2 Welcome Welcome Welcome to the User Gide for the Ericsson Analog Basic, Medim and the ordinary Analog phone in the BsinessPhone Commnication Platform from Ericsson. The BsinessPhone Commnication Platform consists of: BsinessPhone 50 BsinessPhone 128i BsinessPhone 250 The featres described in this User Gide are related to version 5.1 of the BsinessPhone Commnication Platform. Some might not work in earlier versions of the system and/or might be protected by a hardware dongle that has to be boght separately. This gide will demonstrate how the Analog phone helps yo access the fnctions of the BsinessPhone Commnication Platform. The latest version of this User Gide can also be downloaded from: Important The BsinessPhone Commnication Platform spports all types of analog telephones, bt some featres reqire that an Ericsson Basic or Medim analog telephone is connected to the platform. Throghot the gide yo will be advised if a fnction is adapted for a particlar telephone or not. Note: The Ericsson Basic and Medim analog telephones can be connected to all types of telephone exchanges. 11 Incoming Calls Incoming Calls A ringing signal indicates an incoming internal- or external call. Answer calls z On another extension Yo can answer a call to another extension from any phone in yor office. and call the ringing extension Yo receive bsy tone. 6 Press 11

12 Incoming Calls d yd d Answer a second call A call waiting tone will inform yo, dring a conversation, that a second call is waiting on yor phone. (See also Camp-on.) Yo have two options. Option 1: Finish the ongoing call: Replace the handset The new call will be signalled on yor phone. to receive the new call Option 2: Ask yor conversation partner to wait: Press and replace the handset The waiting call will be signalled on yor phone. to receive the new call After finishing the new call: Replace the handset Yor first call will be signalled on yor phone. to receive the first call again 12

13 Otgoing Calls Otgoing Calls Sometimes yo make a call bt the person is not available. These fnctions will help yo in yor attempts to establish contact with the called party. z 0z d Make calls How to make internal and external calls. and dial either: An extension nmber to make an internal call, or The digit(s) for external call access and the external nmber Note: Which digit to press for external call access, depends on the configration of the system. Replace the handset to end the call Note: Yo can make yor calls faster, sing common abbreviated nmbers and by programming yor own abbreviated nmbers. 13

14 Otgoing Calls r Wait for dial tone Sometimes it is reqired to wait for a new dialling tone after dialling the prefix digit when making an external call. In sch sitations, yo mst store the pase for a new dial tone into the nmber: On the Ericsson Basic and Medim telephone: Press Note: This fnction is not spported for other analog telephones. r Last external nmber redial When yo initiate an external call the system atomatically stores all the dialled digits, irrespective of whether the call was sccessfl or not. Stored nmbers can consist of maximm 32 digits. Note: To redial a nmber that incorporates a wait for a new dial tone, yo mst indicate to the telephone where in the nmber it mst pase and wait for the new dial tone. To do this, press the reqired key at the proper place in the nmber. See section Make calls on page 13. On the Ericsson Basic and Medim telephone: Press to redial the last dialled external nmber On other analog telephones: *** Press to redial the last dialled external nmber 14

15 Otgoing Calls Atomatic call-back d Yo call an extension and receive bsy tone or get no answer. This can also be sed if no external line is free: 5 Press Verification tone. Replace the handset Yo are called back if the extension finishes the ongoing call or the next time the extension finishes a new call. Yo have to answer within eight seconds otherwise the call-back service is cancelled. when yo are called back The reqested extension is called atomatically. 15

16 Otgoing Calls Bsy extension Yo call an extension and receive bsy tone. Camp-on Yo can notify a bsy extension of yor call by a mted ringing call (if this fnction is allowed). 4 Press to camp-on (Keep handset off hook) When the called extension replaces the handset it will be called atomatically. Note: If yo receive the bsy tone again, the desired extension does not allow camp-on. Intrsion Yo can intrde on an ongoing call on a bsy extension (if this fnction is allowed). 8 Press to intrde Intrsion tone is heard and a three-party call is established. When the called extension replaces the handset and yo keep off hook, the called extension will be recalled atomatically. Note: If yo still hear the bsy tone, then yor extension does not have the athority to intrde or the desired extension is protected against intrsion. 16

