5 Intended Use The 3M Staff Workstation is designed for use in processing library materials with 3M RFID Tags and and/or barcodes. The workstation: Reads item identification or barcode information from existing media and passes it to the library terminal connected to the library circulation system, and Secures or unsecures 3M Tattle-Tape Strips in items as required. The Staff Workstation can also scan barcode labels on library items (books, video cassettes, etc.), and program the information onto a 3M RFID Tag. The product has not been tested or proven safe for other uses. Do not connect power cord to power source. Operator Warning Risk of electrical shock. Do not remove covers or panels. This equipment contains high voltage electrical circuits. Not operator serviceable. Refer all servicing to 3M factory trained service personnel A 795_Cust_Install_20 Overview This Site Planning Guide will help you understand your Staff Workstation and its configuration options. The Site Planning Guide contains: General warnings, cautions, and safety information Site requirements and installation information Please review this document before the installation of your Staff Workstation. 1
6 Staff Workstation Operations The Staff Workstation is designed to process library items with RFID tags and/or barcodes. The workstation allows you to perform the following tasks: Check-in and check-out (includes securing/unsecuring and sending item IDs) Secure only and unsecure only (turn an item s security strip on or off) Send ID only (read and send an item ID to the library circulation system) Verify (confirm that security strips have been secured or unsecured) Read tags and display item IDs only (without securing the items or sending the IDs to the library circulation system) Conversion Operations The Staff Workstation can also scan barcode labels on library items (books, video cassettes, etc.), and program the information onto a 3M RFID Tag. 2

8 Getting Started The in-counter installation must be complete before calling 3M to complete the electrical and checkout portions of the installation. Facility Requirements Environmental For proper ventilation, there must be at least 6 inches (15 cm) of space between the back of the electronics enclosure and any surface. Humidity Do not place the electronics enclosure in an enclosed area or any place where excess heat can build up. 0% to 85% RH, non-condensing Operating Temperature Storage Temperature 50 F to 104 F (10 C to 40 C) -40 F to 131 F (-40 C to 55 C) Power Requirements Ensure that the following electrical power is available: 100 to 120 VAC, 2.5 A, 50/60 Hz, single phase, 300 Watts, or 200 to 240 VAC, 1.5 A, 50/60 Hz, single phase, 300 Watts Network Connection Requirements A network connection may be required for your Staff Workstation. For the Remote configuration, a network connection is required. The Staff Workstation is compatible with the following networks: 10BASE-T 100BASE-T and supports the following connectors: RJ-45 Your library's technical staff will be able to configure the Staff Workstation computer for the network connection. If you encounter problems with your network connection, contact 3M software support. In the U.S., call , option 1. Outside the U.S., contact your local 3M office. 9 Site Planning Considerations Each library site has unique workflow and space requirements that must be considered when selecting a location for the Staff Workstation. Workflow considerations Where will the staff workstation be located? (circulation counter, back room, other) The Staff Workstation should be located in an area where items being processed can be easily moved. You may want to consider space for wheeled carts or other carrying devices. What tasks will be performed on the staff workstation? ( customer transactions, RFID conversion) The Staff Workstation should be located near the area it will be needed most, for example, in a back room for RFID conversion. How are the items received for processing and where are the items placed after processing? You may need extra storage space, or counter space for items being processed. Is magnetic recorded media stored at least 6 in. (15.2 cm) from the workstation upper unit during operation. (Magnetic media can be damaged or erased by the operation of the Staff Workstation.) If there are mulitple workstations in one service area, they should all be set up identically. 5
10 Space considerations Is there enough space to process and store items? (room for carts, stacks of books, etc.) Is there enough room so that the library terminal can be viewed while using the Staff Workstation? Is there enough room so that the library terminal s keyboard and mouse will not interfere with the operation of the Staff Workstation? CAUTION When CRT monitors are placed close to the Staff Workstation upper unit, the monitor screen may experience image interference, such as color distortion or flickering. This interference tends to decrease as the separation between the CRT monitor and the upper unit is increased. The distance required to minimize or eliminate image interference varies from one CRT monitor to another. General guidelines are as follows: To minimize image color distortion, CRT monitors should be placed at least 18 inches (457 mm) from the Staff Workstation upper unit. To minimize image flickering, CRT monitors should be placed at least 24 inches (610 mm) from the Staff Workstation upper unit. It may be necessary to increase these minimum distances until image interference disappears. If a CRT monitor continues to experience image interference or if it must be located closer to the Staff Workstation upper unit than the minimum distances stated above, an LCD monitor can be used. LCD monitors are not affected by the Staff Workstation upper unit. 6
