2 Welcome Welcome Welcome to the User Gide for the Ericsson Analog 3185 and 3185MW telephones in the Ericsson MD110 Commnication System. It is a state-of-the-art Commnication System. Its alliance of featres and facilities effectively improves commnications for virtally any kind of organization. To take fll advantage of these advanced featres and facilities there is a line of telephones, designed for ease of se in every sitation. Some markets se differing codes for some fnctions. In this gide, all fnctions are described sing the most common code for every specific fnction. As a note the markets and their differing code is shown. The latest version of this User Gide can also be downloaded from: Note: Since the Ericsson Analog 3185 and 3185MW telephones easily can be switched between plse and tone dialling they can be connected to all types of telephone exchanges, bt remember that analog telephones mst be connected to analog lines. 5 Description - Telephone 1 Display 16 characters. Indicates call dration or date and time. 2 Programmable keys Ten keys for storing freqently called nmbers. 9 Incoming Calls Incoming Calls A ring signal indicates an incoming internal or external call. Answer calls z On another extension Yo can answer a call to another extension from any phone in yor office. and call the ringing extension Yo receive bsy tone. 8 Press Note: France press 4 ; Sweden press 6 9

10 Incoming Calls Answer a second call A call waiting tone will inform yo, dring a conversation, that a second call is waiting on yor phone. Yo have two options. d y d Option 1: Finish the ongoing call: Replace the handset The new call will be signalled on yor phone. to receive the new call Option 2: Ask yor conversation partner to wait: Press and replace the handset The waiting call will be signalled on yor phone. to receive the new call After finishing the new call: d Replace the handset Yor first call will be signalled on yor phone. to receive the first call again Handsfree Yo can also answer calls handsfree. l Press withot lifting the handset Yo are connected to the caller via the lodspeaker and microphone. (l Press to terminate a handsfree call 10

11 Otgoing Calls Otgoing Calls Sometimes yo make a call bt the person is not available. These fnctions will help yo in yor attempts to establish contact with the called party. Make calls How to make internal and external calls. and dial either: z An extension nmber to make an internal call, or 0 z Dial the digit or digits to get an external line Dial tone. Note: Which digit or digits to press for an external line, depends on the configration of the system. d Replace the handset to end the call Notes: Yo can make yor calls faster, sing common abbreviated nmbers and by programming yor own abbreviated nmbers. If yo receive a qee tone when the digit or digits to get an external line are dialled (optional fnction Least Cost Roting is sed in the system), keep waiting. Once a line becomes free yo will receive a dial tone. If a warning tone is heard, the selected line is marked Expensive. 11

12 Otgoing Calls Wait for dial tone Sometimes it is reqired to wait for a new dial tone after dialling the prefix digit when making an external call. In sch sitations, yo mst store the pase for a new dial tone into the nmber: r Press Handsfree Yo can also make handsfree calls. l Press withot lifting the handset z Dial the nmber Yo are connected to the caller via the lodspeaker and microphone. (l Press to terminate a handsfree call Individal External Line To make a call on a specific external line: * 0 * Press z # z Dial the individal external line nmber and press Dial the digit or digits to get an external line and the external nmber 12

13 Otgoing Calls Last External Nmber Redial When yo initiate an external call the system atomatically stores all the dialled digits, irrespective of whether the call was sccessfl or not. r Note: To redial a nmber that incorporates a wait for a new dial tone, yo mst indicate to the telephone where in the nmber it mst pase and wait for the new dial tone. To do this, press the redial-key at the proper place in the nmber. See section Make calls on page 11. and press to redial last dialled external nmber Call Timer P When yo make an otgoing call, the Call Timer starts after 4 seconds, showing the dration of yor call. When the call is finished the dration is displayed for 15 seconds. If yo want to see the dration of yor last call (idle phone): and press Display example: 13

14 Dring Calls Dring Calls The MD110 Commnication System allows yo to handle calls in many different ways. Yo can for instance make an inqiry, transfer the call or create a conference. Monitoring Yo have an ongoing conversation via the handset. l Press to switch the lodspeaker on d Replace the handset The lodspeaker monitors the call. Note: When the lodspeaker is on, the microphone is atomatically switched off in the handset. Yo can adjst the volme, see section Adjstments on page 70. (l Press to end the call From Monitoring to handset Contine yor conversation via the handset. 14