17 Dring Calls Dring Calls The BsinessPhone Commnication Platform allows yo to handle calls in many different ways. Yo can for instance make an inqiry, transfer the call or create a conference. Monitoring l d Note: This section only applies to the Ericsson Medim telephone. Yo have an ongoing conversation via the handset. Press to switch the lodspeaker on Replace the handset The lodspeaker monitors the call. Note: When the lodspeaker is on, the microphone is atomatically switched off in the handset. Yo can adjst the volme, see section Adible Adjstments on page 56. (l Press to end the call From monitoring to handset Contine yor conversation via the handset. 17

18 Dring Calls Mte m Note: This section only applies to the Ericsson Basic and Medim telephone. Yo have an ongoing conversation. Press to switch the microphone on or off When the lamp lights, the caller will not be able to hear the conversation in yor room. Note: Mte key is slightly different on the Ericsson Basic telephone. Inqiry y z Dring an ongoing conversation yo like to make an inqiry to an internal or external party. Press The first call is pt on hold. Call the third party When the third party answers yo can switch between the calls, create a conference and end one of the calls. y2 y1 Refer back Yo can switch between connected parties: Switch between calls Press to terminate The ongoing call is terminated. The other call is connected. Note: Sometimes the R -key mst be pressed twice. If no speech connection cold be established, it may take a few seconds ntil yo are re-connected to the original call. Whether yo can pt internal calls on hold or transfer calls to external lines depends on the configration of yor PBX. Conslt yor system administrator. 18

19 Dring Calls Transfer y z d Yo have an ongoing internal or external conversation and yo want to transfer the ongoing call. Press Call the third party Yo can transfer the call before answer or wait for answer Note: Make sre, that yo are connected to the desired party. Please read the notes and warnings in section Usefl Hints on page 61. Replace the handset The call is transferred. Transfer to a bsy extension Yo can even transfer calls to bsy extensions. The other party will hear a mted signal (camp-on), and the call will be extended, as soon as the ongoing call is terminated (if camp-on is allowed). Call-back Yo are called back, if yo have transferred an external call and the other extension has not answered the call within a certain time. Yor telephone will ring again. 19

20 Dring Calls Conference y z y3 d Yo have an ongoing conversation and yo want to establish a telephone conference. Press Call the third party Press to establish a three party conference Now yo have established a three party conference. To mark the conference, all conference members will hear a periodical conference tone. Repeat the procedre to inclde other persons to the conference In this way, yo can inclde p to six parties in a conversation. How many of them can be external callers depends on the programming of the system. Replace the handset to leave the conference 20

21 Call Forwarding Call Forwarding When yo are not available to take calls or decide to answer yor calls on another extension, it is sefl to forward yor calls to an alternate answering position. If yo rgently need to talk to someone who has forwarded his calls, the system is also eqipped with a bypass fnction. Depending on the type of diversion yo are also able to record yor personal greeting, see section Personal greeting on page 38. Note: Yo can still make calls as sal. Diversion on no reply If yo are not available to answer incoming calls (internal or external), yor system administrator can program yor extension to atomatically divert calls to a programmed diversion address (defalt time: 15 seconds). Diversion on bsy If yor extension is bsy and yo receive an incoming call (internal or external), yor system administrator can program yor extension to atomatically divert the call to a programmed diversion address. 21

23 Call Forwarding Individal diversion This featre gives yo the possibility to divert yor calls to internal and external positions, e.g. to any directory nmber, a colleage s extension, an external nmber or a common abbreviated nmber (e.g. yor car telephone). Note: In order to prevent misse, individal external diversion can be blocked for yor extension, see section Secrity on page 52. *21* Dial z Program and activate internal diversion Divert yor calls to an internal position. Enter the new diversion address # Press to activate the individal diversion Verification tone. Yo can make otgoing calls as sal. A special dial tone reminds yo that Call Forwarding on page 21 is active. Note: An individal internal diversion cannot be activated if an individal external diversion is already activated. #21# Dial Cancel internal diversion 23