11 Staff preferences and ergonomic considerations Does the location minimize repetitive motion? Does the location allow staff members of varying height to work efficiently? Does the location allow for access by handicapped staff members? 12 Installation Options The Staff Workstation can be installed in-counter (flush to the mounting surface) or on-counter. Both installation types require a 3M factory-trained service technician to complete the installation. Refer to the Customer Incounter Installation Instructions for further information. The Staff Workstation cannot be installed on a metal surface, or in close proximity to metal objects. Metallic surfaces and objects can interfer with the operation of the Staff Workstation. In-counter Installation An in-counter installation provides a processing surface that is flush with the counter. This type of installation requires that you cut a mounting hole in the counter. Refer to the Customer Incounter Installation Instructions for detailed instructions on how to cut a mounting hole and install the Staff Workstation. Once the hole is cut, use the mounting brackets to secure the workstation upper unit to the counter. You are responsible for the non-electrical installation of the Staff Workstation. These instructions are packed in a flat, cardboard container along with a metal template for cutting the hole in the counter. The in-counter installation must be complete before calling 3M to complete the electrical and checkout portions of the installation. Important: All electrical installation and electrical connections are to be completed by a 3M factory-trained service technician. Do not connect the power cord to the power source. Monitor Option Without Monitor You should be absolutely sure of the location before attempting an in-counter installation. 8
13 On-counter Installation An on-counter installation includes a molded-plastic skirt that holds the workstation upper unit. The skirt is secured to the counter top with 3M Command Adhesive strips. The cable from the workstation upper unit is routed out through the back of the molded-plastic skirt. The cable must go over the edge of the counter or through the counter to the electronics enclosure. You are responsible for determining the final location of the Staff Workstation. Refer to "Site Planning Procedure" in this guide for more information. Monitor Option Without Monitor 795_Cust_Install_09 An on-counter installation allows you to experiment with a location before attempting an in-counter installation. Important: All electrical installation and electrical connections are to be completed by a 3M factory-trained service technician. Do not connect the power cord to the power source. It is very important that you determine the optimal location before calling 3M to complete the electrical and checkout portions of the installation. 9
14 Configuration Options Standard Configuration This configuration keeps the Staff Workstation hardware and software separate from the circulation system. Customer supplied inch LCD touchscreen (mounted on upper unit) inch standalone LCD monitor Library s circulation system software Various monitor options available Memory Card Reader Electronics Enclosure Technical Requirements Library circulation system client software must run on Windows 2000 Library-supplied Monitor (optional) Speakers must be provided they may be integrated into the monitor. Stand-alone speakers are also acceptable. May require extension cables for monitor, mouse, or keyboard (See step 2 of the "Site Planning Procedure") 10
15 Remote Configuration This configuration allows you to use one display, keyboard, and mouse for the control of their circulation software as well as the Staff Workstation software. Provides all standard Staff Workstation functionality Keyboard-Video-Mouse (KVM) switch box allows the Staff Workstation to use your monitor, mouse, and keyboard. Upper Unit Network Connection Library Computer KVM Switch Box Software components installed on your PC Companion Staff Workstation user interface using software wedge Memory Card Reader Electronics Enclosure This configuration requires a network interface card on the library's computer. Technical Requirements Library-supplied computer must have Windows 2000 installed Library-supplied computer, LCD Panel, keyboard and mouse running Windows 2000 (LCD panel is highly recommended) Network connections to the Staff Workstation and the Library s computer 11
16 Using the Staff Workstation After the Staff Workstation has been installed and checked out by a 3M factory-trained technician, refer to the documentation for detailed instructions on how to set up and operate the Staff Workstation: Refer to the Administrator Guide for instructions on how to set up the Staff Workstation. Refer to the Staff Guide for instructions on how to use the Staff Workstation and the Companion user interface (UI). Refer to the on-line help for information on setting up and using the Staff Workstation. Staff Workstation Software The Staff Workstation is shipped with the Staff Workstation software preinstalled. The Staff Workstation CD-ROM allows you to, if necessary, reinstall the Staff Workstation software. For the Remote Configuration, the CD-ROM allows you to install the Companion UI on the library's computer. 17 Site Planning Procedure Step 1 Select an Installation Type The two types of installation, in-counter and on-counter, are previously described in this document in "Installation Options." Work with library staff to determine the best location for workflow. If you are unsure of the best location, you may want to try an on-counter installation. This allows you to use the Staff Workstation for a period of time to determine the most efficient location. Note: Make sure that the workstation upper unit is not installed on or near a metal surface. 19 Step 2 Select a location for the Staff Workstation Select the exact location of the workstation upper unit before calling 3M to complete the electrical portions of the installation. The cable lengths and location requirements may vary between configurations and different environments. Cable Lengths A 6 ft. (183 cm) - Workstation upper unit to electronics enclosure B 9 ft. 23 Step 3 Customer In-counter Installation If you are installing an in-counter version of the Staff Workstation upper unit, perform the Customer In-counter Installation at this point. Refer to the Customer In-counter Installation Instructions document. Step 4 Call 3M Service to complete the installation.
