5 About this guide This guide provides library staff operating instructions for two 3M software applications included with the 3M Enhanced Pad Staff Workstation Model 896. The information contained in this guide also applies to the 3M RFID Interface for Self Service Model Note that the 3M RFID Interface for Self Service Model 4310 does not include Conversion Station software. 7 About the 3M Enhanced Pad Staff Workstation Model 896 The Enhanced Pad Staff Workstation is intended for use by library staff in the check-in and checkout of library materials. Also, library items that use optical barcode technology can be converted to RFID technology using the Enhanced Pad Staff Workstation with a customer-supplied barcode scanner. Designed for use with a customer-supplied computer, barcode scanner and memory card drive, the Model 896 includes a 3M RFID Reader Model 810, 3M RFID Pad Model P12, and 3M conversion and workstation software. 3M Enhanced Pad Staff Workstation and Conversion Station software consolidate a number of library tasks at one location: Check-in and checkout Sends item IDs to circulation and secures or un-secures items. Send ID Sends item IDs read from tags to the library circulation system. Secure/unsecure only Changes the status of item security without sending IDs to the circulation system. 11 Enhanced Pad Staff Workstation Software The following section provides detailed descriptions of various workstation screens and functions. Reader pad status If the user interface is closed and the Reader Status window is visible but no tagged items are on the reader pad, the status window will indicate that no items are present on the pad. If a tagged item is placed on the pad, the Reader Status window will indicate the number of items currently on the pad. Note that item sets are shown as single items. Double-click the system tray icon to open the main user interface. Additional information about any items on the reader pad appear. Copyright 2010, 3M. All rights reserved. 7

12 Enhanced Pad Staff Workstation Software Invalid items If invalid items are placed on the reader pad, the Reader Status window will indicate the number and status of the invalid items. Double-click the system tray icon to open the main user interface. Additional information about any invalid items on the reader pad appear. Additional invalid item details For additional information about an invalid item, double-click the item on the main user interface. A detail window, shown at right, appears. Blank tags If a blank tag is placed on the reader pad, the Reader Status window (if enabled) indicates that a blank tag is present. Depending on the configuration of your workstation, the user may be prompted. If the main user interface is displayed while a blank tag is present on the reader pad, it displays the tag UID, which is the address of the tag used for RFID anticollision algorithms. Note that this is NOT the item ID of the item to which the tag is affixed. 8 Copyright 2010, 3M. All rights reserved.

13 Enhanced Pad Staff Workstation Software Optional user prompt If your system is configured to prompt the user when an invalid item is placed on the reader pad, a window appears which forces the user to allow (pass to the ILS) or block (block from the ILS) processing of a tagged item. 14 Enhanced Pad Staff Workstation Software Sets A set consists of multiple parts encoded onto multiple tags, and is treated as a single loanable item. Examples of sets include: A case and a disk tagged as a set Two disks tagged together as a set and placed inside an un-tagged case A case, and two disks inside the case, all tagged together as a set In each case, the tagged items are displayed on the Reader Status window as a single item. On the main user interface window, such items are also displayed as a single item. 15 Enhanced Pad Staff Workstation Software Mismatched sets If parts from different sets are accidentally placed in the same case and placed on the reader pad, the Reader Status window will indicate the presence of invalid items. If the main user interface window is displayed, additional information for mismatched items will appear. If your workstation is configured to prompt users, the user will be prompted to allow or block processing of the item. Copyright 2010, 3M. All rights reserved. 11