15 Dring Calls Mte Yo have an ongoing conversation. m Press to switch the microphone on or off When the lamp lights, the caller will not be able to hear the conversation in yor room. Inqiry Dring an ongoing conversation yo like to make an inqiry to an internal or external party. y Press The first party is pt on hold. z Call the second party When the party answers yo can switch between the calls (Refer Back), transfer the call, create a conference and end one of the calls. 2 Press to retrn to the first party Note: Sweden press R Refer Back Yo can switch between connected parties: 2 Press to pt the ongoing conversation on hold The first party is connected. 16 Dring Calls Transfer Yo have an ongoing internal or external conversation and yo want to transfer the ongoing call. y Press z Call the second party Yo can transfer the call before answer or wait for answer Note: Make sre, that yo are connected to the desired party. d Replace the handset The call is transferred. Note: If yo have pt more than one call on hold, the last call that was pt on hold will be transferred. If the dialled extension is bsy or Transfer is not allowed, yor phone will ring again. 16

17 Dring Calls Conference With this procedre yo can inclde p to seven parties in a conference. Only the conference leader can admit participants. Dring the conference a tone will be heard every 15th second. Note: The conference tone might be disabled for yor system. Yo have an ongoing conversation and want to establish a telephone conference. Yo will become the conference leader. y Press z Call the second party Wait for answer. 3 Press to establish a three party conference Now yo have established a three party conference. Note: Sweden press R Repeat the procedre to inclde other persons to the conference d Replace the handset to leave the conference Dial mode If yor telephone is in the plse dialling mode, and yo want to se any of the atomated data services that reqire tone dialling, yo can switch temporarily to tone dialling dring a call, e.g. when calling interactive tele services or controlling telephone answering machines remotely. t Note: After yo end the call, dialling is reset to plse dialling. Press to switch to tones 17

18 Dring Calls On Hold y d Yo can temporarily pt the ongoing call on hold. Calls pt on hold can be resmed on yor own telephone or another. 19 When Yo Receive a Bsy Tone When Yo Receive a Bsy Tone Bsy extension or external line If yo call an extension and receive a bsy tone or get no answer or all external lines are bsy yo can se these methods: d Atomatic Callback If a called extension is bsy or there is no answer: 6 Press Note: France, Finland and Sweden press 5 Replace the handset to finish procedre Yo are called back (recall ring signal) when the ongoing call is finished or the next time a new call is finished. Yo have to answer within eight seconds, otherwise the Callback service is cancelled. when yo are called back The system calls the extension. Note: Callbacks can be activated on several extensions at the same time. 19

20 When Yo Receive a Bsy Tone z # d If all external lines are bsy (after dialling the digit or digits to get a line): 6 Press Note: France, Finland and Sweden press 5 Dial the external nmber and press Replace the handset to finish procedre When an external line becomes free yo will be called back (recall ring signal). Yo have to answer within eight seconds, otherwise the Callback service is cancelled. when yo are called back The system calls the external nmber. Note: Only one Callback can be activated on a bsy external line. 21 When Yo Receive a Bsy Tone Call Waiting If yo rgently wish to contact a bsy extension or external line, yo can notify it by a call waiting signal. 5 Press Note: France and Finland press 6; Sweden press 4 Keep handset off-hook. When the called extension or the external line becomes free, it will be called atomatically. Note: The Call Waiting fnction might be blocked for se on yor extension (programmed by system administrator). If Call Waiting is not allowed yo will contine to receive a bsy tone. Intrsion on a bsy extension Yo can intrde on an ongoing call on a bsy extension. 4 Press Note: France and Sweden press 8 Before the Intrsion is exected a warning tone is sent to the parties in the ongoing call. A three party call is established and a warning tone is heard. Notes: The warning tone might be disabled for yor system. The Intrsion fnction might be blocked for se on yor extension (programmed by system administrator). If Intrsion is not allowed yo will contine to receive a bsy tone. 21

