway. Click again if necessary Paste in the Link Address you copied earlier into the Web Address field The code should have copied across to the title field. Add extra information that is missing. E.g. BS EN :2004 becomes BS EN :2004 Eurocode 2. Design of concrete structures. General rules and rules for buildings Click Add to the list and in the Student note put the message Follow the link and search for the standard on the British Standards Website 16
17 5.6 Saving your reading list To save a list in progress o Click Save Draft to keep the changes hidden for the time being o Click Publish if you want the changes to be visible immediately. Any lists you create will be stored in the My Lists tab and can be accessed at any time To see a preview of how your list will look to the student, select the list from the My Lists tab To continue editing the list, click Edit at the top of the student view screen and choose Edit List. When making changes to a Published List, remember to: 1) Re-publish to make those changes visible to the student on SurreyLearn 2) Request a new review. This will alert the library of any changes so that new stock can be ordered accordingly. 6. Completing your list 6.1 Making your list visible to the student on SurreyLearn When you are finished click Review and choose Request review, then Save to send your list back to the Library. Request a review This is IMPORTANT: requesting a review sends your list to the library for the purposes of ordering new stock and checking the availability of online resources To request a review, open your list in the student view Click Review at the top of the page, then Request Review and click OK when prompted 17
18 If this button is not visible it is because there is a review already in progress. There can only be one Review in motion at one time on a list. If this is the case contact your Academic Liaison Librarian for further details. 6.2 Publish your list and attach it to a module Publishing your list will make the list visible to the student To publish a list, find and click on your list in the My Lists tab. Click Edit and then Publish from the drop-down list If the Publish option isn t there, it s because all the most recent changes have already been published. You will now have the option to attach the list to a module. To do so, click Edit and then Link to Hierachy If re-publishing a list, remember to Request a Review. This will alert the library of any changes so that new stock can be ordered accordingly. Search for the module and click OK to attach your list to it If the module doesn t appear contact your Academic Liasion Librarian for further instructions. The list will now appear on the SurreyLearn page for this module 7 Using the Dashboard The Dashboard allows you to see how many times each resource on a published list, has been visited. Click on the Dashboard button. The dashboard will then open and allow you to see: The number of clicks each resource has received The number of page views The number of clicks in total 18