16 Enhanced Pad Staff Workstation Software Switch to 3M conversion software To program tags, you will need to switch from the Enhanced Pad Staff Workstation software to the 3M conversion software. Complete the following procedure to switch. 1. Open the main user interface window. 2. Click Disconnect. This disconnects the 3M Enhanced Pad Staff Workstation software from the RFID reader pad and allows the 3M Conversion Software to use the reader pad. A disconnect is required because only one application at a time can use the RFID pad. While using the conversion software, the Reader Status window and main user interface window display the message Not connected to reader. 3. Complete your conversion work and shut down the 3M Conversion Software. 4. After the 3M conversion software is shut down, click Connect on the main user interface window to reconnect the 3M Enhanced Pad Staff Workstation to the reader pad. 12 Copyright 2010, 3M. 17 Introduction to Conversion Station software Important! 3M systems that use both Conversion Station and Enhanced Pad Staff Workstation software must not run them at the same time. These applications share resources and conflicts can occur. At most, configure only one of the two applications to launch at Windows startup. About the conversion process The conversion process involves changing library item IDs from barcodes to 3M RFID tags. Conversion Station software does this by reading the item ID from a barcode, keyboard, keypad, or list and programming it on an RFID tag. Tag handling tips Do not bend, fold, or damage the RFID tag because this can cause premature tag failure. Do not use tags with holes because a hole identifies a rejected tag. If a message indicates that a tag cannot be programmed, the tag may be defective. Ask the system administrator where to put these tags. Before you can start Before you can begin the conversion process, Conversion Station software must be configured. If configuration is your responsibility, see the 3M Enhanced Pad Staff Workstation Model 896 Administrator s Guide. CAUTION To reduce the risk associated with eye related injury, do not look directly into laser scanner device. 19 How to convert items This section describes how to convert items using Conversion Station software. It includes information on the various methods you can use to enter item IDs. Item ID entry methods This section provides information on the various methods you can use to enter item IDs. Note: In addition to the item ID entry methods discussed, you can also scan items using a barcode scanner. Enter item IDs from the keyboard 1. Using the keyboard, enter item IDs in the Item ID: field. 2. Press Enter. Enter item IDs from the keypad In order to enter item IDs from the keypad, the administrator must have configured this item ID entry method. 1. Click the Item ID #: button. 2. Use the keypad to enter item IDs. 3. Click Done. Note: Item ID Valid Characters settings, configured by the administrator, determine the keys that are available on the keypad. Copyright 2010, 3M. 20 How to convert items Enter item IDs from search lists This procedure assumes that the administrator has configured Conversion Station software for item ID entry using lists. Note: If you want the item ID list to remain displayed in order to convert multiple items efficiently, do the following: 1. From the main staff interface screen, click the Tools button. 2. 21 How to convert items Convert individual items This section describes how to convert individual items using Conversion Station software. See Convert sets on page 18 for information on converting sets. Note: Some Conversion software fields displayed in this manual may differ from those displayed on your screen because of configuration differences. This will not affect the conversion process. Note: When tag printing is configured and you do NOT want to print a tag, click the printer icon to turn tag printing off. (Press the button again to turn tag printing back on.) Tag Printing On Tag Printing Off 1. If the Conversion type is not set to Single Item, click the button and change the setting. 2. Enter an item ID and press Enter. See Item ID entry methods on page 15 for information. 3. Remove a tag from the tag dispenser or tag printer. 4. When prompted, place the tag slightly above the surface of the read/write (programming) area on the work surface to program the tag. To avoid sticking the tag to the surface, hold it upside down. 5. Follow the prompts. Once the tag is programmed, attach it to the library item. See Tag use and placement guidelines on page 23 for information. Copyright 2010, 3M. All rights reserved. 17