23 Call Forwarding Call Forwarding Diversion If yo do not want to be distrbed or will be ot of the office, yo can have all calls to yor extension diverted to a pre-programmed answering position. Dring Diversion yo will hear a special dial tone. Yo can still make calls as sal. Diversion can be direct, on no answer, on bsy or to another information service facility. * 21 # Press d Order direct Diversion from yor own extension The call is diverted to an individal position or p to three predetermined common answering positions (depending on the type of the incoming call). Programmed by the system administrator. 28 Call Forwarding Bypass Diversion If Bypass Diversion is allowed from yor extension, yo can bypass an activated Diversion/Follow-me on a specific extension. * 6 0 * z Press and dial the extension nmber # Press and wait for answer Personal Nmber (optional) With this fnction yo can be reached on yor normal office telephone nmber even if yo are in another room, ot of the office, at home, etc. Depending on the fnctionality of yor office exchange, yo can have either one individal single search profile or yo can choose between five individal search profiles. A search profile can be designed to fit the sitation, i.e. In the office, On travel, At home, etc. Both internal or external telephone nmbers can be sed in a profile. On yor reqest, the search profiles are programmed or modified by the system administrator. See section To design and order yor search profiles on page 31. When the fnction is activated, incoming calls are transferred to different telephones or back-p services in yor decided order. If an answering position in the profile is bsy, the call can be transferred to another predefined position in the profile, i.e. Voice Mail or a colleage. Yo can activate the fnction from yor own office telephone or when ot of the office, by sing the Direct Inward System Access fnction (DISA). 28

In order to set p yor profiles, copy the setting form, fill in yor new or changed profiles and give it to yor system administrator. Note: If Personal Screen Call Server is connected to yor system, yo can edit the profiles via yor Intranet. See instrctions for the server! 31

32 Call Forwarding Important notes when designing yor search profiles: Avoid a ring time longer than 45 seconds for yor profiles Usally the caller hangs p after 3-6 ring signals. If yo need a longer ring time, the maximm time is 60 sec. Consider the time yo need to react and answer on each answering position in yor profiles Yo might need p to 15 seconds to react and answer on a desk or cordless telephone and seconds for a mobile telephone. There mst be an answering position at the end of every profile (Voice Mail or operator/secretary) If not, calls might end p nanswered. Consider what shold happen when yo are bsy on a telephone The available options are: Diversion to Voice Mail Diversion to the operator If an answering machine, a FAX or other answering service is sed as an early answering position, it might interrpt the searching Disconnect the answering service, or design the ring times so they do not affect the searching. If yor system admits jst one single personal profile, design the profile only with yor 2-3 most freqently sed positions If yo add more nmbers, there is a risk that the caller hangs p before a late position is called. If yor system admits 1-5 personal profiles, design the different profiles to fit yor most sed positions Make sre yo se as few answering positions as possible for each profile. 37 Voice Mail Voice Mail Yor incoming messages can be indicated by a rapidly flashing Message Waiting lamp (Dialog 3185MW telephone). While yo are away from the office, callers can leave messages in yor mailbox. Integrated Voice Mail (optional) This fnction allows yo to leave a voice message to the caller when yo are nable to answer calls, e.g. when ot of office, in a meeting, etc. Then the caller can leave a message in yor mailbox. When back in office yo can enter yor mailbox and listen to received messages. Yo can choose to divert all incoming calls to yor mailbox, or calls when there is no answer, or calls when yor telephone is bsy. When yo enter yor mailbox, yo will hear recorded instrctions how to handle listening, recording, storing and deleting messages, and how to change yor secrity code. To activate and deactivate yor mailbox For all incoming calls: See Call Forwarding, section Internal Follow-me (fnction code 21). Use the nmber to the voice mail system as the answering position nmber. When incoming calls get no answer: See Call Forwarding, section Diversion when there is no answer (fnction code 211). 37

38 Voice Mail When incoming calls get a bsy tone: See Call Forwarding, section Diversion when caller receives a bsy tone (fnction code 212). z z To enter yor mailbox Please ask the system administrator for yor defined voice mail system nmber. Once yo have entered the voice mail system, yo can handle yor messages/greetings and change yor secrity code, see section To handle the mailbox on page 40. From yor office telephone: Dial the nmber to the voice mail system If yo are asked to enter yor secrity code: Enter yor secrity code Code at delivery = yor extension nmber. Follow the recorded instrctions z From another telephone: Dial the nmber to the voice mail system If yo are asked to enter yor secrity code (the sed telephone has a mailbox of its own): # Press z z Enter yor mailbox nmber (normally yor office extension nmber) Enter yor secrity code (if reqired) Follow the recorded instrctions 38

39 Voice Mail z To enter someone else s mailbox Dial the nmber to the voice mail system If yo are asked to enter yor secrity code (the sed telephone has a mailbox of its own): # Press z z Enter the mailbox nmber (normally the office extension nmber of the person served) Enter the secrity code of the person served (if reqired) Follow the recorded instrctions 39