24 Call Forwarding *22* Dial 0z Program and activate a new external diversion address To set a new individal external diversion address: Dial the digit(s) for external call access and enter the new external diversion address A maximm of 24 digits. Note: If yor pblic network reqires waiting for a second dial tone, press *. # Press to activate the individal diversion Verification tone. Note: Individal external diversion can also be sed via the DISA fnction, see section Other Usefl Facilities on page 46. #22# Dial Cancel external diversion Note: The programmed diversion address is not removed from the memory, the diversion is jst inactive. Re-activate external diversion Divert yor calls to an external position. *22*# Dial to activate the programmed external diversion Yo can make otgoing calls as sal. A special dial tone reminds yo that Call Forwarding on page 21 is active. 24

25 Call Forwarding Follow me If yo are in another room, yo can still answer yor calls by forwarding them to where yo are. To activate Follow me, Individal Diversion mst be active on yor telephone. Activate follow me *21* Dial Note: This procedre has to be exected from the telephone the calls are diverted to. z* Dial yor nmber and press z Dial the new nmber to where incoming calls shold be diverted # Press to activate follow me Special dial tone. 26 Call Forwarding Bypass call forwarding Bypass call forwarding makes it possible to call a specific extension, even if call forwarding is activated on this extension. *60* Dial z Enter extension nmber # Press Yo will be connected to the specified extension, regardless of which type of call forwarding the called extension has activated. 26

27 Information Information If yo are not in the office for a certain period of time (e.g. meeting, vacation, lnch, illness), this featre allows yo to inform yor callers why yo are absent. External callers will be roted to the operator who also has access to yor absence info. Note: When yo have activated a diversion with a personal greeting, callers will receive this greeting instead of yor activated absence information. Yo can inform yor callers with: 1) Pre-defined texts Enter the reason for yor absence and the date and time of yor retrn. 2) Voice information Record a voice message and name the reason of yor absence. 27

30 Internal Messages Internal Messages Yo can send a call-back or a voice message when yo call an extension and receive bsy tone or get no answer. This section also describes how to record a personal voice message and how to forward a voice message. Yor incoming messages can be indicated by a rapidly flashing message key (Ericsson Basic telephone) or a rapidly flashing message waiting LED (Ericsson Medim telephone). See section Message waiting indication on page 58. Password protection The first time yo enter the message system (only possible from own extension) yo might be reqested to change yor password if it is defalt (0000). Note: Some systems are programmed to allow the defalt password. d Follow the voice annoncements Yo are reqested to enter a new password, confirm and save it. If yo se the defalt password, yo are reqested to try again. Replace the handset to finish the procedre or Contine with any of the message fnctions If yo want to change yor password again, it is possible from the message system or via the fnction Select password on page

32 Internal Messages Check and store received messages Yo can check and store yor received messages. Received messages are divided into following three categories: New messages (not heard) Heard messages Stored messages Voice messages can also be forwarded to other mailbox nmbers (individal or common), see section Forward a voice message on page 33. Note: Messages are deleted from the system after a certain time. The time depends on which category the message belongs to. Please ask yor system administrator regarding this. *59# Dial Yo can check and store yor received messages. Up to 20 messages can be stored. Voice messages will be heard via the speaker or the handset. Call me messages will call the sender atomatically (these messages cannot be stored). Note: Depending on the configration, yo might be asked for yor password before yo can retrieve yor messages. See section Secrity on page

33 Internal Messages *59# Dial Forward a voice message Yor received voice messages (in the individal mailbox) can be forwarded to other mailbox nmbers (individal or common). When yo forward a voice message to an individal mailbox, the mailbox nmber is the same as the extension nmber. See also section Mailbox System on page 35. Note: Depending on the configration, yo might be asked for yor password before yo can retrieve yor messages. See section Secrity on page 52. Follow the voice annoncements Yo can forward new, heard or stored voice messages. Note: The forwarded message is a copy, i.e. it can be deleted withot deleting the original message. d Repeat the procedre to forward the message to another mailbox Replace the handset to finish the procedre 33

34 Internal Messages Dictaphone fnction If yo want to record and retrieve personal voice messages yo can se the dictaphone fnction. A dictaphone message is treated as a normal message. How to retrieve dictaphone messages, see section Check and store received messages on page 32. Record message To start the recording: *58# Dial and record yor message The maximm recording time is for mintes and 15 seconds. Select options below: * Press to play-back 9 Press and speak to re-record # Press to stop the recording and save the message 34