22 How to convert items Convert sets This section describes how to convert sets. See Convert individual items on page 17 for information on converting individual items. Note: Some Conversion software fields displayed in this manual may differ from those displayed on your screen because of configuration differences. This will not affect the conversion process. Note: When tag printing is configured and you do NOT want to print a tag (for example, if the tag format is not a supported tag printing option) click the printer icon to turn tag printing off. (Press the button again to return to tag printing.) Tag Printing On Tag Printing Off 1. Set the Conversion type to Set. 2. Set the Case/No Case button to the correct setting. 3. Set the number of items to the correct setting. 4. Enter the item ID and press Enter. See Item ID entry methods on page 15 for information. 5. If you want to print the tag (and have tag printing configured), press the Print icon. 6. Remove a tag from the tag dispenser or tag printer. 7. When prompted, place an appropriate tag slightly above the surface of the read/write (programming) area on the work surface to program the tag. To avoid sticking the tag to the surface, hold it upside down. 8. Follow the prompts. Once the tag is programmed, attach it to the library item. 23 How to convert items Blank a tag Blanking a tag returns the tag to its default state, which prepares it for efficient reprogramming. Blank tags do not contain an item ID. Note: To blank tags, the administrator must have configured a blank format. 1. If the Conversion type is not set to Blank Tag, change the setting. 2. Place the tag in the programming area and click the BLANK TAG button. Disable a tag You may need to disable a tag because an item is to be removed from the library collection and sent out of the library or because converted items are now to be bound together. Note: If you disable a tag, 3M systems will no longer be able to use it. 1. If the Conversion type is not set to Disable Tag, change the setting. 2. 25 Changing Conversion Station staff settings Enable search lists This topic describes how to enable the search list feature, which provides a way to notify staff that an item about to be processed is missing, on hold, or ready to be removed from circulation. Before enabling this feature, the administrator must export a search list from the Digital Data Manager and then configure the feature in the Conversion Station software. 1. Click the Tools button. 2. Click the Search Lists button. 3. When the Search Lists screen appears, click the lists you want to use. 4. Click OK. 5. If you want the search list to be displayed when a match is encountered, check Auto display item ID list. 6. Click OK. Adjust sound volume 1. Click the Tools button. 2. Click the Sound button. 3. 27 Tag use and placement guidelines Tag placement guidelines General book guidelines For optimum performance, 3M recommends that you follow these RFID tag placement guidelines for books: Alternate tag placement between high, middle, and low positions from book to book to improve read accuracy when multiple books are present. Attach tags to the back cover. Position tags at least ¼ inch (0.635 cm) from the bending point, but no more than ¾ inch (1.9 cm) from the spine. This helps avoid damage to tags and keeps them within the optimum read range. Position High Middle Low Distance from Bottom 5 inches (17.7 cm) 3 inches (7.6 cm) 1 inch (2.5 cm) Guidelines for damaged books If the pastedown (the paper part of the back cover) has begun to separate from the cover so that you cannot follow the general guidelines, try positioning the tag about ¼ inch (.6 cm) from the point where the pastedown remains glued to the cover. If this placement positions the tag further than ¾ inch (1.9 cm) from the spine, try the following: Moving the tag up or down Placing the tag on the inside back flyleaf If you cannot find a placement that keeps the tag within ¾ inch (1.9 cm) of the spine, see your library administrator for guidance. Guidelines for large books For oversized books that must be placed on edge on the shelf, always position the tag so that it is close to the shelf face and near the spine of the book. If oversized books are to be placed on the shelf spine up and bottom out, always position the tag in the low position. Copyright 2010, 3M. All rights reserved. 23

28 Tag use and placement guidelines Guidelines for disk hub RFID tags for CDs and DVDs If the library uses abrasive surface conditioners to remove scratches from CDs and DVDs, attach the tag to the side that is not conditioned. When practical, attach the tag to the side of the disk with the flattest center-hub surface (the side without a ridge in the hub area). To minimize the thickness of the CD/DVD center hub region, do not apply additional labels to the hub area. Attach the tag to the disk s hub area, centering it over the disk s center-hole area. Make sure that the tag is centered on the disk and does not cover any of the disk s center hole. Guidelines for media with covers and cases Choose a location on the outside of the cover or case where the tag cannot be easily bent when the cover or case is closed and easily seen, such as beneath the slipcover. When to avoid using RFID hub tags The read range for RFID tags can be reduced to unacceptable levels in some circumstances. Therefore, 3M does not recommend RFID hub tags in the following instances: When the disk hub is made of metal When the cover slip on a CD/DVD case is foil lined When a case contains multiple disks, such as audio books on CD. However, if tagging multi-disk sets cannot be avoided, mark only one disk with a disk hub tag, and mark the case with a standard ISO tag. 31 Remove a memory card Always use the following procedure to remove a memory card from the memory card drive. Note: To avoid corrupting data, do NOT remove a memory card while the activity light on the memory card drive is flashing. 1. Wait until the activity light on the memory card drive stops flashing. 2. On the Windows desktop, double-click My Computer (Windows XP) or Computer (Windows Vista). 3. Right click on the Removable Drive icon in the My Computer folder. 4. When a pop-up menu appears, click Eject. 5. If you see the message Cannot Unmount Volume, click Continue. This will not affect the data on the memory card. 6.