40 Voice Mail To handle the mailbox Recorded information on the line informs abot the nmber of new and stored messages. If yo have too many messages stored, yo will first be asked to delete saved messages. Recorded instrctions ask yo to press different digits in order to listen to caller's messages, record yor own greetings, change yor password or exit yor mailbox, etc. The following diagram gives an overview of the mailbox system and the digits to be sed. 40

41 Information Information If yo are not in the office for a certain period of time (e.g. meeting, vacation, lnch, illness), this featre allows yo to inform yor callers why yo are absent. External callers will be roted to the operator who also has access to yor absence info. Absence Information (optional) To be sed dring absence to inform callers abot the reason and time or date of yor retrn. If yo are athorized, yo can also enter absence information on another extension from yor own extension. Order To store text information. Example: Back on September 15th (=0915). * 23 * Press ( 0-9 ) Enter the absence code Note: The absence codes consist of one digit which depends on the system connected to the exchange. Contact yor system administrator regarding yor available absence codes. * Press and enter the date (MMDD) or time (HHMM) of yor retrn Note: If no retrn time or date is needed, this step can be exclded. 41

External callers will be roted to the operator who also has access to yor absent info. Delayed Hot Line When the handset of the delayed hot line telephone is lifted or when the line key is pressed, a timer is started. If no digit is pressed before time ot, a call is atomatically generated to a specific extension or external line. If a digit is pressed before time ot the telephone works as an ordinary telephone. Note: This fnction is only available in newer versions of the telephone exchange. Direct Hot Line The same fnction as described above, bt no delay. Only hot line calls can be placed from this line. To be sed e.g. as alarm phone, door phone etc. Alarm extension An extension can be programmed by system administrator as an alarm extension. A call to an alarm extension obtains atomatic intrsion if the extension is bsy. Up to seven calling parties may be connected at the same time. Emergency state In the event of an emergency the operator can switch the exchange into emergency state, dring which only preprogrammed extensions are permitted to make calls. 54

Depending on the type of paging system it is possible to send digit messages or voice messages to the paged person. Paging can also be initiated and answered dring an ongoing call. Make an inqiry call and proceed according to the appropriate procedre for the type of connected paging system. Yo can then either retrn to the ongoing call or transfer the paging call to the person that was pt on hold. If this person is an external sbscriber, yor exchange mst be programmed for this fnction. If yo receive a congestion tone when paging, this indicates that the paged person has his paging receiver in the charging rack and is probably ot of the office. 57

If, however, the dial tone contines withot interrption when yo start to dial the nmber, yo are connected to an exchange/pbx that reqires plse dialling and yo need to set it to plse dialling. Slide to change Notes: Yo can also temporarily switch yor telephone to tone dialling, see section Dring Calls on page 14. Flash/Earth mode z On delivery, yor telephone is set to flash mode. The R-btton (register recall) can be set to two different modes: timed break (flash) and earth. To find ot if yo have to change the mode of the R-btton, proceed as follows: Make a call and se any of the services that reqire R If yo cannot se the service, yo need to change the mode of the R-btton to the earth position. Slide to change Hearing aid compatibility Since yor telephone has a bilt-in indctive copler for the hardof- hearing, anyone so desiring can se the telecoil in his/her hearing aid while telephoning. To do so, simply switch the hearing aid in the T position. 71

Do not place yor telephone near sorces of extreme heat, e.g. near the radiator. Make sre that the line cable isn t creased. Cleaning the telephone Use a slightly moistened (not wet) cleaning-rag or an anti-static rag and wipe off the telephone careflly. Do not se rogh rags, solvents or aggressive cleaning flids. Any damages of the telephone, that are cased by non-observance of these instrctions, are not part of the liability given by the manfactrer. 76

77 Trobleshooting Trobleshooting This section contains information on how to solve common operational problems. Go throgh the following steps if yo enconter any problems. If this does not solve the problem, contact yor system administrator. If others have similar problems, there may be a system error. Falt check list 1. Make sre yor telephone is connected to an analog line 2. Read the Installation chapter To make sre that yo have done everything correctly and that everything is properly connected. 3. Disconnect all extra eqipment If yor telephone is working properly when done, the problem lies in the extra eqipment. 4. Connect a fnctioning telephone instead of the falty one If that telephone is working properly, the problem is probably in yor telephone, contact yor system administrator. 5. Check for operational problems If operational problems are fond, the problem is in the telephone network, contact the local telephone service or the local telephone company. 77