35 Mailbox System Mailbox System While yo are away from the office, callers can leave messages in yor individal mailbox. Yo are also able to record yor personal greeting, see section Personal greeting on page 38. The first time yo enter the message system (only possible from own extension), yo might be reqested to change yor password if it is defalt (0000). See section Password protection on page 30. The mailbox system is a part of the message system. Individal mailbox system Callers are able to leave messages in yor individal mailbox. *21* z Activate Divert yor extension to the mailbox system. and dial Dial the nmber to the mailbox system Please ask the system administrator for yor defined mailbox system nmber. # Press #21# Deactivate and dial 35

36 Mailbox System *59# Retrieve messages internally When yo lift the handset and receive a special dial tone, either a diversion is activated or a message is waiting. Yor incoming messages can also be indicated by a rapidly flashing message key (Ericsson Basic telephone) or a rapidly flashing message waiting LED (Ericsson Medim telephone). See section Message waiting indication on page 58. and dial See section Check and store received messages on page 32. z z Retrieve messages - externally To retrieve yor messages from an external position: Dial yor company s telephone nmber Dial the nmber to the mailbox system Dring the procedre yo will be asked for yor extension nmber and yor password. The following mailbox fnctions can also be sed from an external position: Change password Check and store received messages Forward a voice message Send message Otcall (External) notification Personal greeting 36

37 Mailbox System Otcall (External) notification With this fnction the message system can notify yo when new voice messages arrive. Yo can specify an external nmber, where yo will be called at a pre-programmed time or as soon as a new message arrives. Note: This featre may be restricted or not available. Ask the system administrator for the availability and for more information. Yo can be notified in two different ways (depending on the programming of the system): Notification with mailbox access: Yo acknowledge the notification via yor password (has to differ from the defalt vale 0000). See section Select password on page 53 to select a new password. Yo have fll access to the mailbox system. Notification withot mailbox access: Yo get a short voice annoncement, informing that someone has left a message for yo. Yo acknowledge the notification by pressing any key and yo have to call back the mailbox system in order to retrieve the message. Note: If yo do not acknowledge the notification within the pre-programmed time, the connection is cancelled and repeated later (ask the system administrator for the programmed nmber of notification attempts). *59# Programming and dial Note: Depending on the configration, yo might be asked for yor password. Follow the voice annoncements Yo can program the external notification nmber, the notification time and activate/deactivate the fnction. The external nmber (inclding the digit(s) for external call access) can consist of p to 24 digits. The time is entered in 24h-format, e.g for half past eight with vales atomatically set to even qarters, i.e will be d Note: The notification nmber and time mst be programmed before yo activate the notification. Replace the handset to finish the procedre 37

38 Mailbox System Personal greeting Depending on the type of diversion yo want to activate, yo can leave three different personal greetings to the caller. The diversion state can be on no reply, on bsy or an activated individal diversion. *59# Dial Dring the procedre yo will be asked for yor extension nmber and yor password. 2 Press to configre yor personal greeting z d Enter diversion code Select an option below and follow the voice annoncements. Replace the handset to finish the procedre Note: When yo have activated a diversion with a personal greeting, callers will receive this greeting instead of yor activated absence information. 38

39 Abbreviated Nmbers Abbreviated Nmbers By sing abbreviated nmbers, yo can make calls simply by pressing a few keys. Freqently sed external nmbers are stored as common abbreviated nmbers in the exchange. Up to 10 individal abbreviated nmbers (yor personal most freqently sed external nmbers) can be stored and sed on the keys **0 to **9. Common abbreviated nmbers z External nmbers are stored centrally in yor BsinessPhone Commnication Platform. 43 Grop Facilities Grop Facilities When yo are working together in a team the following grop facilities can be very sefl. Grop hnting Yor telephone can be inclded in one or several hnt grops. In a hnt grop all members are represented with one common directory nmber. 16 hnt grops can be programmed, each containing 1 to 20 members. A member can be either an extension nmber, an operator console or a fictive nmber. Please ask yor system administrator if yo reqire this fnction. Note: The nmber of cordless extensions in a hnt grop are limited to eight (inclding tandem configrations). Incoming calls to the hnt grop are directed to free extensions in the grop. The hnt order within the grop can be changed to sit yor needs. If all members of the hnt grop are bsy, an incoming call is being qeed. If no one answers this call before the programmed time, the call is forwarded to the programmed answering position (e.g. operator). Note: If all members in a hnt grop are bsy, the call-back or intrsion fnctions are not available. 43

If two or more extensions simltaneosly attempt to answer a call from the common bell extension, only the first extension will pick it p. The other extensions will receive the nmber nobtainable tone. This will also happen if yo dial the common bell pick-p code and there are no calls waiting at the common bell extension. 45

Doorphone The doorphone is sed to monitor the admission to yor company, i.e yo can open the doorlock from yor phone. 48 Other Usefl Facilities Accont nmber An accont nmber can be entered to debit telephone costs to different acconts. Depending on the system configration the accont nmber has to be entered from a verified accont nmber list (predefined) or yo can invent an own accont nmber. The following prereqisites apply: With the verified accont nmber yo can restrict the making of external calls (not a specific nmber or area), so everyone who is allowed to make external calls will receive an accont nmber which has to be sed each time he/she wants to make an external call. Verified accont nmbers contain p to 10 digits. Own accont nmbers contain p to 15 digits. The accont nmbers can also be sed via the DISA fnction, see section Direct Inward System Access (DISA) on page 49. *9* Dial z # Verified or own accont nmber Before an otgoing call: Enter accont nmber and press Valid digits 0-9. 49 Other Usefl Facilities Direct Inward System Access (DISA) If yo are working externally and yo have the need to make bsiness calls, call yor company and se the company PBX to make an external call to the desired party. Yo jst pay the costs for the phone call to yor company. The other costs will atomatically be placed on yor extension nmber or on a special project. Note: To activate this fnction, yo have to change the defalt password from 0000 to a personal one. Which code to se and how to change it, see section Select password on page 53. z z z Yo can also divert calls from yor office extension to yor external position, see section Call Forwarding on page 21. Dring the procedre yo will be prompted for yor password. Use the qick reference card at the beginning of the gide to remember these specific nmbers. Dial the pblic nmber of yor company followed by the DISA nmber Ask the system administrator for the defined DISA nmber. Note: If want to register the call on an accont nmber, yo shold se the accont nmber procedre before yo enter the external nmber, see section Accont nmber on page 48. 50 Other Usefl Facilities Tandem configration The tandem configration is a nit, consisting of two telephones sing the same directory nmber. One of the telephones is defined as the Primary and the other one as the Secondary. This fnction enhances the commnication for sers that, for example, have a wired phone on their desk (the primary telephone ) and need to be mobile within their company s bilding with their own portable (the secondary telephone ). Basically the tandem configration works as follows: d To activate the tandem configration *28# Dial to log on the secondary telephone Replace the handset For incoming calls: Both telephones are treated as 1 single extension. For otgoing calls: Both telephones are treated as 2 separate extensions. To deactivate the tandem configration #28# Dial to log off the secondary telephone d Replace the handset For incoming calls: The secondary telephone cannot be called and the primary telephone works as a normal stand-alone telephone. For otgoing calls: Both telephones are treated as 2 separate extensions. 50

51 Other Usefl Facilities y z d Transferring a call between members of a tandem nit Press Dial own directory nmber Replace the handset Networking Networking is the connection of several premises within a company. The connection can be set p via leased lines, pblic lines, Local Area Network (LAN) or Wide Area Network (WAN). Ask yor system administrator abot details regarding networking. IP calls y IP calls are internal calls sent via an internal data network (LAN or WAN) and the transfer of data and voice is made on the same line. If yo are connected to an internal data network the IP connection is made atomatically. To minimise the traffic on the network the speech qality is decreased. If the speech qality is not acceptable yo can disconnect the IP call and switch to a non-ip call (alternative network). The switch from the IP net to the non-ip net is made dring the call, so the call does not have to be disconnected. If yo want to switch to a non-ip net dring the call: Press *61* Dial Dring the procedre the other party is pt on hold. When the procedre is ready yo will receive a special ringing tone and the call is resmed in the non-ip net. Note: A switch to a non-ip call can only be performed if the original call is an IP call, otherwise yo will receive a blocking tone. 51

If the extension has been configred to se LCR, each external call will be analysed and the cheapest way will be selected. 0z Use least cost roting Dial the digit(s) for external call access and the external nmber The sal way of making an otgoing external call. z 0z Calling least cost roting If LCR has been installed in yor system, bt yor extension is not configred to se it atomatically, yo also have the opportnity to get the cheapest connection by dialling the LCR code before yo dial an external nmber. 58 Adible Adjstments Message waiting indication Yor incoming messages can be indicated by a rapidly flashing message key (Ericsson Basic telephone) or a rapidly flashing message waiting LED (Ericsson Medim telephone). Note: The message waiting LED is optional on the Ericsson Medim telephone. On the Ericsson Basic telephone: Slide the switch to the MW position On the Ericsson Medim telephone: Slide to change the message waiting indication Depending on which pins in the telephone line socket that are spposed to carry the message waiting signals, the switch mst be set in the corresponding position. Please contact yor system administrator for advise. Note: If yor telephone will be sed on PSTN (pblic networks) the switch shold be set in MW(1-6) position. 58

61 Usefl Hints Usefl Hints Connections between external lines With yor BsinessPhone PBX, yo can establish an external call diversion or a conference with more than one external party or transfer an external call to another external destination (e.g. a mobile phone). These featres are very sefl for everyday bsiness life. Note: When these featres are sed, yor BsinessPhone will occpy at least two external lines. However, there may be disadvantages in connecting to several external lines. We wold therefore like to draw yor attention to the following: Please do not transfer external calls to an external mailbox, to information systems or to external parties before they have answered Try to avoid diverting calls to third parties before they have answered If yo are connected to two external lines, cancel one call by pressing R and 1 If the external parties are not persons (mailbox, atomated information or attendant systems, etc.), connections on external lines can last a long time, which can be costly. Moreover, sch calls may occpy two of yor system s external lines. Yo can restrict connections between the external lines by re-programming yor system. Please ask yor system administrator or contact or service center for more information. 61

Do not place yor telephone near sorces of extreme heat, e.g. near the radiator. Make sre that the line cable isn t creased. Cleaning the telephone Use a slightly moistened (not wet) cleaning-rag or an anti-static rag and wipe off the telephone careflly. Do not se rogh rags, solvents or aggressive cleaning flids. Any damages of the telephone, that are cased by non-observance of these instrctions, are not part of the liability given by the manfactrer. 64

65 Trobleshooting Trobleshooting This section contains information on how to solve common operational problems. Go throgh the following steps if yo enconter any problems. If this does not solve the problem, contact yor system administrator. If others have similar problems, there may be a system error. Falt check list 1. Make sre yor telephone is connected to an analog line 2. Read the Installation chapter To make sre that yo have done everything correctly and that everything is properly connected. 3. Disconnect all extra eqipment If yor telephone is working properly when done, the problem lies in the extra eqipment. 4. Connect a fnctioning telephone instead of the falty one If that telephone is working properly, the problem is probably in yor telephone, contact yor system administrator. 5. Check for operational problems If operational problems are fond, the problem is in the telephone network, contact the local telephone service or the local telephone company. 65

Common, which means that all extensions can se them. 2. Individal, which means that they are programmed and sed by each extension separately (10 nmbers). See section Abbreviated Nmbers on page 39. Atomated attendant A facility which sends voice instrctions to internal and external callers, providing all options which can be chosen. Voice instrctions lead the caller to the desired destination. See section Other Usefl Facilities on page 46. Diversion Incoming calls to an extension are diverted to another directory nmber (extension, common abbreviated nmber or the operator). There are three possibilities: 1. Direct, which means that all calls to an extension are forwarded directly. 2. On no reply, which means that a call is forwarded if it is not answered within a certain time. 3. On bsy, which means that a call is forwarded if the extension is bsy. See section Call Forwarding on page 21. Diversion Bypass This is sefl for letting rgent calls throgh to an extension where diversion is active. See section Call Forwarding on page 21.
